How to Cite a Website in APA

This guide explains all of the important steps to referencing a website/web page in your APA research papers. The guidance below follows APA style, 7th edition.

Here’s a run-through of everything this page includes:

What is a website? Am I citing a website or a web page?

Citing a website in the text (in-text citation), citing a website on the reference page, citing a general web article without an author, titles of pages on the web, extra information, publisher information, web addresses and dois, apa format for online news articles, additional website citation examples, troubleshooting.

A website is a place on the Internet that holds a group of individual pages (called web pages).

Think of a website like a tree. A website is the tree, and the individual web pages are the branches. Use YouTube as an example. YouTube is the site, and the individual channel pages and video pages are the branches. Wikipedia is a site, and each article has its own individual web page on that site.

Most of the time, you aren’t trying to cite a whole, entire site, but actually an individual web page. If you used a YouTube video to help you with your research project, you wouldn’t cite the entire YouTube site, you would cite the specific YouTube page the video was found on.

Here’s a similar question we’re often asked when it comes to the APA citation of a web page:

Q: This page describes citing specific pages and articles. Can I cite an entire site?

A: According to the APA manual (7th edition), it is not necessary to cite a site in its entirety in a reference list. Instead, include a reference to the website in the body of your paper and cite any web page individually.

The Department of Justice has just released a new site called ReportCrime.gov at https://www.reportcrime.gov/ to help people identify and report crimes in their area.

In the above passage, the website is stated in the text rather than cited. This guide focuses on how to cite individual pages found on the web (web pages). If you used an entire website, it’s perfectly acceptable to cite the whole site in the text of your paper, as shown above, but for the most part, you want to cite the page where the information was found.

When you include a piece of information from a site in your project, you must include two citations: a brief citation in the text and also a full citation on the reference page.

When it comes to mentions in the text, students are sometimes tempted to put the web address in the body of a project. However, URLs can be long, clunky, and distracting. They should never be written in the body of a project.

Instead of writing the full address in the text, use the last name of the author and the date the source was published. If no author is shown, write the title of the individual page and the date.

For direct quotations, you may use paragraphs to indicate the quotation’s location in the work. Count the paragraphs manually if needed and use the abbreviation “para.” for paragraph.

The above APA website in-text citation (the author’s last name and the date the information was published) corresponds to the information on the final page of the project, the reference page.

General structure for how to cite a website in APA

Note: A retrieval date is no longer required for online sources. It’s only needed if the content is likely to change over time (such as wikis and social media). The article or page title should be italicized. The URL is at the end and does not have a period after it.

APA citation for website structure:

Do you need to cite a source with no author in APA ? No problem. Wikipedia pages, online dictionary sites, and online encyclopedia sites are just a few examples of sites without an author. When there is no clear individual author, use the website organization (group author) as the author.

Group authors

There are plenty of times when an individual’s name isn’t listed as the author, but the information on the site is written by a group, organization, or company.

In an APA website citation, it is completely acceptable to use the group’s name in the author position. Type it out in its entirety and add a period at the end. Check out the various APA citation of web page examples at the bottom of the page to see group authors in action!

Note: If the author name and website name is the same, just list it once in as the author; leave out the website name section in the APA citation.

If you’re wondering whether to include the full date in your APA citation for web pages (month, day, and year) or just the year, we have the answer for you here.

An APA citation of web page reference includes the month, day, and year if it’s a site that is updated with new information frequently. Blog posts, newspaper articles, posts from social media profiles, and YouTube videos are just a few of the sources that would display the full date. In an APA citation for web pages, it’s written in this order in parentheses: (Year, Month Day).

If there is any information missing, simply include what is available. Also, if there is no date , indicate this by using (n.d.).

Here’s the advice we provide on many of our guides:

  • If the source you are citing is a standalone source, meaning an entire book, television series, or film, the title of such sources should be in italics.
  • If, however, you are citing a piece of a larger source, i.e., a journal article, a page on a site, or an episode of a show, the title should be in sentence case and not in italics.

Long story short, do not italicize an APA citation for web pages’ title in the text and on the final page of references.

For full references on the final page of the project, only include capital letters at the beginning of the title, at the beginning of each proper noun, and at the beginning of the first word in the subtitle.

The title is written in the text only when there isn’t an author listed. So, instead of showing the reference as (Author, Date), use (“Title of Page,” Date) in any APA citation for web pages. Notice the switch from sentence case to title case in the text reference.

A little extra information goes a long way when it comes to site citations. If you’re including a unique source type, include information about the medium directly after the title. This information is placed in brackets. Only the first letter is capitalized.

Any information related to the publisher is not invited to the web citation party. In an APA citation of a web page, you do not need to include information about the company that made the site, where its offices are located, or any other similar information about the company in any web references. One thing less to worry about in your APA citation for web pages!

We also need a web address and DOI number in an APA citation for a web page. Including site addresses and DOIs are an absolute necessity. Addresses and DOIs (which stand for direct object identifiers) are usually the last item in an APA website citation.

For sites, after adding the full URL to the APA citation for a web page, do not end it with a period. If the address is very long, it is acceptable to roll it onto the next line, but break it up so that a type of punctuation mark or symbol is the first item closest to the left margin. DOI numbers are assigned by publishers to electronic sources such as journal articles, e-books, datasets, and more. They’re a string of numbers and sometimes other characters. If the source you’re using has a DOI number assigned to it, place it at the end of the APA website citation, instead of the URL, in this format: https://doi.org/10.XXXXXXXXX. Place the DOI string in place of the X’s shown above.

DOIs were created to combat the problem of broken links and 404 errors (pages taken down). Think about it: if a webpage is taken off of the Internet, it can be pretty difficult to find a copy of it. If you’re lucky, an archive site may have a copy stored somewhere, but for the most part, when sites are gone, they’re gone. DOIs are permanent, making them the ideal choice to include in any APA citation for webpages.

APA differentiates between traditional newspapers that are online versus news websites with no daily/weekly/monthly newspaper or magazine edition. Unsure what you’re citing? Follow this decision tree:

  • YES –> Cite it as a newspaper article.
  • NO –> Cite it as a web page or a news site article.
  • NO –> Cite it as a web page or news site article.

News sites with no associated daily/weekly/monthly publication should be cited like a web page. That means the article title is italicized and the publisher/site name is in plan font. This format applies to articles from these sites:

Sites associated with a daily/weekly/monthly publication should be cited as a newspaper article. That means the article title is in plain font and the publisher/site name is italicized. This format applies to articles from these sites:

  • The New York Times
  • The Guardian
  • The Times of India
  • The Wall Street Journal
  • The Washington Post
  • Yomiuri Shimbun

Solution #1: Determining the website company, the author, the publisher, or both (APA)

A website citation included in an APA-format bibliography doesn’t need a publisher, so you do not need to worry whether the website company is the publisher of a page you want to cite!

If an author isn’t credited on a given webpage, the website company should be listed as the author. This also goes for online encyclopedias, dictionaries, etc.

Here’s an example for a full bibliography:

Solution #2: How to cite images and videos from social media in APA format

Making a bibliographic citation for a photo or video from social media is similar to making a citation for any website. Examples that fall into this category include photos, videos, or social media-specific mediums like highlights, reels, moments, or lives.

For your full citation in your bibliography, use the caption of the photo or video, up to 20 words, as the title. Denote the style of media in brackets, following the title.

For sources like Instagram Reels, Highlights, and other media whose exact date of posting is hard to discern, include the date you found and cited the photo or video rather than the original date the media was shared.

Solution #3: How emojis are cited in APA format

If the website or social media post you are citing contains an emoji, keep the emoji in your full bibliographic citation without altering it.

If you have trouble pasting the emoji into your full citation, put the emoji’s name followed by the word “emoji” all in brackets within your citation instead. Use Unicode’s Emoji Charts to look up the widely accepted, technical name of the emoji you want to cite.

You will need the webpage’s author’s name, publication date, title of the page, website name, and the URL.

Here is an example with an author:

Usually, if no author is shown the website is assumed to be the author. In these cases, the website name replaces the author name in the beginning of the reference.

For example:

The URL of a website is mandatory if you cite a website or a webpage. Where you include the URL depends on the type of citation. To cite a website as a general reference without any reference to a specific page or particular details, simply add the name of the website in the text and include the URL in parentheses. There is no need to add a reference list entry. However, to cite a webpage on a website, you need to provide both an in-text citation and a reference list entry. Do not add the URL in the in-text citation. Just add the author’s name and year. The URL is given only in the reference list entry. Templates for in-text citations and reference list entries of a website or webpage along with examples are given below.

Website or Webpage?

A website is a collection of webpages that are under one domain. One website will have several webpages like Home, About Us, Contact Us, Services, Products, etc. All of these pages together make up a website. In other words, a webpage is an independent page of a website. 

If you simply mention a whole website it is not necessary to create a reference list entry. Name the website in the text of your paper and provide the URL in parentheses.

  • Use the webpage and website category for your source  only if there is no better category for it . Do not use it if a source is simply available online, e.g., if a journal article is available from an online database, use a journal article format for your reference.
  • Some information, (e.g., author, date), might not always be obvious on websites or webpages. Sometimes it may be necessary to check places such as the "About Us", the "Copyright" or the "Acknowledgements" page(s).
  • Do not use any punctuation at the end of URLs as punctuation could interfere with the link.
  • If the author of the website is the same as the name of the website, omit the website name.
  • Retrieval date is normally not necessary unless the content is likely to change and the page is not archived, e.g., a Wikipedia entry. The format is: Retrieved February 1, 2020 from https://xxxxxxx

Note: All citations should be double spaced and have a hanging indent in a Reference List.

A "hanging indent" means that each subsequent line after the first line of your citation should be indented by 0.5 inches.

This Microsoft support page contains instructions about how to format a hanging indent in a paper.

It can sometimes be difficult to find out who the author of a website is. Remember that an author can be a corporation or group, not only a specific person. Author information can sometimes be found under an "About" section on a website.

If there is no known author, start the citation with the title of the website instead.

The best date to use for a website is the date that the content was last updated. Otherwise look for a copyright or original publication date. Unfortunately this information may not be provided or may be hard to find. Often date information is put on the bottom of the pages of a website.

If you do not know the complete date, put as much information as you can find. For example you may have a year but no month or day.

If an original publication date and a last updated date are provided, use the last updated date. If the more current date is "last reviewed" instead of "last updated," use the original publication date (since the review may not have changed the content).

If there is no date provided, put the letters (n.d.) in round brackets where you'd normally put the date.

Titles should be italicized when the document stands alone (e.g. books, reports, websites, etc.), but not when it is part of a greater whole (e.g. chapters, articles, webpages, etc.).

Website Name

Provide website names in title case without italics after titles of work. Include a period after the website name, followed by the URL. When the author of the work is the same as the website name, omit the site name from the reference.

Retrieval Date

If the content of a website is likely to change over time (e.g. Wikis), you must provide the date you last visited the website.

If a URL is too long to fit onto one line, try to break it at a slash (/).

Entire Website

Note: If you are quoting or paraphrasing part of a website, you should create a reference for a Page or Section. If you mention a website in general, do not create a reference list entry or an in-text citation. Instead, include the name of the website in the text and provide the URL in parentheses.

The Department of Justice has a site called ReportCrime.gov (https://www.reportcrime.gov/) to help people identify and report crimes in their area.

Note : If you cite multiple webpages from a website, create a reference for each. Include the date you retrieved the information if the content is likely to change over time.

Abbreviating Corporation/Group Author Name in In-Text citations:

Author names for corporations/groups can often be abbreviated. The first time you refer to the author, provide the full name, along with the abbreviation.

If the group name appears in the text of your paper, include the abbreviation in the in-text parenthetical citation:

Example: The American Society for the Prevention of Cruelty to Animals (ASPCA, 2019) assisted in the rescue of 40 dogs.

If the group name first appears within a parenthetical citation, include the full group name as well as the abbreviation in square brackets:

Example: Forty dogs were rescued in Bendena, Kansas (American Society for the Prevention of Cruelty to Animals [ASPCA], 2019).

Page or section from a website created by a corporate or group author, page or section from a website created by an individual author, page or section from a website with an unknown author, report or document from a website – corporate or group author, government document from a website, in-text citation for two or more authors/editors, on the web but not a website.

Be careful! Just because you found something on the web, it doesn’t mean you are citing a website.

Look at the material closely – is it a journal article? A newspaper article? An encyclopedia? An eBook? Use the format that best describes the item. APA treats a source as a website only when it does not fit another category. 

Identifying the Elements of a Website

Citing source from websites can be challenging because they are not standardized in the same way as journal articles or books. This video from Valencia East Library walks you through the process with an example from the Centre for Disease Control website.

It can sometimes be difficult to find out who the author of a website is. Remember that an author can be a corporation or group, not only a specific person. Author information can sometimes be found under an "About" section on a website.

If there is no known author, you can start the citation with the title of the website instead. However, APA tends to reserve this type of citation for a very small set of sources: for example, The Bible and some dictionaries and encyclopedias such as Wikipedia (which should not form a central part of your research). 

The best date to use for a website is the date that the content was last updated. Otherwise look for a copyright or original publication date. Unfortunately this information may not be provided or may be hard to find. Often date information is put on the bottom of the pages of a website.

Retrieval Date

Most website citations in APA 7th Edition do not require a retrieval date. Unfortunately, however, determining which situations require this date can be challenging. If you use a stable, archived version of a web page, no retrieval date is needed. But if you use a web page that is continually updated, providing a retrieval date can help clarify inconsistencies between the page when you viewed it and when it was viewed by your reader. 

If a URL is too long to fit onto one line, try to break it at a slash (/).

Reference Examples

More than 100 reference examples and their corresponding in-text citations are presented in the seventh edition Publication Manual . Examples of the most common works that writers cite are provided on this page; additional examples are available in the Publication Manual .

To find the reference example you need, first select a category (e.g., periodicals) and then choose the appropriate type of work (e.g., journal article ) and follow the relevant example.

When selecting a category, use the webpages and websites category only when a work does not fit better within another category. For example, a report from a government website would use the reports category, whereas a page on a government website that is not a report or other work would use the webpages and websites category.

Also note that print and electronic references are largely the same. For example, to cite both print books and ebooks, use the books and reference works category and then choose the appropriate type of work (i.e., book ) and follow the relevant example (e.g., whole authored book ).

Examples on these pages illustrate the details of reference formats. We make every attempt to show examples that are in keeping with APA Style’s guiding principles of inclusivity and bias-free language. These examples are presented out of context only to demonstrate formatting issues (e.g., which elements to italicize, where punctuation is needed, placement of parentheses). References, including these examples, are not inherently endorsements for the ideas or content of the works themselves. An author may cite a work to support a statement or an idea, to critique that work, or for many other reasons. For more examples, see our sample papers .

Reference citations in text are covered on pages 261-268 of the Publication Manual. What follows are some general guidelines for referring to the works of others in your essay.

Note:  On pages 117-118, the Publication Manual suggests that authors of research papers should use the past tense or present perfect tense for signal phrases that occur in the literature review and procedure descriptions (for example, Jones (1998)  found  or Jones (1998)  has found ...). Contexts other than traditionally-structured research writing may permit the simple present tense (for example, Jones (1998)  finds ).

APA Citation Basics

When using APA format, follow the author-date method of in-text citation. This means that the author's last name and the year of publication for the source should appear in the text, like, for example, (Jones, 1998). One complete reference for each source should appear in the reference list at the end of the paper.

If you are referring to an idea from another work but  NOT  directly quoting the material, or making reference to an entire book, article or other work, you only have to make reference to the author and year of publication and not the page number in your in-text reference.

On the other hand, if you are directly quoting or borrowing from another work, you should include the page number at the end of the parenthetical citation. Use the abbreviation “p.” (for one page) or “pp.” (for multiple pages) before listing the page number(s). Use an en dash for page ranges. For example, you might write (Jones, 1998, p. 199) or (Jones, 1998, pp. 199–201). This information is reiterated below.

Regardless of how they are referenced, all sources that are cited in the text must appear in the reference list at the end of the paper.

In-text citation capitalization, quotes, and italics/underlining

  • Always capitalize proper nouns, including author names and initials: D. Jones.
  • If you refer to the title of a source within your paper, capitalize all words that are four letters long or greater within the title of a source:  Permanence and Change . Exceptions apply to short words that are verbs, nouns, pronouns, adjectives, and adverbs:  Writing New Media ,  There Is Nothing Left to Lose .

( Note:  in your References list, only the first word of a title will be capitalized:  Writing new media .)

  • When capitalizing titles, capitalize both words in a hyphenated compound word:  Natural-Born Cyborgs .
  • Capitalize the first word after a dash or colon: "Defining Film Rhetoric: The Case of Hitchcock's  Vertigo ."
  • If the title of the work is italicized in your reference list, italicize it and use title case capitalization in the text:  The Closing of the American Mind ;  The Wizard of Oz ;  Friends .
  • If the title of the work is not italicized in your reference list, use double quotation marks and title case capitalization (even though the reference list uses sentence case): "Multimedia Narration: Constructing Possible Worlds;" "The One Where Chandler Can't Cry."

Short quotations

If you are directly quoting from a work, you will need to include the author, year of publication, and page number for the reference (preceded by "p." for a single page and “pp.” for a span of multiple pages, with the page numbers separated by an en dash).

You can introduce the quotation with a signal phrase that includes the author's last name followed by the date of publication in parentheses.

If you do not include the author’s name in the text of the sentence, place the author's last name, the year of publication, and the page number in parentheses after the quotation.

Long quotations

Place direct quotations that are 40 words or longer in a free-standing block of typewritten lines and omit quotation marks. Start the quotation on a new line, indented 1/2 inch from the left margin, i.e., in the same place you would begin a new paragraph. Type the entire quotation on the new margin, and indent the first line of any subsequent paragraph within the quotation 1/2 inch from the new margin. Maintain double-spacing throughout, but do not add an extra blank line before or after it. The parenthetical citation should come after the closing punctuation mark.

Quotations from sources without pages

Direct quotations from sources that do not contain pages should not reference a page number. Instead, you may reference another logical identifying element: a paragraph, a chapter number, a section number, a table number, or something else. Older works (like religious texts) can also incorporate special location identifiers like verse numbers. In short: pick a substitute for page numbers that makes sense for your source.

Summary or paraphrase

If you are paraphrasing an idea from another work, you only have to make reference to the author and year of publication in your in-text reference and may omit the page numbers. APA guidelines, however, do encourage including a page range for a summary or paraphrase when it will help the reader find the information in a longer work.

When you’re writing a research paper or creating a research project, you will probably use another individual’s work to help develop your own assignment. A good researcher or scholar uses another individual’s work in a responsible way. This involves indicating that the work of other individuals is included in your project (i.e., citing), which is one way to prevent plagiarism.

Plagiarism? What is it?

The word plagiarism is derived from the Latin word, plagiare , which means “to kidnap.” The term has evolved over the years to now mean the act of taking another individual’s work and using it as your own, without acknowledging the original author (American Psychological Association, 2020 p. 21). Plagiarism can be illegal and there can be serious ramifications for plagiarizing someone else’s work. Thankfully, plagiarism can be prevented. All about citations & references

Citations and references should be included anytime you use another individual’s work in your own assignment. When including a quote, paraphrased information, images, or any other piece of information from another’s work, you need to show where you found it by including a citation and a reference. This guide explains how to make them.

APA style citations are added in the body of a research paper or project and references are added to the last page.

Citations , which are called in-text citations, are included when you’re adding information from another individual’s work into your own project. When you add text word-for-word from another source into your project, or take information from another source and place it in your own words and writing style (known as paraphrasing), you create an in-text citation. These citations are short in length and are placed in the main part of your project, directly after the borrowed information.

References are found at the end of your research project, usually on the last page. Included on this reference list page is the full information for any in-text citations found in the body of the project. These references are listed in alphabetical order by the author's last name.

An APA in-text citation includes only three items: the last name(s) of the author(s), the year the source was published, and sometimes the page or location of the information. References include more information such as the name of the author(s), the year the source was published, the full title of the source, and the URL or page range.

Why is it important to include citations & references

Including APA citations and references in your research projects is a very important component of the research process. When you include citations, you’re being a responsible researcher. You’re showing readers that you were able to find valuable, high-quality information from other sources, place them into your project where appropriate, all while acknowledging the original authors and their work.

Common ways students and scholars accidentally plagiarize

Believe it or not, there are instances when you could attempt to include in-text and full references in the appropriate places, but still accidentally plagiarize. Here are some common mistakes to be aware of:

Mistake #1 - Misquoting sources: If you plan to use a direct quote, make sure you copy it exactly as is. Sure, you can use part of the full quote or sentence, but if you decide to put quotation marks around any words, those words should match exactly what was found in the original source. Here’s a line from The Little Prince , by Antoine de Saint-Exupéry:

“Grown-ups never understand anything by themselves, and it is tiresome for children to be always and forever explaining things to them.”

Here’s an acceptable option:

“Grown-ups never understand anything by themselves,” stated de Saint-Exupéry (1943, p. 3).

Here’s a misquote:

“Grown-ups barely ever understand anything by themselves,” stated de Saint-Exupéry (1943, p. 3).

Notice the slight change in the words. The incorrect phrasing is an instance of accidental plagiarism.

Mistake #2 - Problems with paraphrasing: When we paraphrase, we restate information using our own words and writing style. It’s not acceptable to substitute words from the original source with synonyms.

Let’s use the same sentence from The Little Prince .

A correct paraphrase could be:

de Saint-Exupéry (1943) shares various ways adults frustrate children. One of the biggest being that kids have to explain everything. It’s too bad adults are unable to comprehend anything on their own (p. 3).

An incorrect paraphrase would be:

de Saint-Exupéry (1943) shares that adults never understand anything by themselves, and it is exhausting for kids to be always and forever clarifying things to them (p.3).

Notice how close the incorrect paraphrase is from the original. This is an instance of accidental plagiarism.

Make sure you quote and paraphrase properly in order to prevent accidental plagiarism.

If you’re having a difficult time paraphrasing properly, it is acceptable to paraphrase part of the text AND use a direct quote. Here’s an example:

de Saint-Exupery (1943) shares various ways adults frustrate children. One of the biggest being that kids have to explain everything, and “it is tiresome for children to be always and forever explaining things to them” (p. 3).

Who created it.

The American Psychological Association is an organization created for individuals in the psychology field. With close to 121,000 members, they provide educational opportunities, funding, guidance, and research information for everything psychology-related. They also have numerous high-quality databases, peer-reviewed journals, and books that revolve around mental health.

The American Psychological Association is also credited with creating their own specific citation and reference style. Today, this format is used by individuals not only in the psychology field, but many other subject areas as well. Education, economics, business, and social sciences also use APA style quite frequently. Click here for more information . This guide covers general information about the style, but is not affiliated with the American Psychological Association.

Why was this style created?

This format was first developed in 1929 to form a standardized way for researchers in science fields to document their sources. Prior to the inception of these standards and guidelines, individuals were recognizing the work of other authors by including bits and pieces of information in random order. There wasn’t a set way to format citations and references. You can probably imagine how difficult it was to understand the sources that were used for research projects!

Having a standard format for citing sources allows readers to glance at a citation or APA reference and easily locate the title, author, year published, and other critical pieces of information needed to understand a source.

The evolution of this style

The guide below is based on APA style 7th edition, which was released in 2020. In previous versions of APA format, researchers and scholars were required to include the publisher location for books and the date that an electronic resource was accessed. Both are no longer required to be included.

Details on the differences between the 6th and 7th editions is addressed later in this guide.

The format for references varies, but most use this general format:

Researchers and scholars must look up the proper format for the source that they’re attempting to cite. Books have a certain format, websites have a different format, periodicals have a different format, and so on. Scroll down to find the proper format for the source you’re citing or referencing.

In-text citations

An APA in-text citation is included in research projects in three instances: When using a direct quote, paraphrasing information, or simply referring to a piece of information from another source.

Quite often, researchers and scholars use a small amount of text, word for word, from another source and include it in their own research projects. This is done for many reasons. Sometimes, another author’s words are so eloquently written that there isn’t a better way to rephrase it yourself. Other times, the author’s words can help prove a point or establish an understanding for something in your research project. When using another author’s exact words in your research project, include an APA in-text citation directly following it.

In addition to using the exact words from another source and placing them into your project, these citations are also added anytime you paraphrase information. Paraphrasing is when you take information from another source and rephrase it, in your own words.

When simply referring to another piece of information from another source, also include a citation directly following it.

Citations in the text are found near a direct quote, paraphrased information, or next to a mention of another source. To see examples of some narrative/ parenthetical citations in action, look at the image above, under “All About Citations & References.”

Note: *Only include the page or paragraph number when using a direct quote or paraphrase. Page numbers have a p. before the number, pp. before the page range, and para. before the paragraph number. This information is included to help the reader locate the exact portion of text themselves. It is unnecessary to include this information when you’re simply referring to another source.

Examples of APA in-text citations:

“Well, you’re about to enter the land of the free and the brave. And I don’t know how you got that stamp on your passport. The priest must know someone” (Tóibín, 2009, p. 52).
Student teachers who use technology in their lessons tend to continue using technology tools throughout their teaching careers (Kent & Giles, 2017, p. 12).

If including the author’s name in the sentence, place the year in the parentheses directly next to his or her name. Add the page number at the end, unless it’s a source without any pages or paragraph numbers (See Section 8.10 of the Publication manual for more details).

In-text citation APA example:

According to a study done by Kent and Giles (2017), student teachers who use technology in their lessons tend to continue using technology tools throughout their teaching careers.

The full references, or citations, for these sources can be found on the last part of a research project, titled the “References.”

Here’s how to create in-text citations for specific amounts of authors:

APA citation with no author

When the source lacks an author’s name, place the title, year, and page number (if available) in the text. The title should be in italics if it sits alone (such as a movie, brochure, or report). If the source is part of a whole (as many web pages and articles are), place the title in quotation marks without italics (See Section 8.14 of the Publication manual ).

Place the authors in the order they appear on the source. Only use the ampersand in the parenthetical citations (see Section 8.17 of the Publication manual ). Use ‘and’ to separate the author names if they’re in the text of the sentence.

In the text, narratively: Last name of Author 1 and Last name of Author 2 (Year)....(page number).

In parentheses, at the end of the sentence: (Last name of Author 1 & Last name of Author 2, Year, page number).

Structure for three or more authors

Only include the first listed author’s name in the first and any subsequent citations. Follow it with et al.

What do you do when you want to cite multiple works by an author, and the sources all written in the same year?

Include the letters ‘a’ ‘b’ ‘c’ and so on after the year in the citation.

Writers can even lump dates together.

Example: Jackson often studied mammals while in Africa (2013a, 2013b).

On the APA reference page, include the same letters in the full references.

Groups and organizations

Write out the full name of the group or organization in the first citation and place the abbreviation next to it in brackets. If the group or organization is cited again, only include the abbreviation. If it doesn’t have an abbreviation associated with it, write out the entire organization’s name each and every time (see Section 8.21 of the Publication manual ).

First APA citation for an organization with an abbreviation: (World Health Organization [WHO], Year)

Notice in the example directly above, the name of the organization is written out in full in the text of the sentence, and the abbreviation is placed in parentheses next to it.

One in-text citation, multiple works

Sometimes you’ll need to cite more than one work within an in-text citation. Follow the same format (author, year) format but place semicolons between works (p. 263).

Reference list citation components

References display the full information for all the citations found in the body of a research project.

Some things to keep in mind when it comes to the references:

  • All references sit together on their own page, which is usually the last page(s) of a paper.
  • Title the page ‘References’
  • Place ‘References’ in the center of the page and bold it. Keep the title in the same font and size as the references. Do not italicize, underline, place the title in quotation marks, or increase the font size.
  • The entire page is double spaced.
  • All references are listed in alphabetical order by the first word in the reference, which is usually the author’s last name. If the source lacks an author, alphabetize the source by the title (ignore A, An, or The)
  • All references have a hanging indent, meaning that the second line of text is indented in half an inch. See examples throughout this guide.
  • Remember, each and every citation in the text of the paper MUST have a full reference displayed in the reference list. The citations in the text provide the reader with a quick glimpse about the sources used, but the references in the reference list provide the reader with all the information needed to seek out the source themselves.

Author’s names

The names of authors are written in reverse order. Include the initials for the first and middle names. End this information with a period (see Section 9.8 of the Publication manual ).

Two or more authors

When two or more authors work together on a source, write them in the order in which they appear on the source. You can name up to 20 authors in the reference. For sources with 2 to 20 authors, place an ampersand (&) before the final author. Use this format:

Last name, F. M., Last name, F. M., Last name, F. M., Last name, F. M., & Last name, F. M.

Kent, A. G., Giles, R. M., Thorpe, A., Lukes, R., Bever, D. J., & He, Y.

If there are 21 or more authors listed on a source, only include the first 19 authors, add three ellipses, and then add the last author’s name.

Roberts, A., Johnson, M. C., Klein, J., Cheng, E. V., Sherman, A., Levin, K. K. , ...Lopez, G. S.

###No authors

If the source lacks an author, place the title in the first position in the reference (Section 9.12 of the Publication manual ). When the source’s title begins with a number (Such as 101 Dalmatians ), place the reference alphabetically as if the number was spelled out. 101 Dalmatians would be placed in the spot where ‘One hundred’ would go, but keep the numbers in their place.

Additionally, if the title begins with the words ‘A’, ‘An,’ or ‘The,’ ignore these words and place the title alphabetically according to the next word.

###Corporate/Organization authors

On an APA reference page, corporate authors are always written out in full. In the text of your paper, you may have some abbreviations (such as UN for United Nations), but in the full references, always include the full names of the corporation or organization (following Section 9.11 of the official Publication manual ).

Publication date & retrieval date

Directly after the author’s name is the date the source was published. Include the full date for newspapers and magazine articles, and only the year for journals and all other sources. If no date is found on the source, include the initials, n.d. for “no date.”

Giving a retrieval date is not needed unless the online content is likely to be frequently updated and changed (e.g., encyclopedia article, dictionary entry, Twitter profile, etc.).

When writing out titles for books, articles, chapters, or other non-periodical sources, only capitalize the first word of the title and the first word of the subtitle. Names of people, places, organizations, and other proper nouns also have the first letter capitalized. For books and reports, italicize the title in the APA citation.

For articles and chapters in APA referencing, do not italicize the title.

Wake up the nation: Public libraries, policy making, and political discourse.

For newspapers, magazines, journals, newsletters, and other periodicals, capitalize the first letter in each word and italicize the title.

A common question is whether to underline your title or place it in italics or quotation marks in the reference list. Here’s a good general rule: When a source sits alone and is not part of a larger whole, place the title in italics. If the source does not sit alone and is part of a larger whole, do not place it in italics.

Books, movies, journals, and television shows are placed in italics since they stand alone. Songs on an album, episodes of television shows, chapters in books, and articles in journals are not placed in italics since they are smaller pieces of larger wholes.

If you feel it would be helpful to include additional information about the source type, include a descriptive noun or two in brackets immediately following the title. Capitalize the first letter.

Publisher information

For books and reports, include the publisher name but not the location (see Section 9.29 of the Publication manual ). Older editions of the style required the city, state and/or country, but this hasn't been the case since the 7th edition was released.

It is not necessary to include the entire name of the publisher. It is acceptable to use a brief, intelligible form. However, if Books or Press are part of the publisher’s names, keep these words in the reference. Other common terms, such as Inc., Co., Publishers, and others can be omitted.

For newspapers, journals, magazines, and other periodicals, include the volume and issue number after the title. The volume number is listed first, by itself, in italics. The issue number is in parentheses immediately after it, not italicized. There is no space after the closing parenthesis and before the volume number.

Electronic source information:

For online sources, the URL or DOI (Direct Object Identifier) are included at the end of an APA citation.

DOI numbers are often created by publishers for journal articles and other periodical sources. They were created in response to the problem of broken or outdated links and URLs. When a journal article is assigned a DOI number, it is static and will never change. Because of its permanent characteristic, DOIs are the preferred type of electronic information to include in APA citations. When a DOI number is not available, include the source’s URL (see Section 9.34 in the Publication manual ).

For DOIs, include the number in this format:

http://doi.org/xxxx

For URLs, type them in this format:

http:// or https://

Other information about electronic sources:

  • If the URL is longer than a line, break it up before a punctuation mark.
  • Do not place a period at the end of the citation/URL.
  • It is unnecessary to include retrieval dates, unless the source changes often over time (like in a Wikipedia article).
  • It is not necessary to include the names of databases

An APA annotated bibliography is a full bibliography that includes a small note for each reference citation. Each note should be short (1-2 paragraphs) and contain a summary or your evaluation about each source. Need help with the design and formatting of your paper? Look no further! This section provides the ins and outs of properly displaying the information in your APA essay.

  • Times New Roman, 12-point size.
  • Calibri, Arial, or Georgia, 11-point size
  • Lucida, Sans Unicode, or Computer Modern, 10-point size
  • Indents = Every paragraph should start with an indent.
  • Margins = 1 inch around the entire document
  • Spacing = Double space everything!

Arrange your pages in this order:

  • Page 1 - APA Title Page (see below for information on the title page)
  • Page 2 - Abstract (If your professor requests one)
  • Page 3 - First page of text
  • References begin on their own page. Include the list of references on the page after the text.
  • Tables and figures

Keep in mind that the order above is the recommendation for papers being submitted for peer review. If you’re writing an APA style paper for a class, your professor may be more lenient about the requirements. Also, if you’re submitting your paper for a specific journal, check the requirements on the journal’s website. Each journal has different rules and procedures.

Running heads

In older editions of APA, running heads were required for all papers. Since the 7th edition, that’s changed.

  • Student paper: No running head
  • Professional paper: Include a running head

The running head displays the title of the paper and the page number on all pages of the paper. This header is found on every page of a professional paper (not a student paper), even on the title page (sometimes called an APA cover page) and reference list (taken from Section 2.8 of the Publication manual ).

It's displayed all in capital letters at the top of the page. Across from the running head, along the right margin, is the page number.

  • Use the header feature in your word processor. Both Google Docs and Word have these features available.
  • Use one for the recommended fonts mentioned under "Page formatting."

Title pages

A title page, sometimes called an APA cover page, graces the cover of an essay or paper. An APA title page should follow rules from Section 2.3 of the official Publication manual and include:

  • Page number, which is page 1
  • Use title case and bold font
  • The title should be under 12 words in length
  • The title should be a direct explanation of the focus of the paper. Do not include any unnecessary descriptors such as “An Analysis of…” or “A Study of…”
  • Exclude any labels such as Mr., Ms., Dr, PhD...
  • Name of the school or institution
  • Course number and/or class name
  • Name of your instructor, including their preferred honorifics (e.g., PhD, Dr., etc.)
  • Paper’s due date
  • If this is a professional paper, also include a running head. If this is a student paper, do not include one.

Follow the directions for the running head and page number in the section above. Below the running head, a few lines beneath, and centered in the middle of the page, should be the title. The next line below is the author’s name(s), followed by the name of the school or institution, the class or course name, your instructor’s name, and the paper’s due date.

All components on this page should be written in the same font and size as the rest of your paper. Double space the title, names, name of school or institution, and all other information on the page (except for the running head and page number).

If you’re submitting your paper to a journal for publication, check the journal’s website for exact requirements. Each journal is different and some may request a different type of APA format cover page.

An abstract briefly but thoroughly summarizes dissertation contents. It’s found in the beginning of a professional paper, right after the title page. Abstracts are meant to help readers determine whether to continue reading the entire document. With that in mind, try to craft the lead sentence to entice the reader to continue reading.

Here are a few tips:

  • Be factual and keep your opinions out. An abstract should accurately reflect the paper or dissertation and should not involve information or commentary not in the thesis.
  • Communicate your main thesis. What was the examined problem or hypothesis? A reader should know this from reading your abstract.
  • Keep it brief. Stick to the main points and don’t add unnecessary words or facts. It should not exceed 250 words.
  • Consider your paper’s purpose. It’s important to cater your abstract to your paper type and think about what information the target audience for that paper type would want. For example, an empirical article may mention methodology or participant description. A quantitative or qualitative meta-analysis would mention the different variables considered and how information was synthesized.
  • Use verbs over noun equivalents, and active voice. Example: “There was research into…” becomes “We researched…”

Formatting guidelines:

  • The abstract goes after the title page.
  • It should have the same font (size and type) as the rest of the paper.
  • It should stick to one page.
  • Double-space all page text.
  • Center and bold the word “Abstract” at the top of the paper.
  • Don’t indent the first line of the abstract body. The body should also be in plain text.
  • For the keywords, place it on the line after the abstract and indent the first line (but not subsequent lines). The word “Keywords:” is capitalized, italicized, and followed by a colon. The actual keywords are sentence case and in plan font.
  • List each keyword one after the other, and separate them by a comma.
  • After the last keyword, no ending punctuation is needed.

Tables & Figures

If your paper includes a lot of numerical information or data, you may want to consider placing it into a table or a figure, rather than typing it all out. A visual figure or simple, organized table filled with numerical data is often easier for readers to digest and comprehend than tons of paragraphs filled with numbers. Chapter 7 of the Publication manual outlines formatting for tables and figures. Let's cover the basics below.

If you’d like to include a table or figure in your paper, here are a few key pieces of information to keep in mind:

  • At the end of the paper after the APA reference page
  • In the text after it is first mentioned
  • The table first mentioned in the text should be titled ‘Table 1.’ The next table mentioned in the text is ‘Table 2,’ and so on. For figures, it would be 'Figure 1,' 'Figure 2,' and so forth.

  • Even though every table and figure is numbered, also create a title for each that describes the information it contains. Capitalize all important words in the title.
  • For tables, do not use any vertical lines, only use horizontal to break up information and headings.
  • Single spacing is acceptable to use in tables and figures. If you prefer double spacing your information, that is okay too.
  • Do not include extra information or “fluff.” Keep it simple!
  • Do not include the same exact information in the paper. Only include the complete information in one area—the table or the text.
  • All tables and figures must be referenced in the text. It is unacceptable to throw a table or figure into the back of the paper without first providing a brief summary or explanation of its relevance.

Publication Manual 6th Edition vs 7th Edition

The 6th edition of the Publication Manual of the American Psychological Association was released in 2009. The current 7th edition came out in the fall of 2019 and was designed to be more student focused, provide more guidance on accessibility, and address changes that have developed over the last 10 years.

Below, we’ve listed what we feel are the most relevant changes related to APA format.

Journals and DOIs

DOI stands for “digital object identifier.” Many journal articles use and have a unique DOI that should be included in a full citation.

When including a DOI in a citation, format it as a URL. Do not label it “DOI.” Articles without DOIs from databases are treated as print works. For example:

Citing Books

There are few new guidelines when you are citing a book. First, the publisher location no longer needs to be indicated.

Second, the format of an ebook (e.g., Kindle, etc.) no longer needs to be indicated.

Lastly, books from research databases without DOIs are treated the same as print works.

When using a URL in a citation, you no longer need to include the term “Retrieved from” before URLs (except with retrieval dates). The font should be blue and underlined, or black and not underlined.

Within a full APA citation, you may spell out up to 20 author names. For two to 20 authors, include an ampersand (&) before the name of the last author. For sources with 21 or more authors, structure it as follows:

Structure: First 19 authors’ names, . . . Last author’s name.

When creating an in-text citation for a source with 3 or more authors, use “et al.” after the first author’s name. This helps abbreviate the mention.

Tables and Figures

Instead of having different formats for tables and figures, both use one standardized format. Now both tables and figures have a number, a title, name of the table/figure, and a note at the bottom.

APA Style papers should have the same style and size of font throughout the text of the paper (title page to reference page). APA considers the following fonts acceptable: 11- point Calibri, 11-point Arial, 10-point Lucida Sans Unicode, 12-point Times New Roman, 11-point Georgia, or 10-point Computer Modern. It is recommended that you check with your instructor to see if they have a preferred font style.

The first line of every paragraph in the text of your paper and every reference on your reference page is indented (hit the tab key once). The remaining lines are left flush with the left-hand margin of the paper (this is known as a "hanging indent").

Page numbers : Title page through reference pages are numbered using Arabic numerals;  place each number in the top right corner of the page.

Running heads: Are NOT required in student papers, but you should still check with your instructor to see if they wish them to be used.

Dashes: APA uses em dashes (long dash) and en dashes (short dash). See section 4.6 of the Concise Guide to APA Style for more information.

Lines and Margins

APA Style papers should have double-spaced text throughout the entire paper (including quotations and references). To make your paper double-spaced in Microsoft Word, highlight the text you want double-spaced, and then click Layout . Next, click on the arrow to the right of the word Paragraph (a pop-up appears). From the drop-down menu under Line Spacing , select Double (default choice is Multiple ) and click OK .

APA Style papers use 1 inch margins all around (top to bottom and left to right). Margins in Microsoft Word are set to 1 inch by default. If you are unsure, you can check your margins by clicking Layout, and clicking Margins. Once the drop-down menu appears, make sure Normal is selected to ensure you have 1 inch margins all around your paper.

APA Style recommends ONE space after a period when the period ends a sentence, separates parts of a reference list entry, or follows initials in names (J.B. Jones).

Do NOT put a space after a period when the period is part of an internal abbreviations (U.S. or a.m.)

Do NOT use periods for the abbreviation of state, province, or territory names (AZ; KS; BC); capital letter abbreviations and acronyms (APA, AMA, EPA); for abbreviations of academic degrees (PhD, MD, DO); or for abbreviations of metric and nonmetric measurements (cm, hr, kg,). Note: Use a period when abbreviating "inch" or "inches" (in.) or else it could be misread.

Sentence Case vs. Title Case

Sentence case is where most words in a sentence are going to be lower case.

The EXCEPTIONS are the first word in a title, heading, or sub-title ; proper nouns ; the first word after an em dash, semi-colon, or end punctuation; and any noun followed by a letter or number.

Title case is where major words are capitalized while minor words are lower case.

In APA style, major words are nouns, verbs, adjectives, pronouns, adverbs, or any word that is four letters or longer.

Minor words are articles, short prepositions, and conjunctions that are three letters or less.

Paraphrasing

Refers to restating someone else's ideas or findings into your own words. Paraphrasing allows you to summarize information from one or more sources, compare and contrast information from multiple sources, and focus on the most important information from each source.

It is BEST to paraphrase information whenever possible rather than using direct quotations.

Paraphrased information must be cited in-text with either a parenthetical or narrative citation.

Reproduce words EXACTLY as written from another work (including your own). Quotations are best used in papers for when you want to reproduce an exact definition, when an author of a work has said something memorable, or when you want to respond to the exact wording (something someone said) from an author in your paper.

When not using a quotation for one of the above reasons, it is best to paraphrase information. Additionally, you should check with your instructor to see if they limit the number of quotations you are allowed to use.

Quotations must be cited in-text with either a parenthetical or narrative citation.

Short quotations consist of 40 words or less and should be incorporated into the text of your paper with quotation marks.

Long quotations consists of 40 words or more and do not use quotations marks. Instead, they should be incorporated into your paper as a block quotation. Block quotations begin on a new line, are double-spaced, and are indented 0.5 inches from the left hand margin of your paper.

Heading Levels

Heading Levels or "headings" are a way to organize information in APA papers and convey it clearly ( think of headings as "sections" and "subsections"). There are five levels of headings in APA Style, although for undergraduates it is rare to need to go past a Level 2 headings. If you are unsure if you need to use headings, check with your instructor.

How Do I Format My Reference List?

Drawing on a range of relevant sources in your work proves that you have read widely around your chosen topic, so it’s a surefire way to impress your reader.

To ensure your reader’s ease of comprehension you must adhere to the style’s formatting guidelines. In APA format, a list of all the sources that have directly contributed to your work should be placed on a new page at the end of the narrative and titled ‘References’ (center align the title), otherwise known as an APA works cited list. The references should all have a hanging indentation – the second and subsequent lines of each reference should start ½ inch from the margin.

APA Style Paper Formatting Guidelines (7th Edition)

When following the APA format guidelines, you must pay attention to presentation details such as font type, line spacing, margins and page headers to ensure your work is easily legible. The information below, as well as further formatting details, can be found in Chapter 2 of the APA 7 Publication Manual .

  • 1-inch margins on all sides
  • Easily readable font – Times New Roman recommended, 12pt. size
  • Double-space the entirety of the paper
  • Page numbers in the header, aligned to the right
  • Title of the paper in all capitals, 50 characters or less, in the header on each page of the body (the ‘running head’), aligned to the left. Only include a running head if you’re writing a professional paper
  • The paper should typically include four major sections – Title Page, Abstract, Main Body and References.
  • If infographics (tables, charts) were used in the narrative you should also add Appendices as a separate section at the end of the paper.

APA Title Page

Not all instructors will require a title page, also sometimes called an APA cover page. If they do, include these four parts:

  • Title of your paper
  • Running head (see above section)
  • Author’s/Your name
  • Institutional affiliation

The title of your paper should:

  • Be centered on the page and use title case (a combination of lower and uppercase letters).
  • Not be italicized, bolded, or underlined
  • Use a 12-point font
  • Be a maximum of 2 lines and not more than 12 words long
  • Not include abbreviations

Underneath the title, place the author’s name. If you wrote the paper, put your full name here. There’s no need to include titles or degrees (e.g., Ms., PhD, etc.).

Under the author’s name, place the institutional affiliation. For most students, this would be the name of the school, college or university you are attending. The title, author’s name, and institutional affiliation should all be double spaced. Here’s an example of an APA format title page:

One important thing to be on the lookout for is bias in your writing. For instance, using the word “man” to represent humans as a species is neither scientific nor without potential bias.

Here are some good rules of thumb to help you avoid bias in your paper:

  • Always be specific in your writing and avoid generalizations.

A Brief History of the APA Format

Section 8.17 of the APA Manual, 7 th edition, provides details on the number of authors to be included in in-text citations. As per this section, any work having 3 or more authors will not be written fully. Instead, the Latin words “et al” meaning “and others” have to be used after writing the first author’s name.

Section 2.8 of the APA Manual, 7 th edition, provides details on the running head. A shortened version of the paper’s title (50 characters or fewer, including spaces and punctuation), the running head appears on top of each page so that the readers can connect the paper’s content with the title. While running heads are not required for student papers unless explicitly stated by the organization or instructor, manuscripts for publication absolutely require them.

Running heads should be in all-capital letters, flush left (directly across from the page number, which is flush right), and presented in the page header including the title page. You do not need to use the words, “Running head” because it is implied from its presence in the header.

Section 2.3 of the APA Manual, 7 th edition provides details on what should appear in a title page for both professionals and students.   • Page number at the right hand side top in the header portion (also to be included in all pages)
  • Title of the paper in bold, centered and appearing in the middle
  • Author’s name
  • Affiliation of the author (this will be the university’s name along with the department’s or division’s name)
  • Name of the course (format used in the course materials. For example, PSY101)
  • Name of the instructor (check with the instructor for their preference of salutation like Dr., Professor, etc.)

  • Title of the paper in bold, centered, and on the upper portion of the page (usually three or four lines down from the top)

According to section 9.16 of the APA manual, 7th edition, you only need to add “retrieved from” and a retrieval date in a reference entry for web sources designed to be continuously updated. For example, an online reference entry from a dictionary or encyclopedia, or a social media page. Including a retrieval date signals to readers that the source may differ in content if retrieved on a different date. When including the retrieval date, insert it before the URL or DOI at the end of the entry:

For web sources with stable URLs or DOIs that do not change, do not include a retrieval date. Only include the URL or DOI. Section 9.5 of the APA manual, 7 th edition provides information on how to format DOIs (Digital Object Identifiers) and URLs (Uniform Resource Locators). Both DOIs and URLs are to be presented as hyperlinks (use http:// or https:// as the case may be). Since these are presented as hyperlinks that the readers can use to access the content, it is NOT necessary to have the words, “Retrieved from” or “Accessed from” before a DOI or an URL. However, test the resource to ensure the hyperlink works.

Section 8.11 of the APA Publication Manual , 7 th edition, provides details on parenthetical citations. A parenthetical citation provides the authors’ names and publication date of the source within parentheses along with the cited text. If two authors are present in the source, both authors’ last names should be mentioned in the in-text citation. Their names should be separated by an ampersand (&). The publication date should follow the second surname, separated by a comma.

A parenthetical citation can appear either at the end of the sentence or within the sentence depending on how the sentence is framed. The period or end punctuation appears after the closing parenthesis.

If more text appears along with the parenthetical citation, include commas to separate the year and help the reader distinguish the citation from the surrounding text.

Section 8.11 of the APA Publication Manual , 7 th edition, provides details on narrative citations. A narrative citation provides the authors’ names in running text, and the publication date appears within parentheses immediately after the names. If two authors are present in the source, both authors’ last names should be mentioned in the in-text citation. In narrative citations, the word “and” should be spelled out between the two names.

In some circumstances, the year may also appear within the text along with the authors’ names. In such a scenario, the date should not appear within parentheses.

As per Section 2.4 of the APA Publication Manual , 7 th edition, the title of a research paper should summarize the main idea in a succinct manner. While there is no prescribed title length in APA style, authors are advised to keep their titles brief and focused. The manual also provides examples between effective and ineffective titles, including “fluff” words that can be cut from titles and substantive information that should be included in a title to make it relevant to the reader(s).

When the whole book or article is being referenced, there is no need to include a page number. However, when you are referring to a specific page or pages (either in a paraphrase or a direct quote), include the page number(s) in your in-text citation.

If you are referring to information or a quote contained on a single page, add the page number after the author and date, preceded by “p.” If you are citing multiple pages, the page numbers should be preceded by “pp.” and separated by an en-dash.

If there are no page numbers in a work, you can use some other type of locator in in-text citations to help your reader find the information you are citing, like chapter names, headings, or paragraph numbers.

As per Section 8.14 of the APA Publication Manual , 7 th edition, for sources with an unknown author, include the title of the source and year of publication in your in-text citations instead.

If the title of the source is italicized in your reference list, it should also be italicized in your in-text citation. If the title is not in italics in the reference list, it should be in quotation marks in your in-text citation. Titles should be listed in title case (with all important words capitalized) when included in in-text citations.

As per Section 2.14 of the APA Publication Manual , 7 th edition, an appendix or appendices are included after the references, footnotes, tables, and figures of the paper. In other words, appendices are the last item in your paper. Each appendix should be separately mentioned within the main text (e.g., “see Appendix A”). Appendices are to be self-contained; they should describe the contents and clearly have a label and title.

For a parenthetical in-text citation in APA style, the basic elements needed are the author’s last name (or the group author’s name) and the publication year. For parenthetical citations, format this information by inputting it in parentheses.

For a narrative in-text citation, include the information in the running text. Usually, this means you include the author’s last name followed by the year in parentheses. However, if needed, you may include both the author’s last name and the year in the running text.

For audio, visual, or audiovisual works, replace the author’s last name with a director’s last name (for a film), an uploader’s last name (for YouTube), the artist’s name (for an artwork), and so on.

As per section 2 of the APA 7 manual, papers require the following elements presented in the order below. Since the required elements differ depending on whether your paper is a professional or student paper, there are two lists to distinguish the differences. Sections like Figures, Tables, and Appendices may not be relevant to your paper, so you may exclude those.

An APA annotated bibliography includes short annotations below the reference entry in a separate paragraph(s). Annotations summarize and/or describe a source in detail.

How to make ChatGPT provide sources and citations

One of the biggest complaints about ChatGPT is that it provides information that is difficult to check for accuracy. Those complaints exist because ChatGPT doesn't provide the sources, footnotes, or links from which it derived the information in its answers.

While that is true for the GPT-3.5 model, GPT-4 and GPT-4o  provide more citation resources. While GPT-4 is only for paid subscribers, GPT-4o is available to both free and paid subscribers, although free users get fewer citations and less detail than users with a ChatGPT Plus subscription .

Here's how ChatGPT describes the approach: "GPT-4o in free mode provides basic and essential citations, focusing on quick and concise references to ensure information is traceable. In contrast, GPT-4o in paid mode offers enhanced, detailed, and frequent citations, including multiple sources and contextual annotations to provide comprehensive verification and understanding of the information. This ensures a robust and reliable experience, especially beneficial for users requiring in-depth information and thorough source verification."

Even with the provided citations in GPT-4o, there are ways to improve your results.

1. Write a query and ask ChatGPT

To start, you need to ask ChatGPT something that needs sources or citations. I've found it's better to ask a question with a longer answer, so there's more "meat" for ChatGPT to chew on.

Keep in mind that ChatGPT can't provide any information after January 2022 for GPT-3.5, April 2023 for GPT-4, and October 2023 for GPT-4o, and requests for information pre-internet (say, for a paper on Ronald Reagan's presidency) will have far fewer available sources.

Here's an example of a prompt I wrote on a topic that I worked on a lot when I was in grad school:

Describe the learning theories of cognitivism, behaviorism, and constructivism

2. Ask ChatGPT to provide sources

This is where a bit of prompt engineering comes in. A good starting point is with this query:

Please provide sources for the previous answer

I've found that this prompt often provides offline sources, books, papers, etc. The problem with offline sources is you can't check their veracity. Still, it's a starting point. A better query is this:

Please provide URL sources

This prompt specifically tells ChatGPT that you want clickable links to sources. You can also tweak this prompt by asking for a specific quantity of sources, although your mileage might vary in terms of how many you get back:

Please provide 10 URL sources

3. Push ChatGPT to give you higher-quality sources

Most large language models  respond well to detail and specificity . So if you're asking for sources, you can push for higher-quality sources. You'll need to specify that you need reliable and accurate sources. While this approach won't necessarily work, it may remind the AI chatbot to give you more useful responses. For example:

Please provide me with reputable sources to support my argument on... (whatever the topic is you're looking at)

You can also tell ChatGPT the kinds of sources you want. If you're looking for scholarly articles, peer-reviewed journals, books, or authoritative websites, mention these preferences explicitly. For example:

Please recommend peer-reviewed journals that discuss... (and here, repeat what you discussed earlier in your conversation)

When dealing with abstract concepts or theories, request that ChatGPT provide a conceptual framework and real-world examples. Here's an example:

Can you describe the principles of Vygotsky's Social Development Theory and provide real-world examples where these principles were applied, including sources for these examples?

This approach gives you a theoretical explanation and practical instances to trace the original sources or case studies.

Another idea is to use sources that don't have link rot (that is, they're no longer online at the URL that ChatGPT might know). Be careful with this idea, though, because ChatGPT doesn't know about things after January 2022 for GPT-3.5, April 2023 for GPT-4, and October 2023 for GPT-4o. So, while you might be tempted to use a prompt like this:

Please provide me with sources published within the past five years.

Instead, consider using a prompt like this:

Please provide sources published from 2019 through April 2023.

And, as always, don't assume that whatever output ChatGPT gives you is accurate. It's still quite possible the AI will completely fabricate answers, even to the point of making up the names of what seem like academic journals. It's a sometimes helpful tool, but it's also  a fibber .

4. Attempt to verify/validate the provided sources

Keep this golden rule in mind about ChatGPT-provided sources: ChatGPT is more often wrong than right .

Across the many times I've asked ChatGPT for URL sources, roughly half were just plain bad links. Another 25% or more of the links went to topics completely or somewhat unrelated to the one I was trying to source. GPT-4 and GPT-4o are slightly more reliable, but not by much.

For example, I asked for sources on a backgrounder for the phrase "trust but verify,"  generally popularized by US President Ronald Reagan. I got a lot of sources back, but most didn't exist. I got some back that correctly took me to active pages on the Reagan Presidential Library site, but the page topic had nothing to do with the phrase.

I had better luck with my learning theory question from step 1. There, I got back offline texts from people I knew from my studies who had worked on those theories. I also got back URLs. Once again, only about two in 10 worked or were accurate.

Don't despair. The idea isn't to expect ChatGPT to provide sources that you can immediately use. If you instead think of ChatGPT as a research assistant, it will give you some great starting places. Use the names of the articles (which may be completely fake or just not accessible) and drop them into Google. That process will give you some interesting search queries that probably lead to interesting material that can legitimately go into your research.

Also, keep in mind that you're not limited to using ChatGPT. Don't forget all the tools available to researchers and students. Do your own web searches. Check with primary sources and subject-matter experts if they're available. If you're in school, you can even ask your friendly neighborhood librarian for help.

Don't forget that there are many excellent traditional sources. For example, Google Scholar and JSTOR  provide access to a wide range of academically acceptable resources you can cite with reasonable confidence.

One final point: if you merely cut and paste ChatGPT sources into your research, you're likely to get stung. Use the AI for clues, not as a way to avoid the real work of research.

APA style is a citation style that's often required in academic programs. APA stands for American Psychological Association. I've often thought they invented these style rules to get more customers. How can I make ChatGPT provide more reliable sources for its responses?

This is a good question. I have found that sometimes -- sometimes -- if you ask ChatGPT to give you more sources or re-ask for sources, it will give you new listings. If you tell ChatGPT the sources it provided were erroneous, it will sometimes give you better ones. The bot may also apologize and give excuses. Another approach is to re-ask your original question with a different focus or direction, and then ask for sources for the new answer.

Once again, my best advice is to avoid treating ChatGPT as a tool that writes for you and more as a writing assistant. Asking for sources to cut and paste a ChatGPT response is pretty much plagiarism. That said, using ChatGPT's responses, and any sources you can tease out, as clues for further research and writing is a legitimate way to use this tool.

For some links, it's just link rot. Some links may have changed, since many sources are more than three years old. Other sources are of indeterminate age. Since we don't have a full listing of ChatGPT's sources, it's impossible to tell how valid they are or were.

CSL styling is only available when the cite-method is citeproc (which it is by default). If you are using another cite-method , you can control the formatting of the references using the mechanism provided by that method.

Bibliography Generation

By default, Pandoc will automatically generate a list of works cited and place it in the document if the style calls for it. It will be placed in a div with the id refs if one exists:

If no such div is found, the works cited list will be placed at the end of the document.

If your bibliography is being generated using BibLaTeX or natbib ( Section 7 ), the bibliography will always appear at the end of the document and the #refs div will be ignored.

You can suppress generation of a bibliography by including suppress-bibliography: true option in your document metadata

Including Uncited Items

If you want to include items in the bibliography without actually citing them in the body text, you can define a dummy nocite metadata field and put the citations there:

In this example, the document will contain a citation for item3 only, but the bibliography will contain entries for item1 , item2 , and item3 .

It is possible to create a bibliography with all the citations, whether or not they appear in the document, by using a wildcard:

Using BibLaTeX or natbib

When creating PDFs, you can choose to use either the default Pandoc citation handling based on citeproc, or alternatively use natbib or BibLaTeX . This can be controlled using the cite-method option. For example:

APA website citations usually include the author, the publication date, the title of the page or article, and the URL. If there is no author, start the citation with the title of the article. If the page is likely to change over time, add a retrieval date.

If you are citing an online version of a print publication (e.g. a newspaper , magazine, or dictionary ), use the same format as you would for print, with a URL added at the end.

When you refer to a website in your text without quoting or paraphrasing from a specific part of it, you don’t need a formal citation. Instead, you can just include the URL in parentheses after the name of the site:

For this kind of citation, you don’t need to include the website on the reference page . However, if you’re citing a specific page or article from a website, you will need a formal in-text citation and reference list entry.

Various kinds of articles appear online, and how you cite them depends on where the article appears.

Articles from online versions of newspapers and magazines

Articles appearing in online versions of print publications (e.g. newspapers and magazines) are cited like their print versions, but with an added URL. Give the homepage URL instead of the specific article, as the latter is more likely to change over time.

Citations of blogs include the words “Blog post” and the article URL. The name of the blog is not included:

Other online articles

For articles from other websites, including news sites without print equivalents (e.g. BBC News, Reuters), the name of the site is not mentioned, and the URL links directly to the article:

When a web page does not list any author, replace the author name with the title of the page or article.

In the APA 6 in-text citation , put the title in quotation marks, and shorten it to the first few words if necessary.

Note that if the source is attributed to a specific organization or company, you should use this as the author name instead.

When a web page or article does not list a publication or revision date, replace the date with “n.d.” (“no date”) in all citations.

If an online source is likely to change over time, it is recommended to include the date on which you accessed it.

7th edition updates

Since the 6th edition of the APA manual does not provide guidelines for citing from social media, the information in this section follows the 7th edition .

As social media posts are usually untitled, use the first 20 words of the post, in italics, as a title. Also include any relevant information about the type of post and any multimedia aspects (e.g. videos, images, sound) in square brackets:

On some social media sites, users go by usernames instead of or in addition to their real names. Where the author’s real name is known, include it, along with their username in square brackets:

In some cases, you’ll want to cite a whole social media profile instead of a specific post. In these cases, include an access date, because a profile will obviously change over time:
