Microsoft Power BI Gains Presentation Mode on Windows 10

The Windows 10 app of Power BI now has a Presentation Mode that enhances collaboration and conferencing situations.

Microsoft has sent out a new update for Power BI for users running the Windows 10 app version of the data analytics suite. While the update is not loaded with new features, it does score an important new ability. Power BI on Windows 10 now has an enhanced presentation mode.

With this mode, Microsoft says conferencing and collaboration environments gain a powerful new tool.

To use the Presentation Mode, users can select the full screen button located in the menu bar. Once selected, Presentation Mode will reframe the screen to remove the app frame. Focus is entirely on the data and dashboard visuals when Presentation Mode is enacted.

ā€œUsing Presentation mode in the Power BI app running on Surface Hub in your conference room and collaboration areas, better allows you to have meetings which focus on your data,ā€ Microsoft explains. ā€œPresenting, collaborating and having productive discussions with your colleagues and team members while using your data in your Power BI dashboards and reports has never been easier.ā€

A new action bar is also visible in this mode, although its availability depends on the size of the display. For example, if your screen is 84ā€ or lower, the action bar appears on the top or the bottom of the display. For screens over 84ā€, the bar is located on the left of right edge.

The action bar is an important part of the Presentation Mode in Power BI. This is where users can navigate through pages and enter the report and/or app. Users can also search through the action bar.

Enhancing collaboration further, Presentation Mode has support for pen input, allowing users to highlight and edit in real-time.

Microsoft recently released an updated Power BI Windows 10 app with enhanced presentation mode capabilities. Presentation mode in the Power BI app is meant for conference rooms and collaboration areas.

Just tap the full screen button in the menu bar to enter Presentation Mode and the app frame will disappear, allowing you to focus on the report or dashboard visuals and data. Depending on your display size, a new action bar will be displayed, either on the bottom of the screen (for up to 84ā€ displays) or on the left and right edges (for 84ā€ and larger displays). Presentation mode also supports pen input, allowing you to highlight items using inking. Also, the actions bar can be undocked and be moved anywhere on your screen.

Image mode improvements

Add-ins that were saved as Public snapshot can be printed, and don't require you to go over all the slides to load the add-ins for a permissions check before the public image is made visible.

For add-ins that were saved as Public snapshot , you might be able to improve loading times by using the Show as saved image option on the add-in side menu. This replaces the entire add-in with an image representation of it. This can be useful when you are presenting your presentation and need the fastest loading times possible.

Data updated notification

When a presentation is open for a long time, the Power BI data shown in the add-in can become outdated. To make sure the data you have in your slides is up to date, a new notification tells you when more up-to-date data exists in Power BI, and gives you an option to refresh the data with the latest data from Power BI.

Autopopulating the slide title

When you add the Power BI add-in to an empty slide that doesn't have a title yet, the Power BI add-in offers you suggestions for the slide title based on the content of the add-in. The title can be the report name, the page or visual name, or both. Just choose the desired option and select Add title .

Continuous slide show auto refresh

PowerPoint allows you to continuously play back a presentation. This is especially useful when you want to present information in public displays without any human interaction.

Until now, if the presentation you wanted to run continuously as a slide show had slides with the Power BI add-in, there was the possibility that the data in the add-in would become outdated, since the add-in only got the data from Power BI when the slide loaded or when you manually refreshed the data being presented.

With this new automatic refresh in slide show feature, you can now set the add-in to automatically pull fresh data from Power BI while the presentation is in slide show mode, ensuring that your presentation always shows the most recent data.

To set up automatic refresh for your slide show, go to the add-in footer, select Add-in options , choose Slide show settings , check Automatic refresh in slide show and set the desired refresh frequency.

This feature requires that your Office version meet the add-in's minimum Office version requirement . Auto refresh only happens in slide show mode, and not while you're editing the presentation.

Improved static image mode

The "save as static image" functionality that enables you to turn your live view of Power BI data into a static image has been improved and expanded!

A new dropdown menu in the add-in footer makes it easy to switch between live data and a static image.

New static image options make it possible to use static images without having to worry about inadvertently exposing Power BI content to unauthorized users.

Snapshot : When you choose Snapshot, only users who have permission to view the report in Power BI will see the static image. Users who don't have permission will be able to request access. This option helps prevent inadvertently showing Power BI content to unauthorized users.

Public snapshot : When you choose Public snapshot, anyone who can view the presentation will see the static image, regardless of their permissions in Power BI.

The improved functionality also helps prevent inadvertent exposure of Power BI content in the slide thumbnails you see in such places as the navigation pane and slide sorter. Now thumbnails of slides that include an add-in merely display a blue-cube until the slide with the add-in actually loads and Power BI permissions are checked. At that point the thumbnail captures an image of whatever is displayed in the slide.

The improved save-as-static-image functionality requires Office version 2312 (Build 17126) or later. If your Office version meets this requirement, don't use the Save as image option located the add-in side pane.

You can only switch between live data and a static image in the PowerPoint desktop application - you can't do this in PowerPoint for the web. However, PowerPoint for the web does respect the choice you made in the desktop application. So whatever view you selected in the desktop app will be the view that you'll see in PowerPoint for the web.

Change a direct link to a shareable link.

When you paste a direct report link (the URL copied from the browser) to the Power BI add-in in a presentation, you can now make that link shareable within the Power BI add-in. Previously, when you pasted a direct report link into the Power BI add-in, there was no option to make it sharable in the add-in before you added it to the presentation. Viewers of the presentation had to have access to the report before you used the direct report link or they wouldn't be able to see the data.

Now, if you have permissions to reshare a report, the Power BI add-in can replace the link you pasted with a shareable link. When you have sharable links enabled, you'll see a checkbox added below the report URL that asks you if you want to give viewers automatic access to the data. Mark this checkbox and Power BI add-in creates a shareable link for you. If you use a sharable link, other users viewing the presentation will have the required permissions to see the report and won't need to request access when the viewing the presentation.

You must have sharable links enabled for your organization to use this feature. For more information on using sharable links, go to Change a direct link to a shareable link .

Add individual live power bi visuals to your powerpoint slides.

Ever want to put just a single live visual on a slide? Well, now it's super easy. Right select on the visual and choose Open in PowerPoint to open a new presentation with the visual already loaded into the add-in. If you're adding the visual to an existing presentation, choose Link to selection to get the visual's URL for pasting into the add-in in the existing presentation. You can do the same from the More options (...) menu. Check out the documentation for details.

Enhance your presentations with Power BI data insights

Support for scatter plot and maps

You have asked, and weā€™ve delivered: scatter plots and maps are now supported with visual calculations! This means you can now add visual calculations to these visual types. Please note that the play axis is not yet supported.

The profit visual calculation (which subtracts sales amount and total product cost per color) is used as a size for the bubbles in the scatter plot.

Highlights in visual matrix

If you look closely at the previous screenshots, you might notice we have added a highlight to the visual matrix to indicate which visual calculation you are editing. We plan to rely on the visual matrix to make working with visual calculations even easier in the future. This highlight is just the first step of our plans.

Power BI Home in Desktop is now generally available!

Previously you could only edit reports connected to these models in live connected report mode . Now you can open and edit your reports and the large model itself as a .pbix file all within Desktop! This unlocks the full end to end Desktop authoring experience you know and love for your large semantic models.

New INFO functions are available in June 2024. All the INFO functions are DAX function versions of existing Analysis Services Dynamic Management Views (DMVs), so that documentation is provided here for additional information.

And all INFO functions can now take optional input parameters . As DMVs these optional input parameters are called restrictions. For all the INFO functions this includes their columns, but some have additional restrictions. INFO.CALCDEPENCY can specify QUERY as one if itā€™s restrictions, or optional input parameters, allowing you to analyze the items in the semantic model needed for that DAX query. This is helpful when analyzing what is being used by the semantic model in a DAX query from a visual in a report.

Additionally, a bug with the copy functionality of the results grid has been fixed. Previously, if the results included a blank cell the copy did not work. Now copy works with blank cells, and we included a right-click copy as well as the option to choose if you want to copy the entire table or just the selected cells from the copy button.

Copy > Entire table will include the headers. Copy > Selected cells by selecting all the cells, including if you click the table icon in the top left of the results, will not include the headers.

Show Visuals as Tables

We strive to make the Power BI mobile app as accessible as possible for everyone. Thatā€™s why, in this monthā€™s update, weā€™ve added the Show Visuals as Tables view mode to all reports. Use this feature to instantly view all the visuals (excluding slicers, cards, and non-data-driven visuals) in your report as table visuals. This feature makes it possible for users who rely on accessibility screen readers to read the underlying data presented in each visual. It also benefits users who prefer to see their data in tabular form, which is more like viewing it in Excel.

To turn on the Show Visuals as Tables view mode, tap the new button that has been added to the options menu (…) in the report header. The view mode is applied to all pages in the report. To go back to the regular view, tap Show original visuals in the same menu.

Power BI enhanced report format (PBIR)Ā Ā 

We are very excited to announce the Power BI enhanced report format (PBIR) for Power BI Project files (PBIP). This marks a significant milestone in achieving the primary goal of Power BI Desktop developer mode: provide source control friendly file formats that unblock co-development and enhance development efficiency.

Power BI Projects (PBIP) now support saving the report and semantic model into a folder using source-control friendly formats: PBIR for the report and TMDL for the semantic model.

The PBIR file format greatly simplifies the tracking of changes and resolution of merge conflicts by using properly formatted JSON and organizing each visual, page, bookmark, etc., in separate individual files within a folder structure.

You can also greatly enhance your report development efficiency, either by simply copy & paste visuals/pages/bookmarks/ā€¦ files between reports or apply manual/programmatic batch changes to the

PBIR files.

Unlike PBIR-Legacy (report.json), PBIR is a publicly documented format and allows modifications from non-Power BI applications. Each file has a public JSON schema, which documents each property and lets code editors like Visual Studio Code perform syntax validation while editing. On open, Power BI Desktop will validate the changed PBIR files to guarantee successful loading.

How to enable it?

PBIR is currently in preview, and you can only create or convert existing Power BI project files to PBIR using Power BI Desktop. You must first enable the feature in Power BI Desktop preview features: go toĀ  File Ā > Ā Options and settingsĀ  > Ā OptionsĀ  > Ā Preview features Ā and check the box next to ā€œStore reports using enhanced metadata format (PBIR)ā€.

During preview, Fabric Git Integration Ā and Fabric REST Apis will continue to use PBIR-Legacy (report.json) when exporting the report definitions. However, if the report is imported into Fabric using PBIR format, then both features will start exporting the report definition using PBIR format. At General Availability, PBIR will become the default report format.

Limitations

Initially, the PBIR format will have some service restrictions, such as:

  • Unable to publish the report in Power BI App.
  • Unable to use subscriptions.
  • Unable to download PBIX.

These restrictions will be removed in the following months.

Constraints:

The custom visual leverages the browserā€™s cache memory. It works by fetching data in chunks of 30k rows, storing each chunk in the browser’s cache until the entire dataset is compiled for download. This incremental approach requires the use of browser memory to ensure seamless processing. Unfortunately, this means that the visual does not operate as intended in Power BI Desktop due to technical constraints and security restrictions within that environment and you must use the Power BI Service.
