If you’re citing a research article or paper in APA style, you’ll need to use a specific citation format that varies depending on the source. Assess whether your source is an article or report published in an academic journal or book, or whether it is an unpublished research paper, such as a print-only thesis or dissertation. Either way, your in-text citations will need to include information about the author (if available) and the date when your source was published or written.

Writing an In-Text Citation

Step 1 Name the author and the publication date in-text before a quote.

  • For example, you may write, “Gardener (2008) notes, ‘There are several factors to consider about lobsters’ (p. 199).”

Step 2 Include the author’s last name in the citation if you don’t list it in-text.

  • For example, you may write, “‘There are several factors to consider about lobsters’ (Gardner, 2008, p. 199).” Or, “The paper claims, ‘The fallen angel trope is common in religious and non-religious texts’ (Meek & Hill, 2015, p.13-14).”
  • For articles with 3-5 authors, write out the names of all the authors the first time you cite the source. For example: (Hammett, Wooster, Smith, & Charles, 1928). In subsequent citations, write only the first author’s name, followed by et al.: (Hammett et al., 1928).
  • If there are 6 or more authors for the paper, include the last name of the first author listed and then write "et al." to indicate that there are more than 5 authors.
  • For example, you may write, "'This is a quote' (Minaj et al., 1997, p. 45)."

Step 3 Write the name of the organization if there is no author.

  • For example, you may write, “‘The risk of cervical cancer in women is rising’ (American Cancer Society, 2012, p. 2).”

Step 4 Use 1-4 words from the title in quotation marks if there is no author or organization.

  • For example, you may write, “‘Shakespeare may have been a woman’ (“Radical English Literature,” 2004, p. 45).” Or, “The paper notes, ‘There is a boom in Virgin Mary imagery’ (“Art History in Italy,” 2011, p. 32).”

Step 5 Include the year of publication for the paper.

  • For example, you may write, “‘There are several factors to consider about lobsters’ (Gardner, 2008, p. 199).” Or, “The paper claims, ‘The fallen angel trope is common in religious and non-religious texts’ (“Iconography in Italian Frescos,” 2015, p.13-14).”

Step 6 Use “n.d.”

  • For example, you may write, “‘There are several factors to consider about lobsters’ (Gardner, 2008, p. 199).” Or, “The paper claims, ‘The fallen angel trope is common in religious and non-religious texts’ (“Iconography in Italian Frescos,” 2015, p.145-146).”

Step 8 Use “para.”

  • For example, you may write, “‘The effects of food deprivation are long-term’ (Mett, 2005, para. 18).”

Creating a Reference List Citation for a Published Source

  • Material on websites is also considered “published,” even if it’s not peer-reviewed or associated with a formal publishing company.
  • While academic dissertations or theses that are print-only are considered unpublished, these types of documents are considered published if they’re included in an online database (such as ProQuest) or incorporated into an institutional repository.

Step 2 Note the author of the paper by last name and first 2 initials.

  • For example, you may write, “Gardner, L. M.” Or, “Meek, P. Q., Kendrick, L. H., & Hill, R. W.”
  • If there is no author, you can list the name of the organization that published the research paper. For example, you may write, “American Cancer Society” or “The Reading Room.”
  • Formally published documents that don’t list an author or that have a corporate author are typically reports or white papers .

Step 3 Include the year the paper was published in parentheses, followed by a period.

  • For example, you may write, “Gardner, L. M. (2008).” Or, “American Cancer Society. (2015).”

Step 4 List the title of the paper.

  • For example, you may write, “Gardner, L. M. (2008). Crustaceans: Research and data.” Or, “American Cancer Society. (2015). Cervical cancer rates in women ages 20-45.”

Step 5 Note the title of the publication in which the paper appears.

  • For example, for a journal article, you may write, “Gardner, L. M. (2008). Crustaceans: Research and data. Modern Journal of Malacostracan Research, 25, 150-305.”
  • For a book chapter, you could write: “Wooster, B. W. (1937). A comparative study of modern Dutch cow creamers. In T. E. Travers (Ed.), A Detailed History of Tea Serviceware (pp. 127-155). London: Wimble Press."

Step 6 Include the website where you retrieved the paper if it is web-based.

  • For example, you may write, “Kotb, M. A., Kamal, A. M., Aldossary, N. M., & Bedewi, M. A. (2019). Effect of vitamin D replacement on depression in multiple sclerosis patients.   • If you’re citing a paper or article that was published online but did not come from an academic journal or database, provide information about the author (if known), the date of publication (if available), and the website where you found the article. Citing Unpublished Sources in Your Reference List

Step 1 Determine that your source is unpublished.

  • Print-only dissertations or theses.
  • Articles or book chapters that are in press or have been recently prepared or submitted for publication.
  • Papers that have been rejected for publication or were never intended for publication (such as student research papers or unpublished conference papers).

Step 2 Indicate the status of papers that are in the process of publication.

  • If the paper is currently being prepared for publication, include the author’s name, the year when the current draft was completed, and the title of the article in italics, followed by “Manuscript in preparation.” For example: Wooster, B. W. (1932). What the well-dressed man is wearing. Manuscript in preparation.
  • If the paper has been submitted for publication, format the citation the same way as if it were in preparation, but instead follow the title with “Manuscript submitted for publication.” For example: Wooster, B. W. (1932). What the well-dressed man is wearing. Manuscript submitted for publication.
  • If the paper has been accepted for publication but is not yet published, replace the date with “in press.” Do not italicize the paper title, but do include the title of the periodical or book in which it will be published and italicize that. For example: Wooster, B. W. (in press). What the well-dressed man is wearing. Milady’s Boudoir.

Step 3 Note the status of papers that were never intended for publication.

  • If the paper was written for a conference but never published, your citation should look like this: Riker, W. T. (2019, March). Traditional methods for the preparation of spiny lobe-fish. Paper presented at the 325th Annual Intergalactic Culinary Conference, San Francisco, CA.
  • For an unpublished paper written by a student for a class, include details about the institution where the paper was written. For example: Crusher, B. H. (2019). A typology of Cardassian skin diseases. Unpublished manuscript, Department of External Medicine, Starfleet Academy, San Francisco, CA.

Step 4 Clarify the status of unpublished dissertations and theses.

  • For example, you may write, “Pendlebottom, R. H. (2011). Iconography in Italian Frescos (Unpublished doctoral dissertation). New York University, New York, United States.”

When writing an APA paper, you will often need to refer to works by others. This may involve describing research conducted by psychologists , paraphrasing another writer, or including a direct quotation from another work.

Using the correct APA citation format demonstrates that you are familiar with the research on your topic, that your sources have been accurately documented, and that your conclusions are backed up by solid evidence.

Your in-text citations are just as important as your reference section. APA format establishes clear rules for how to cite works using author information . The specific APA citation format you use will vary depending upon the source and the number of authors to whom the source is attributed.

APA Citation Format For Sources

All of the sources that you use in your paper should be cited in two ways. First, an in-text citation should be used wherever you refer to another source in the body of your paper. This is often accomplished by including the name of the source’s author and the publication year.

The second way that sources should be cited in APA format is to include a reference section at the end of your paper that provides the full reference for any and every source cited in your paper's body.

Always remember, if you cited a source in your paper, then it must also be included in the reference section . Personal communications are the one exception to this rule.

APA Citation Format for Authors

If you are citing information with one or more authors, there are guidelines you should follow depending on how many authors are listed.

While most articles, books, and other reference materials will include author attribution, some sources lack information on authorship. How do you cite these resources in APA format?

In-text citations for journal or newspaper articles should use a short article title enclosed in parentheses and the date. When article titles are long, simply use the first word or two of the title. Book titles should be in italics.

The study revealed a strong positive correlation between the two variables ("Learn APA," 2006).

When a book, article or other source lists only one author, simply provide the author's last name followed by the publication date.

Two Authors

When a source lists two authors, your in-text citations should provide the last names of both authors and the publication date.

Three or More Authors

Proper APA format for sources with three or more authors requires listing the last name of the first author as well as the publication date.

Organizations as Authors

To create an in-text citation in APA format when the author is an organization or entity, always include the full name of the organization the first time you cite the source in-text.

The citation should also include the acronym of the organization if one is available. Subsequent citations can simply list the acronym and the publication date.

APA Citation Format for Books

The APA citing format you use for books can vary depending upon the number of authors that are listed.

If a book has just one author, simply provide the author’s last name followed by the publication date. In cases where there are more than six authors, the last name and first initial of the first listed author should be used, followed by "et al.".

APA Citation Format for Articles in Journals, Magazines, and Other Periodicals

When you are citing articles in an academic journal , magazine, newspapers or other periodicals, you should follow the author-date format. APA citing should include the author's last name, followed by the date of publication.

...the study found a statistically significant relationship between the two variables (Smith & Jones, 2005).

In some instances, a publication might not have a listed author. Include the short title of the article followed by the date of publication.

For example:

...the findings were contradicted previous research on the subject ("New Research," 2009).

Citing Articles with No Author

In cases where no author is listed, include the short title of the article followed by the date of publication.

...the findings were consistent with previous research ("New Study," 2003).

If you use a direct quotation, your APA citing should always include the page number where the source can be found. In cases where you are citing an organization such as the American Psychological Association (APA), spell out the entire name the first time you cite the source. All further citations should use the appropriate acronym.

APA Citation Format for Electronic Sources

The exact format you use for APA citing of electronic media depends on the type of source that is used. In many cases, the format will be very similar to that of books or journal articles, but you should also include the URL of the source and the date it was accessed in the reference section.

You should include an APA format in-text citation whenever you summarize, paraphrase, quote, or refer to information from another source. And any time you include a citation in the text of your paper, there should be a corresponding reference included in the reference section at the end of your paper. Personal communications, such as email or personal interviews, should only be cited parenthetically in text and not included in the reference list.

In-text website citations look similar to a book citation and usually include the last name of the author followed by a comma and the year of publication.

If the author is unknown, include the first word or two of the article title in quotation marks. If you are citing an organization, mention the source in-text and include a parenthetical citation with the year of publication. When considering citations and references for your papers, you can ask yourself, "could someone find this information in the future?"

A client's personal file would not need a citation because your reader cannot go find that information again.  Census statistics would require a citation because your reader could go locate that information again.

APA requires FOUR ELEMENTS of every citation:

  • Who- Author of content
  • When- Date content was published
  • What- Title of content
  • Where- Publication information. This can be the website you got it from or the journal or book's publication information.

MLA Format Citation Examples

The Modern Language Association created the MLA Style, currently in its 9th edition, to provide researchers with guidelines for writing and documenting scholarly borrowings.  Most often used in the humanities, MLA style (or MLA format ) has been adopted and used by numerous other disciplines, in multiple parts of the world.

MLA provides standard rules to follow so that most research papers are formatted in a similar manner. This makes it easier for readers to comprehend the information. The MLA in-text citation guidelines, MLA works cited standards, and MLA annotated bibliography instructions provide scholars with the information they need to properly cite sources in their research papers, articles, and assignments.

APA Format Citation Examples

The American Psychological Association created the APA citation style in 1929 as a way to help psychologists, anthropologists, and even business managers establish one common way to cite sources and present content.

APA is used when citing sources for academic articles such as journals, and is intended to help readers better comprehend content, and to avoid language bias wherever possible. The APA style (or APA format ) is now in its 7th edition, and provides citation style guides for virtually any type of resource.

Chicago Style Citation Examples

The Chicago/Turabian style of citing sources is generally used when citing sources for humanities papers, and is best known for its requirement that writers place bibliographic citations at the bottom of a page (in Chicago-format footnotes ) or at the end of a paper (endnotes).

The Turabian and Chicago citation styles are almost identical, but the Turabian style is geared towards student published papers such as theses and dissertations, while the Chicago style provides guidelines for all types of publications. This is why you’ll commonly see Chicago style and Turabian style presented together. The Chicago Manual of Style is currently in its 17th edition, and Turabian’s A Manual for Writers of Research Papers, Theses, and Dissertations is in its 8th edition.

6 Interesting Citation Facts

The world of citations may seem cut and dry, but there’s more to them than just specific capitalization rules, MLA in-text citations , and other formatting specifications. Citations have been helping researches document their sources for hundreds of years, and are a great way to learn more about a particular subject area.

Ever wonder what sets all the different styles apart, or how they came to be in the first place? Read on for some interesting facts about citations!

1. There are Over 7,000 Different Citation Styles

You may be familiar with MLA and APA citation styles, but there are actually thousands of citation styles used for all different academic disciplines all across the world. Deciding which one to use can be difficult, so be sure to ask you instructor which one you should be using for your next paper.

2. Some Citation Styles are Named After People

While a majority of citation styles are named for the specific organizations that publish them (i.e. APA is published by the American Psychological Association, and MLA format is named for the Modern Language Association), some are actually named after individuals. The most well-known example of this is perhaps Turabian style, named for Kate L. Turabian, an American educator and writer. She developed this style as a condensed version of the Chicago Manual of Style in order to present a more concise set of rules to students.

3. There are Some Really Specific and Uniquely Named Citation Styles

How specific can citation styles get? The answer is very. For example, the “Flavour and Fragrance Journal” style is based on a bimonthly, peer-reviewed scientific journal published since 1985 by John Wiley & Sons. It publishes original research articles, reviews and special reports on all aspects of flavor and fragrance. Another example is “Nordic Pulp and Paper Research,” a style used by an international scientific magazine covering science and technology for the areas of wood or bio-mass constituents.

4. More citations were created on  EasyBib.com  in the first quarter of 2018 than there are people in California.

The US Census Bureau estimates that approximately 39.5 million people live in the state of California. Meanwhile, about 43 million citations were made on EasyBib from January to March of 2018. That’s a lot of citations.

5. “Citations” is a Word With a Long History

The word “citations” can be traced back literally thousands of years to the Latin word “citare” meaning “to summon, urge, call; put in sudden motion, call forward; rouse, excite.” The word then took on its more modern meaning and relevance to writing papers in the 1600s, where it became known as the “act of citing or quoting a passage from a book, etc.”

6. Citation Styles are Always Changing

The concept of citations always stays the same. It is a means of preventing plagiarism and demonstrating where you relied on outside sources. The specific style rules, however, can and do change regularly. For example, in 2018 alone, 46 new citation styles were introduced , and 106 updates were made to exiting styles. Why Citations Matter

Here are the ways accurate citations can help your students achieve academic success, and how you can answer the dreaded question, “why should I cite my sources?”

They Give Credit to the Right People

Citing their sources makes sure that the reader can differentiate the student’s original thoughts from those of other researchers. Not only does this make sure that the sources they use receive proper credit for their work, it ensures that the student receives deserved recognition for their unique contributions to the topic. Whether the student is citing in MLA format , APA format , or any other style, citations serve as a natural way to place a student’s work in the broader context of the subject area, and serve as an easy way to gauge their commitment to the project.

They Provide Hard Evidence of Ideas

Having many citations from a wide variety of sources related to their idea means that the student is working on a well-researched and respected subject. Citing sources that back up their claim creates room for fact-checking and further research . And, if they can cite a few sources that have the converse opinion or idea, and then demonstrate to the reader why they believe that that viewpoint is wrong by again citing credible sources, the student is well on their way to winning over the reader and cementing their point of view.

They Promote Originality and Prevent Plagiarism

The point of research projects is not to regurgitate information that can already be found elsewhere. We have Google for that! What the student’s project should aim to do is promote an original idea or a spin on an existing idea, and use reliable sources to promote that idea. Copying or directly referencing a source without proper citation can lead to not only a poor grade, but accusations of academic dishonesty. By citing their sources regularly and accurately, students can easily avoid the trap of plagiarism , and promote further research on their topic.

They Create Better Researchers

By researching sources to back up and promote their ideas, students are becoming better researchers without even knowing it! Each time a new source is read or researched, the student is becoming more engaged with the project and is developing a deeper understanding of the subject area. Proper citations demonstrate a breadth of the student’s reading and dedication to the project itself. By creating citations, students are compelled to make connections between their sources and discern research patterns. Each time they complete this process, they are helping themselves become better researchers and writers overall.

When is the Right Time to Start Making Citations?

Make in-text/parenthetical citations as you need them.

As you are writing your paper, be sure to include references within the text that correspond with references in a works cited or bibliography. These are usually called in-text citations or parenthetical citations in MLA and APA formats. The most effective time to complete these is directly after you have made your reference to another source. For instance, after writing the line from Charles Dickens’ A Tale of Two Cities : “It was the best of times, it was the worst of times…,” you would include a citation like this (depending on your chosen citation style):

(Dickens 11).

This signals to the reader that you have referenced an outside source. What’s great about this system is that the in-text citations serve as a natural list for all of the citations you have made in your paper, which will make completing the works cited page a whole lot easier. After you are done writing, all that will be left for you to do is scan your paper for these references, and then build a works cited page that includes a citation for each one.

2. Understand the General Formatting Rules of Your Citation Style Before You Start Writing

While reading up on paper formatting may not sound exciting, being aware of how your paper should look early on in the paper writing process is super important. Citation styles can dictate more than just the appearance of the citations themselves, but rather can impact the layout of your paper as a whole, with specific guidelines concerning margin width, title treatment, and even font size and spacing. Knowing how to organize your paper before you start writing will ensure that you do not receive a low grade for something as trivial as forgetting a hanging indent.

3. Double-check All of Your Outside Sources for Relevance and Trustworthiness First

Collecting outside sources that support your research and specific topic is a critical step in writing an effective paper. But before you run to the library and grab the first 20 books you can lay your hands on, keep in mind that selecting a source to include in your paper should not be taken lightly. Before you proceed with using it to backup your ideas, run a quick Internet search for it and see if other scholars in your field have written about it as well. Check to see if there are book reviews about it or peer accolades. If you spot something that seems off to you, you may want to consider leaving it out of your work. Doing this before your start making citations can save you a ton of time in the long run.

Appropriate Level of Citation

The number of sources you cite in your paper depends on the purpose of your work. For most papers, cite one or two of the most representative sources for each key point. Literature review papers, however, typically include a more exhaustive list of references.

Provide appropriate credit to the source (e.g., by using an in-text citation) whenever you do the following:

  • paraphrase (i.e., state in your own words) the ideas of others
  • directly quote the words of others
  • refer to data or data sets
  • reprint or adapt a table or figure, even images from the internet that are free or licensed in the Creative Commons
  • reprint a long text passage or commercially copyrighted test item

Avoid both undercitation and overcitation. Undercitation can lead to plagiarism and/or self-plagiarism . Overcitation can be distracting and is unnecessary.

For example, it is considered overcitation to repeat the same citation in every sentence when the source and topic have not changed. Instead, when paraphrasing a key point in more than one sentence within a paragraph, cite the source in the first sentence in which it is relevant and do not repeat the citation in subsequent sentences as long as the source remains clear and unchanged.

Who Should Use APA Style?

APA style is used by social science disciplines such as communication studies, economics, education, psychology, and sociology; it is also used by business and nursing.

What is APA Style?

APA style, created by the American Psychological Association, is a set of rules for formatting manuscripts, including research papers.

In APA, you must cite sources that you have paraphrased, quoted or otherwise used to write your research paper. Cite your sources in two places:

  • In the body of your paper where you add a brief in-text citation .
  • In the References list at the end of your paper where you give more complete information for the source.

APA Style papers should have the same style and size of font throughout the text of the paper (title page to reference page). APA considers the following fonts acceptable: 11- point Calibri, 11-point Arial, 10-point Lucida Sans Unicode, 12-point Times New Roman, 11-point Georgia, or 10-point Computer Modern. It is recommended that you check with your instructor to see if they have a preferred font style.

The first line of every paragraph in the text of your paper and every reference on your reference page is indented (hit the tab key once). The remaining lines are left flush with the left-hand margin of the paper (this is known as a "hanging indent").

Other Format Guidelines

Page numbers : Title page through reference pages are numbered using Arabic numerals;  place each number in the top right corner of the page.

Running heads: Are NOT required in student papers, but you should still check with your instructor to see if they wish them to be used.

Dashes: APA uses em dashes (long dash) and en dashes (short dash). See section 4.6 of the Concise Guide to APA Style for more information.

Lines and Margins

APA Style papers should have double-spaced text throughout the entire paper (including quotations and references). To make your paper double-spaced in Microsoft Word, highlight the text you want double-spaced, and then click Layout . Next, click on the arrow to the right of the word Paragraph (a pop-up appears). From the drop-down menu under Line Spacing , select Double (default choice is Multiple ) and click OK .

APA Style papers use 1 inch margins all around (top to bottom and left to right). Margins in Microsoft Word are set to 1 inch by default. If you are unsure, you can check your margins by clicking Layout, and clicking Margins. Once the drop-down menu appears, make sure Normal is selected to ensure you have 1 inch margins all around your paper.

APA Style recommends ONE space after a period when the period ends a sentence, separates parts of a reference list entry, or follows initials in names (J.B. Jones).

Do NOT put a space after a period when the period is part of an internal abbreviations (U.S. or a.m.)

Do NOT use periods for the abbreviation of state, province, or territory names (AZ; KS; BC); capital letter abbreviations and acronyms (APA, AMA, EPA); for abbreviations of academic degrees (PhD, MD, DO); or for abbreviations of metric and nonmetric measurements (cm, hr, kg,). Note: Use a period when abbreviating "inch" or "inches" (in.) or else it could be misread.

Sentence Case vs. Title Case

Sentence case is where most words in a sentence are going to be lower case.

The EXCEPTIONS are the first word in a title, heading, or sub-title ; proper nouns ; the first word after an em dash, semi-colon, or end punctuation; and any noun followed by a letter or number.

Title case is where major words are capitalized while minor words are lower case.

In APA style, major words are nouns, verbs, adjectives, pronouns, adverbs, or any word that is four letters or longer.

Minor words are articles, short prepositions, and conjunctions that are three letters or less.

Paraphrasing

Refers to restating someone else's ideas or findings into your own words. Paraphrasing allows you to summarize information from one or more sources, compare and contrast information from multiple sources, and focus on the most important information from each source.

It is BEST to paraphrase information whenever possible rather than using direct quotations.

Paraphrased information must be cited in-text with either a parenthetical or narrative citation.

Reproduce words EXACTLY as written from another work (including your own). Quotations are best used in papers for when you want to reproduce an exact definition, when an author of a work has said something memorable, or when you want to respond to the exact wording (something someone said) from an author in your paper.

When not using a quotation for one of the above reasons, it is best to paraphrase information. Additionally, you should check with your instructor to see if they limit the number of quotations you are allowed to use.

Quotations must be cited in-text with either a parenthetical or narrative citation.

Short quotations consist of 40 words or less and should be incorporated into the text of your paper with quotation marks.

Long quotations consists of 40 words or more and do not use quotations marks. Instead, they should be incorporated into your paper as a block quotation. Block quotations begin on a new line, are double-spaced, and are indented 0.5 inches from the left hand margin of your paper.

Heading Levels

Heading Levels or "headings" are a way to organize information in APA papers and convey it clearly ( think of headings as "sections" and "subsections"). There are five levels of headings in APA Style, although for undergraduates it is rare to need to go past a Level 2 headings. If you are unsure if you need to use headings, check with your instructor.

2 Text begins as a new paragraph.
3 Text begins as a new paragraph.
4 Text begins on the same line and continues as a regular paragraph.
5 Text begins on the same line and continues as a regular paragraph.

Note: Do NOT label an introduction as "Introduction" in APA papers. The title of your paper acts as a de facto Level 1 Heading.

Most academic writing cites others' ideas and research, for several reasons:

  • Sources that support your ideas give your paper authority and credibility
  • Shows you have researched your topic thoroughly
  • Crediting sources protects you from plagiarism
  • A list of sources can be a useful record for further research

Different academic disciplines prefer different citation styles, most commonly  APA and MLA styles. 

Besides these styles, there are  Chicago ,  Turabian ,  AAA ,  AP , and more. Only use the most current edition of the citation style.

When to cite.

To avoid plagiarism, provide a citation for ideas that are not your own:

  • Direct quotation
  • Paraphrasing of a quotation, passage, or idea
  • Summary of another's idea or research
  • Specific reference to a fact, figure, or phrase

You do not need to cite common knowledge (ex. George Washington was the first President of the United States) or proverbs unless you are using a direct quotation. When in doubt, cite your source.

Formatting Your Paper

For help on all aspects of formatting your paper in APA Style, see   The Essentials  page on the APA Style website.

  • sans serif fonts such as 11-point Calibri, 11-point Arial, or 10-point Lucida Sans Unicode, or
  • serif fonts such as 12-point Times New Roman, 11-point Georgia, or normal (10-point) Computer Modern (the default font for LaTeX)
  • There are exceptions for the  title page ,  tables ,  figures ,  footnotes , and  displayed equations .
  • Margins :  Use 1-in. margins on every side of the page.
  • Align the text of an APA Style  paper to the left margin . Leave the right margin uneven, or “ragged.”
  • Do not use full justification for student papers.
  • Do not insert hyphens (manual breaks) in words at the end of line. However, it is acceptable if your word-processing program automatically inserts breaks in long hyperlinks (such as in a DOI or URL in a reference list entry).
  • Indent the first line of each paragraph of text 0.5 in . from the left margin. Use the tab key or the automatic paragraph-formatting function of your word-processing program to achieve the indentation (the default setting is likely already 0.5 in.). Do not use the space bar to create indentation. 
  • There are exceptions for the  title page ,  section labels ,  abstract ,  block quotations ,  headings ,  tables and figures ,  reference list , and  appendices .

Paper Elements

Student papers generally include, at a minimum: 

  • Title Page (2.3)
  • Text (2.11)
  • References  (2.12)

Student papers may include additional elements such as tables and figures depending on the assignment. So, please check with your teacher!

Student papers generally  DO NOT  include the following unless your teacher specifically requests it:

  • Running head
  • Author note

Number your pages consecutively starting with page 1. Each section begins on a new page. Put the pages in the following order:

  • Page 1: Title page
  • Page 2: Abstract (if your teacher requires an abstract)
  • Page 3: Text 
  • References begin on a new page after the last page of text
  • Footnotes begin on a new page after the references (if your teacher requires footnotes)
  • Tables begin each on a new page after the footnotes (if your teacher requires tables) 
  • Figures begin on a new page after the tables (if your teacher requires figures)
  • Appendices begin on a new page after the tables and/or figures (if your teacher requires appendices)

Headings Organize Your Paper (2.27)

APA Style uses five (5) levels of headings to help you organize your paper and allow your audience to identify its key points easily. Levels of headings establish the hierarchy of your sections just like you did in your paper outline.

APA tells us to use "only the number of headings necessary to differentiate distinct section in your paper." Therefore, the number of heading levels you create depends on the length and complexity of your paper.

Reference List Format (9.43)

Placement:  The reference list  appears at the end of the paper, on its own page(s). If your research paper ends on page 8, your References begin on page 9.

Heading:  Place the section label References  in bold at the top of the page, centered.

Arrangement:  Alphabetize entries by author's last name. If source has no named author, alphabetize by the title, ignoring A, An, or The. (9.44-9.48)

Spacing:  Like the rest of the APA paper, the reference list is double-spaced throughout. Be sure NOT to add extra spaces between citations.

Indentation:  To make citations easier to scan, add a  hanging indent  of 0.5 in. to any citation that runs more than one line. Use the paragraph-formatting function of your word processing program to create your hanging indent.

Elements of Reference List Entries: (Chapter 9)

Where to find reference information for a journal article

References generally have four elements, each of which has a corresponding question for you to answer:

  • Author:   Who is responsible for this work? (9.7-9.12)
  • Date:   When was this work published? (9.13-9.17)
  • Title:   What is this work called? (9.18-9.22)
  • Source:   Where can I retrieve this work? (9.23-9.37)

By using these four elements and answering these four questions, you should be able to create a citation for any type of source.

Sometimes you won't be able to find all the elements required for your reference. In that case, see the  instructions in Table 9.1 of the APA style manual in section 9.4 or the APA Style website below:

DOIs and URLs (9.34-9.36)

The DOI or URL is the final component of a reference list entry. Because so much scholarship is available and/or retrieved online, most reference list entries end with either a DOI or a URL.

  • A  DOI  is a unique alphanumeric string that identifies content and provides a persistent link to its location on the internet. DOIs can be found in database records and the reference lists of published works.
  • A  URL  specifies the location of digital information on the internet and can be found in the address bar of your internet browser. URLs in references should link directly to the cited work when possible.

When to Include DOIs and URLs:

  • Include a DOI for all works that have a DOI, regardless of whether you used the online version or the print version.
  • If an online work has both a DOI and a URL, include only the DOI.
  • For works without DOIs from websites (not including academic research databases), provide a URL in the reference (as long as the URL will work for readers).
  • For works without DOIs from most academic research databases, do not include a URL or database information in the reference because these works are widely available. The reference should be the same as the reference for a print version of the work.
  • For works from databases that publish original, proprietary material available only in that database (such as the UpToDate database) or for works of limited circulation in databases (such as monographs in the ERIC database), include the name of the database or archive and the URL of the work. If the URL requires a login or is session-specific (meaning it will not resolve for readers), provide the URL of the database or archive home page or login page instead of the URL for the work. (See APA Section 9.30 for more information). 
  • If the URL is no longer working or no longer provides readers access to the content you intend to cite, try to find an archived version using the Internet Archive , then use the archived URL. If there is no archived URL, do not use that resource.

Follow these guidelines from the APA Style website.

In-Text Citations

APA Style uses the  author–date citation system , in which a brief in-text citation points your reader to the full reference list entry at the end of your paper. The in-text citation appears within the body of the paper and briefly identifies the cited work by its author and date of publication. This method enables your reader to locate the corresponding entry in the alphabetical reference list at the end of your paper.

Each work you cite  must  appear in the reference list, and each work in the reference list must be cited in the text (or in a table, figure, footnote, or appendix) except for the following (See APA, 8.4):

  • Personal communications (8.9)
  • General mentions of entire websites, whole periodicals (8.22), and common software and apps (10.10) in the text do not require a citation or reference list entry.
  • The source of an epigraph does not usually appear in the reference list (8.35)
  • Quotations from your research participants do not need citations or reference list entries (8.36)
  • References included in a statistical meta-analysis, which are marked with an asterisk in the reference list, may be cited in the text (or not) at the author’s discretion. This exception is relevant only to authors who are conducting a meta-analysis (9.52).

Formatting Your In-Text Citations

Parenthetical and Narrative Citations: ( See APA Section  8.11)

In APA style you use the author-date citation system for citing references within your paper. You incorporate these references using either a  parenthetical   or a  narrative  style.

Parenthetical Citations

  • In parenthetical citations, the author name and publication date appear in parentheses, separated by a comma. (Jones, 2018)
  • A parenthetical citation can appear within or at the end of a sentence.
  • When the parenthetical citation is at the end of the sentence, put the period or other end punctuation after the closing parenthesis.
  • If there is no author, use the first few words of the reference list entry, usually the "Title" of the source: ("Autism," 2008) See APA 8.14
  • When quoting, always provide the author, year, and specific page citation or paragraph number for nonpaginated materials in the text (Santa Barbara, 2010, p. 243).  See APA 8.13
  • For most citations, the parenthetical reference is placed BEFORE the punctuation: Magnesium can be effective in treating PMS (Haggerty, 2012).

Narrative Citations 

In narrative citations, the author name or title of your source appears within your text and the publication date appears in parentheses immediately after the author name. 

  • Santa Barbara (2010) noted a decline in the approval of disciplinary spanking of 26 percentage points from 1968 to 1994.

Important Note: Some electronic citations necessitate the use of brackets. APA style dictates that brackets should directly surround their content without spaces (e.g., [bracketed content] should look like this). When possible, include the year, month, and date in references. If the month and date are not available, use the year of publication. Additionally, APA 7 th  edition no longer requires the use of “Retrieved from” before URLs or DOIs; special exceptions, however, are made for resources that are unarchived. Including the retrieval date for these sources indicates to readers that the version of the work they retrieve may be different than what was originally used.

Wikipedia Article

APA 7 treats Wikipedia articles as special instances of entries in reference works. Thus, there are a few differences between reference entries for pages on Wikipedia and those for generic webpages.

Wikipedia articles often update frequently. For this reason, the date refers to the date that the cited version of the page was published. Note also that the manual recommends linking to the archived version of the page, rather than the current version of the page on the site, since the latter can change over time. Access the archived version by clicking "View History," then clicking the date/timestamp of the version you'd like to cite.

Online Scholarly Journal Article: Citing DOIs

Please note: Because online materials can potentially change URLs, APA recommends providing a Digital Object Identifier (DOI), when it is available, as opposed to the URL. DOIs are an attempt to provide stable, long-lasting links for online articles. They are unique to their documents and consist of a long alphanumeric code. Many—but not all—publishers will provide an article's DOI on the first page of the document.

Note also that some online bibliographies provide an article's DOI but may "hide" the code under a button which may read "Article" or may be an abbreviation of a vendor's name like "CrossRef" or "PubMed." This button will usually lead the user to the full article which will include the DOI. Find DOIs from print publications or ones that go to dead links with doi.org's "Resolve a DOI" function, available on the site's home page .

APA 7 also advises writers to include a DOI (if available), even when using the print source.

Article from an Online Periodical with no DOI Assigned

If an online scholarly journal article has no DOI and is published on a website, include the URL. If an online scholarly article has no DOI and is published on a database, do not include a URL or any database information. The only exception is for databases that publish articles that are in limited circulation (like ERIC) or that are only available on that particular database (like UpToDate). Note that retrieval dates are required for unarchived sources that are likely, or intended, to change over time.

APA 7 th edition does not provide guidance on how to cite abstracts. However, if you only use information from the abstract but the full text of the article is also available, we advise you to add "[Abstract]" after the article or source name. If the full text is not available, you may use an abstract that is available through an abstracts database as a secondary source.

Online News Article

Note:  The format for this type of source depends on whether your source comes from a site with an associated newspaper.

If the source  does  come from a site with an associated newspaper, leave the title of the article unformatted, but italicize the title of the newspaper.

It is not necessary to note that you have used an eBook or audiobook when the content is the same as a physical book. However, you should distinguish between the eBook or audiobook and the print version if the content is different or abridged, or if you would like to cite the narrator of an audiobook.

If an interview is not retrievable in audio or print form, cite the interview only in the text (not in the reference list) and provide the month, day, and year in the text. If the interview transcript is published in an online periodical, like a magazine, cite the interview the same way you would cite the medium where it is published, as shown below:

Reasons for citing sources are based on academic, professional, and cultural values. At the GSD, we cite to promote

Cite your source whenever you quote, summarize, paraphrase, or otherwise include someone else's

Citations follow different rules for structure and content depending on which style you use. At the GSD, mostly you will use Chicago or APA style. Often you can choose the style you prefer, but it's good to ask your professor or TA/TF. Whichever style you use, be consistent. We recommend using Zotero , a citation-management tool, to structure your citations for you, but you should always check to make sure the tool captures the correct information in the correct place.

Citing Visual Sources 

Visual representations created by other people, including photographs, maps, drawings, models, graphs, tables, and blueprints, must be cited.  Citations for visual material may be included at the end of a caption or in a list of figures, similar to but usually separate from the main bibliography.

When they are not merely background design, images are labeled as figures and numbered. In-text references to them refer to the figure number. Sometimes you will have a title after the figure number and a brief descriptive caption below it. 

If you choose to include the citation under the caption, format it like a footnote entry. If you would prefer to have a list of figures for citation information, organize them by figure number and use the format of a bibliographic entry.

The construction of citations for artwork and illustrations is more flexible and variable than textual sources. Here we have provided an example with full bibliographic information. Use your best judgment and remember that the goals are to be consistent and to provide enough information to credit your source and for someone else to find your source.

Some borrowed material in collages may also need to be cited, but the rules are vague and hard to find. Check with your professor about course standards. 

Visual representations created by other people, including photographs, maps, drawings, models, graphs, tables, and blueprints, must be cited. In APA style, tables are their own category, and all other visual representations are considered figures. Tables and figures both follow the same basic setup. 

When they are not merely background design, images are labeled as figures and numbered and titled above the image. If needed to clarify the meaning or significance of the figure, a note may be placed below it. In-text references to visual sources refer to the figure number (ex. As shown in Figure 1...").

Figures may take up a whole page or be placed at the top or bottom of the page with a blank double-space below or above it.

If you choose to include the citation under the figure, format it like a bibliographic entry. If you would prefer to have a list of figures for citation information, organize them by figure number and use the format of a bibliographic entry. Here is a detailed example. Some figures will require less bibliographic information, but it is a good practice to include as much as you can.

Citing Generative AI

The rules for citing the use of generative AI, both textual and visual, are still evolving. For guidelines on when to cite the use of AI, please refer to the section on Academic Integrity. Here, we will give you suggestions for  how to cite based on what the style guides say and what Harvard University encourages. We again recommend that you to ask your instructors about their expectations for use and citation and to remain consistent in your formatting.

The Chicago Manual of Style currently states that "for most types of writing, you can simply acknowledge the AI tool in your text" with a parenthetical comment stating the use of a specific tool. For example: (Image generated by Midjourney).

When do I use in-text citations?

When should you add in-text citations in your paper .

There are several rules of thumb you can follow to make sure that you are citing your paper correctly in APA 7 format. 

  • Think of your paper broken up into paragraphs. When you start a paragraph, the first time you add a sentence that has been paraphrased from a reference -> that's when you need to add an in-text citation. 
  • Continue writing your paragraph, you do NOT need to add another in-text citation until: 1) You are paraphrasing from a NEW source, which means you need to cite NEW information OR 2) You need to cite a DIRECT quote, which includes a page number, paragraph number or Section title. 
  • Important to remember : You DO NOT need to add an in-text citation after EVERY sentence of your paragraph. 

Paragraph Rules of Thumb: Cite after 1st paraphrase, continue writing, add a new cite for a new source or a direct quote.

Narrative citation : Forbes (2020) shared that by following American Psychological Association (APA) guidelines, students would learn to find their own voice as experts in the field of nursing. 

An example with 2 authors: 

Parenthetical citation: Research on the use of progressive muscle relaxation for stress reduction has demonstrated the efficacy of the method (Bennett & Miller, 2019). 

Narrative citation: As shared by Bennett and Miller (2019), research on the use of progressive muscle relaxation for stress reduction has demonstrated the efficacy of the method. 

An example with 3 authors: 

Parenthetical citation: Guided imagery has also been shown to reduce stress, length of hospital stay, and symptoms related to medical and psychological conditions (Jones et al., 2020).

Narrative citation: Recently shared on the East Carolina University (2020) website, Dr. Philip G. Rogers, senior vice president at the American Council on Education, was elected as the newest chancellor. 

Tips on Paraphrasing

Paraphrasing is recreating someone else's ideas into your own words & thoughts, without changing the original meaning (gahan, 2020).  .

Here are some best practices when you are paraphrasing: 

  • How do I learn to paraphrase? IF you are thoroughly reading and researching articles or book chapters for a paper, you will start to take notes in your own words . Those notes are the beginning of paraphrased information.
  • Read the original information, PUT IT AWAY, then rewrite the ideas in your own words . This is hard to do at first, it takes practice, but this is how you start to paraphrase. 
  • It's usually better to paraphrase, than to use too many direct quotes. 
  • When you start to paraphrase, cite your source. 
  • Make sure not to use language that is TOO close to the original, so that you are not committing plagiarism. 
  • Use theasaurus.com to help you come up with like/similar phrases if you are struggling. 
  • Paraphrasing (vs. using direct quotes) is important because it shows that YOU ACTUALLY UNDERSTAND the information you are reading. 
  • Paraphrasing ALLOWS YOUR VOICE to be prevalent in your writing. 
  • The best time to use direct quotes is when you need to give an exact definition, provide specific evidence, or if you need to use the original writer's terminology. 
  • BEST PRACTICE PER PARAGRAPH: On your 1st paraphrase of a source, CITE IT. There is no need to add another in-text citation until you use a different source, OR, until you use a direct quote.

Citing Direct Quotes

Direct quotes should only be used occasionally: 

  • When you need to share an exact definition 
  • When you want to provide specific evidence or information that cannot be paraphrased
  • When you want to use the original writer's terminology

APA website citations usually include the author, the publication date, the title of the page or article, the website name, and the URL. If there is no author, start the citation with the title of the article. If the page is likely to change over time, add a retrieval date.

When you refer to a website in your text without quoting or paraphrasing from a specific part of it, you don’t need a formal citation. Instead, you can just include the URL in parentheses after the name of the site:

Online articles from newspapers, magazines, and blogs

Articles appearing in online versions of print publications (e.g. newspapers and magazines) are cited like their print versions, but with an added URL.

When a web page does not list an individual author, it can usually be attributed to an organization or government . If this results in the author name being identical to the site name, omit the site name, as in the example below.

If you can’t identify any author at all, replace the author name with the title of the page or article.

In the in-text citation , put the title in quotation marks if it is in plain text in the reference list, or in italics if it is in italics in the reference list. Note that title case is used for the title here, unlike in the reference list. Shorten the title to the first few words if necessary.

When a web page or article does not list a publication or revision date, replace the date with “n.d.” (“no date”) in all citations.

If an online source is likely to change over time, it is recommended to include the date on which you accessed it.

As social media posts are usually untitled, use the first 20 words of the post, in italics, as a title. Also include any relevant information about the type of post and any multimedia aspects (e.g. videos, images, sound, links) in square brackets.

On some social media sites (such as Twitter ), users go by usernames instead of or in addition to their real names. Where the author’s real name is known, include it, along with their username in square brackets:

In some cases, you’ll want to cite a whole social media profile instead of a specific post. In these cases, include an access date, because a profile will obviously change over time:

When citing a webpage or online article , the APA in-text citation consists of the author’s last name and year of publication. For example: (Worland & Williams, 2015). Note that the author can also be an organization. For example: (American Psychological Association, 2019).

If you’re quoting you should also include a locator. Since web pages don’t have page numbers, you can use one of the following options:

  • Paragraph number: (Smith, 2018, para. 15).
  • Heading or section name: ( CDC, 2020, Flu Season section)
  • Abbreviated heading:  ( CDC, 2020, “Key Facts” section)

When you quote or paraphrase a specific passage from a source, you need to indicate the location of the passage in your APA in-text citation . If there are no page numbers (e.g. when citing a website ) but the text is long, you can instead use section headings, paragraph numbers, or a combination of the two:

Section headings can be shortened if necessary. Kindle location numbers should not be used in ebook citations , as they are unreliable.

If you are referring to the source as a whole, it’s not necessary to include a page number or other marker.

When no individual author name is listed, but the source can clearly be attributed to a specific organization—e.g., a press release by a charity, a report by an agency, or a page from a company’s website—use the organization’s name as the author in the reference entry and APA in-text citations .

When no author at all can be determined—e.g. a collaboratively edited wiki or an online article published anonymously—use the title in place of the author. In the in-text citation, put the title in quotation marks if it appears in plain text in the reference list, and in italics if it appears in italics in the reference list. Shorten it if necessary.

APA Style usually does not require an access date. You never need to include one when citing journal articles , e-books , or other stable online sources.
