- 8 January 2024
Tips on choosing the right Microsoft 365 plan for your business
Understanding Microsoft 365 pricing is crucial when navigating the various options and selecting the right plan for your business. In this blog post, we’ll help you cut through the confusion, simplify the choices and guide you to make the most informed decision based on your business needs!
Price isn’t everything, but as consumers we often consider price before any other factor. So let’s look at this handy table below to see how the Microsoft 365 for Business plans compare with one another:
Note: This article covers Microsoft 365 commercial pricing. If you are a nonprofit, click here to learn more about Microsoft 365 Nonprofit pricing .
^^ Please note these costs are monthly, but based on an annual commitment, and do not include GST.
Now that you have an idea of the costs involved, let’s dive into the features that you get from each plan.
All business and enterprise plans of Microsoft 365 ( previously Office 365 ) come with the Office applications that are vital for any business. However, the Business Plans cater for a maximum of 300 users. If your organisation has more than 300 users, an Enterprise Plan is what you should be looking for.
Here’s a breakdown of the main features included in each plan, starting off with the Microsoft 365 Business Plans:
Microsoft 365 Business Premium
Price: AUD $32.90 + GST per user/month
Ideal for: Businesses with less than 300 users that require up-to-date versions of Office applications as well as cloud services, email hosting, Microsoft collaboration tools plus more advanced cybersecurity defence and device management features.
Features include:
- Desktop and web versions of Outlook, Word, Excel, Powerpoint, and OneNote
- PC only version of Access and Publisher
- 50gb email storage
- Custom domain name
- Access to Microsoft Exchange
- Microsoft Teams – a chat-based collaboration hub that lets you host online meetings for up to 250 participants
- Sharepoint – Share and collaborate on files and content with your own organisational intranet
- 1TB of OneDrive cloud storage
- Exchange Email Protection – protect organisation emails from spam, malware and known threats
- Microsoft Bookings – allows customers to easily schedule appointments
- Advanced Threat Protection – Protect your organisation with Microsoft’s state of the art security defence against more sophisticated cyberattacks.
- Manage and control access to corporate files and data remotely
- Enforce malware protection policies to prevent future cyberbreach attacks
- PC and mobile device management
- Automatic Office 365 applications deployment to managed devices
If you’re a business that highly prioritises data security and cyberbreach prevention then a Microsoft 365 Business Premium Plan has everything you need. You can get your always up-to-date Office 365 essentials with cloud storage, integrated Microsoft business tools plus a highly advanced Microsoft defence system to give you peace of mind about the security of your data and resources. Have the ability to manage the devices that access your data and create policies to make sure that your business is protected against internal cyberattacks.
Microsoft 365 Business Standard
Price: AUD $18.70 + GST per user/month
Ideal for: Businesses with less than 300 users that require up-to-date versions of Office applications as well as cloud services, email hosting, and Microsoft collaboration tools.
- Custom email domain name
- Sharepoint – Share and collaborate on files and content with your own organizational intranet
The Microsoft 365 Business Standard Plan is perfect for your business if you require all the up-to-date Office 365 applications, as well as cloud storage and customised domain for your company email. This plan does not have the advanced security features of the Premium plan.
Alternatives to Office 365 for business
If you’re just looking to utilise the core functions of Office 365, which includes web and mobile versions (no desktop versions) of the Office 365 apps with 50gb mailbox allocation and 1 TB cloud storage in OneDrive, an alternative option is the Microsoft 365 Business Basics plan. This is best suited for frontline workers who aren’t sitting at a desk and therefore don’t have need for desktop versions of the Office 365 apps. It includes the productivity apps (Word, Excel, Powerpoint) as well as the collaboration apps (Teams, Sharepoint, OneDrive, Exchange).
Last on the list of the Microsoft 365 Business plans is the Microsoft 365 Apps plan which can provide for your basic Office application needs (desktop, web and mobile versions of Word, Excel, Powerpoint and Outlook) with OneDrive storage access to let you keep your files in the cloud. Basically, it’s a basic apps-only plan. On this plan, there is no shared email (via Exchange) or collaboration features (like Teams or Sharepoint).
Now that the Business Plans are covered, let’s move on to the Microsoft 365 Enterprise Plans. If what you need is a more robust solution for your growing organisation, these Enterprise plans offer a wider spectrum of functionalities and a higher user limit that you won’t find in the Microsoft 365 Business Plans.
Microsoft 365 E3
Price: Contact Us for Pricing

With fully integrated applications and administration tools in the bag, Microsoft 365 E3 enables you and your organisation to work more efficiently while maintaining the security of your corporate data.
How do I decide whether to buy a Business Plan or an Enterprise Plan?
Put simply, if you’re a business with 300 or less users and looking for solutions to start your move to the cloud and migrate data, utilise the Office 365 suite of business applications and are security conscious, then one of the Microsoft 365 Business Plans is your best option.
If you’re an organisation with more than 300 users , that has a strong digital focus, requires cybersecurity features, as well as solutions for compliance and governance, then the Microsoft 365 Enterprise Plans may prove a more effective solution for you.
Case example:
Acme Engineering is a growing business, currently with 57 staff, operating out of two office locations. Engineering staff are often required to travel and work from remote locations.
Team members need access to Office application, both on desktop and mobile versions, and cloud storage services.
They are also working towards promoting a more positive collaboration culture and are interested in using the features available in Teams, such as video calls, file sharing and project collaboration.
Some of the staff are bringing their own devices to do their job and cybersecurity is a priority for the business, therefore they require advanced cybersecurity defences and device management options.
Acme Engineering decides to move to Microsoft 365 Business Premium plan which can provide the business with the appropriate features to support the growth of the organisation.
One important thing to mention is that Microsoft plans are both flexible and scalable. With scalable pricing, you can scale up and down as your business grows or you take on projects. Flexible plans and service offerings mean you can use Microsoft 365 products and services that you need now and explore additional features later. You can even mix and match to suit different staff requirements.
Find the right Office 365 plan for your business
Before you make any decisions on a Microsoft 365 plan, the best thing to do is to start with assessing your organisation, its current and future goals. Seek the help of an expert to assist you with evaluating your readiness for the move to Microsoft 365 and which plan would best suit your organisation to ensure a smooth, easy and rewarding transition.

The best Microsoft 365 and Microsoft Office deals in Australia
Get Microsoft's Office software for the lowest price
- Microsoft 365 Family
- Microsoft 365 Business
- Microsoft Office 2021
- Microsoft Office 2019
When it comes to getting work-related tasks done, Microsoft 's Office suite of programs still reigns supreme despite the rise of Google Workspace and other free office software options available to download. If you're firmly in the Microsoft camp, then this is where you'll be able to save some cash on the retail price of the subscription-based Microsoft 365 software (formerly called Office 365) and the available-to-buy-outright Microsoft Office 2021 .
In Australia, you can buy a subscription directly from Microsoft or from third-party retailers, but it's not easy to find a discount – Microsoft 365 deals are a little rare Down Under, but if you're patient, you can score some savings, usually on the first year of subscription.
In our guide below, you'll find the best possible prices for all three versions of Office you can currently purchase: Microsoft 365 and Microsoft Office 2019 .
If you're looking to pick up a new laptop with your copy of Microsoft Office or Microsoft 365, you might be interested in our selection of Australia's best cheap laptop deals .

Microsoft 365 Personal | AU$99 AU$89 from Mighty Ape (save AU$10)
Admittedly it's not a huge discount but it's quite rare to see offers on the latest edition of the Office suite. If you're comfortable buying from a third party, then this is currently the only offer we can find – it's a one-person one-year subscription that comes with 1TB of cloud storage.
Microsoft Office 2021 (Home & Student) | AU$199 AU$110 from Digital Software Planet (save AU$89)
If a subscription service isn't your thing, you can still get access to the important Office suite apps with a one-off payment when you get this Office 2021 package. This is a significant saving on the official AU$199 price at the Microsoft Store, so don't miss out.
Buy Microsoft 365 Personal or Family
If you're looking to buy Microsoft 365, you should know that this is a subscription-based service. The prices displayed below are for monthly subscriptions, but you can pay per year, which will cost you AU$99 and AU$129 for the annual Personal and Family plans respectively.
The Personal plan is for a single user licenced for use on just one PC, along with a tablet or mobile, while the Family bundle is for up to six users. The former comes with just 1TB of OneDrive cloud storage, while the latter comes with up to 6TB of storage and some additional features in the mobile version. Of course, access to all the latest Microsoft Office suite is also included in both versions, no exceptions.
Cloud storage is particularly useful for editing documents on the go. So you could go from writing on the laptop/desktop to making a few changes or crucial last minute updates on your mobile or tablet.
If the online cloud storage and device switching won't be useful, we'd recommend scrolling further down this page and consider buying either Microsoft Office Home & Student 2021 or Microsoft Office Home and Student 2019 instead for a one-off fee but you won't get any updates.
Buy Microsoft 365 Business
There are four different Microsoft 365 Business plans available in Australia. Microsoft says that it changed the name "to be more reflective of the range of features and benefits in the subscription. Microsoft 365 includes everything you know in Office 365, including best-in-class Office apps, intelligent cloud services, and advanced security."
- Microsoft 365 Business Basic (formerly Office 365 Business Essentials)
- Microsoft 365 Business Standard (formerly Office 365 Business Premium)
- Microsoft 365 Business Premium (formerly Microsoft 365 Business)
- Microsoft 365 Apps for business (formerly Office 365 Business)
Buy Microsoft Office Home & Student 2021
Microsoft certainly took its time to give us a new standalone Office package as it's moved its focus to the Microsoft 365 subscription service nowadays. But if you want a modern version of Office with only a one-time fee, this is the way to go.
You don't get the fancier cloud-based features and multi-device support that you do with Microsoft 365, but this can work out much cheaper in the long run, setting you AU$199 for the suite and no recurring costs.
Keep in mind that Microsoft Office 2021 only allows one user to work on a single PC or Mac, with access to only the 'classic' versions of the apps, not the 'premium' ones you get with a 365 subscription.
Buy Microsoft Office Home & Student 2019
As is usually the case, the cheapest option for a Microsoft Office suite would be an older version if you can lay your hands on it. It's no longer available on the Australian Microsoft Store but you may be able to find it at other retailers.
Like the Office 2021 suite, this edition is also just a single-user licence, allowing you to install the apps on one device only, for a one-time payment. It still comes with all the essential Office apps that are suitable for most user's needs: Word , Excel , PowerPoint , Outlook , Access , Publisher and OneNote.

Microsoft 365 for Business: Prices, Features, and Advantages
Categories: Microsoft 365 , Callan
Editor's Note: This post was originally published in December 2022 and has been completely updated for accuracy and comprehensiveness in 2024.
Microsoft 365 is such a well-known productivity suite that it boasts over 50 Million subscribers worldwide. Many businesses can attest that Microsoft 365 helped them work wonders. And we, as an IT support provider , implemented this to SMBs all over Australia. But the question remains: is it the right tool for your business? Continue reading to find out!
What is Microsoft 365 for Business?
Microsoft 365 for Business is a cloud-based productivity suite consisting of various tools and apps that allow you to collaborate with teams seamlessly, store and share files securely, and access documents anytime and anywhere from any device.
Microsoft 365 was formerly known as Office 365 until April 2020. Although it changed its name, its functionalities remained as beneficial as ever.
You might be more than familiar with some of its most popular applications like Word, PowerPoint, and Excel that you can now access via desktop, mobile, or web app. These three tools, along with the others in the suite are specifically for improving productivity, collaboration, and team communication.
Microsoft 365 is designed to be versatile for businesses of all sizes and industries. Microsoft offers four pricing plans to cater to every organisation’s needs without compromising or overwhelming them with features.
Microsoft 365 for Business Pricing
Let’s uncover each of the Microsoft 365 Business plans and see which one is ideal for you.
Microsoft 365 Business Basic
The Business Basic plan covers the most essential Microsoft 365 apps. It’s ideal for businesses that only want the tools that deal with documents and file sharing. Unfortunately, you’ll only get to access the web app version of these apps, and you may not access some features only available in the desktop version.
AU $9.00 per user/month
Apps & services included
Microsoft 365 apps for business.
The Apps for Business plan focuses more on the basic Microsoft 365 office apps and cloud storage. Unlike Business Basic, you won’t have access to Teams, Exchange, and SharePoint.
AU $13.00 per user/month
Microsoft 365 Business Standard
The Business Standard plan includes a variety of apps for different functionalities. You will have apps for documents, file management, storage, and team collaboration. The Business Standard plan also has security features that offer basic protection.
New functionalities in the Business Standard plan include Loop, Clipchamp, and Copilot for Microsoft 365 (but only available as an add-on).
AU $18.70 per user/month
Microsoft 365 Business Premium
The Business Premium plan is ideal for businesses that need extra protection and security on top of everything the Business Standard plan offers. Aside from the usual Microsoft 365 apps and additional storage space, you’ll also get protection from cyber threats with threat protection features.
Same with Business Standard, you can also have Copilot for Microsoft 365 as an add-on in your Business Premium plan.
AU $32.30 per user/month
- Azure Information Protection
Microsoft 365 for Business Features
You’ve probably heard many people share how Microsoft 365 changed how they do business. But how can it specifically help you enhance your internal workflow, increase your teams’ efficiency, and improve communication throughout the organisation?
You might be wondering what Microsoft 365 for Business can bring to the table.
Stick with this article, and we’ll show you the extensive features and advantages you can get out of Microsoft 365.
Boost Productivity
Since Microsoft 365 is a cloud-based productivity platform, it offers a variety of office (desktop, web, or mobile) apps to make it easier for you to work remotely or on-site. No need to use disaster-prone local servers to store and access your files.
Switching your operations to the cloud will remove any need for hardware and maintenance tasks and reduce IT-related headaches. Instead, you can focus on things that matter most to you and boost your team’s overall efficiency and output.
The great thing about the cloud is it serves as a one-stop place for all your data that you can access anytime and anywhere. With Microsoft 365, you can also work on documents straight from your device. You won't need to connect to an office infrastructure anymore. All you need is an internet connection, and you’re good to go.
The ability to work remotely is an essential thing in the workplace in 2022 and beyond. Now that we’re in the era of hybrid and remote work, the ability to access business data should be fast and efficient when needed. You should be able to collaborate with team members, whether on a document or hold meetings even while lounging at the beach.
That’s how Microsoft 365 can boost your productivity.
You can stay productive (and be even more so) without physically being in the office.
Cloud Access – Anytime, Anywhere
When you store your files in the cloud, you and your team can access them anytime on any device as long as an internet connection is available. This feature comes in handy if multiple individuals work on the same project and need to collaborate on documents and such.
With the sudden shift to remote work in early 2020, many businesses realised the importance of the cloud. And since they can’t be in the office, on-premise servers are no good. So, what was the easiest way for organisations to let their employees work securely from their own homes without issue?
Answer: the cloud.
With the onedrive cloud storage feature in Microsoft 365, you can securely store and access documents 24x7x365 on any device type.
There’s no device tie-up with Microsoft 365. Unlike before when you must strictly use office provided laptops in order to access internal servers. This feature is beneficial for flexible work from home setups and can bestow the freedom to access and work on any documents on any device anywhere.
Business-Grade Security
Data security is one of the essential things to establish in your business, especially since most (if not all) of your operations are done online.
One of the things I appreciate the most with Microsoft 365 for Business is the continuous updates. Since Microsoft is a subscription-based software (you must pay a monthly fee to use the cloud platform), you always get to have the latest versions of the platform without manually updating it.
Microsoft lives and breathes security. It carries a variety of security features that would put you one step ahead against cybercriminals and let you work freely without any worries about a data breach. Security features such as:
- multi-factor authentication
- threat detection
- anti-virus, anti-malware
- spam detection
- geo-blocking
- data encryption
Remember that not all features mentioned above are available on all Microsoft 365 for Business plans. Although you get basic-level protection from the Business Basic, Apps for Business, and Business Standard plans, you get the most protection from the Business Premium plan. This is a rather important thing to weigh in if you’re highly concerned about your business and customers' peace of mind.
All-around Team Collaboration
Collaboration within the office was never easy, to begin with. What more if you must do it remotely?
With Microsoft 365, video brainstorming and collaboration are possible instead of face to face meetings. You will have access to business tools wherein you can present your PowerPoint presentations, update documents together in real-time, and participate in brainstorming sessions about your projects remotely.
Getting work done shouldn’t be complicated. And with Microsoft 365 being a cloud-based productivity platform, you can connect with teammates, potential clients, and business contacts whether you’re working remotely or at the office. You will be able to communicate with team members in Microsoft Teams, work together in real-time on a document either on Word, Excel, or PowerPoint, share stored files from your Microsoft SharePoint network, and exchange emails via Outlook.
You can do many collaborative things on Microsoft 365.
The thing is, you’re only limited to your imagination.
Once you get past that hurdle, you can make your data work for you and your collaborations between teams will be a breeze.
Manageable IT Budget
Since Microsoft 365 for Business works on a subscription-based model, you can easily predict your monthly IT costs without worrying about unexpected charges from unknown sources.
Microsoft charges you for every license within your organisation. The amount per license depends on its functionalities. For example, you may only want a few individuals to have Business Premium, and the rest of the company will have Business Standard. That setup is definitely possible with Microsoft 365.
You can mix and match your own Microsoft 365 plan based on what an employee needs to perform their everyday tasks without all the extra tools they won’t be using anytime soon.
What’s so great about Microsoft 365 is you only get to pay for the services you’re using. Unlike other cloud-productivity platforms, you’re less likely to over-license and waste your budget on features you won't be using now or in the future. With this type of setup, you can save more on IT expenses allowing you to invest in other aspects of your business.
Automatic Updates
I’m not usually the biggest fan of traditional software because of its need for regular updates and patches. That was how software maintenance was done in the early days of the internet, and Microsoft was not an exception.
Platforms nowadays adapted to cloud-based technology and subscription-based model. So you won't have to worry about software updates. You get to enjoy auto-update features and use the latest versions instantly without doing it yourself. This perk gives you more time to focus on business tasks you would rather be doing.
Microsoft 365 for Business automatically updates you to the latest versions of your apps at no additional cost. That way, you are always getting the best experience with the platform and avoiding compatibility issues (in case it arises).
Data Backup Assurance
Accidents happen at the office. The worst of it all is data loss. Without data, your business cannot operate at all. Everything will come to a standstill until you retrieve your data and restore everything to its original state.
Since Microsoft 365 operates on a cloud-based infrastructure, you always get to have a cloud backup of all your data – from emails and documents to photos. If there’s an emergency on your local servers, your team can still access their files in the cloud backup, and you can continue business operations as if nothing happened.
Once your data gets synced to the cloud, every file gets duplicated, saved to the cloud, and will be accessible anytime. You’ll get to access previous versions of your files and recover them in case of accidental/intentional deletions.
So, if you’re worried that you and your team’s work output will be affected by data loss, think again.
Microsoft 365 has got your back.
Microsoft created their cloud-based productivity platform with business continuity in mind.
Is Microsoft 365 the right tool for your business?
It is undeniable that Microsoft 365 for Business can bring a lot to the table.
The cloud-based productivity platform makes work flexible, improves employee productivity, and enhances workplace communication. On top of that, it offers a reasonable pricing model that helps you manage your software budget effectively.
But one question remains: Is it the right tool for your business?
Keep your employees in mind when deciding on the right tools and applications that will help your business operations run smoothly from the office, your home, or both. Once you get that cat out of the bag, along with the help of an awesome IT service provider , you will be pointing your business in the right direction, starting with employee efficiency.
If you’re still on the fence with Microsoft 365 for Business, you can talk it over with a coffee with one of our IT service managers to help you make data-driven decisions for your business to move forward.

How can I get Microsoft 365 Business Premium for my business?
Microsoft 365 Business Premium can be purchased through a Microsoft Partner or directly from Microsoft . Many employees prefer to use their own mobile phones or tablets to access personal and work information rather than carrying multiple devices for each purpose. Many competing mobile data protection solutions require users to switch to a specific mode on their device or use another complex mechanism that users may find intrusive and therefore avoid using.
Microsoft 365 Business Premium offers customers a simple but powerful means of enabling employees to use their personal devices for work while providing the business with the ability to prevent those devices from accessing, retaining, and/or sharing business information.
