Other members typically have doctorates as well and bring complementary areas of specialization to give you well-rounded feedback and oversight.

It’s preferable to have at least one committee member from outside your home department to provide a fresh external perspective. Your graduate program will have specific policies around committee composition, so be sure to review these guidelines before making requests.

The first step to crafting an effective request email is conducting in-depth research on potential committee members. Beyond just their bios and credentials listed online, dig deeper into their research interests, current projects, and publications.

Look for alignment and overlap with your proposed dissertation topic to demonstrate how a faculty member would be well-suited to serve.

Go beyond just browsing public profiles – talk to other students, program staff, and current advisees to get insider perspectives. Ask what professors’ research and advising styles are like.

Learn which ones are particularly dedicated mentors willing to provide prompt feedback and support. Gauge appropriateness of workload – avoid bombarding the busiest faculty. With quality qualitative research, you’ll write a much stronger targeted case for specific individuals.

2. Customize Each Email Request

Rather than blasting a form letter to multiple professors at once, take the time to individually customize each email request. Address professors by name and reference something unique and relevant you learned about their work.

Show you understand their specialty areas and how your topic fits rather than broadly stating “I’m interested in Quantum Physics”. Demonstrate thoughtful consideration for why they in particular would make valuable committee members.

4 Ways to Communicate Better With Your Dissertation Committee

This is the first part of a 5 part series: Your Dissertation Committee . Before you jump into the process of receiving your doctorate degree, you’ll need to focus on a few things, such as who should be in your committee and how you’ll create a good community among all of you. The following tips will make up the rest of the Your Dissertation Committee series, so keep an eye out for these topics over the next few weeks:

1) Assemble a Committee That Can Communicate

After reading your program’s handbook to understand how to develop your dissertation committee, get an idea of who you think may work for each required slot. You will then be able to determine if the personalities you choose will be able to work well together. From this first edition of your committee, you may have to move the puzzle pieces around to ensure that you have a committee that will best help you achieve your goal.

2) Expect Your Committee to Expect More From You

Yes, your committee is there to help you, but they are most likely some of the busiest people at your university. I’m not saying they don’t have time for you, but I am saying that they don’t have time to walk you through every step. As Dr. Jalongo notes from her article, Working with Your Committee: A Behind-the-Scenes Look at Sources of Conflict, the title of “Dr.” lets future colleagues and employers know that you are able to critically think, plan, and research independently.

3) Decipher What Your Committee Says About Your Dissertation

When you read the notes on your document, you may notice that your committee members contradict each other, but don’t let this stress you out. Details tend to stress out doctoral candidates, so it is very possible that your committee members have the same general idea about what they want you to do with your document.

4) Protect Your Relationship With Your Committee/Major Advisor

You might hear stories from other graduate students about how unorganized, unprofessional, and disappointing their committee has been during their dissertation writing process. While this conversation topic may seem harmless to many, it is important to remain professional and protective over your relationship with your committee. If talking negatively about your committee becomes habitual, you could get injured in the long run if a committee member hears certain things through the grapevine.

The Role of the Dissertation Committee

Choosing a dissertation committee, give some warning, make your intentions known, explain their role, dealing with rejection.

Graduate study can best be explained as a series of hurdles. First is getting in. Then comes coursework. Comprehensive exams typically are the culmination of coursework in which you demonstrate that you know your stuff and are ready to begin your dissertation. At this point, you are a doctoral candidate, unofficially known as ABD. If you thought coursework and comps were difficult you’re in for a surprise. Most students find the dissertation process to be the most challenging part of graduate school. It’s how you show that you are an independent scholar capable of generating new knowledge. Your mentor is critical to this process, but your dissertation committee also plays a role in your success.

The mentor is highly invested in the dissertation’s success. The committee serves as an outside consultant, offering a more broad perspective as well as support for the student and mentor. The dissertation committee can serve a checks and balances function that can boost objectivity and ensure that university guidelines are adhered to and that the product is of high quality. Members of the dissertation committee offer guidance in their areas of expertise and supplement the student and mentor’s competencies. For example, a committee member with expertise in specific research methods or statistics can serve as a sounding board and offer guidance that is beyond the mentor’s expertise.

Choosing a helpful dissertation committee isn’t easy. The best committee is composed of faculty who share an interest in the topic, offer diverse and useful areas of expertise, and are collegial. Each committee member should be carefully selected based on the project, what he or she can contribute, and how well he or she gets along with the student and mentor. It’s a delicate balance. You don’t want to argue over every detail yet you need objective advice and someone who will offer insightful, and tough, critiques of your work. Ideally, you should trust each committee member and feel that he or she has your (and your project’s) best interests in mind. Choose committee members whose work you respect, who you respect, and who you like. This is a tall order and finding a handful of faculty who meet these criteria and also have the time to participate on your dissertation committee is a daunting task. It’s likely that not all of your dissertation members will fulfill all of your professional and personal needs but each committee member should serve at least one need.

Work with your mentor to select committee members. As you select potential members, ask your mentor if he or she thinks the professor is a good match to the project. Aside from seeking insight – and making your mentor feel valued – professors talk to each other. If you discuss each choice with your mentor beforehand he is she is likely to mention it to the other professor. Use your mentor’s reaction as an indicator of whether to move forward and approach the potential committee member. You may find that the professor is already aware and may have already implicitly agreed.

At the same time, don’t assume that each professor knows that you’d like them as a committee member. When the time comes, visit each professor with that as your purpose. If you haven’t explained the purpose of the meeting by email then when you enter, sit and explain that the reason you’re asked to meet is to ask the professor to serve on your dissertation committee.

No professor will agree to participate in a project without knowing something about it. Be prepared to explain your project. What are your questions? How will you study them? Discuss your methods. How does this fit with prior work? How does it extend prior work? What will your study contribute to the literature? Pay attention to the professor’s demeanor. How much does he or she want to know? Sometimes a professor might want to know less – pay attention.

In addition to discussing your project, be prepared to explain why you are approaching the professor. What drew you to them? How do you think they will fit? For example, does the professor offer expertise in statistics? What guidance do you seek? Know what the professor does and how they fit in with the committee. Likewise, be prepared to explain why you think they are the best choice. Some faculty might even ask, “Why me? Why not Professor X?” Be prepared to justify your choice. What do you expect expertise-wise? Time-wise? How much or little time and effort will you require? Busy faculty will want to know whether your needs outstrip their time and energy.

If a professor declines your invitation to sit on your dissertation committee, don’t take it personally. Easier said than done but there are many reasons people decide to sit on committees. Try to take the professor’s perspective. Sometimes it’s that they’re too busy. Other times they may not be interested in the project or may have issues with other committee members. It’s not always about you. Participating on a dissertation committee is a lot of work. Sometimes it’s simply too much work given other responsibilities. If they are not able to meet your expectations be grateful that they’re honest. A successful dissertation is the result of a great deal of work on your part but also the support of a helpful committee that has your interests in mind. Be sure that the dissertation committee you build can meet these needs.

How to Write an Email to a Potential Ph.D. Advisor/Professor

One of the most common points of confusion among undergraduates and new graduate students is how to write an email to contact a professor to serve as a potential Ph.D. or graduate school advisor.  This can be a minefield.  Yet the email inquiry to a potential advisor is one of the most important steps in your entire graduate school process, in that it is your chance to make a first impression on the person who will dictate many elements of your life for the next five to ten years.

I have been on the receiving end of many emails from hapless students who clearly had no guidance, and whose communication with me ended up appearing flippant and rude.

Here is that sort of email:

“Dear Professor Kelsky, I am a student at XXX College and I’m thinking about graduate school on xxx and I’m getting in touch to ask if you can give me any advice or direction about that. Sincerely, student X”

This is an instant-delete email.

Here is what an email to a professor should look like:

“Dear Professor XXX,

I am a student at XXX College with a major in xxx.  I am a [junior] and will be graduating next May.  I have a [4.0 GPA] and experience in our college’s [summer program in xxx/internship program in xxx/Honors College/etc.].

I am planning to attend graduate school in xxx, with a focus on xxx.  In one of my classes, “xxx,” which was taught by Professor XXX, I had the chance to read your article, “xxxx.”  I really enjoyed it, and it gave me many ideas for my future research.  I have been exploring graduate programs where I can work on this topic.  My specific project will likely focus on xxxx, and I am particularly interested in exploring the question of xxxxx.

I hope you don’t mind my getting in touch, but I’d like to inquire whether you are currently accepting graduate students.  If you are, would you willing to talk to me a bit more, by email or on the phone, or in person if I can arrange a campus visit, about my graduate school plans?  I have explored your department’s graduate school website in detail, and it seems like an excellent fit for me because of its emphasis on xx and xx,  but I still have a few specific questions about xx and xxx that I’d like to talk to you about.

I know you’re very busy so I appreciate any time you can give me.  Thanks very much,

Why is this email good?  Because it shows that you are serious and well qualified.  It shows that you have done thorough research and utilized all the freely available information on the website.  It shows that you have specific plans which have yielded specific questions.  It shows that you are familiar with the professor’s work.  It shows that you respect the professor’s time.

All of these attributes will make your email and your name stand out, and exponentially increase your chances of getting a timely, thorough, and friendly response, and potentially building the kind of relationship that leads to a strong mentoring relationship.

If the professor doesn’t respond in a week or so, send a follow up email gently reminding them of your initial email, and asking again for their response.  If they ignore you again, best to probably give up.  But professors are busy and distracted, and it may take a little extra effort to get through.

Thanks for posting these bits of advice. There are so many little things about grad school that we don’t know but we are expected to know! Even though I always try to be respectful and professional in my emails to professors, having a template like this is helpful.

You’re very welcome, Liana! I agree, it’s these little unacknowledged and untaught things that can make or break a graduate school career…. I am genuinely mystified as to why graduate colleges don’t keep a full time advisor on the staff to help undergrad and grad students with these small but critical processes. But since they don’t, I’m going to try and be that here at The Professor Is In!

2nd: i didn’t write my email as much detailed as shown above, and i sent my CV as a detailed introduction about me. so how will he see me and how can i fix this?

Hello there! I know this reply is late, but I just want to put it out here so that other students who had the same problem as you can know what to do. I have a question, how long ago did you send the email? If it is just a short while ago, like five minutes, you can send the professor another email saying that you clicked the send button by mistake, and this time round make sure you include a subject. If it is more than five or ten minutes, then it is best to wait for his reply. By waiting I mean one week. If he does not reply in one week, send him another email. This time you can be more detailed. And also do not forget to include the subject.

I have sent phD project proposal to the potential advisor 12 days back, but I have not received any reply from her till today. What Shall I ask her, whether she has gone through the proposal or not or else she is not interested in that topic. Kindly advice

12 days are quite long, I will say send her a reminder email. Just one line will do, asking if she had the chance to read your previous email. If she does not reply in one week, then just move on.

This is really helpful. Actually, I had sent my first email to the potential supervisor which I had written myself without consulting to anyone or any websites and I am happy that I covered all the things that Karen has explained here. After I sent my first email he responded very well and we exchanged three emails as well. Finally he asked me to send my Masters dissertation, CV, and the proposal as well which I did after 20 days and I also got an email from him saying he received it and will get in touch with me soon. But now it has been nearly a month since I haven’t heard anything from him so I thought to write a follow up email to him and once I started writing I myself was not satisfied with the email that I wrote because I thought it was bit arrogant to directly ask what is happening with my application. So I would really be grateful if anyone could help me with that and I also don’t know how long should I wait before sending him follow up email. Any help highly appreciated. Thanks

Good job demonstrating to students how to suck up to their “superiors” (and I use the word very, very lightly) by providing an example of how to properly be a subservient schmuck and schmooze a highly over-inflated, narcissistic ego. But then again, as many will end up wage slaves to people like you, it is a good skill to have. Then again, to others it reads like a massive endorsement for self-reliance.

What I find simply amazing is the endless self-congratulation that many professors give themselves for jumping through hoops in what amounts to an essentially, a pointless bureaucratic game. Hopefully your research contributes to the whole of humanity. Otherwise it is simply a waste of time in the larger scheme of things. There are people starving and dying out there, and we are worried how to properly impress the likes of you? You need to seriously examine the implications of this. In other words — get over yourself.

I found this comment to be stimulating and engaging! Well done! Next time, you could also try to look at things from the other side of the argument. Many of us feel that in order to achieve success it’s important to perform in a way that academics recognise and sadly hoop jumping is a necessary facet of life whether you are a street performer looking for a permit from your local authority or an artist applying for grants from a Charitable Trust. The point of this post and the point it makes quite clearly is that many students such as myself are not trained or advised on the correct protocol concerning contacting people who are probably already quite busy and who have to read literally hundreds of emails a day. If you think you could do a better job or don’t like academia no one is forcing you to do it and there is certainly even less of an obligation to do a PhD. You site doing good for humanity as the goal we should live by. I think you also need to assess the assumptions that this makes and the moral and ethical values you espouse but don’t seem to understand.

Your advisor has to be in the Ph.D. program you enroll in. If you are interested in enrolling in a foreign program (and are still exploring options), then yes, you can get in touch with a potential advisor there, and if accepted, you can then attend that program. They won’t discriminate based on the fact that you are from another country, if your application is strong.

I know I’m replying to an old thread, but it occurred to me that nuno might mean getting an external advisor from a different institution than the one nuno is doing his/her PhD in. Is this done in the States at all? In a lot of European universities it seems to be possible to have an advisor from another programme or even another university.

Hey Christina,

In the US usually you are at the institution where you adviser is. However you usually have outside committee members that supervise your thesis and the can be from outside universities.

My advice is don’t do it. I don’t say that to all potential PhD applicants, but I do say it to older ones. It’s generally a disastrous choice both financially and psychically.

I just wanted to say that I was quite pleased by this advice until I read this response. I entered higher education as a “non-traditional” student and it has turned my life around. I’m now a masters student looking at PhD programs. It pains me to see an someone in your position advising someone against further education because of their age.

Unfortunately with the abysmal job market and the likelihood of massive debt, age becomes a major risk factor in any phd decision. I have seen the tragic outcomes among my clientele. Some do still prevail, but many more do not.

I suppose it depends what field you are in and if you are paid to be at the institution or not. In my field PhD students are typically given full funding packages and stipends, eliminating the need to take out loans. Of course, these stipends aren’t exactly generous and the job market is still dismal, but at least you don’t necessarily have to go into debt to receive a PhD. That being said, are you suggesting that there is another factor, perhaps some sort of “ageism” that also works against older students?

yes, you could. I have the slightest hesitation though. At your stage your cv won’t be very impressive, and may well be completely improperly formatted, so it could do a lot more harm than good. I suppose my instinct would be to not send it, until asked.

It’s great to see you posting something like this, it has really helped me out. I was wondering though, I’m in a situation where there are two professors at the same University that I am interested in speaking with. Should I contact them both or just pick one and stick with it? They are in the same department, but are focused on different aspects of the same field (one is shellfish restoration and the other is shellfish aquaculture).

No, not necessarily. I think most phd students have a deep impulse or drive to do a topic and it just flows out of them. that was the case for me, certainly, and most others I know. If you don’t have that, I think doing the Ph.D. might be difficult.

Thanks for this awesome post. I followed your advices and wrote an e-mail to potential faculty for Ph.D program that I want to join. And it worked very well. I received an e-mail back from him the following morning! I did not ask whether he had time to talk to me though, and I only asked whether he is accepting students this year. His e-mail was very brief (2 sentences), saying # of students he is accepting, and he encourages me to apply. Should I send another brief ‘thank-you’ e-mail? If so, should I try to talk to him more about his group/program? or would it be better to just keep it as ‘thank-you’ e-mail? I would very much appreciate your time and help!

While the second part of this sentence is fine, I’d be rather cautious about the first half. I am in the process of writing a letter to a potential supervisor myself and have gone to talk to different professors in my current university to ask for advice. I do have a topic in mind, but almost everyone told me NOT to mention a specific topic in the e-mail but rather general idea. One of the professors even told me that more often than not the person who says they have something specific in mind will be stubborn about changing their topic (because let’s be honest, PhD topics change) and consequently not asked for an interview.

Then again, I’m speaking from an European’s point of view. Maybe the grad school application approach is different in the States.

I think you are right in that the approach is different in different countries. I am in Australia and I have met up with a university professor. He told me that most people would not be able to choose their own PHD topic and that it is important to be flexible while still making sure you will enjoy the topic you end up doing. This is because the professors apply for grants on specific topics and then need students to do that topic in their PHD. The only way you could do your own topic is if you do a self-funded PHD, i.e. apply for grants yourself. For this reason I will be including broad areas of interest in my emails rather than specific topics.

Dear Karen, Your description was very helpful on how to write the e-mail, but what continues to stump me is what to put into the subject line. During my time as an undergraduate, I have had many professors tell my classes to chose our subject lines wisely because they delete mail not directly related to their classes or from faculty memebers. What would be short, to the point, and attention getting as a subject so the professor doesn’t just immediately delete the e-mail without reading it?

Hons) and have been working in a separate field since graduation (except 1 year spent teaching the Sciences to high school students). I just wanted to say I agree wholeheartedly about following up if you don’t get a response (and you’re serious about the professor and/or line of work). I wrote to a professor enquiring about full time openings in her lab but she didn’t reply. I followed up after 2 weeks, and she replied almost 2 seconds later apologizing for not getting in touch sooner because she was out sick and the email then got forgotten. In this case, there was a happy ending. The prof flew me out for an interview, and I’m still at the same lab working full time. I was never more glad of my persistent stick-to-it-ness.

p.s., I should probably add I didn’t send a form email and that my email was tailored specifically for that lab and the research the PI does.

Hi Karen. Your advice was very useful in helping me figure out and frame my email to a potential supervisor. There is one concern however, and I have been frantically searching online for a tip on the same. I am a student doing my Masters (Thesis-based) and after three years I have decided to switch to a different university for a Course-based degree in the same program. I have completed 6 courses and a part of my research but it took me a while to figure out that research (long term research) does not suit me very well. My confusion is if I should mention that in my email and if I do then how to put it across in a polished manner, so that it does not have any adverse effects on my application. This is a great resource for learning how to properly contact advisers, thank you for making this!

I think it would also benefit for us to know about social/Facebook etiquette when involving potential graduate advisers. Should we befriend them on Facebook? I could see reasons for and against do that. Seeing the posts, pics, and etc., could be helpful in getting to know the adviser better. On the other hand, if the adviser seems something on your page he/she doesn’t like, you run the risk of losing them. What do you? Maybe right another blog on social/ Facebook etiquette with advisers? Thanks!

Thanks for this informative post! Mentioning the potential research focus in the email is still a sticking point for me (“My specific project will likely focus on xxxx, and I am particularly interested in exploring the question of xxxxx”). In my case, there are many research questions I am interested in exploring within a broader topic. I don’t want to be generic, noncommittal, or scattered, but I also don’t want to be dishonest by picking a research question and declaring it my particular interest. How can I reflect this openness while still showing I am focused?

Thank you for this great blog and willingness to share your professional knowledge. Could you please, very briefly, address two issues: 1. If a topic can be supervised by several members of faculty and is rather specific (it`s in social sciences), would it be appropriate to address one (presumably “highest ranking”) professor at the department, but at the end to kindly ask that if she/he is not interested or not able to be advisor to recommend to me someone in the department who could be more appropriate/willing/able/suitable to contact? I don’t think anyone has raised this, but coming from Eastern Europe, I don’t know if this would be considered “weak”, or “improper”, or “insulting”?

2. This is not so important, but I read few people asked similar question and it remained unanswered, but is also in way related to the previous one. I am intending to apply with my partner/fiancee who is in the same discipline, we met on first year, and since have studied, worked and lived together (I am 26, she is 39), and are very successful in it and highly compatible and productive when together – studying the same issue, but from quite different perspectives and different aspects of it (we might need to have different supervisors). Would you consider it to be a drawback that we are applying together for PhD in the US? And do you think that in similar cases it is better to send one e-mail to a Prof., or two separate, or two separate to two Prof.s?

Yes you can do as you say re question 1. Well actually, don’t do it in the initial email. Wait until you’ve had a negative reply and then ask. To ask up front would be a little awkward. Re question 2: it’s fine for you two to both apply but you must both apply independently and contact the profs independently.You can let drop informally that you are a couple, but formally in the apps, it’s got to be entirely individual.

I’ve already contacted some Professors for possible Ph.D. supervision and the content of my e-mail was close to (but not as detailed) as the template here because I was trying to avoid sending a lengthy mail. However, I’ve not gotten any reply for days now. Please, I need your advice; should I resend my mails following this template or … ? Here’s a sample of the mail I sent on Tue, 17th, Sept., 2013:

Hello Prof. XXX,

I am XXX, a graduate of XXX and a current research student at the XXX University. I am writing you this email to inform you of my interest in your field of research (XXX). My current Masters research is in XXX and I have also been researching into more problems in this area. I have been able to come up with a research proposal for proposed Ph.D. and want to solicit your support in seeing my dream come true by accepting to supervise my work. Sequel to my preliminary findings, I make bold to reiterate that I have come to respect your insight and experience in this field and I am open to suggestions and/or corrections to my drafted proposal.

Hello Prof Karen, Thank you for generous tips and advice. I got tired to get such kind of information to relief my stresses. On the other hand, I would expect that I will need a far more deeper guidance about my PhD application road map. I have selected USCD (Materials Science + Chemical Eng.), Carnegie Mellon U. (Materials Science), U of South Florida (Chemical Engineering). My challenge that I will be facing both the TOEFL on Oct 25th and GRE on Dec 19th. Additionally, I have my courses in the master that I study here in Brazil, UFRGS. While the sites of the aforementioned schools state that it is not advised to contact faculties as they can not give any prior admission unless to submit all the application materials; test scores, transcripts, etc, it is welcome to contact them if you want to talk about the research they do or you want to do. The problem is that I am missing mind duel to all this timed tasks that I have to carry out simultaneously. During that I feel that an optional transaction like initiating a contact with a professor who shares my research interests – specially they won’t respond mostly – is not so advisable. Do you agree with me? Second point I study here in Brazil in Portuguese. As an Egyptian, I used to study engineering in a mixture of English and Arabic. Thus, it was difficult to understand and communicate with the teacher and classmates during discussion. After all, it is a MSc and understanding to solve questions in exams is important than understanding the language itself. So that I used to study in English and then make such conversion from English to Portuguese in exam times. As a result, I usually get B grades. I got only one A. Do you think that will lower my chance of getting admission? Third about recommendation letters, I do not have the complete ability to determine which faculty professors I should ask to recommend me. For example, my supervisor is really a nice woman and supportive. However, some times she looks like angry from me and neither I nor my colleagues know a specific reason for that. I just try to relax, supervise, and educate myself. Like that, shall i ask her to recommend me or not. Other professor who was my 65 year old supervisor in Egypt. He was considering me as a son to him and he has written many recommendations to me. But due to out-of-control problems in my work as a TA in the same dept, I feel like he has changed towards me. I am sure that he still appreciate my hard work and traits and he is the most knowledgeable person about me. Shall I ask him to recommend me?

I am an international student. Your article, “how to Write an Email to a Potential Ph.D. Advisor/Professor”, had helped shining the way to communicate with professors who live overseas.

After sending my email to three places, I received a good reply from a prospective professor who told me that I was a good fit to his/her laboratory.

Because this is only one month after submitting my applications, I do not know whether the email from the professor will guarantee my chance of acceptance. At least his/her reply helps me narrow down the researches that I should pursue.

Recently, I came across a problem. I found a university in which there are more than one professor that I would like to work with.

In fact, this problem is often, but I cannot make a decision for this department. Could you please give me advice on whether I should send the letter to more than one professor in the same department or what positive or negative consequences that I might have encounter.

I can’t help but echo what someone else had already mentioned in the earlier posts. I feel like you have to suck up to the professor to get any real attention. I’m a straight forward guy, and I don’t understand why we can’t just keep it short and sweet, like two or three sentences, with a CV/resume.

I don’t think I can bring myself to go into detail about how great the professor is, or how I’ve read all his/her papers, or how excited I am to start my research career. It’s politics, and I hate that game.

I believe the nice thing about this post is that it reminds you to tell something about yourself; your GPA, your experience, your good qualities. I think those are always worth mentioning. The other really nice thing is that it tells you to get to know the supervisor’s research (after all, why would you want a supervisor whose research was not interesting?) But I disagree with being too concerned about pleasing the professor. I think honesty is way better, and I think people should remember that it’s not just the professor evaluating the potential student, but also the student evaluating the professor; if the professor is always busy, he probably won’t have time for you either. Sucking up will eventually *always* fail. Also, by attempting to please the professor too much I think people are supporting a system where professors pick their students based not on their qualifications and interests but how much they like the person. Just my two cents.

As much as your dissertation may have been a battle, and as much as members of your committee may have seemed unreasonable at times, their ultimate goal was to help you be a better researcher and finish your degree. They were your allies. So when you do finish, a strong thank you is important.

You may even dislike members of your committee, but remember that after you finish your dissertation , your committee members don’t just disappear. You will be working in a related field to them and having a good relationship with them may be important for your career later on. For example…

  • You may need a recommendation from them
  • They may be able to introduce you to potential data sources for research
  • They may know people that ask them about you
  • You may do joint research with some of them in the future

Or, maybe you’ve received a ton of support from your committee members and feel nothing but gratitude for how they’ve guided you. In that case, all the more reason to express your gratitude!

Either way, an academic field is a small world. Maintaining good relationships with members of the field is important for your career. And saying “thank you” is just good manners, after all.

Here’s how to write a thank-you note to dissertation committee members who’ve helped you along the way.

Thank Them in the Acknowledgments Section

It’s important to include a thank you note for your dissertation committee members in the acknowledgments section of your dissertation . It doesn’t have to be very long–one or two sentences is enough. It’s vital to do this because it’s expected, and not doing so may seem like an intentional snub.

Thank Your Committee Members Personally

It’s also kind to thank your committee members personally as well. Even the person who’s been hardest on you has helped you get to where you are. A personal thank-you often feels more genuine, personal, and real than what can be communicated by written words. Even if it’s as simple as looking them in the eye, shaking their hand, and saying “thank you for everything,” it matters.

Write a Thank You Note for Dissertation Committee Members

Even if you’ve already done everything above, it’s best to write a separate thank you note for your dissertation committee members as well. There are a couple of reasons to send an additional thank you note. First, they may never look at the acknowledgments section of your dissertation. And secondly, it shows that you went just a little above and beyond. 

With handwriting being what it is today, I’d say it’s acceptable to write it on a computer. Print it out, sign it, and deliver it (slide it under their door, put it in their mailbox, mail it to them).

Tips for Writing a Thank You Note for Your Dissertation Committee 

Be specific. Show them that you paid attention by thanking them for the specific roles that they played and the specific ways that they helped you get to the end. Saying something like, “thank you for being on my committee, without you I would have had to have somebody else on my committee,” isn’t going to endear you to them.

Address them properly. Even though you’re technically a doctor now too, still say, “Thank you Dr. ___” Unless they’ve explicitly asked you to call them by their first name, default to calling them “doctor” until they tell you otherwise.

Be genuine. It’s important not to have your letter sound like a form letter. While it should still be professional, it shouldn’t be sanitized of any personal touch. If you have funny memories of your time working with them, it would be appropriate to recount these with a tone of appreciation.

Dear Dr. ___,

Saying thank you just doesn’t seem to be enough now that you’ve helped me complete this journey. You were an integral part of me being able to make it to the end.

Without the help that you gave me in developing my methodology and the emotional support you gave me, I wouldn’t have made it.

I hope that I can “pay forward” what you’ve done for me by helping other people. I will use your selfless support as a model as I move forward.

I’m writing to offer my deepest gratitude for the guidance you provided me as part of my dissertation committee.  From the time I took your History of Education in the Progressive Era course, I knew you would be the one to help me sort out my thinking on my topic.  Your suggestions brought in threads of thought that made my research so much richer, and my dissertation something I can be proud of having written.  You’ve also inspired me with your own body of research and the gift of helping me visualize a similar trajectory for myself.  I feel confident that I can succeed, standing on your shoulders.

Forming Your Committee

Students should not schedule the proposal defense prior to their committee being finalized and their appointment form being approved by the Graduate School.

It is necessary to have the form approved in advance of the proposal defense, as there are instances in which committee members are not approved (for example, if someone is listed as the Graduate Faculty Representative who the Graduate School does not deem  qualified to serve in this capacity).

The Graduate School's requirements for everything from committee formation to graduation clearance can be found under the Current Students tab on the Graduate School website. 

Composition of the Doctoral Committee: Roles and Responsibilities

The Graduate School requires that doctoral committees consist of no less than four members. These four members must be regular members of the Graduate Faculty or must be granted an exception by the Dean of the Graduate School.  All committees must include a chair and a Graduate Faculty Representative. Assistant Professors are usually not approved to serve as chair unless they have served as a committee member first. Exceptions are granted on a case-by-case basis. 

Graduate Faculty Representative

The primary role of the Graduate Faculty Representative is to ensure that the student is treated fairly and that Graduate School policies are upheld. Expertise in the student's area of research is not a requirement. The Graduate Faculty Representative's responsibilities are explained in greater detail here . Assistant Professors are not eligible to serve as Graduate Faculty Representative. 

The requirement to include an outside member on all dissertation committees is not uncommon among institutions of higher education and is in keeping with best practices in doctoral support. 

Committee Members

Committee members are often chosen to provide topic or methodological expertise. Even without contributing their expertise, committee members may be chosen based on faculty with whom the student has a good professional relationship or who could offer a helpful outside perspective. Committee members are generally not as involved as the committee chair in the everyday progression of the dissertation.  Typically, they read the dissertation only in its final form before the defense, although they should be available for consultation throughout the process and may be more closely involved in sections or chapters in which they have particular expertise. 

The committee members and Graduate Faculty Representative will:

  • Approve of the subject matter and methodology of the thesis or dissertation research
  • Review and comment on drafts of the thesis or dissertation prior to submission to The Graduate School
  • Verify, to the best of their ability, the quality of the data collection and evidence, data analysis, and logical reasoning or interpretation in light of the proposal aims
  • Evaluate whether the student’s thesis or dissertation fulfills the requirements of the degree

Guidelines for Dissertation Committee Service

It is recommended that the membership of the dissertation committee be submitted to the graduate school for approval at least six months prior to the student’s oral defense

The Graduate Faculty

For dissertation committee purposes, “the graduate faculty” consists of persons who are tenure or tenure-track instructional faculty holding an “unmodified” (i.e., not visiting, adjunct, etc.) appointment at the University of Michigan as professor, associate professor, or assistant professor with an earned doctorate from an accredited institution.

Composition of the Dissertation Committee

Dissertation committees must have at least four members, three of whom are members of the graduate faculty ( see definition above ), and two of whom are from the doctoral candidate’s home program. Furthermore, each committee:

  • Must have a sole chair or two co-chairs
  • Must have a cognate member who is familiar with the standards for doctoral research and holds at least a .50 appointment in a Rackham doctoral program, other than the student’s home department/program (except IDP programs.)
  • May include a university faculty member who is not graduate faculty ( see definition above ), a university staff member, or a qualified individual outside the university to provide expertise in the candidate’s discipline

Roles of the Chair (or Co-chairs) and Cognate Member

The chair (or each co-chair) is responsible for guiding and encouraging the candidate’s design and execution of an original, high quality, doctoral-level research project. The end result of this effort is expected to be a dissertation that makes a substantive contribution to the candidate’s discipline.

The cognate member’s role is to broaden the scholarly representation of the dissertation committee beyond the candidate’s home program. The cognate member also serves the graduate school and its faculty by providing a non-specialist’s perspective on the quality of the dissertation.

Eligibility for Service on Dissertation Committees

Nominations for dissertation committee service are made by means of the Dissertation Committee form , which must be signed by the chair of the doctoral candidate’s program. All nominations must be approved by the graduate school and are subject to the following guidelines:

  • Graduate faculty ( see definition above )—i.e., professors, associate professors, and assistant professors—affiliated with a Rackham doctoral program and who hold an earned doctorate from an accredited institution may serve as a member of the committee, or as sole chair, co-chair, or cognate member.
  • Graduate faculty ( see definition above ) not affiliated with a Rackham doctoral program may serve on dissertation committees. They may also serve as co-chair with a member of the graduate faculty ( see definition above ) affiliated with a Rackham doctoral program, but not as sole chair or cognate member.
  • Instructors and lecturers who have no appointment as members as graduate faculty ( see definition above ) may serve on dissertation committees if they hold an earned doctorate from an accredited institution. They may also serve as co-chair with a member of the graduate faculty ( see definition above ) affiliated with a Rackham doctoral program, but not as sole chair or cognate member.
  • Retired and emeriti professors who were affiliated with a Rackham doctoral program may serve on dissertation committees. They may also serve as co-chair or, by special arrangement ( see Special Membership ), as sole chair or cognate member.
  • Research professors (RP,i.e., research professors and research associate professors) who are affiliated with a Rackham doctoral program may serve on dissertation committees if they hold an earned doctorate from an accredited institution. They may serve as a co-chair, regular member or by special arrangement as a sole chair.
  • Research scientists, associate research scientists, assistant research scientists, research assistant professors, and research investigators who are affiliated with a Rackham doctoral program may serve on dissertation committees if they hold an earned doctorate from an accredited institution ( see Special Membership ). They may not serve as sole chair or cognate member.
  • All those who do not have an earned doctorate, whether affiliated with a Rackham doctoral program or not, must be approved for dissertation committee service on a case by case basis. If approved, they may serve as a member of the committee, as the sole chair, co-chair, or cognate member.
  • University faculty and staff not included in the preceding categories and qualified individuals outside the university whose service is desirable may serve on dissertation committees, subject to review on a case by case basis. They may also serve as co-chair with a member of the graduate faculty (see definition above) affiliated with a Rackham doctoral program, but not as sole chair or cognate member.

N.B. No person working toward a doctoral degree may serve on a dissertation committee until all requirements for the degree have been met.

N.B. University faculty who were approved to serve as sole chair or cognate member but who are no longer affiliated with the university may not continue to serve as the sole chair or as the cognate member. The faculty member may serve as a co-chair or as a regular member based upon the eligibility guidelines for dissertation committee service.

Special Membership on the Dissertation Committee

University faculty and staff who are not graduate faculty (see definition above), and qualified people from outside the University of Michigan who may or may not hold academic appointments and whose service on the Dissertation Committee would contribute significantly, may be nominated for special membership by submitting:

  • Dissertation Committee form
  • A memo detailing the nominee’s expertise in the dissertation topic
  • A vita or resume
  • Experience in serving on, and chairing dissertation committees (decision-making experience as chair is required)
  • Service as a teacher of formal courses or seminars
  • Served as a counselor or advisor for doctoral students

Previous experience as a cognate is not required for nomination as cognate (cognate criteria must be met).

Committee function.

Your graduate committee guides your course work and research and serves as your final examining committee. It is generally expected that all committee members or approved substitutes must be present for all formal meetings with the student (e.g. final oral exams). If you have a special case in which a committee member may need to participate remotely, you and your committee must assure that all the conditions listed below for remote participation are met. Your major professor serves as chair of these meetings. 

Roles of committee members

  • Major Professor : Your major professor (MP) is the committee member from your major field who serves as your primary academic advisor, your principal thesis advisor, and the general mentor for your academic program and your research. Your MP must be a Graduate Faculty member in your major department/program who is approved to direct students at your level. In some departments/programs, the student is responsible for selecting a MP; in others, the department/program assigns a MP in consultation with the student. Please check with your major department/program regarding local procedures.
  • Minor Professor : The minor professor is the member on your committee who represents your minor department or field, if you have declared one. This person must be an approved Graduate Faculty member in this minor department/program. If you have an "integrated" minor, your minor professor cannot be from your major department/program but must be from one of the departments/programs represented by the courses in the minor.
  • Graduate Council Representative : All Doctoral students and Master's students who are writing a thesis (as well as all MAIS students) are required to include a Graduate Council Representative on their committee. The Graduate Council Representative (GCR) serves in the role of impartial committee member who advocates for the student and insures that all rules governing committee procedures are followed. They must be present at your final defense of your thesis and are strongly encouraged to attend program meetings. GCRs are required at MAIS degree program meetings. You must select a GCR from the list generated by the  online GCR list generation tool . Faculty can learn more about being a GCR on the GCR guidelines page.

Committee composition

  • EdD, PhD : A minimum of five members of the Graduate Faculty, including two from the major department/program, one from each declared minor field, and a Graduate Council Representative are required. The major professor is one of the two members representing the major department/program. The committee can be completed with graduate faculty from other programs who have been nominated to serve on doctoral committees for the student’s program.
  • Non-Thesis : The examining committee consists of three members of the graduate faculty-two in the major field and one in the minor field if a minor is included. When a minor is not included, the third member may be from the graduate faculty at large. 
  • Thesis : The examining committee consists of at least four members of the graduate faculty-two in the major field, one in the minor field if a minor is included, and a Graduate Council representative. When a minor is not included, the fourth member may be from the graduate faculty at large.
  • MAIS : A minimum of four members of the Graduate Faculty: one from each of three fields, and a Graduate Council Representative are required. The member representing the primary field is the major professor.
  • MAT : A minimum of two members of the Graduate Faculty from the major department and one member of the Graduate Faculty representing the teaching speciality are required. The major professor is one of the two members representing the major department/program.
  • EdM : Individual committees are usually not established for students in these programs. Each student will need to identify a Graduate Faculty member from the major department and Graduate Faculty member representing the minor department if a minor is declared.
  • MF : Two members of the Graduate Faculty from the major department; one member of the Graduate Faculty from the minor if a minor is declared, otherwise another member of the Graduate Faculty; and a Graduate Council Representative if a thesis is involved. The major professor is one of the two members representing the major department.
  • MPH : Three members of the Graduate Faculty from the department and a Graduate Council Representative if a thesis is involved. The major professor is one of the members representing the department.

Remote access at committee meetings

It is generally expected that all members of graduate committees should be physically present at all required graduate committee meetings (i.e., program meetings, preliminary examinations, and final examinations). However, it is permissible for the student, and/or committee members to participate from a remote location provided the conditions listed below are met:

  • Advance agreement of the student and all committee members has been obtained.
  • All participants join in with two-way audio and video connections; audio-only connections must be approved by the major professor if the video connection is not possible. When the student is the remote participant, his or her connection must be an audio and video connection.
  • Any visual aids or other materials have been distributed in advance to the remote participants.
  • The committee members participate in the complete meeting, discussion, presentation, and evaluation.
  • The student is responsible for making arrangements.

Changing your committee membership

If it becomes necessary to replace one of your committee members after your committee has been established or to substitute a committee member for a particular meeting, refer to your committee composition requirements. Ensure that your replacement member is a member of the Graduate Faculty and approved for his or her proposed role. If the faculty member is not a member of the Graduate Faculty or is not approved for the role proposed, your major department/program will need to nominate the proposed member to act in those roles using the Nomination to Graduate Faculty form . Committee structure is evaluated when your program of study is received by the Graduate School and when you schedule your formal examination(s).

First off, congratulations on advancing to this stage in your academic career! Meeting the requirements for your thesis is not an easy task but you did it! You deserve to celebrate your achievements, both big and small. 

After you have finish celebrating, it’s now time for you to select committee members for your thesis. A thesis committee is a group of faculty members who provides mentorship for your entire thesis experience.

Before you begin randomly selecting members of your committee, there are a few steps and strategies that will help you pick the right members!

Where do I start?

  • Review the requirements for thesis committees in your department

Rice provides requirements for thesis committees online . For example, a thesis committee for a graduate student in the psychological sciences must have three members (your advisor and two others). At least two committee members must be within your department. Reviewing the requirements will help you understand who can and cannot be on your committee!

  • Breaking down your topic

If you are considering committee members, you likely have a draft of your master’s proposal or at least an idea of what your project will be about. Consider the keywords of your project (i.e., what are five terms that can be used to categorize your proposal?). These keywords are the core of your project and can help you identify faculty that align with your interests and research goals.

  • Connect your topic to faculty research

Now that you have identified your keywords, think about faculty that you know in your department that are knowledgeable in the topics you are studying. You can also search faculty/lab websites or Google Scholar if you are unfamiliar with a faculty member’s research expertise. 

If there are aspects of your master’s proposal that are interdisciplinary, don’t be afraid to search for faculty outside of your department that can provide you with a valuable perspective on your research topic.

Who should I be in communication with?

  • Talk with your advisor

Often, your advisor will have suggestions for potential committee members. Your advisor is one of the few people that will understand both the scope of your research project and know the faculty expertise in your department. Listen to your advisor’s recommendations and suggestions, note any faculty that may be a good fit, and share any ideas that you have based on your search in steps 2 and 3. Don’t feel constricted the recommendations from your advisor either, your peers could also be a resource.

  • Talk with your peers

Older peers in your program often have a great perspective on selecting thesis committee members. Your peers may also have first hand experience with the same faculty members you are considering. E.g., Professor X provides more substantive feedback than Professor Y, so if you want substantive feedback, this is extremely helpful information!

  • Talk with other faculty

Don’t be afraid to schedule meetings with potential faculty members if you want to discuss your thesis. Meeting with faculty is a great way to explain your project, hear their feedback, and gauge their interest.

I’ve talked to everyone on the list; what's next?

  • Email potential committee members

Once you have selected your committee members, it is now time to email them! This might be scary or feel like a daunting step, but remember that the faculty at Rice are here to support you and help cultivate your skills as a researcher. Committee members are your team members, and are here to ideally provide constructive feedback to make your project even better!

When emailing faculty, make sure to use an appropriate tone, provide the title of your thesis, explain your project in a few sentences (or add your abstract), and note any specific reasons that that faculty is a good fit.

For example, if a faculty member has expertise relating to a theory you are applying in your research, make sure to name the theory in your email! The goal is for your potential committee members to have a clear understanding of the scope of your project and connect their expertise to your project.

What should I be mindful of during this process?

  • Handling rejection

If a prospective committee member declines your offer, it’s okay! Do not take it personally or be discouraged! There may be many reasons why a faculty member might decline (e.g., tight on time, perceived lack of fit, or think another faculty member might be a better fit). Do, however, consider other faculty members and consider scheduling a meeting to discuss your thesis project. Meeting with potential committee members can help you understand if they would be a good fit, plus it’s a great opportunity to meet faculty members outside of your courses!

  • Sticking to your timeline

Lastly, keep in mind your deadlines. Different departments have different requirements for scheduling your proposal and declaring your master’s candidacy. For example, in the Psychological Sciences department, a student can propose their master’s without declaring a master's candidacy. However, it is required that committee members are notified at least ten days prior to scheduling your proposal meeting.

PhD Qualifying Examination

The examination to determine a student’s candidacy for the PhD degree tests the student’s fitness to undertake independent research. It is comprehensive in nature and includes both written and oral parts.

If the student’s written examination is satisfactory, the student may proceed to the oral portion of the exam. If additional material is to be covered in the oral portion, the student should be notified of the content expectations in advance. The oral portion of the examination should be scheduled within a few days of the written portion of the qualifying exam. It should not be on the same day and it should be scheduled no more than 60 days after submission of the completed written portion to the qualifying exam committee.

PhD Qualifying Examination Committee

The qualifying exam committee is responsible for supervising the student’s preparation for the exam and its evaluation. The Appointment or Change of Qualifying Exam Committee form is used to establish the qualifying exam committee. The form requires the signature of each member of the committee, the department chair or director, and the dean or dean’s designate. The completed form is filed in the student’s home department or program.

The qualifying exam committee is composed of five members. The committee chair and at least two additional members must have an official appointment in the student’s program.

Committee members may be tenured, tenure track and full-time RTPC (research, teaching, practice, clinical) USC faculty.

The committee may also include an “outside” member and/or an “external” member. A USC faculty member from outside the student’s home program is called the “outside member.” The “external member” may be a faculty member from an institution other than USC, or an individual whose professional profile demonstrates an impact on the field in significant, measurable ways. The CV of the external member must be uploaded by the program to the Graduate School as part of the Report on Qualifying Examination. Students should confer with their program about "outside" or "external" members.

Part-time adjunct faculty may serve on a PhD committee as “external members.” Permission from the Vice Provost for Academic Programs is needed if part-time adjunct faculty are to serve in a role other than “external member”. Programs should contact the Graduate School well in advance of the qualifying exam date to request a General Petition that will record the participation of part-time adjunct faculty in a role other than “external member”. The CV must be uploaded by the program to the Graduate School as part of the Report on Qualifying Examination.

Remote Participation during the Qualifying Exam

For the PhD qualifying examination, all committee members may participate remotely. Remote participation of committee members should be indicated in writing on the Report on Qualifying Examination.

PhD Dissertation Committee

The dissertation committee is composed of at least three and no more than five members. The committee chair must have an appointment in the student’s program. All committees must have a majority of members from the student’s home program.

Emeriti faculty appointed to a qualifying exam committee when they were full-time faculty at USC may continue to serve on the dissertation committee until the student has graduated. Similarly, a former USC faculty member who was appointed to the qualifying exam committee while they were a full-time USC faculty member may continue to serve on the dissertation committee until the student has graduated.

Remote Participation during the Dissertation Defense

For the dissertation defense, the committee chair and the student must be present, unless the relevant dean and the Vice Provost for Academic Programs provide written permission for remote participation. Programs should contact the Graduate School well in advance of the defense date to request a General Petition that will record the remote participation of either the student or chair. Members who participate remotely will be noted on the dissertation Approval to Submit forms.

  • This form is created digitally through the Thesis Center registration process. It is signed by committee members via email after the dissertation has been successfully defended. The student must initiate the email to their committee members in Thesis Center.

Committee Participation for Master’s Thesis Committees

The student’s master’s committee directs the student’s program of study and thesis or comprehensive examination. The master’s committee consists of at least three and no more than five members. At least two of the members must be faculty in the student’s home program, and may be tenured, tenure track, full-time RTPC (research, teaching, practice, clinical) or part-time adjunct faculty. The committee chair must have an appointment in the student’s program. All committees must have a majority of members from the student’s home program.

The student’s thesis or master’s committee is responsible for the content, adherence to departmental formatting requirements, and bibliographical consistency of the thesis.

The Guidelines

PhD students who meet the following criteria are eligible for a one-semester parental leave:

  • If they are pregnant or are the primary caregiver of their newborn child or adopted child under six years of age
  • The student has completed at least one semester in their PhD program and is making good progress
  • The student was admitted with an offer letter for a 4 or 5-year "package" consisting of support through any combination of teaching assistantship, research assistantship, and fellowship

Parental leave may be taken during the semester in which the child is born or adopted, or during the semester immediately following. A student on approved parental leave receives the base graduate assistant stipend from the Graduate School for one semester. Individual schools are expected to top off the base stipend to the level of the stipend stipulated in the student's offer letter and to cover the cost of the student's USC student health insurance and student health center fee. Students should enroll in GRSC 804 to ensure continued access to health insurance and the monthly stipend. While on parental leave, students are not eligible for federal financial aid. Students with loans should consult with the Office of Financial Aid before beginning parental leave. International students should discuss the parental leave with the Office of International Services to be sure there are no unforeseen issues related to their visa status.

The Process

A leave request should be submitted the semester before the leave will take place. The student should submit to the Graduate School the following:

  • the Request for Parental Leave for PhD Students,
  • a copy of the offer letter, 
  • primary caregiver statement, and
  • one of the following:
  • a verification of pregnancy signed by a US doctor (available at USC Student Health Center) or
  • a birth certificate for the infant child or
  • a statement of adoption from an adoption agency

The Graduate School will process the leave request and inform the student and the staff graduate advisor in the student’s home department when a decision has been made. To begin the process, students should talk with the staff graduate advisor in their department or program.

Below are the most common requests and petitions that require the approval of the Graduate School. To initiate a request or petition, students should see the staff graduate advisor for the department or program.

Application for Readmission

This form is required for a student who wishes to return to their graduate program if the cumulative GPA is below 3.0, or if readmission is sought after more than two years of an unapproved absence.

Extension of Time

If a student exceeds the time limit to complete their degree, then the student must request permission for a time extension.

Leave of Absence

A student requests permission to take a leave of absence if the student does not wish to be enrolled in their degree program in a given semester.

Request for Approval of Graduate Assistant Appointment Over 50% or Less Than 25%

Many PhD students have a 50% appointment as a graduate assistant (RA or TA). Because of the potential risk to students' timely academic progress, the Graduate School typically will consider an average of five additional hours per week in a second appointment.

Request to Exceed GRSC 800 Enrollment Limit Form

After enrolling in GRSC 800A and GRSC 800B, this form is necessary when a student needs to register for  GRSC 800Z: Studies for the Qualifying Exam.

Reserve for Graduate Credit Coursework Taken as an Undergraduate - Exceptions:

During the last semester as a senior, an undergraduate may enroll in a limited amount of coursework at the 400 and 500 levels and request that it be reserved for graduate credit. Students should speak with their advisors for more information.

Guidelines for Forming Ph.D. Committee

The role of Ph.D. committees is to provide frequent feedback and advice to the Ph.D. candidate. The committee shares the responsibility of guiding the student's research to successful completion. Students should not view the committee as obstacles, but rather as additional mentors and possible promoters of their thesis research. When applying for jobs, committee members are often the first choice for seeking recommendation letters. It is expected that the Ph.D. advisor work closely with the student in determining the most appropriate committee members.

Timeframe for Establishing Committees

In the semester that the qualifying exam is passed, the student is expected to form a Ph.D. committee. Committee members may easily be added or removed during the time from the qualifying exam to the final exam (thesis defense).

Committee Members

The Ph.D. committee must satisfy the requirements imposed by the Graduate College and the Siebel School of Computing and Data Science:

  • There must be at least four voting members (normally, all are designated as such).
  • At least three and no less than half of the voting members must be members of the Illinois Graduate Faculty.
  • At least two of the voting members must be tenured faculty from the University of Illinois.
  • At least three members must be members of the extended faculty in the Siebel School of Computing and Data Science with graduate advising privileges in the school. Members who satisfy this criteria include the regular faculty, the teaching faculty with graduate advising privileges in the school, and people with non-visiting (assistant/associate/full) professor appointments in the school that carry one or more of the following modifiers - adjunct, affiliate, research or emeritus). Two of these three members must be full-time (non-affiliate) members in the school.
  • At least one member must be from outside of the University of Illinois Urbana-Champaign (outside member is required only for students who have passed the qualifying exam in spring 2006 or later, however, it is highly recommended for all students). The outside member cannot have been a student of the current thesis advisor or any other University of Illinois committee member nor have been a University of Illinois student within the last five years. The outside committee member must have independent publications that occurred after earning their Ph.D. In addition, if the outside member is a Post-doc, he/she can serve as a non-voting member only.
  • If there are more than 4 members on a committee, the majority vote needs to favor the Siebel School of Computing and Data Science faculty. If you are unsure, please contact Jennifer Comstock at [email protected] .

Note: The outside member must have a Ph.D. and does not need to be a university faculty member. For example, this member could belong to an industrial or government research lab. If necessary, teleconferencing technology may be used for the prelim exam. For approval of the outside member, the Siebel School of Computing and Data Science and the Graduate College require their CV and a brief statement of why they were chosen.

The five requirements above are also imposed on the Ph.D. committee for the Final Exam (although the committees may be different) .

Advice on How to Form the Committee

  • It is good for students to involve additional researchers in their efforts as early as possible. Remember, students are not locked into particular committee choices until their Preliminary Exam. In some sense, the Ph.D. committee is just a formal mechanism to stimulate interaction between faculty and students.
  • It is generally recommended that a student have at least one committee member who is not a specialist in the general area of research pursued in the thesis. The ability to explain and justify research to outsiders is crucial to the success of a researcher.
  • It is fairly common to have more committee members than the minimum of four. This helps to further enhance the quality and visibility of the work. Furthermore, it may be easier to satisfy the five requirements on Ph.D. committees by having more members.

Email netiquette for telling thesis committee member I've replaced

I'm a fourth-year Ph.D. candidate in the social sciences.

I've decided to replace one person in my doctoral thesis committee because she is not giving me any feedback or responding to my emails in reasonable times. I can go sometimes for almost a year without any feedback. Since I have to move forward with my degree, and I've been delayed for almost a year because of her, I have to inform her that I have replaced her. But I don't know how to phrase it in order to not offend her. I need to be very tactful and diplomatic here.

Any suggestions of how I could go about to tell her?

EDIT : She was replaced, I had to tell her by writing, and she was not offended at all. So it's all good!

Certainly where I work students are consulted on the composition of the committee but members are not appointed by the student. Before contacting her you should speak to your primary supervisor about the issue and ensure that your primary supervisor agrees to change the composition of your panel. You should explain the problems you are facing and how the tardiness of this panel member is holding back your research. If your primary supervisor is in agreement with you (which would be likely in these conditions) then it is likely that he/she will discuss the issue with the other members of your supervisory panel to come to a consensus on an appropriate way forward. Assuming that your primary supervisor is in agreement with removing this other person from your panel, it is likely that you won't end up having to action the matter at all --- what is most likely is that the supervisor you're having trouble with would voluntarily withdraw from the panel. You would then email her to thank her for her time and effort in your supervision and that would be it.

Now, if you find yourself in disagreement with your primary supervisor (or your supervisory panel more broadly) on this issue, then it gets trickier and you are going to have to do some more work to look into the rules for panel composition. You would need to look into the university rules to see whether a change in composition of your panel is something you can execute yourself, or whether it is something that is a decision of the Department or your primary supervisor. You might need to present a case for why you want a change in the composition of your panel, which it sounds like you can do. As to how to communicate to the problematic supervisor, the normal rules of professional etiquette apply --- be polite and appreciative of the work she has already done for you, but be clear and candid about what you want to do.
