We’d like to let you in on a little secret: no one, including us, enjoys writing timed essays. But a little practice goes a long way. If you want to head into your AP English Exam with a cool head, you’ll want to know what you’re getting into ahead of time. We can’t promise the AP Lang Argument Essay will ever feel like an island vacation, but we do have tons of hand tips and tricks (plus a sample essay!) below to help you do your best. What is the AP Lang Argument Essay?

The AP Lang Argument Essay is one of three essays included in the written portion of the AP English Exam. The full AP English Exam is 3 hours and 15 minutes long, with the first 60 minutes dedicated to multiple-choice questions. Once you complete the multiple-choice section, you move on to three equally weighted essays that ask you to synthesize, analyze, and interpret texts and develop well-reasoned arguments. The three essays include:

Synthesis essay: You’ll review various pieces of evidence and then write an essay that synthesizes (aka combines and interprets) the evidence and presents a clear argument. Read our write-up on How to Write the AP Lang Synthesis Essay here.

Argumentative essay: You’ll take a stance on a specific topic and argue your case.

AP Lang Argument Essay Rubric

The AP Lang Argument Essay is graded on 3 rubric categories : Thesis, Evidence and Commentary, and Sophistication . How can you make sure you cover all three bases in your essay? We’ll break down each rubric category with dos and don’ts below:

  • Thesis (0-1 point)

When it comes to grading your thesis, AP Exam graders are checking off a box: you either have a clear thesis or you don’t. So, what crucial components of a thesis will get you your check mark?

  • Make sure your thesis argues something . To satisfy your graders, your thesis needs to take a clear stance on the issue at hand.
  • Include your thesis statement in your intro paragraph. The AP Lang Argumentative essay is just that: an essay that makes an argument, so make sure you present your argument right away at the end of your first paragraph.
  • A good test to see if you have a thesis that makes an argument for your AP Lang Argumentative Essay: In your head, add the phrase “I agree/disagree that…” to the beginning of your thesis. If what follows doesn’t logically flow after that phrase (aka if what follows isn’t an agreement or disagreement), it’s likely you’re not making an argument.
  • In your thesis, outline the evidence you’ll cover in your body paragraphs.

AP Lang Argument Essay Rubric (Continued)

  • Avoid a thesis that merely restates the prompt.
  • Avoid a thesis that summarizes the text but does not make an argument.
  • Avoid a thesis that weighs the pros and cons of an issue. Your job in your thesis is to pick a side and stick with it.
  • Evidence and Commentary (0-4 points)

This rubric category is graded on a scale of 0-4 where 4 is the highest grade. Unlike the rhetorical and synthesis essays, the evidence you need to write your AP Lang Argument Essay is not provided to you. Rather, you’ll need to generate your own evidence and comment upon it.

What counts as evidence?

Typically, the AP Lang Argument Essay prompt asks you to reflect on a broad cultural, moral, or social issue that is open to debate. For evidence, you won’t be asked to memorize and cite statistics or facts. Rather, you’ll want to bring in real-world examples of:

  • Historical events
  • Current-day events from the news
  • Personal anecdotes

For this essay, your graders know that you’re not able to do research to find the perfect evidence. What’s most important is that you find evidence that logically supports your argument.

What is commentary?

In this essay, it’s important to do more than just provide examples relevant evidence. After each piece of evidence you include, you’ll need to explain why it’s significant and how it connects to your main argument. The analysis you include after your evidence is commentary .

  • Take a minute to brainstorm evidence that logically supports your argument. If you have to go out of your way to find the connection, it’s better to think of different evidence.
  • Include multiple pieces of evidence. There is no magic number, but do make sure you incorporate more than a couple pieces of evidence that support your argument.
  • Make sure you include more than one example of evidence, too. Let’s say you’re working on an essay that argues that people are always stronger together than apart. You’ve already included an example from history: during the civil rights era, protestors staged group sit-ins as a powerful form of peaceful protest. That’s just one example, and it’s hard to make a credible argument with just one piece of evidence. To fix that issue, think of additional examples from history, current events, or personal experience that are not related to the civil rights era.
  • After you include each piece of evidence, explain why it’s significant and how it connects to your main argument.
  • Don’t summarize or speak generally about the topic. Everything you write must be backed up with specific and relevant evidence and examples.
  • Don’t let quotes speak for themselves. After every piece of evidence you include, make sure to explain and connect the evidence to your overarching argument.

AP Lang Argument Essay (Continued)

  • Sophistication (0-1 point)

According to the College Board , one point can be awarded to AP Lang Argument essays that achieve a high level of sophistication. You can accomplish that in four ways:

  • Crafting a nuanced argument by consistently identifying and exploring complexities or tensions.
  • Articulating the implications or limitations of an argument by situating it within a broader context.
  • Making effective rhetorical choices that consistently strengthen the force and impact of the student’s argument.
  • Employing a style that is consistently vivid and persuasive.

In sum, this means you can earn an additional point for going above and beyond in depth, complexity of thought, or by writing an especially persuasive, clear, and well-structured essay. In order to earn this point, you’ll first need to do a good job with the fundamentals: your thesis, evidence, and commentary. Then, to earn your sophistication point, follow these tips:

  • Outline your essay before you begin to ensure it flows in a clear and cohesive way.
  • Include well-rounded evidence. Don’t rely entirely on personal anecdotes, for example. Incorporate examples from current events or history, as well.
  • Thoroughly explain how each piece of evidence connects to your thesis in order to fully develop your argument.
  • Explore broader implications. If what you’re arguing is true, what does that mean to us today? Who is impacted by this issue? What real-world issues are relevant to this core issue?
  • Briefly explore the other side of the issue. Are the instances where your argument might not be true? Acknowledge the other side, then return to proving your original argument.
  • Steer clear of generalizations (avoid words like “always” and “everyone”).
  • Don’t choose an argument you can’t back up with relevant examples.
  • Avoid complex sentences and fancy vocabulary words unless you use them often. Long, clunky sentences with imprecisely used words are hard to follow.

AP Lang Argument Sample Prompt

The sample prompt below is published online by the College Board and is a real example from the 2021 AP English Exam. The prompt provides background context, essay instructions, and the text you need to analyze.

Suggested time—40 minutes.

Many people spend long hours trying to achieve perfection in their personal or professional lives. Similarly, people often demand perfection from others, creating expectations that may be challenging to live up to. In contrast, some people think perfection is not attainable or desirable.

Write an essay that argues your position on the value of striving for perfection.

In your response you should do the following:

  • Respond to the prompt with a thesis that presents a defensible position.
  • Provide evidence to support your line of reasoning.
  • Explain how the evidence supports your line of reasoning.
  • Use appropriate grammar and punctuation in communicating your argument.

AP Lang Argument Essay Example

As the old phrase says, “Practice makes perfect.” But is perfection something that is actually attainable? Sometimes, pushing for perfection helps us achieve great things, but most often, perfectionism puts too much pressure on us and prevents us from knowing when we have done the best we can. Striving for perfection can only lead us to shortchange ourselves. Instead, we should value learning, growth, and creativity and not worry whether we are first or fifth best.

Students often feel the need to be perfect in their classes, and this can cause students to struggle or stop making an effort in class. In elementary and middle school, for example, I was very nervous about public speaking. When I had to give a speech, my voice would shake, and I would turn very red. My teachers always told me “relax!” and I got Bs on Cs on my speeches. As a result, I put more pressure on myself to do well, spending extra time making my speeches perfect and rehearsing late at night at home. But this pressure only made me more nervous, and I started getting stomach aches before speaking in public.

Once I got to high school, however, I started doing YouTube make-up tutorials with a friend. We made videos just for fun, and laughed when we made mistakes or said something silly. Only then, when I wasn’t striving to be perfect, did I get more comfortable with public speaking.

In the world of art and business and science, perfectionism can also limit what we are able to achieve. Artists, for example, have to take risks and leave room for creativity. If artists strive for perfection, then they won’t be willing to fail at new experiments and their work will be less innovative and interesting. In business and science, many products, like penicillin for example, were discovered by accident. If the scientist who discovered penicillin mold growing on his petri dishes had gotten angry at his mistake and thrown the dishes away, he would never have discovered a medicine that is vital to us today.

Some fields do need to value perfection. We wouldn’t like it, for example, if our surgeon wasn’t striving for perfection during our operation. However, for most of us, perfectionism can limit our potential for learning and growth. Instead of trying to be perfect, we should strive to learn, innovate, and do our personal best.

AP Lang Argument Essay Example: Answer Breakdown

The sample AP Lang Argumentative Essay above has some strengths and some weaknesses. Overall, we would give this essay a 3 or a 4. Let’s break down what’s working and what could be improved:

  • The essay offers a thesis that makes a clear argument that is relevant to the prompt: “Striving for perfection can only lead us to shortchange ourselves. Instead, we should value learning, growth, and creativity and not worry whether we are first or fifth best.”
  • The first body paragraph provides evidence that supports the essay’s thesis. This student’s personal anecdote offers an example of a time when perfectionism led them to shortchange themselves.
  • The second body paragraph provides additional evidence that supports the essay’s thesis. The example describing the discovery of penicillin offers another example of a situation in which perfectionism might have limited scientific progress.
  • The writer offers commentary explaining how her examples of public speaking and penicillin illustrate that we should “value learning, growth, and creativity” over perfectionism.
  • The essay follows one line of reasoning and does not stray into tangents.
  • The essay is organized well with intro, body, and concluding paragraphs. Overall, it is easy to read and is free of grammar errors.

What could be improved:

  • Although the second body paragraph provides one good specific example about the discovery of penicillin, the other examples it offers about art and business are only discussed generally and aren’t backed up with evidence. This paragraph would be stronger if it provided more examples. Or, if this writer couldn’t think of examples, they could have left out mentions of art and business altogether and included alternate evidence instead.
  • This writer would more thoroughly support their argument if they were able to offer one more example of evidence. They could provide another personal anecdote, an example from history, or an example from current events.
  • The writer briefly mentions the other side of the argument in their concluding paragraph: “Some fields do need to value perfection. We wouldn’t like it, for example, if our surgeon wasn’t striving for perfection during our operation.” Since it’s so brief a mention of the other side, it undermines the writer’s overall argument. This writer should either dedicate more time to reflecting on why even surgeons should “value learning, growth, and creativity” over perfectionism, or they should leave these sentences out.

A comprehensive guide to the AP style of writing

The Associated Press Stylebook (a.k.a. AP Stylebook) is to journalists what HubSpot is to content marketers: the industry “bible.” 

For more than 50 years, journalists have turned to AP Style for everything from grammar and style rules to trusted best practices. But for content writers and content marketers who aren’t formally trained in AP style, mastering the 500-page book, which is updated annually can be a herculean undertaking.

Fortunately, the nuts and bolts of AP style can be simplified into five main categories:  numbers, dates, citations, capitalization , and headlines. By following AP guidelines for these elements, writers can enforce a sense of consistency that makes content easier to write and more pleasant to read through.

What is AP style?

Associated Press (AP) style is the go-to English style and usage guide for journalism and news writing, such as magazines and newspapers. AP style dictates basic rules for grammar and punctuation, as well as specific styles for numbers, spelling, capitalization, abbreviations, acronyms, and much more.

The ins and outs of AP style can be found within the “Associated Press Stylebook and Briefing on Media Law.”. While the AP style guide was originally sold as a handbook for reporters, it’s rapidly become the leading reference for the majority of public-facing communication, including websites, white papers, and press releases to reflect new additions to the English language or address common verbiage seen in the media. For instance, the latest edition included new or revised entries for digital wallets, smart devices, and the novel coronavirus. If you’re ever in doubt about acceptable word use or modern jargon, the style guide is continuously refreshed to keep up with trends.

What are the benefits of using AP style?

AP style was originally developed with print media in mind. Back in the 1950s, when the guide was first published, writing space was limited, and it was extremely costly for news outlets to correct errors. 

Today, the ease of online media outlets and blogs makes available space much less of an issue. However, that’s not to say that many of AP’s earliest benefits for journalists don’t still benefit the content marketers of today. 

For one, the continued use of AP style means that writing style is uniform across all outlets. This helps ensure that content marketing is easy to read and concise, so it can connect with a wide audience. Plus, it creates a writing style readers can come to expect and recognize, assisting in branding efforts.

Secondly, content marketers can benefit from the “inverted pyramid” approach of AP style. The most important information is presented first, in the lead or introduction. Supporting information is presented lower in the copy, and the least important details are always included last. 

Of course, this approach stems from the days where newspapers were printed with very limited space. With the “inverted pyramid” thought process, printers could simply cut off the bottom of a story if it didn’t fit in the allotted column. Today, content marketers should always present their audience with the most important information first, so if a reader leaves the page mid-way through, they’ve at least instilled the most relevant part of their message.

Unless you’re prepared to invest several hours into scanning hundreds of pages in the AP style guide, it’s easier to review the most common best practices for AP style. When it comes to content marketing, best practices typically revolve around numbers, dates, citations, capitalization, and headlines.

AP style guidelines for numbers

According to AP style, content writers should spell out numbers one through nine and use numerals for numbers 10 and higher. But readers be warned, there are exceptions to this rule.

Instances in which a writer should always use numerals instead of writing out numbers include:

However, there are also a few exceptions to AP style guidelines for numbers. Writers should always spell out numbers used at the beginning of a sentence, such as, “Forty students…” but years should always be written with numerals, such as, “1980 was…” 

When making a number plural, a writer should add an s but no apostrophe. This rule applies to decades as well. So, a content marketer could write that they rolled all 7s in dice or they loved music from the 90s.

AP style guidelines for dates

When it comes to dates, writers should always use a numeral without the addition of “st, nd, rd, or th.” When a month is used with a specific date, the month should be abbreviated. In other words, a writer would refer to New Year’s Day as Jan. 1 — not January 1, January 1st, or January first. 

Months that should be abbreviated when used in a full date include:

February (Feb.)

If a writer is using only a month and a year to refer to a time period, the month should be spelled out fully. There should be no comma between the month and year. For example, the second month of this year would be written as February 2020. 

If a phrase refers to a month, day, and year, the year should be separated with a comma — i.e. March 10, 1990, or Oct. 14, 1995.

For days of the week, you should always capitalize the specific day but never abbreviate it.  

In addition, if you are referring to a specific day that is more than one week away, you should also reference the month and year. 

When it comes to time, even hours do not require a colon and two zeroes at the end. For instance, “eight o’clock” in AP style is simply 8, not 8:00. To distinguish between night and day, a writer should always include “a.m.” or “p.m.” after the numeral. However, it’s best to use “midnight” or “noon” instead of 12 a.m. or 12 p.m.

AP style guidelines for citations

Most writers are familiar with MLA or APA citations used in high school and college essays. Unlike these style guides, AP style doesn’t specify page formatting and citation rules quite as harshly. However, it does provide a standardized way of referencing people, dates, and things.

When referencing people, always use the person’s first and last name upon the first mention. Only use the person’s last name on the second reference. It’s unnecessary to utilize courtesy titles, such as Miss, Ms., Mrs., or Mr., unless they’re part of a direct quote or necessary to differentiate between individuals with the same last name (i.e. Mr. and Mrs. Smith). 

Pro Tip: When referring to people with academic degrees, use abbreviations after their name. For example, Joe Smith, Ph.D., or Mary Jones B.A.

Always be sure to use the word said to attribute a quote to an individual. Alternatively, writers can substitute ‘said’ for a more impactful verb, such as exclaimed, yelled, or asked. Punctuation for quotes should always remain within the quotation marks — “Like that?” you asked and “Like this,” I said.

When citing print and news articles on the first mention, writers must include:

1. The name of the author or writer

2. Title of work

3. Date of work

4. Where it was published

Once the writer fully identifies the source, including the name, title, and date of publication, it’s only necessary to identify the source by their last name upon second or later mentions. 

For books, writers must include the author and title of the book as well as the year it was published on the first mention. Upon second or later mention, only the author’s last name is necessary.

For websites, citation varies slightly in AP style. A writer should only use a website citation when citing a study or a statistic. An article on the website would simply be cited as an article.

For instance, Statista.com is loaded with statistics. To cite this source, you would identify the name of the website and briefly describe it — such as, “According to Statista.com, which collects the results of national, state and local surveys, remote work grew by 80 percent in four years.”

In content marketing, proper attribution should also include a link back to the original website source whenever possible.

AP style guidelines for capitalization

AP style incorporates what’s known as a “downstyle” for capitalization. This means that words are all lowercase unless a specific rule says to capitalize them, such as proper nouns like specific state names in the United States.

For example, when it comes to state names, if the state is used upon first reference in the description by itself, you should spell it out. 

However, if the state and city are used together, you should abbreviate the state.  For example, Tallahassee, Fla., Montgomery, Ala., Tulsa, Okla., Madison, Wis., or Little Rock, Ark. 

However, there are 8 states that should always be spelled out in full and never abbreviated, which include Alaska, Hawaii, Idaho, Iowa, Maine, Ohio, Texas, and Utah.

Some additional capitalization rules to be aware of include:

Common nouns such as river or street should be capitalized only when used as part of a proper name for a person, place, or thing, such as the Colorado River or Democratic Party.

Pro Tip: When a full address isn't given, spell out the street name, such as avenue or street. However, when the address is given, abbreviate the street name, such as ave, or st.

The seasons should only be capitalized when used in a proper name, such as the Winter Olympics. Similarly, directional indicators such as east or west should all be lowercase — unless they refer to specific geographic regions or popularized names for certain regions, such as the “the Midwest.”

For the most part, job descriptions should never be capitalized. For instance, police officers, teachers, or accountants do not need to be capitalized in AP style. However, formal titles, such as Doctor Evans or President Lincoln, should be capitalized when they come directly before a name.

AP style guidelines for headlines

AP style guidelines for headlines may differ from what certain content writers or marketers are used to. Generally speaking, AP style uses title case for headlines, which means all words are capitalized except for certain short words, such as articles and short prepositions. 

In AP style, headlines capitalize the first word, proper names, or proper abbreviations, verbs, pronouns, adjectives, and adverbs.

If that sounds like a lot to remember, think of it this way instead: as a general rule of thumb, any word that’s three letters or less should not be capitalized.

Words that should not be capitalized include:

  • Articles (a, an, the)
  • Short (fewer than 5 letters)
  • Coordinating Conjunctions (and, but, for)
  • Prepositions (at, by, from, etc.)

AP style writing examples

Now that you’re more familiar with AP style for various aspects of content writing let’s combine a few style guidelines to demonstrate best practices.

Best practices for numbers

Do you have five minutes to discuss numbers? Yesterday, I spent $3 on a slice of pizza. Then, my 13-year-old niece asked me to order 11 pizza pies for her friends. So, I spent another $150 on pizza. I predict that by the time I’m 70-years-old, I’ll have spent $1 million on pizza!

→ Numbers less than 10 are spelled out fully.

→ Numbers greater than 10 expressed with numerals.

→ Ages, dollar, and millions are expressed with numerals.

→ When referring to a person’s age as an adjective, make sure to use hyphens.

Best practices for dates

Can you believe it’s Jan. 1 already? I’m planning for a party on Feb. 5, 2021. I’m hoping that by February 2021, there will be more venues available. The ideal time slot for the party is 1 p.m., but I could settle for noon.

→ Specific dates should be abbreviated, without the use of “st, nd, rd, or th.”

→ Time periods should use the full month and year with no comma.

→ Time should include a.m. or p.m., aside from noon and midnight.

Best practices for citations

→ Citing an article must include the author’s full name, article title, where it was published, and when.

→ Use the author’s full name on first mention and last name on secondary mention.

→ Use “said” to attribute a quote and keep punctuation within the quotation marks.

Best practices for capitalization

I traveled south down the Colorado River to reach the area of the Midwest I wanted to see. It’s a shame I missed the Winter Olympics this year. I heard Doctor Smith attended. My favorite athlete didn’t participate. They visited a doctor last fall for a bad injury.

→ Common nouns are only capitalized when used as part of a proper name

→ Directions and seasons are only capitalized when used in a proper name.

→ The first and last word in a headline should always be capitalized.

→ Short words (less than three letters) are typically lowercase.

→ Articles, prepositions, and coordinating conjunctions are typically lowercase.

Best practices for referring to technology and social media 

It can be hard to keep up with the proper AP Style guidelines for common tech terms.

→ Use iPhone and iPad.

→ Website is one word, not two words. However, a web page is two words.

→ Hashtag is one word, along with email and smartphone. However, there should be a hyphen for the following words, such as e-book and e-reader.

→ When referring to a website in a post, reference the site’s title and not the full webpage address. For example, it is Google NOT www.Google.com

What Font Should I Use?

The Modern Language Association (MLA) provides explicit, specific recommendations for the margins and spacing of academic papers. (See: Document Format .) But their advice on font selection is less precise: “Always choose an easily readable typeface (e.g. Times New Roman) in which the regular style contrasts clearly with the italic, and set it to a standard size (e.g. 12 point)” ( MLA Handbook , 7th ed., §4.2).

So which fonts are “easily readable” and have “clearly” contrasting italics? And what exactly is a “standard” size?

For academic papers, an “easily readable typeface” means a serif font, and a “standard” type size is between 10 and 12 point.

Use A Serif Font

Serifs are the tiny strokes at the end of a letter’s main strokes. Serif fonts have these extra strokes; sans serif fonts do not. ( Sans is French for “without.”) Serif fonts also vary the thickness of the letter strokes more than sans serifs, which have more uniform lines.

Books, newspapers, and magazines typically set their main text in a serif font because they make paragraphs and long stretches of text easier to read. Sans serifs (Arial, Calibri, Helvetica, Gill Sans, Verdana, and so on) work well for single lines of text, like headings or titles, but they rarely make a good choice for body text.

Moreover, most sans serifs don’t have a true italic style. Their “italics” are really just “obliques,” where the letters slant slightly to the right but keep the same shape and spacing. Most serifs, on the other hand, do have a true italic style, with distinctive letter forms and more compact spacing.

Since they’re more readable for long passages and have sharper contrast in their italics, you should always use a serif font for the text of an academic paper.

Use A Readable Type Size

The standard unit for measuring type size is the point . A point is 1 / 72 of an inch, roughly one pixel on a computer screen. The point size of a font tells you the size of the “em square” in which your computer displays each letter of the typeface. How tall or wide any given letter is depends on how the type designer drew it within the em square, thus a font’s height and width can vary greatly depending on the design of the typeface. That’s why if you set two fonts at the same point size, one usually looks bigger than the other.

Compare the following paragraphs, both set at 12 point but in different fonts:

For body text in academic papers, type sizes below 10 point are usually too small to read easily, while type sizes above 12 point tend to look oversized and bulky. So keep the text of your paper between 10 and 12 point .

Some teachers may require you to set your whole text at 12 point. Yet virtually every book, magazine, or newspaper ever printed for visually unimpaired grown-ups sets its body type smaller than 12 point. Newspapers use even smaller type sizes. The New York Times , for example, sets its body text in a perfectly legible 8.7 point font. So with proper spacing and margins, type sizes of 11 or 10 point can be quite comfortable to read.

Font Recommendations

I usually ask my students to use Century Schoolbook or Palatino for their papers. If your teacher requires you to submit your papers in a particular font, do so. (Unless they require you to use Arial , in which case drop the class.)

One thing to consider when choosing a font is how you submit your essay. When you submit a hard copy or a PDF, your reader will see the text in whatever typeface you use. Most electronic submission formats, on the other hand, can only use the fonts available on the reader’s computer. So if you submit the paper electronically, be sure to use a font your instructor has.

What follows is a list of some widely available, highly legible serif fonts well-suited for academic papers. I’ve divided them into four categories: Microsoft Word Fonts, Mac OS Fonts, Google Fonts, and Universal Fonts.

Microsoft Word Fonts

Microsoft Word comes with lots of fonts of varying quality. If your teacher asks you to submit your paper in Word format, you can safely assume they have Word and all the fonts that go with it.

Morris Fuller Benton designed Century Schoolbook in 1923 for elementary-school textbooks, so it’s a highly readable font. It’s one of the best fonts available with Microsoft Word. Because it’s so legible, U. S. Supreme Court Rule 33.1.b madates that all legal documents submitted to the Court be set in Century Schoolbook or a similar Century-style font.

Hermann Zapf designed Palatino in 1948 for titles and headings, but its elegant proportions make it a good font for body text. Named for Renaissance calligrapher Giambattista Palatino, this font has the beauty, harmony, and grace of fine handwriting. Palatino Linotype is the name of the font included with Microsoft Word; Mac OS includes a version of the same typeface called simply Palatino.

Microsoft Word includes several other fonts that can work well for academic essays: Bell MT , Californian FB , Calisto MT , Cambria , Garamond , and Goudy Old Style .

Mac OS Fonts

Apple has a well-deserved reputation for design excellence which extends to its font library. But you can’t count on any of these Mac OS fonts being on a computer that runs Windows.

Finding his inspiration in the typography of Pierre Simon Fournier, Matthew Carter designed Charter in 1987 to look good even on crappy mid-80s fax machines and printers. Its ability to hold up even in low resolution makes Charter work superbly well on screen. Bitstream released Charter under an open license, so you can add it to your font arsenal for free. In 1991 Apple commissioned Jonathan Hoefler to design a font that could show off the Mac’s ability to handle complex typography. The result was Hoefler Text , included with every Mac since then. The bold weight of Hoefler Text on the Mac is excessively heavy, but otherwise it’s a remarkable font: compact without being cramped, formal without being stuffy, and distinctive without being obtrusive. If you have a Mac, start using it.

Other Mac OS fonts you might consider are Baskerville and Palatino .

Google Fonts

When you submit a paper using Google Docs, you can access Google’s vast library of free fonts knowing that anyone who opens it in Google Docs will have those same fonts. Unfortunately, most of those free fonts are worth exactly what you paid for them, so choose wisely.

IBM Plex is a super-family of typefaces designed by Mike Abbink and the Bold Monday type foundry for — you guessed it — IBM. Plex serif is a solid, legible font that borrows features from Janson and Bodoni in its design. Plex is, not surprisingly, a thoroughly corporate font that aims for and achieves a bland neutrality suitable for most research papers.

John Baskerville originally designed this typeface in the 1850s, employing new techniques to make sharper contrasts between thin and thick strokes in the letter forms. The crisp, elegant design has inspired dozens of subsequent versions. Libre Baskerville is based on the American Type Founder’s 1941 version, modified to make it better for on-screen reading.

Unfortunately. Google Fonts has few really good serif fonts. Some others you might consider are Crimson Pro and Spectral .

Universal Fonts

Anyone you send your document to will have these fonts because they’re built in to both Windows and Mac OS.

Matthew Carter designed Georgia in 1993 for maximum legibility on computer screens. Georgia looks very nice on web sites, but in print it can look a bit clunky, especially when set at 12 point. Like Times New Roman, it’s on every computer and is quite easy to read. The name “Georgia” comes from a tabloid headline: “Alien Heads Found in Georgia.”

Times New Roman is, for better or worse, the standard font for academic manuscripts. Many teachers require it because it’s a solid, legible, and universally available font. Stanley Morison designed it in 1931 for The Times newspaper of London, so it’s a very efficient font and legible even at very small sizes. Times New Roman is always a safe choice. But unless your instructor requires it, you should probably use something a bit less overworked.

How to Format A College Essay: 15 Expert Tips

When you're applying to college, even small decisions can feel high-stakes. This is especially true for the college essay, which often feels like the most personal part of the application. You may agonize over your college application essay format: the font, the margins, even the file format. Or maybe you're agonizing over how to organize your thoughts overall. Should you use a narrative structure? Five paragraphs?

In this comprehensive guide, we'll go over the ins and outs of how to format a college essay on both the micro and macro levels. We'll discuss minor formatting issues like headings and fonts, then discuss broad formatting concerns like whether or not to use a five-paragraph essay, and if you should use a college essay template.

How to Format a College Essay: Font, Margins, Etc.

Some of your formatting concerns will depend on whether you will be cutting and pasting your essay into a text box on an online application form or attaching a formatted document. If you aren't sure which you'll need to do, check the application instructions. Note that the Common Application does currently require you to copy and paste your essay into a text box.

Most schools also allow you to send in a paper application, which theoretically gives you increased control over your essay formatting. However, I generally don't advise sending in a paper application (unless you have no other option) for a couple of reasons:

Most schools state that they prefer to receive online applications. While it typically won't affect your chances of admission, it is wise to comply with institutional preferences in the college application process where possible. It tends to make the whole process go much more smoothly.

Paper applications can get lost in the mail. Certainly there can also be problems with online applications, but you'll be aware of the problem much sooner than if your paper application gets diverted somehow and then mailed back to you. By contrast, online applications let you be confident that your materials were received.

Regardless of how you will end up submitting your essay, you should draft it in a word processor. This will help you keep track of word count, let you use spell check, and so on.

Next, I'll go over some of the concerns you might have about the correct college essay application format, whether you're copying and pasting into a text box or attaching a document, plus a few tips that apply either way.

Formatting Guidelines That Apply No Matter How You End Up Submitting the Essay:

Unless it's specifically requested, you don't need a title. It will just eat into your word count.

Avoid cutesy, overly colloquial formatting choices like ALL CAPS or ~unnecessary symbols~ or, heaven forbid, emoji and #hashtags. Your college essay should be professional, and anything too cutesy or casual will come off as immature.

Why College Essay Templates Are a Bad Idea

You might see college essay templates online that offer guidelines on how to structure your essay and what to say in each paragraph. I strongly advise against using a template. It will make your essay sound canned and bland—two of the worst things a college essay can be. It's much better to think about what you want to say, and then talk through how to best structure it with someone else and/or make your own practice outlines before you sit down to write.

You can also find tons of successful sample essays online. Looking at these to get an idea of different styles and topics is fine, but again, I don't advise closely patterning your essay after a sample essay. You will do the best if your essay really reflects your own original voice and the experiences that are most meaningful to you.

College Application Essay Format: Key Takeaways

There are two levels of formatting you might be worried about: the micro (fonts, headings, margins, etc) and the macro (the overall structure of your essay).

Tips for the micro level of your college application essay format:

  • Always draft your essay in a word processing software, even if you'll be copy-and-pasting it over into a text box.
  • If you are copy-and-pasting it into a text box, make sure your formatting transfers properly, your paragraphs are clearly delineated, and your essay isn't cut off.
  • If you are attaching a document, make sure your font is easily readable, your margins are standard 1-inch, your essay is 1.5 or double-spaced, and your file format is compatible with the application specs.
  • There's no need for a title unless otherwise specified—it will just eat into your word count.

Tips for the macro level of your college application essay format :

  • There is no super-secret college essay format that will guarantee success.
  • In terms of structure, it's most important that you have an introduction that makes it clear where you're going and a conclusion that wraps up with a main point. For the middle of your essay, you have lots of freedom, just so long as it flows logically!
  • I advise against using an essay template, as it will make your essay sound stilted and unoriginal.

If your instructor has asked you to write an APA format essay, it might at first seem like a daunting task, especially if you are accustomed to using another style such as MLA or Chicago. But you can master the rules of APA essay format, too.

An essay is one type of paper that can be written in APA format; others include lab reports, experimental reports, and case studies. Before you begin, familiarize yourself with some of the basic guidelines for writing a paper in APA format. Of course, it will also be important to follow any other formatting instructions that are part of your assignment.

How do you write an essay in APA format? The basic elements you need to include are:

  • A title page
  • An abstract
  • An introduction, main body, and conclusion
  • A reference section
  • Proper APA formatting with regard to margins, layout, spacing, titles, and indentations

This article discusses how to write an essay in APA format, including the basic steps you should follow and tips for how to get started.

Whether you’re taking an introductory or graduate-level psychology class, chances are strong that you will have to write at least one paper during the course of the semester. In almost every case, you will need to write your paper in APA format, the official publication style of the American Psychological Association . It is also used for academic journals.

Such rules are generally the same whether you are writing a high school essay, college essay, or professional essay for publication.

APA format is used in a range of disciplines including psychology , education, and other social sciences. The format dictates presentation elements of your paper including spacing, margins, and how the content is structured.

Most instructors and publication editors have strict guidelines when it comes to how your format your writing. Not only does adhering to APA format allow readers to know what to expect from your paper, but it also means that your work will not lose critical points over minor formatting errors. 

While the formatting requirements for your paper might vary depending on your instructor's directions, writing APA essay format means you will most likely need to include a title page, abstract, introduction, body, conclusion, and reference sections.

Your APA format essay should have a title page . This title page should include the title of your paper, your name, and your school affiliation. In some instances, your teacher might require additional information such as the course title, instructor name, and the date.

  • The title of your paper should be concise and clearly describe what your paper is about.
  • Your title can extend to two lines, but it should be no longer than 12 words.

An abstract is a brief summary of your paper that immediately follows the title page. It is not required for student papers, according to APA style. However, your instructor may request one.

If you include an abstract , it should be no more than 100 to 200 words, although this may vary depending upon the instructor requirements.

Your essay should also include a reference list with all of the sources that were cited in your essay,

  • The reference section is located at the end of your paper.
  • References should be listed alphabetically by the last name of the author.
  • References should be double-spaced.
  • Any source that is cited in your paper should be included in your reference section.

When writing in APA essay format, the text will include the actual essay itself: The introduction, body, and conclusion.

  • There should be uniform margins of at least one inch at the top, bottom, left, and right sides of your essay.
  • The text should be in Times New Roman size 12 font or another serif typeface that is easily readable.
  • Your paper should be double-spaced.
  • Every page should include a page number in the top right corner.
  • The first word of each paragraph in your paper should be indented one-half inch.

For professional papers (usually not student papers), every page of the essay also includes a running head at the top left. The running head is a shortened form of the title, often the first few words, and should be no more than 50 characters (including spaces).

Steps to a Successful APA Format Essay

In addition to ensuring that you cite your sources properly and present information according to the rules of APA style, there are a number of things you can do to make the writing process a little bit easier.

Choose a Topic

Start by choosing a good topic to write about. Ideally, you want to select a subject that is specific enough to let you fully research and explore the topic, but not so specific that you have a hard time finding sources of information.

If you choose something too specific, you may find yourself with not enough to write about. If you choose something too general, you might find yourself overwhelmed with information.

Research Your Topic

Start doing research as early as possible. Begin by looking at some basic books and articles on your topic to help develop it further. What is the question you are going to answer with your essay? What approach will you take to the topic?

Once you are more familiar with the subject, create a preliminary source list of potential books, articles, essays, and studies that you may end up using in your essay.

Remember, any source used in your essay must be included in your reference section. Conversely, any source listed in your references must be cited somewhere in the body of your paper.

Write Your Rough Draft

With research in hand, you are ready to begin. Some people like to create an outline to organize their argument prior to drafting. You may want to start with a very rough outline, and then add details.

Once you have a detailed outline, the next step is to translate it from notes to complete sentences and paragraphs. Remember, this is a first draft. It doesn't have to be perfect.

As you write your paper in APA essay format, be sure to keep careful track of the sources that you cite.

How do you start an APA paper? Your paper should begin with an introduction that includes a thesis statement that presents your main ideas, points, or arguments. Your introduction should start on the third page of your paper (after the title page and abstract). The title of your paper should be centered, bolded, and typed in title case at the top of the page.

Review and Revise

After you have prepared a rough draft of your essay, it's time to revise, review, and prepare your final draft. In addition to making sure that your writing is cohesive and supported by your sources, you should also check carefully for typos, grammar errors, and possible formatting mistakes.

When citing information or quotations taken from an interview, APA format requires that you cite the source, how the information was collected, and the date of the interview. They should not be included in the reference section, however, because they are not something that can be located by a reader in any published source or searchable database.

Instead, the information should be cited parenthetically in the main body of the text. For example: “There was an increase in the number of college students who screened positive for depression/anxiety” (R. Heathfield, personal communication, May 9, 2021).

If the essay is in a chapter of a book, edited collection, or anthology, APA format states that you should cite the last name, first name, title of essay, title of collection, publisher, year, and page range. For example: Smith, John, "The Light House," A Book of Poems , editing by Peter Roberts, Allworth Press, 2005, pp. 20-25.

According to APA format, a two-part essay is formatted the same as an essay, however, you'll need to create two title pages.

If you're including a short direct quote in your APA-format essay, you will need to cite the author, year of publication, and page number (p.) or page number span (pp.). Quotations longer than 40 words should omit the quotation marks and be put in the text using block quotation formatting, on its own line and indented 1/2 inch from the left margin.

The cover page or "title page" in APA essay format should always include the title of your paper, your name, and school affiliation as well as the course title, instructor name, and date, if requested by your teacher.

A step-by-step guide for creating and formatting APA Style student papers

The start of the semester is the perfect time to learn how to create and format APA Style student papers. This article walks through the formatting steps needed to create an APA Style student paper, starting with a basic setup that applies to the entire paper (margins, font, line spacing, paragraph alignment and indentation, and page headers). It then covers formatting for the major sections of a student paper: the title page, the text, tables and figures, and the reference list. Finally, it concludes by describing how to organize student papers and ways to improve their quality and presentation.

The guidelines for student paper setup are described and shown using annotated diagrams in the Student Paper Setup Guide (PDF, 3.40MB) and the A Step-by-Step Guide to APA Style Student Papers webinar . Chapter 1 of the Concise Guide to APA Style and Chapter 2 of the Publication Manual of the American Psychological Association describe the elements, format, and organization for student papers. Tables and figures are covered in Chapter 7 of both books. Information on paper format and tables and figures and a full sample student paper are also available on the APA Style website.

Basic setup

The guidelines for basic setup apply to the entire paper. Perform these steps when you first open your document, and then you do not have to worry about them again while writing your paper. Because these are general aspects of paper formatting, they apply to all APA Style papers, student or professional. Students should always check with their assigning instructor or institution for specific guidelines for their papers, which may be different than or in addition to APA Style guidelines.

Seventh edition APA Style was designed with modern word-processing programs in mind. Most default settings in programs such as Academic Writer, Microsoft Word, and Google Docs already comply with APA Style. This means that, for most paper elements, you do not have to make any changes to the default settings of your word-processing program. However, you may need to make a few adjustments before you begin writing.

Use 1-in. margins on all sides of the page (top, bottom, left, and right). This is usually how papers are automatically set.

Use a legible font. The default font of your word-processing program is acceptable. Many sans serif and serif fonts can be used in APA Style, including 11-point Calibri, 11-point Arial, 12-point Times New Roman, and 11-point Georgia. You can also use other fonts described on the font page of the website.

Line spacing

Double-space the entire paper including the title page, block quotations, and the reference list. This is something you usually must set using the paragraph function of your word-processing program. But once you do, you will not have to change the spacing for the entirety of your paper–just double-space everything. Do not add blank lines before or after headings. Do not add extra spacing between paragraphs. For paper sections with different line spacing, see the line spacing page.

Paragraph alignment and indentation

Align all paragraphs of text in the body of your paper to the left margin. Leave the right margin ragged. Do not use full justification. Indent the first line of every paragraph of text 0.5-in. using the tab key or the paragraph-formatting function of your word-processing program. Page numbers

Put a page number in the top right of every page header , including the title page, starting with page number 1. Use the automatic page-numbering function of your word-processing program to insert the page number in the top right corner; do not type the page numbers manually. The page number is the same font and font size as the text of your paper. Student papers do not require a running head on any page, unless specifically requested by the instructor.

APA Style has two title page formats: student and professional (for details, see title page setup ). Unless instructed otherwise, students should use the student title page format and include the following elements, in the order listed, on the title page:

  • Paper title.
  • Name of each author (also known as the byline).
  • Affiliation for each author.
  • Course number and name.
  • Instructor name.
  • Assignment due date.
  • Page number 1 in the top right corner of the page header.

The format for the byline depends on whether the paper has one author, two authors, or three or more authors.

  • When the paper has one author, write the name on its own line (e.g., Jasmine C. Hernandez).
  • When the paper has two authors, write the names on the same line and separate them with the word “and” (e.g., Upton J. Wang and Natalia Dominguez).
  • When the paper has three or more authors, separate the names with commas and include “and” before the final author’s name (e.g., Malia Mohamed, Jaylen T. Brown, and Nia L. Ball).

Students have an academic affiliation, which identities where they studied when the paper was written. Because students working together on a paper are usually in the same class, they will have one shared affiliation. The affiliation consists of the name of the department and the name of the college or university, separated by a comma (e.g., Department of Psychology, George Mason University). The department is that of the course to which the paper is being submitted, which may be different than the department of the student’s major. Do not include the location unless it is part of the institution’s name.

Write the course number and name and the instructor name as shown on institutional materials (e.g., the syllabus). The course number and name are often separated by a colon (e.g., PST-4510: History and Systems Psychology). Write the assignment due date in the month, date, and year format used in your country (e.g., Sept. 10, 2020).

Title page line spacing

Double-space the whole title page. Place the paper title three or four lines down from the top of the page. Add an extra double-spaced blank like between the paper title and the byline. Then, list the other title page elements on separate lines, without extra lines in between.

Title page alignment

Center all title page elements (except the right-aligned page number in the header).

Title page font

Write the title page using the same font and font size as the rest of your paper. Bold the paper title. Use standard font (i.e., no bold, no italics) for all other title page elements.

Text elements

Repeat the paper title at the top of the first page of text. Begin the paper with an introduction to provide background on the topic, cite related studies, and contextualize the paper. Use descriptive headings to identify other sections as needed (e.g., Method, Results, Discussion for quantitative research papers). Sections and headings vary depending on the paper type and its complexity. Text can include tables and figures, block quotations, headings, and footnotes.

Text line spacing

Double-space all text, including headings and section labels, paragraphs of text, and block quotations.

Text alignment

Center the paper title on the first line of the text. Indent the first line of all paragraphs 0.5-in.

Left-align the text. Leave the right margin ragged.

Block quotation alignment

Indent the whole block quotation 0.5-in. from the left margin. Double-space the block quotation, the same as other body text. Find more information on the quotations page.

Use the same font throughout the entire paper. Write body text in standard (nonbold, nonitalic) font. Bold only headings and section labels. Use italics sparingly, for instance, to highlight a key term on first use (for more information, see the italics page).

Headings format

For detailed guidance on formatting headings, including headings in the introduction of a paper, see the headings page and the headings in sample papers .

  • Alignment: Center Level 1 headings. Left-align Level 2 and Level 3 headings. Indent Level 4 and Level 5 headings like a regular paragraph.
  • Font: Boldface all headings. Also italicize Level 3 and Level 5 headings. Create heading styles using your word-processing program (built into AcademicWriter, available for Word via the sample papers on the APA Style website).

Tables and figures setup

Tables and figures are only included in student papers if needed for the assignment. Tables and figures share the same elements and layout. See the website for sample tables and sample figures .

Table elements

Tables include the following four elements: 

  • Body (rows and columns)
  • Note (optional if needed to explain elements in the table)

Figure elements

Figures include the following four elements: 

  • Image (chart, graph, etc.)
  • Note (optional if needed to explain elements in the figure)

Table line spacing

Double-space the table number and title. Single-, 1.5-, or double-space the table body (adjust as needed for readability). Double-space the table note.

Figure line spacing

Double-space the figure number and title. The default settings for spacing in figure images is usually acceptable (but adjust the spacing as needed for readability). Double-space the figure note.

Table alignment

Left-align the table number and title. Center column headings. Left-align the table itself and left-align the leftmost (stub) column. Center data in the table body if it is short or left-align the data if it is long. Left-align the table note.

Figure alignment

Left-align the figure number and title. Left-align the whole figure image. The default alignment of the program in which you created your figure is usually acceptable for axis titles and data labels. Left-align the figure note.

Bold the table number. Italicize the table title. Use the same font and font size in the table body as the text of your paper. Italicize the word “Note” at the start of the table note. Write the note in the same font and font size as the text of your paper.

Figure font

Bold the figure number. Italicize the figure title. Use a sans serif font (e.g., Calibri, Arial) in the figure image in a size between 8 to 14 points. Italicize the word “Note” at the start of the figure note. Write the note in the same font and font size as the text of your paper.

Placement of tables and figures

There are two options for the placement of tables and figures in an APA Style paper. The first option is to place all tables and figures on separate pages after the reference list. The second option is to embed each table and figure within the text after its first callout. This guide describes options for the placement of tables and figures embedded in the text. If your instructor requires tables and figures to be placed at the end of the paper, see the table and figure guidelines and the sample professional paper .

Call out (mention) the table or figure in the text before embedding it (e.g., write “see Figure 1” or “Table 1 presents”). You can place the table or figure after the callout either at the bottom of the page, at the top of the next page, or by itself on the next page. Avoid placing tables and figures in the middle of the page.

Embedding at the bottom of the page

Include a callout to the table or figure in the text before that table or figure. Add a blank double-spaced line between the text and the table or figure at the bottom of the page.

Embedding at the top of the page

Include a callout to the table in the text on the previous page before that table or figure. The table or figure then appears at the top of the next page. Add a blank double-spaced line between the end of the table or figure and the text that follows.

Embedding on its own page

Embed long tables or large figures on their own page if needed. The text continues on the next page.

Reference list setup

Reference list elements.

The reference list consists of the “References” section label and the alphabetical list of references. View reference examples on the APA Style website. Consult Chapter 10 in both the Concise Guide and Publication Manual for even more examples.

Reference list line spacing

Start the reference list at the top of a new page after the text. Double-space the entire reference list (both within and between entries).

Reference list alignment

Center the “References” label. Apply a hanging indent of 0.5-in. to all reference list entries. Create the hanging indent using your word-processing program; do not manually hit the enter and tab keys.

Reference list font

Bold the “References” label at the top of the first page of references. Use italics within reference list entries on either the title (e.g., webpages, books, reports) or on the source (e.g., journal articles, edited book chapters).

Final checks

Check page order.

  • Start each section on a new page.
  • Arrange pages in the following order:
  • Title page (page 1).
  • Text (starts on page 2).
  • Reference list (starts on a new page after the text).

Check headings

  • Check that headings accurately reflect the content in each section.
  • Start each main section with a Level 1 heading.
  • Use Level 2 headings for subsections of the introduction.
  • Use the same level of heading for sections of equal importance.
  • Avoid having only one subsection within a section (have two or more, or none).

Check assignment instructions

  • Remember that instructors’ guidelines supersede APA Style.
  • Students should check their assignment guidelines or rubric for specific content to include in their papers and to make sure they are meeting assignment requirements.

Tips for better writing

  • Ask for feedback on your paper from a classmate, writing center tutor, or instructor.
  • Budget time to implement suggestions.
  • Use spell-check and grammar-check to identify potential errors, and then manually check those flagged.
  • Proofread the paper by reading it slowly and carefully aloud to yourself.
  • Consult your university writing center if you need extra help.

Confused on How to Format Your Common Application Essay?

Here are 9 hot tips.

The 2017-18 Common Application opened for business earlier this week (August. 1). Chances are you will soon need to know how to format your common application essay.

If you are on the ball, you might be ready to apply to specific colleges and universities and need to submit your core Common Application essay, as well as other shorter essays required by certain schools (often called Supplemental Essays).

Or you are still getting ready or working on writing them, but will need to know how to format your common application essay(s) in upcoming weeks or months.

The first step is to get an account with The Common Application .

Then figure out your list of colleges you will be applying to, and start searching the site for additional shorter essays they want you to write.

Under each college or university, you will see a tab called Writing Requirements . You can find these additional short essays either under the College Questions or the Writing Supplements .

Every school is different, so really root around all the tabs and drop-down options. For example, some schools will ask you to write about an extracurricular activity (in 150 words or so) under the College Questions section, under one of the drop down tabs, such the Activities or Essay Questions tab.

Confusing, yes. But it will make more sense once you get logged on and explore the site.

I like to advise my students to collect all the supplemental essays (by prompt and word count) in one place (such as a Word or Google doc file). That way they know what they will need to write about at the start, and also be able to see which ones are the same or similar. (For example, many schools have supplemental essays about “Why are you a fit?” or writing about your intended major.)

Of course, the most important essay you will write is the core Common Application essay, although some schools do not require it—and you can determine which ones do as you read through the application site. (Even if you only have one of your target schools that requires the main Common App essays, you will need to write one–and learn how to format your common application essay.)

Nine Hot Tips to Format Your Common Application Essay

If you do need to submit a core Common App essay (you pick from one of 7 prompts; 250-650 words), here are some tips on how to format your common application essay:

  • Compose your draft in either a Word file or Google docs. Do not craft it directly in the Common Application text box (You could lose your work)! If you use Word or Google docs, you can use their word count and, most importantly, the spell check feature. The Common App now allows you to upload Google docs directly from Google Drive. (Hint: If you want to use this feature, you might want to get a Gmail account that you use exclusively for these essays.) You can also copy and paste your Word or Google doc directly into the Common App text box.
  • The Common Application essay text box does not allow tabbing . So make your paragraphs with block formatting (have a space in between each paragraph instead of an indentation.) You can format this way in your Word or Google doc, but make sure it translates after you either upload your Google doc, or copy and paste from the Word or Google doc.
  • The Common Application essay text box only has formatting for Bold, Underline and Italics.  I would format your essay along MLA guidelines (using italics for things like book titles, foreign words, those types of copyediting rules.), and then make sure they translate or carry over after you upload or copy and paste. If you lose the italics, use the Common App italics formatting to add them inside the text box. I see no reason to use either Bold or Underlining in your essays. Avoid gimmicky formatting, such as ALL CAPS, emojis or #hashtags.
  • Avoid titles. Even though I think a snappy title can enhance an essay, I see no way to format it at the top of the Common App essay that would center it, and think it could be more of a distraction. If you really love your title, feel free to give it a try, but I think it will only stick on the far left of the first line. (If you go for it that way, maybe put it in Bold to make it clear it’s a title.)
  • Do NOT include the prompt at the top of your essay. That only eats up precious words. With your Common App essay, you simply check the box that your essay lines up with the best.
  • Supplemental (shorter) essays have similar formatting options. Use the same rules as above for these. Some do not provide a text box and require you to upload from Google docs or attach a Word file (converting it to a PDF.)
  • Double check word counts. The Common App text box and text boxes for the supplemental essays show the minimum and maximum word counts, which is very helpful. After you copy and paste an essay, always scroll through it to make sure everything copies (and your formatting carried over) and make sure it’s within the word count requirement shown under the box.
  • You can go back and make edits after you have submitted your essays. Even after you submit, go back and review to make sure it’s exactly how you wanted it.
  • General rules for formatting drafts in Word or Google docs : Use a common font (Times New Roman, Arial, Cambria…), write in 12 pt font, double space.

APA 7 Style: Formatting Guidelines

Common guidelines for apa-format papers.

APA 7 (2020) has introduced new guidelines for student papers that differ from the guidelines for professional papers being submitted for publication. Make sure to check with your professor or teaching assistant on whether they prefer that you use the student or professional format for your work.

Common Guidelines for All APA-Format Papers

Guidelines for All APA-Format Papers

APA 7 (2020) accepts the use of a wider range of fonts than previous editions. Use a consistent font throughout the paper. While the size of the font in the text of the paper should confirm to one of the options below, figures may include a smaller or larger font size as needed.

Font options include:

  • Times New Roman (12-point)
  • Calibri (11-point)
  • Arial (11-point)
  • Lucinda (10-point)
  • Sans Unicode (10-point)
  • Georgia (11-point)
  • Computer Modern (10-point)

The entire paper, including the title page, body of the paper, references and appendices, should be double-spaced. The bodies of figures and tables are excluded from this rule. Do not add extra line spaces between paragraphs or after a heading. 

Use 2.54 CM (1 inch) margins on all sides of the paper.

All paragraphs should be left-aligned (do not full-justify text). For each new paragraph indent five spaces or ½ inch.  Use the tab key to indent paragraphs.

All papers should have a page number in the top right corner of the header. Page numbers should be on every page of the paper, with the title page being page 1.

APA 7 (2020) recommends the use of headings in order to clarify the organization of papers. Note that a heading for the introduction is not needed or recommended. The number and level of headings required depend on the length and complexity of the paper.

  • Level One headings are centred and bolded and use title case capitalization (all key words capitalized). The text of the paper begins on the next line as a new paragraph.
  • Level 2 Headings are left-aligned and bolded and use title case capitalization (all key words capitalized). The text of the paper begins on the next line as a new paragraph.
  • Level 3 Headings are left-aligned, bolded, and italicized . They use title case capitalization (all key words capitalized). The text of the paper begins on the next line as a new paragraph.
  • Level 4 Headings are indented, bolded and use title case capitalization (all key words capitalized). There is a period at the end of a level 4 heading, and the text of the paragraph begins immediately after the period.
  • Level 5 Headings are indented, bolded, and italicized . They use title case capitalization (all key words capitalized). There is a period at the end of a level 5 heading, and the text of the paragraph begins immediately after the period.

Tables and Figures

Label both tables and figures, numbering them consecutively in the order that they are discussed in the text. 

Tables include a numbered label, such as “Table 1”, and this bolded label is placed above the title. Below the label, insert a table title in italics; this title should briefly identify the data in the table that follows the label.

Figures can include maps, graphs, charts or other images. Place a label, such as "Figure 1", above the figure; this label is in bold. Below the label, insert a figure title using title case and italics. Below the image, place a caption to offer more detailed information on the figure.

Refer to all tables and figures in the text of your paper by their label: “In Table 1, it is clear that . . .” or “. . . area is separated into five geographically distinct sections (see Figure 2).

APA 7 (2020) offers two options for the placement of tables and figures. They can either be integrated into the text of the paper soon after it is first mentioned in the text. Or, tables and figures can be included after the references. If you choose to position tables and figures after the references page, each table should be positioned on a separate page followed by each figure positioned on a separate page.

More advice on figures and tables from the APA Style website

  • APA (2020) recommends that you ask your professor or the editor to which you are submitting a manuscript for publication whether they have a preference as to whether figures and tables be integrated into the text or included on separate pages after the references.

All sources cited in the paper (except for personal communications) should be included in a references list. Begin the references page on a separate page, following the conclusion on the text of the paper. On the top line of the references page, the word References should be centred and bolded. The first reference begins on the next line of the reference page.

Appendices 

An appendix includes relevant, supplementary information to the paper. Appendices should be placed after the references page and tables and figures (if relevant).

  • Each appendix should begin on a separate page and should have a label and title.
  • The appendix label and title should be centred and bolded. Write the label on one line and then the title on the next line.
  • If you have only one appendix, label it Appendix.
  • If you have more than one appendix, label them Appendix A, Appendix B, or Appendix C etc. in the order that it is discussed in the text of the paper.
  • You must refer to all appendices in the text of your paper by their label (see Appendix) or (see Appendix A).

Note: The APA Publication Manual, 7 th Edition specifies different formatting conventions for student  and  professional  papers (i.e., papers written for credit in a course and papers intended for scholarly publication). These differences mostly extend to the title page and running head. Crucially, citation practices do not differ between the two styles of paper.

To cite sources in APA Style , you must use APA in-text citations , not notes.

However, you can use footnotes in APA to:

  • Give additional information
  • Provide copyright attribution

Footnotes use superscript numbers and should appear in consecutive order. Footnote numbers typically appear at the end of a sentence or clause, after the period or other punctuation.

However, there are exceptions:

  • If a footnote relates to text in parentheses, the footnote number should also appear inside the parentheses.
  • If the footnote relates to material offset by a dash , the footnote number should come before the dash, rather than after.

Don’t repeat footnotes. If you need to refer to an earlier note again, write “see Footnote 3” or similar in the text or in parentheses.

Footnotes can appear either at the bottom of the relevant page, or at the end of the paper on a separate footnotes page. You can choose which approach to use.

You can use your word processor to automatically insert footnotes at the bottom of the page. This will ensure that each superscript number in the text corresponds to the correct footnote. It will also separate them from the main text.

Indent the first line of each footnote and place a single space between the superscript number and the footnote text. Like most text in an APA format paper, footnotes at the end of the text should be double-spaced.

Footnotes should be presented in the order their numbers appear in the text.

You can use content footnotes in APA to provide additional information to readers. For example, you might clarify a specific point or direct the reader to sources that contain more detail on a related topic.

As APA doesn’t encourage the use of footnotes, you should keep these notes as brief as possible. They should not exceed one paragraph. You can consider including longer material in an APA appendix instead.

If you include copyright material that exceeds fair use guidelines (like an extended passage from a book, or test or scale items), you may need to obtain permission from the copyright holder. You can use footnotes in APA to acknowledge this permission.

If you receive permission to reproduce an image or infographic, include this copyright note in the relevant caption, not in a footnote.

  • Select the “References” tab at the top and then click on “Insert Footnote”
  • Type the text you want into the footnote that appears at the bottom of the page

Title Page Setup

A title page is required for all APA Style papers. There are both student and professional versions of the title page. Students should use the student version of the title page unless their instructor or institution has requested they use the professional version. APA provides a student title page guide (PDF, 199KB) to assist students in creating their title pages.

The student title page includes the paper title, author names (the byline), author affiliation, course number and name for which the paper is being submitted, instructor name, assignment due date, and page number, as shown in this example.

Student papers do not include a running head unless requested by the instructor or institution.

Follow the guidelines described next to format each element of the student title page.

Paper title

Place the title three to four lines down from the top of the title page. Center it and type it in bold font. Capitalize of the title.
