Offer something different than what's in your resume. You can make your language a bit more personal than in your resume bullet points, and you can tell a narrative about your work experience and career.

Application letters typically accompany resumes, so your letter should showcase information that your resume doesn't.

Make a good case.  Your first goal with this letter is to progress to the next step: an interview. Your overarching goal, of course, is to get a job offer. It has become increasingly necessary for job seekers to submit an application letter alongside their resume during the job application process . 

But why is this so important? 

First, attaching an application letter helps to set you apart from other applicants and research has shown that about half of recruiters reject job applications without application letters. 

So if you're currently job hunting and want to increase your chances of having your resume read and landing an interview, then you need to learn how to write the perfect job application letter. 

Now we understand that writing application letters every single time you're applying for a new post can be exhausting. Some of these job openings have a really short application window, leaving you with little to no time to craft out something good from scratch.  That is why we have created the perfect job application letter template for any position with a sample you can swipe in a minute. 

What Is An Application Letter?

An application letter is a document that can either be attached to your resume, sent in the body of an email or sent as a standalone document to a potential employer, with the sole purpose of expressing your interest in an open job position. 

A well-written application letter should give the reader a good reason why you should be called in for an interview and must also highlight key skills and qualifications that make you a great fit for the role being advertised.

Aside from showcasing your job-worthy qualifications, an application letter is a great way of showing your personality and familiarity with the company you're applying to. Feel free to mention your professional goals and aspirations and how they align with the company goals. 

What Is The Format Of A Job Application Letter?

When writing a job application letter, you are expected to follow a business letter format. There's also a slight difference when formatting depending on the medium through which it will be sent. 

Here are three easy steps on how to format a job application letter

Use a professional format- you must keep your application letter professional and precise. This means that your document must include single line spacing, one-inch margins and left alignment. Avoid using fancy fonts and stick to more traditional ones like Times New Roman, Arial or Calibri.  Your font size should be between 10 to 12 points and keep the letter one page long. 

Create the heading- use a formal business letter heading if you are submitting a hard copy application. This includes your name and contact information, the date, company name and address. Example of the header:

[Your name]

[Your City]

[Your phone number]

[ Your email address]

[Name of hiring manager]

[Title of hiring manager]

[Company name]

[Company address]

Including your contact information, makes it easy for the hiring manager to follow up with you regarding the job. 

The major difference between formatting a hardcopy application letter and an email is in the heading. For an email, you'll need to include a catchy subject line that clearly states your purpose for writing. This will determine if your email gets opened and is read. A simple email application subject line would be "Videographer - Michael Williams". And unlike in a hardcopy version where your contact information is written at the top of the letter, with email, you can place it below your signature.  

Address the letter to the hiring manager-  Find out the name of the person in charge and address the letter to this person using a common business greeting like Dear Mr/Mrs and their Last Name. If you don't know their gender and which pronouns to use, you can write your greeting as "Dear First and Last Name". And if you're unable to find their names, a simple "Dear Hiring manager will work just fine.

When writing an application letter, make sure to incorporate the following tips to increase the effectiveness of your letter.

1 . Always send an application letter 

You should always send an application letter with your resume for every job you're applying for unless the job ad specifically says not to send one. An application letter helps the employer to learn more about you than they would have from reading just your resume and it also sets you apart from other applicants.

2 . Use keywords

Most job postings will include skills and abilities that they expect candidates to possess. Review the job posting to find out these keywords and incorporate them into your application letter to show the employer that you're a good fit for the role.

3 . Emphasize your skills and abilities

While your resume contains information on your skills and qualifications, an application letter offers your more room to sell yourself as the best candidate for that position. Instead of just listing your skills and accomplishments, give specific examples of how you applied your skills and abilities to situations that benefited the organisation. 

For example  instead of saying "I managed website content for ABC for 2 years" you can say " I created a content calendar consisting of four SEO-optimized articles per week for ABC's website which saw a 50% increase in organic traffic within 3 months"

4. Keep it brief

While sharing your skills and accomplishments, don't forget to only mention the important stuff and keep it short. Your application letter should be a page long, so focus on mentioning only those things that relate to the position you're applying for.

5. Proofread the letter

Don't be in such a hurry to write and submit your application letter without proofreading and editing. Maintain your professional approach by making sure that your letter is error-free. Check for spelling mistakes, punctuations and proper spacing before you click the send button. 

What To Say In A Job Application Letter

If you find yourself struggling with what to say in your application letter, you're not alone. Here are the key things to mention in your application letter.

1 . Express your interest

In the first paragraph of your letter, you're expected to express your interest in the role being advertised. Make sure to convey your enthusiasm through your words. The hiring manager should be able to tell from the tone of the letter that you're excited about working with them and that this is not just another routine letter that you're sending to every other company.  

❌  "In response to your job ad for a Graphic designer, I would like to indicate my interest in the position" 

✔️ "As a lifelong enthusiast of ABC's marketing initiatives, I was thrilled to see your posting for the position of a Graphics designer in your marketing team".

2.  List your experience and qualifications

Right after you have shown interest in the job being advertised, mention your skills, experience and qualifications in a way that aligns with the company's mission and goals.  For example, if the role you're applying for is in the financial sector, you can emphasize how you have worked within the accounting department at your previous job.

3. Mention your best personality traits

While maintaining a professional approach,  don't forget to mention your best personality traits that show your potential employer that you're friendly and easy-going. If the job requires you to work with a team, you can explain how you value community spirit.

4. Express appreciation

Before your sign off your letter, remember to appreciate the hiring manager for taking out time to read what you have written. 

5. Close the letter

 Avoid focusing on how much you need the job and instead place emphasis on what you have to offer. Also, avoid repeating cliche phrases like " thanks for your time and consideration" instead close with a promise. A simple way to go about this is to tell the hiring manager that you're looking forward to an interview with them so you can discuss how your knowledge and experience can help them achieve the company's future goals. 

To sign off, instead of using "Sincerely" you can replace it with other synonyms like " Best regards", or "Respectfully yours".

6. Add a postscript

All of the above are must-haves in your application letter but this last one is optional. Adding a postscript is a special trick that some people use. The postscript P.S screams "important information that you cannot miss" it draws the reader's attention and leaves them wanting more, hence earning you at least a callback or an interview. You can use this to tell the hiring manager something impressive about your career and say that you'd like to share more details if they are interested. 

How To Send A Job Application Letter

There are three ways you can send your application letter, you either submit it through the company’s recruitment portal or via email or a hardcopy alongside your resume in an envelope to the physical address of the company.

Since most companies now digitize their application processes, sending a job application letter through email has become the most popular option. When sending via email, make sure to use a subject line that contains your name and the position you're applying for.

The body of your application letter is where you show your interest in the job, the position you're applying for, and mention solid reasons why the employer should grant you an interview. It should include about three to four paragraphs and not be more than one page long.

First Paragraph - mention where you saw the job posting, include the name of a mutual contact where applicable, and express your interest in the position

Middle Paragraph- this paragraph can be broken down into two, and for easy comprehension, you can use bullet points to state and explain your experiences and accomplishments.

Final Paragraph- thank the hiring manager for reviewing your letter and including follow-up information.

The Recruitment Module in Odoo 17 is an essential tool that helps businesses handle the offer process. HR departments may save time, minimize administrative load, and guarantee regulatory compliance with its customized templates, optimized workflows, and automated operations. HR specialists may use the module to develop customized offer letters that are based on the job, salary range, and other specifics of each candidate. With its user-friendly features and easy connection with other Odoo apps, it functions as a centralized platform for controlling every facet of the hiring process. The option to create and submit offer letters straight from the site is one notable feature.

Choosing Job Positions

The first step of applying for a job is to select a job position. This can be done using the Job Positions dashboard as shown below.

Sending Applications

Job applications are forms with candidate information submitted for an organization's position. Companies receive resumes after job vacancies are published.

After deciding on a suitable job position, click on the Kanban card to apply for the job, or we can utilize the website interface to apply for the job using the Job Page link provided inside the job position card. Here, I manually enter the job application details by opening the job Position Application configuration form, as shown below.

Press the New button to open a new application form and edit the application details such as the Applicant's Name, Email, Phone, Mobile, LinkedIn profile, Degree, Interviewers, Recruiter, Evaluation, Source, Medium, Referred by User, Availability and Other details as illustrated in the screenshot below.

You can choose the Applied Job and the Job Department below from the JOB section. The individual can input the applicant's estimated salary in the Expected Salary field and the employer's proposed salary in the Proposed Salary option in the CONTRACT section.

Application Summary is where users can change an application's description.

Additionally, by selecting the ‘Pick a skill from the list’ button, the applicant's relevant talents can be added to the Skills tab.

Then, add the applicant’s skill set one by one in the Select Skills window by choosing the Skill Type, Skill , and Skill Level.

After saving the applicant skills, we can save the application data and this information will be manually saved in the Odoo 17 Recruitment. You can change the stages, such as Initial qualification, First Interview, Second Interview, Contract Proposal , etc., based on how well an individual is performing in the application, as shown in the screenshot below.

After selecting the Meeting smart button, you can arrange a meeting with the applicant. 

Sending Job Offers

By using the Generate Offer button on the Applications form, an offer can be made to the applicant once their processes are complete. 

By selecting the Generate Offer button and entering the necessary information in the Generate a Simulation Link window, users can generate a simulated link. Incorporate details like the contract template, job title, department, default vehicle, starting date of the contract, annual cost, and link expiration date, as shown below.

After fillink the details, click on the Send By Email button. This will open a email configuration window as shown below.

After editing the email Recipients, Subject and Mail body, we can utilize the ‘Attachments’ button to attach any documents, Offer Letters into the mail.

Configuring the Salary Package

The ‘Configure your package’ button helps us to configure the employee salary details for this particular job post. We will be directed to an website interface which will help the admins to configure the employee salary structure or details for the applicant. 

The applicant has to fill in their personal details inside the relevant fields in order to accept the offer and sign their job contract, as shown below.

After filling their personal data, the applicants can click on the Review Contract & Sign button to accept the offer and sign their job contracts.

The offer letter has now been sent, and the job application editing form will display the 'Offers' smart tab, as seen below.

The Offers smart button allows the user or the applicant to view a detailed summary of all sent offers. The offer letter is in different states, as the screenshot below illustrates: In Progress, Partially Signed, Fully Signed, and Expired.

The offer is presently in the "In progress" stage; it will advance to the "Partially Signed" stage upon the applicant's signature. The offer won't go to the Fully Signed stage until the HR Responsible has signed it. If the offer expires, it will move to the Expired stage .

The Refuse and Delete options are then displayed inside the Action button. The applicant can reject the offer by clicking on the Refuse button. After that, the offer will have a ribbon with the word "REFUSED" on it, and the stage will be changed to Refused.

By streamlining the offer-generating process for candidates with Odoo 17, recruitment teams can guarantee a smooth and effectively coordinated communication. Onboarding processes and the entire recruitment workflow are improved by the automation and customization features of the system, which also lessen human labor and mistakes.

The Global Fund, which has been providing financial support to the Greater Mekong Sub-Region for malaria programs since 2003, has selected UNOPS as a PR, responsible for delivering the targets set out in the grant agreements, in collaboration with selected Sub-Recipients (SRs) from the National Programmes, international and local non-governmental organizations and United Nations agencies.

The Programme Management Officer (Contract Management), who shall report directly to the Head of Programme Management Office, will contribute to the successful operational management of the PR particularly in the area of financial performance management of implementing partners, through tracking utilization of funds, drafting and maintaining legal documentation, assisting with administrative closure of grants.

Ensure effective financial reporting and control

Team Management

Assist the Head of Programme Management Office in strengthening the operational risk management and internal control processes, especially in areas related to grant/contract management.

Liaise with the UNOPS legal team for advice on appropriate practices, legal considerations and risk assessments. Analyse different contracting modalities to optimize practices, make suggestions and bring any issues to the attention of the Head of Programme Management Office.

Draft the request for award (RFA), grant support agreements (GSAs) and subsequent agreement amendments with the guidance of the Head of Programme Management Office. Assists in ensuring that all GSAs and subsequent amendments are constructed and issued in line with UNOPS legal and financial rules and regulations.

Ensure timely submission of RFA to Regional Director before facilitating grant signing process with implementing partners (IPs) / sub-recipients (SRs). 

Organize and conduct training for the IPs/SRs on legal and contract-management-related topics with the support of the Head of Programme Management Office.

Liaise and coordinate with IPs/SRs on all contractual issues with the support from the finance team.

Provide inputs and suggestions to streamline workflows/business processes and document templates/formats.

Prepare the Grant Tracking Sheet and ensure timely submission/sharing to all respective units along with up-to-date information on grant agreement amendments.

Follow SR payment schedules and provide necessary documentation for grant release. 

Assist in overseeing & coordination of the process of closing projects, initiate action to be undertaken (e.g. project audit, final project reporting, non-expendable equipment, closing of projects and ensure adherence to required procedure before final payment is released.

Maintain updated and effective contracts database system in One UNOPS and Library for all IPs/SRs supported by the PR-GFATM.

Collect and assemble data related to programs/projects and provide updated information for analysis and report purposes. 

Ensure accurate and timely contract management data entry and that data are readily available as appropriate to the stakeholders. Must ensure that the data in the contract management system is accurate and regularly updated.

Develop an alert system, so that the respective units are alerted at different stages, for example-missing data, delay in progress against plan etc.

Maintain records of grant agreement documents and other support documents in hard and soft copies.

 Preparation of Periodic Financial Report and ad-hoc reports as required by donor.

 Review quarterly partner cash reports.

Prepare a financial report template and share with partners in advance of the financial report submission period.

Review partner financial reports, record and confirm liquidation of all partner expenditures by grant on a regular basis.

Accurately record disbursement payments to partner and make sure they are correctly reflected with approved budget, coding and proper control of the supporting document

Any additional tasks requested by the manager

Provides oversight, ensuring compliance by team members with existing policies and best practices.

Impact of Results 

Overall ARHC efficiency in contractual and grant management activities utilizing a strategic approach with effective and efficient legal support and timely and appropriate delivery of services will ensure client satisfaction and overall effective delivery of UNOPS programmes and projects.

  • A Bachelor’s degree preferably in Social Sciences, Finance, Economics, Business Administration, International Relations, Development Studies or other related fields is required.
  • A Master’s or equivalent in the above mentioned areas may substitute the Bachelor’s degree with two years of relevant experience.
  • A minimum 2 years of professional-level experience in the field of contracts management and/or project and administration management and its relevant fields is required.
  • Knowledge of contracting principles & modalities and program administration is required. 
  • Experience in management information systems and contracts management databases and local/web interfaces is desired.
  • Experience and knowledge of financial/budget preparation, revision and monitoring are desired.
  • Experience in the usage of computers and office software packages (e.g. MS Office newer versions, Google Suite Applications) is required.
  • Knowledge of UNOPS financial rules and regulations is an asset.
  • Working knowledge of ERP and electronic financial management systems are desired.

Fluency in English and Myanmar language is essential.

About the Role

The Saturday role is customer facing and involves continual interaction with users of the library and the library customer service advisers. More than 8,000 people visit one of our 44 libraries per day. Every year. 3,364,000 items are borrowed and almost 90,000 people attend library events. Our Libraries are so much more than books. They are places where culture is created every day.

Library staff work on a one to one and group basis with unaccompanied children attending the library. They lead children’s groups and support children with the use of library equipment. They will attend children’s settings and supervise volunteers who attend the library to work with unaccompanied children. This will require an Enhanced DBS check
