How to Write a Cover Letter for a Book Submission

If you’re wondering how to write a book submission cover letter, first of all: congratulations! You’ve written a whole novel , and edited the completed manuscript so it’s ready to submit to literary agents . That’s a huge achievement!

While the world of publishing and the manuscript submission process might seem opaque, we’re very lucky here at The Novelry. But above all, do away with any fear or nerves: manuscript submission really isn’t scary stuff! It’s all very straightforward, and agents are on your side ! They want to share great stories with the world. Think of this as another stepping-stone to seeing your book on the shelves, not an obstacle.

The basics of writing a book submission cover letter: tone

The first thing to establish before you start writing the cover letter for your book is the tone.

It can be a difficult balance, and – understandably – a significant choice for a writer. After all, this isn’t a cover letter to apply for any old job where your writing prowess might not be a huge factor. This is your chance to prove your prose is worthy of agents’ extremely limited time.

The temptation to show off your skills and your writing style might be strong. But remember: that’s why you submit sample chapters. Think of this more as a business letter. Keep it professional, to the point and easy to read. Keep your word length and sentence length in check; this is no place for purple prose.

Some writers also hope their query letters will convey their personality – and so they should! If it feels right, feel free to add a splash of dry humour, and give the agent an idea of who you are (without recounting your entire life). But again, maintain a balance and stay on the professional end of the spectrum rather than going all-out wacky.

A brief note on conveying your personality: be sure to write in the first person, as yourself. Some people think it’s kooky or endearing to write their letter as their protagonist. It might feel original, but unfortunately agents have seen it before, and few will be amused.

Above all, proofread, then proofread again, and then proofread a final time. You might even ask a friend from your writing group , or a savvy editor, to give it one more proofread for good measure. What you really don’t want in your cover letter is a grammatical or spelling mistake. You’re selling the agent on your writing – keeping it error-free is the bare minimum!

Key elements of cover letters in publishing

Once you’ve thought about tone, consider the topics your cover letter should address.

There are five key elements in the query letter that writers send with their book submissions:

Generally, you’ll write a cover letter that hits those topics, probably in that order.

The word count

Before we think about how you’ll address these elements, and how much of your cover letter each will take up, it’s worth thinking about the overall word count.

Again, you might find yourself wrestling your writerly instincts (even if you’re fond of writing short fiction…). You need to keep your covering letter short and snappy. After all, you don’t want the agent to spend all their time reading just your letter. You want them to turn to your manuscript as soon as possible, and get right into those three sample chapters (or however many their guidelines request).

At most , your pitch letter should take up one page (in a legible font size, please. We know your tricks!)

1. Writing the hook for your book submission

The very first thing in your letter will likely be your hook. It’s right there in the name; its job is to hook the reader into your fiction.

As we mentioned, you can get in-depth advice on how to write a great hook for a novel in a dedicated article, but we’ll give you some brief pointers here.

It should be a very short paragraph, which includes the title and genre of your novel, along with the pitch or hook. Put simply, it will go: ‘[TITLE] is a [GENRE] in which [PITCH]’ .

The hook should be (ideally) a single sentence, and sum up the premise of your book. To nail it, you’ll want to consider these factors:

  • What your novel is about
  • Who it’s about
  • What’s at stake for your protagonist
  • What stands in their way
  • What they must do to achieve their goal

Some writers find it helpful to use titles of works they’re comparing their novel to, often in the ‘X meets Y’ format, or ‘X but in Z setting’. For example:

  • Alien was pitched as ‘ Jaws but in space’
  • George R.R. Martin’s pitch for A Game of Thrones was ‘ Lord of the Rings meets the War of the Roses’
  • Our writing coach Katie Khan’s debut novel, Hold Back the Stars , was pitched as ‘ Gravity meets One Day ’

If there are titles or concepts that fit, this can give agents an immediate idea of what to expect in your manuscript.

Plus, you’re offering proof of concept. That’s integral to any compelling business proposition, but it’s especially important in the world of publishing. While the industry has risk-taking pretty much baked in (given only around a third of published books are profitable), there’s still hesitancy around signing books with a premise that’s completely untested.

Which brings up another important point: don’t make the mistake of comparing yourself to an outlier or phenomenon (like Harry Potter , The Da Vinci Code or Fifty Shades of Grey ). Not only could you come across as a little self-aggrandising, but not all agents want to bet on outliers. They might prefer the security of a surer thing.

2. The story paragraph

Once you’ve given the basic hook, you’ll be relieved to know that you have another, longer paragraph to summarise your story.

This is one of the most essential parts of your cover letter. Importantly, it sits apart from your hook, synopsis, chapter outlines and/or sample chapters.

To give you an idea of what you’re aiming to write, it’s akin to the blurb written on the back of book covers. It should be stirring and pithy. It should also make it clear what question will drive readers to the novel’s end from its very beginning.

Make it as intriguing as you can and feel free to end on a cliffhanger. The agent needn’t know the entire story at the point of submitting. Plus, they’ll usually have requested a more detailed synopsis as part of the submissions package, so they’ll turn to that if they want more detail. Or they might even ask to see the full manuscript! But this letter is your chance to grab their attention and stick in their memory.

While you want to distil the essence of your whole novel into this section, do try to keep the focus on its beginning, the part that makes us keep going. That’ll make the literary agent want to read the rest of your materials!

One fact you should always include is the total number of words in your full manuscript.

Examples of story paragraphs

To give you an idea, here are a couple of examples from popular books. We’ll put the novel after the paragraph, so you can see how easily identifiable the work should be from its brief description. Hopefully it will give you an idea of the amount of detail to go into.

Mrs Bennet wants nothing more than to secure good marriages for her five daughters and is thrilled when a wealthy young gentleman rents a nearby manor. When middle daughter, Elizabeth, is first introduced to eligible bachelor Fitzwilliam Darcy, she finds him cold and arrogant – and he seems unimpressed by her quick-witted charm. However, as the weeks pass, both Darcy and Elizabeth find themselves reconsidering their first impressions. — Summary for Pride and Prejudice by Jane Austen
Summers span decades, winter can last a lifetime and the struggle for the Iron Throne has begun. It will stretch from the south – where heat breeds plots, lusts and intrigues – to the vast and savage eastern lands, all the way to the frozen north where an 800-foot wall of ice protects the kingdom from the dark forces that lie beyond. Kings and queens, knights and renegades, liars, lords and honest men... All will play the Game of Thrones. — Summary for A Game of Thrones by George R.R. Martin

As you can see, neither is especially literary or complex in its language, but each gives the reader a sense of the tone of its corresponding novel. Likewise, without giving away the whole plot or spoiling the ending, we have a very good idea of where the stories will take us.

3. Addressing the market in your cover letter

We touched on the notion of staking your novel’s place in the market in your ‘hook’ paragraph. If you didn’t do it in your hook, this paragraph is your chance. If you did, now you can dig a bit deeper.

In any pitch letter, you should align your work with other things that have been successful.

It doesn’t have to take the form of ‘X meets Y’. You could just write something simple, like ‘people who enjoyed Example Book will also enjoy my novel’, or ‘This novel would sit comfortably in a bookshop alongside Example Book and Another Great Book ’.

Of course, this requires a deep and very up-to-date awareness of your genre. While it’s good to have an appreciation of the classics, it’s often best to draw parallels with recent successes and show you understand current trends in your cover letter.

Some good avenues include:

  • Reading bestseller lists (like the Sunday Times or the New York Times)
  • Browsing bestselling titles of online retailers like Amazon
  • Checking which books are stocked on supermarket shelves (and particularly those that stick around for months)
  • Seeing what bookshops have in the windows and on the front tables

Bonus points if you mention authors represented by the agent you’re querying! (And a stern reminder to be very mindful of copying and pasting cover letters from one agent to the next; they should be carefully personalised each time.)

This section should make it easy for a literary agent to identify your target audience. It will give them clues as to which editors and publishers they can pitch your novel to, and how it can be marketed after publication.

4. Mention the agent in every cover letter

We just touched on the importance of personalising your cover letter, but it’s not just in the published authors you mention.

You should write about the agent and any relevant details about why you’ve chosen them. Most agents receive hundreds of query letters a week, so if you want them to give you their time and attention, show that you’ve given them yours.

Of course, you don’t want to give the impression you know every detail of their life. Not only could that be creepy, but you’re adhering to a tight word limit – don’t let yourself go over one page!

You can – and should – use a couple of your precious sentences to show you know their professional background. While researching individual agents might seem time-consuming – especially on top of all the work you’ve already done – it’s vital.

And it’s not just manners; it’s important for your long-term success, well after you sign with a literary agency. After all, this is ultimately a business deal and a professional partnership. You need to be sure that it’s the right fit for you and your novel.

So use agents’ online presence on their agency website or professional profile to see the kinds of authors they work with, and the ones they admire. If they align with your style – great! You can feel good about submitting to them, with the promise of a fruitful partnership on the horizon.

5. Writing about yourself in your query letter

Finally, we come to the topic many novelists least like to write about: themselves.

You’re in luck, because most agents want this section to be very brief. Remember, the focus is on your fiction and its viability. Your life story isn’t relevant. While your passion and commitment to writing are indispensable, the fact you’re trying to publish a novel you’ve written speaks for itself. Don’t wax too lyrical.

In fact, there’s pretty much only one concrete thing that every agent wants to know about you, and that’s whether you have any publishing history.

Don’t panic if this is your first book! Unless it says otherwise in their submission guidelines, the vast majority of agents are open to debut authors (and many are actively looking for them).

If you haven’t yet published any books but would like to include something about your writing experience, you can mention other publications or practice you’ve had. It could include:

  • Experience in a professional realm (maybe you’ve worked as a journalist or a copywriter)
  • Online creative writing courses you’ve taken (especially if you’ve done any with The Novelry, which literary agencies love!)
  • Short fiction you’ve published
  • Writing awards you’ve won

Some people include a brief line about their day job or other details of their life – particularly if it’s relevant to the genesis of their fiction. For example, Harriet Tyce was a criminal barrister, and wrote two novels centred around criminal barristers. It was clear where she found story ideas for her thrillers – or at least their protagonists.

This type of connection can give agents confidence in the accuracy of your writing, suggesting your editor will have a lighter workload when it comes to factual discrepancies. Plus, it can be helpful when it comes to marketing (if you’re happy to divulge your background).

If your job is uninteresting, unrelated or you’re trying to keep it under a page, feel free to omit details beyond your fiction writing. Agents are more interested in you as a writer than as a person.

And that’s pretty much it! All that’s left to do is to thank the agent for their time and consideration, and sign off. Done and dusted.

What happens next?

So what happens next? Agents will usually give an expected window for responses on their website, and this can be anywhere from a few days up to six weeks, or even longer. It’s important that you respect this timeframe! Follow their guidelines about when and how to check on the status of your submission.

Similarly, if an agent passes on your submission, please do not badger them for an explanation or ask them to reconsider. Agents can only take on authors and stories that they genuinely feel they can champion, and they know their own tastes – be gracious about rejection and try not to take it personally. Remember, publishing is a small business and agents have long memories!

And the fact is, dealing with criticism and rejection is part and parcel of a writer’s life; that’s why it’s so important for us to develop resilience .

Here are some of the gems they’ve shared:

  • Keep the body of the email as short as possible; send materials as attachments, unless otherwise directed.
  • Include your attachments (i.e. the sample chapters, synopsis/outline and anything else that’s requested) as a Word document if possible. Most e-readers don’t deal well with PDFs.
  • Proofread very carefully; a single mistake could make an agent give up on your submission.
  • Be respectful and humble.
  • Address agents by name. Some may prefer a title and last name, others are happy to be addressed by their first name. If in doubt, go for the more formal option. But never address them as ‘Sir/Madam’ or anything similarly anonymous. Triple check you have spelt their name correctly!
  • Always send exactly what they ask for on the website. If they request the first three chapters, send them. If they only ask for ten pages, send that. Some might not want any sample material in the first instance, so don’t send any! You need to make it clear that you’ll be able to follow directions from your agent, your editor and your publisher down the line.
  • Tell agents who you hope your audience will be. Think of the common marketing technique across media, ‘ for fans of ’ or ‘ if you liked X you’ll love this ’. Imagine your book on an online retailer – what titles would it appear with under ‘Customers who bought this also bought…’ or similar features?
  • If you’ve been rejected by an agent who’s offered some reason for their rejection, don’t resubmit your edited manuscript requesting new comments. They aren’t your editor. If they want to see a revised version, they’ll tell you.
  • Don’t pester agents for a response. If they’re going to reply, they will when they have time. Hopefully their auto-response or guidelines will let you know what to expect (i.e. whether they respond to unsuccessful submissions, and what the window usually is for responses).
  • Use a professional-sounding email address. Not the silly address you created in high school, and no joint accounts with your partner. Remember, agents are considering not only whether they can publish your book, but whether to sign a professional contract with you. Act accordingly!

How to write the perfect pitch letter to an agent

So, you've finished your manuscript and are eager to share your work with literary agents. One question I'm always asked by students is: How do you write the perfect pitch letter to a literary agent? Here are my top 15 tips on how to make your submission pitch letter stand out from the pack:

1. Write to a specific agent and do your research

Start out by thinking carefully about who you're going to send your work to. Research thoroughly on literary agency websites and generally online, reading interviews with individuals and checking their social media profiles. Pick agents who are clearly interested in the kind of book you're writing and who appear to be eager to find new writers. When you write your query letter, tailor it to the individual - even though this means you'll have to rethink your pitch letter for each agent you address it to. Don’t write to 'Dear Curtis Brown' or 'Dear Sir' or 'The Submissions Department' etc. Always write to a person.

2. Address the agent by their first name

Only the oldest, most formal of agents are uncomfortable about being addressed by their first names – and really, those are not the people you should be approaching for representation in any case. There’s no need for Mr, Mrs, Ms etc.

3. Keep the pitch-letter short

It should be no more than three brief paragraphs, one which pitches your novel; one which tells the agent a little about you; and one which talks about why you’ve chosen to target this particular agent. It’s up to you which order you do these in. I’d probably kick off by pitching the novel, but others would advise differently. People will tell you that the letter should be no more than a page – actually I’d say it should be much shorter than a page. Whenever we run agent-letter workshops with our London-based students, we end up telling at least 80% of the students that their letter is too long …

4. Kick off your letter by pitching your novel

This is the time to utilize your best one or two-line pitch. You should be giving the central question which drives your novel and hooks in the reader, or stating what’s at the heart of your novel. Ideally, use a slightly different version than whatever you've put in your synopsis to avoid repetition. And it’s good to tell us whose story this is too … Aim at two or three sentences (no more than that, really – this has to be brief and to the point) which introduce your story. Don’t try to cover your whole plot – your synopsis will be doing that job. You’re just looking to whet the agent’s appetite. Include the title of your novel (perhaps even as the heading for the letter). You should also give the genre of your novel if you know it. People often mention their word-count, in their pitch letter but there’s no real need for this: You should probably put that on the title page of your material.

5. Talk about why you’re addressing this particular agent

Agents like to feel you’re writing to them for a reason. Find out something to say which is specific to them: If you’ve read or heard something they’ve said about writing or the kind of novels they’d like to represent – or perhaps if you’ve met them – you could mention this. If there’s a reason you think you’d fit well on their list, say what it is.

6. Include mention of one or two comparison novels

This is when you liken your novel to other similar works. It’s a good idea to find books to compare to yours which are current and commercially successful – and ideally which are represented by this particular agent (though this might not be possible – it will depend very much on their client list). But don’t pick novels which are really major works or you’re setting the bar very high for yourself – perhaps unreachably high. If you can’t come up with good comparison novels, it could instead be a good idea to simply mention one or two of the relevant agent’s clients whose work you particularly admire. Don’t worry too much about the issue of ‘comparison novels’ though, if you can’t come up with any. It’s not the most important aspect of the letter. And don’t include lots of them. Two is enough.

7. Tell the agent a little about yourself

What you do, etc. Leave out details which are not strictly relevant or interesting. If you are a doctor writing a medical drama – say that. Mention any creative writing courses you’ve taken which are prestigious and with selective entry. It’s not worth mentioning self-published books unless they’ve sold well (by which I mean well into the thousands). Mention awards and writing competitions you’ve won if they are not too obscure. Remember, this should only be a short paragraph – don’t get bogged down in detail – be selective and only mention points which speak positively of you and clearly work in your favour.

8. Avoid bragging

... or stating that your novel will be the next huge international bestseller etc. On the other hand, don’t apologise for your novel  or for taking up the agent’s time with it – present it confidently. Read over your letter when you’ve finished writing it to make sure that everything you say is positive – don’t say anything negative at all.

9. Don’t tell us that your wife/husband/best friend/children etc love your novel

The agent doesn’t care about any of that!

10. Be focused – don’t pitch more than one novel or memoir in your letter

Talk about just one novel. If the agent calls you in for a meeting, that’s the time to talk about other projects, future work etc.

11. Do put time, thought and care into your pitch letter

Don’t be slapdash, and check your grammar and spelling. You need to be professional in order to be taken seriously by a professional.

12. There’s no need to include ‘polite padding’ in the query letter

For instance, you don’t need “I’m sending you the opening of my novel and synopsis in search of representation” – the agent will know why you’re writing to them, and you can just go straight into the pitch. Similarly, you don’t need to thank them for their time or say you’re looking forward to hearing from them etc – just write the real meat of the letter and then sign off. Make every word count.

13. Don’t ask for a meeting with the agent

... or state that you’re interested in working editorially on your novel. Just present the novel and then allow the agent to come forward with their idea of what should happen next. They will, in any case, assume you’re happy to come for a meeting or do some rewriting if requested to. Don’t make a point of saying that you’re sending also to others … They'll assume that anyway.

14. Don’t crack corny jokes

It’s just excruciating. And don’t talk about a ‘ fictional  novel’ – all novels are fiction.

15. Don’t be obsequious

The agent doesn’t need you to flatter them or suck up to them.

You’ve come this far: you’ve written your manuscript and polished it as much as you can, and now you’re ready to share your work with literary agents. But before you share your work, you need to write a submission cover letter. So, what is a submission cover letter? And how can you write one that will make your work stand out from the rest? As an agency that receives hundreds of submissions each week, our agents have shared their tips on how to write the perfect cover letter, and make sure that yours is a cut above the rest.

What is a cover letter?

In short, a cover letter is something which introduces you and your novel to an agent. It’s the first point of contact between you and the agent, so it needs to be short, convincing and to the point. Your cover letter should entice the agent and make them want to pick up and read your manuscript.

How should I structure my letter, and what do I include in it?

Firstly, make sure you address the specific agent you are submitting to.

Include an enticing pitch in the body of your email. This should include a one-line hook outlining the central premise of your book; a short, back-of-the-book type blurb; three comparable books in the market today; a short bio; and any other information relevant to your work, such as any courses you have taken, or any prizes you have been shortlisted for, or won. 

When thinking of your three comparable books, try and make the comparisons as precise as possible. For example, ‘this story blends the charm of Gail Honeyman’s Eleanor Oliphant is Completely Fine with the Agatha Christie-esque mystery of a Ruth Ware novel.’ This will give us a clear sense of where it might sit in the market.

What are your agents looking for in a cover letter?

Madeleine Milburn, CEO and Literary Agent: I look for a clear, concise covering letter with a professional yet conversational tone that gets to the heart of the story quickly. Imagine you are pitching your favourite book…how would you get a reader excited? Look at the blurbs on the backs of books and see how they entice someone to start reading. I also love a title that stands out, and resonates in some way, before even opening the manuscript or knowing anything about the story. 

Hayley Steed, Senior Literary Agent : Personally, I love a strong concept – a one line pitch that makes me stop and catch my breath, an idea that feels new and exciting whilst having a clear audience and pitch, a book that feels like it’s doing something different within a familiar genre. I’m always reassured by convincing comparison titles too – I know that a novel is going to deliver if the writer knows exactly who they’re targeting and where it would sit in the market.

Olivia Maidment, Literary Agent: I am always really impressed by a cover letter that shows that an author has really thought about and grappled with their key themes and central ideas, and how to navigate those ideas in their writing, their style, and the stories they tell. I want to work with authors who have something to say and really put the time into working out how to say it, and I love to see those elements coming together in their pitch.

Emma Bal, Literary Agent:  For non-fiction what I am looking for in a cover letter is an author’s mission statement – why they want to write this particular book and why they should be the one to write it. If an author can establish how their ideas fit into the wider discourse, and what is original about those ideas, even better.

Hannah Todd, Literary Agent: The thing I’m always impressed by in a covering letter is accurate comparison authors or titles. It takes some market awareness to be an author, and this shows that you know what is out there and where your book would sit on the shelf. It also shows us that there is already a market out there for your book! There are LOADS of great resources out there on this (most recently  this twitter thread ) and maybe we’ll do our own post on it in future!

Your cover letter might be the very first thing a publisher or agent reads about you, so it's important to take the time to get it right. Here are a few tips on how to strike the right tone and what kind of information to include.

This might seem a little obvious, but it's honestly very important. Guidelines vary widely, so double check that you're including all the details asked for. 

Give concrete examples of your writing credits

Rather than saying things like 'I was born to write', include facts or examples. Like, 'I've had short stories published online', 'I won a local writing competition' or 'this is my second full length manuscript'.

Be canny about including information

It's great to share things you've done to develop your writing, including relevant courses or training, but don't overload your letter with everything you've ever done. Pick one to two to focus on.

Personalise your message

You may be sending a cover letter to many different people, but never, ever send a group email. You are asking someone to take the time to seriously consider your work so it is important to personalise your email or letter.

Focus on the positives

Getting published can be a long and sometimes difficult road and it can be tempting to mention how hard it's been for you. This is not the place to do it. Don't disparage any other publishing professionals and keep your letter as positive as possible.

Keep it simple

It can be tempting to try and get your work noticed with the help of a gimmick or gift along with your cover letter, but agents and publishers are looking for someone with work that speaks for itself.

How to pitch your book to an agent

The majority of authors we publish, especially fiction books, will be represented by a literary agent.  To get a literary agent to represent you as a new writer, you’ll need to pitch your book to them, usually in the form of a covering letter or email.   

Cathryn Summerhayes, a literary agent at Curtis Brown, talks to us about what she looks for in a pitch from a new writer.

When should a writer approach an agent?

For fiction, whether you’re writing for adults or for children, it always makes sense not only to finish your book, but to revise it. Get some readers (not just your mum and dad), and redraft and redraft until you feel you have got it to absolutely the best point you can without help from an agent and/or publisher.

No author’s first draft ever gets published – and an agent wants to really get the sense that you are hard-working, have spent a lot of time with your manuscript and you are determined to get it right. 

For non-fiction, you need a proposal that gives an overview of the project, a breakdown of the chapters you plan to write and at least one complete chapter to give a sense of your voice and direction. 

For all writers I would work on your ‘back of the book’ pitch – a couple of hundred words that really crystallises what the book is about. I far prefer these to long synopses.

What are you looking for in a writer?

I’m always looking for the same three things:

  • Authenticity – why are you so well placed to tell this particular story?
  • Uniqueness of voice – don’t tell me you are the next JK Rowling, instead be the best NEW thing.
  • Intricacy of plotting – a good story cannot stand up if an author hasn’t thought about what every page will add to the telling of that story.

What are the common pitfalls?

Typos, accidentally cc-ing every other agent you’ve sent to, submitting to the wrong agent – I often see material I wouldn’t consider on my list, even though my online profile and the agency’s website make it very clear what I do and don’t like. We understand that you will want to submit to more than one agent, but just make sure if you are copying and pasting material over, that you make the necessary changes. 

You’d be amazed how many times I see things like ‘I would love  to be represented by United Agents’ (I work for Curtis Brown).  Sloppiness suggests your work will be lazy and that you might not be a good self-editor, and ultimately that you might not be the best author for me to represent. 

This is your audition, your biggest job interview ever, so do put the work in!  If you have written something brilliant, you don’t want to fall at the final hurdle by messing up the covering letter.

What do you like to see in a covering letter?

I like to get a very clear sense that the writer is in this because they love writing, not because they see pound signs flashing up. So, if you are working on a second book, say that. We like to see that you are not a one-trick pony and are in this for the long haul. Tell me that you have entered short story competitions, been published in magazines, attended a creative writing course, festivals, etc. Just show me that you are passionate  about the business of writing. 

Cathryn's top tips for a covering letter

  • The key thing when approaching agents is research, research and more research. It helps your submission when you make each agent you approach feel like they have been specially selected because of authors they represent, projects they are committed to, or even hobbies they love.  Check the acknowledgements pages of books you love which are in a similar genre to yours. Often they will thank their literary agent - this could be a good place to start.
  • Don't make basic mistakes. Spell the agent's name and the name of the agency they work for right. I’m afraid little things loom large on the slush pile – treat this as a job application.
  • Pitch with confidence! But not arrogance. If you feel this book is the best thing you have written and that it is ready to share with agents, then communicate that with enthusiasm. 
  • Nail your one line pitch – is it  Star Wars  meets  Bridget Jones ?  
  • Have a nuanced 200 words that really crystallises what the book is about. A smart, to the point submission letter, that gives a clear overview of the material that is being submitted, is vital to capture an agent's interest.
  • A sense of where your book would sit on the shelves if it were to be published today. Is it literary or commercial? Fantasy or sci-fi? Is it a memoir or a book examining a social issue?
  • Make sure your first page is killer  so that you have the agent hooked straight away. 
  • Only put relevant details about yourself in your letter - things like prizes won, your qualifications, where you were born, are fine, but be brief. 
  • If you have a big social media presence, you can include your handles - but be prepared for the agent to look at your content. 
  • Sell yourself, and sell your work. You are your own best advocate.

There are a number of ways to do a good book proposal. We’ve met many writers who get bogged down in the details. The bottom line is whether your idea has traction and if your writing delivers. Since your book proposal is like a job application, you want to present yourself in the most professional manner possible. Your proposal will be a simple vehicle to convey your idea to us, and ultimately to a publisher.

Please read this entire page, even the instructions for international writers at the end. Many stop at the email addresses and read no further. Please do not be one of those.

Please do not just send a query letter (or query email). Please send a full proposal with sample chapters (preferably in one document). We need to have something whereby we can evaluate your writing. Our agency receives over 4,000 proposals a year, therefore, following the guideline will help yours be evaluated properly. Please read this entire page since there are specific differences between non-fiction and fiction proposals. Some of the information is repetitive to make sure our guidelines are clear. (Note how we just repeated something already!)

Do not send the same proposal to all of us in the agency at the same time. We tend to talk to each other so a writer who spams all of us will be considered unprofessional.

As stated earlier, do not just send a query letter (or query email). Please send a full proposal with sample chapters (preferably in one document). We need to have something whereby we can evaluate your writing.

If we are interested in your project, we will be in contact within twelve weeks or sooner. If we do not think your project is something we can represent, we may or may not be in contact, depending on our current workload. If you sent an e-mail proposal and don’t hear from us within 90 days, you can assume we are not going to pursue your project. If you send a hard copy proposal and include a self-addressed stamped envelope (SASE) we guarantee you will receive a response. [This “response” is not necessarily a critique or a detailed review. It may be a simple “no thank you.”]

Hard copy: If you send a hard copy proposal please include a SASE (self-addressed-stamped-envelope) or you will not get a reply. However, if you do send a hard copy proposal and a SASE you will receive a response. [This “response” is not necessarily a critique or a detailed review. It may be a simple “no thank you.”] Save money by only sending a regular #10 envelope with a stamp on it, not an 8 1/2″ by 11″ envelope. Just an envelope with a stamp into which we can place one sheet of paper.

E-mail: If you are sending an e-mail submission please include it as an attachment in a Word document or a PDF (do not paste the proposal into the body of your e-mail). If you send an e-mail proposal and don’t hear from us within 60 days, you can assume we are not going to pursue your project. We recommend you put something descriptive in the body of your email. We receive far too many pitches with only the words “Here it is.” Remember that the subject line is part of your pitch. Also, check your email ID, what your computer says who the email is from (like Caller ID on your phone). It can be embarrassing to the sender when pitching to a professional. ( Read this blog post if you are curious ). 

If you are wondering how to best address the cover letter,  read this article . There is no need to call our office to ask that question or to ask if we received your proposal.

Please, do not call the main office to query about a project. We consistently get calls from those who type “agent” in an online search and call any number that pops up.

Note how we are repeating details? Because a lot of those who approach us have not followed our requests.

There are many ways to create a book proposal, but remember, in a sense, this is your job application. Present yourself as a professional and let your idea and your writing speak for themselves. The directions below are to guide you so your submission will be engaging, complete, and follow industry standards. Instead of obsessing over minor details, follow the standard and let the focus be where it belongs: on your sample chapters! Please read everything below and note the difference between non-fiction and fiction proposals.

COVER LETTER The cover letter should include your name, address, phone number, and e-mail address. It should sum up the plot or idea in a single paragraph, as well as giving the book’s title and estimated word count of the entire manuscript (not page count). If the book is not completely finished, estimate when you might be finished. The cover letter should not be more than one page. Cover letter article . (We HIGHLY recommend that you read this article!)

SAMPLE CHAPTERS The sample should be the first three chapters or fifty double-spaced pages, printed single-sided and unbound. Please make sure the pages are numbered. (Please use Times Roman 12pt font or a similar very readable font.) Do not print out the pages so they look like actual book pages. Print double-spaced on one side of the page in black ink on 8″ x 11″ white paper, use 1″ margins all around and don’t justify the right margin.

E-MAIL SUBMISSIONS If you choose to send an e-mail submission it should be sent as an e-mail attachment in a Word document or PDF. Do Not  paste the contents of your proposal and sample chapters into the body of an e-mail. Formatting will be lost in most cases and it is the worst way to present yourself to an agent. It makes a terrible first impression.

SELF-ADDRESSED STAMPED ENVELOPE (SASE)  If you send a proposal to us via the mail we will not reply to you unless you include an appropriately sized SASE with sufficient postage. A letter-size SASE for a written response is preferred. There is no need to include a large envelope for the return of the entire proposal unless you want the whole thing back. Do not expect us to track down your email address to send a rejection letter. However, if we are interested we may either call or contact you via e-mail for more information.

NON-FICTION Proposals

Your non-fiction book proposal could include the following:

  • A one-sentence summary of your book.
  • Create a 75 word summary of the book. Imagine that this is what will go on the back cover of the book.
  • A half page to one page overview of your book including (a) an identification of its uniqueness (the distinguishing “hook” that will draw your reader in: What will motivate a person to pick up your book?) and (b) what you hope to accomplish in the way of transformation in the life of the reader.
  • A brief profile of your reader with a clear explanation of the problem he or she faces and how your book provides a solution. Also, list any additional audiences you expect your book will attract.
  • A listing of other books available that are similar to yours and a brief explanation of how yours is both different and/or better.
  • A description of potential marketing channels to which you have access (e.g., contacts you have in key organizations, groups you speak to regularly, key people you know who might endorse your book, etc.).
  • Your qualifications to write on this topic and a list of your writing experience and educational/career background. If you have published previously, what are the titles and approximate sales to date of your books? This is a critical part of the non-fiction proposal as it addresses the issue of “Platform.” (If you are unclear what “platform” is, listen to the one hour interview with Michael Hyatt on the topic over at The Christian Writers Institute.)
  • A chapter-by-chapter annotated outline that clearly summarizes the overall content and key ideas of each chapter.
  • Projected word length of the manuscript.
  • Expected completion date of the manuscript.
  • Three sample chapters of your book.

FICTION Proposals

Follow the basic information above in the non-fiction proposal section, but realize that the biggest difference between the fiction and non-fiction proposal is the synopsis. While the non-fiction proposal requires a chapter by chapter analysis, the fiction proposal should be a maximum of three single-spaced pages that present the entire story. Don’t worry, your synopsis will be the worst writing you’ve ever done. That is okay. Just tell the story in quick form so we can know what happens after your sample chapters.

Create a Promo Sentence and a Sales Handle (these are the bits you see on the front cover of a novel or as a headline across the back cover. In addition, create back cover copy that tells the story without giving it away (back cover is usually around 75 words) Examples (from the cover of the novel Oxygen by Randy Ingermanson and John Olson):

Sales handle: A tragic accident or a suicide mission?

Back cover copy:

Dreams turn suddenly to nightmares for NASA and the crew as an explosion cripples the spacecraft on the outward voyage. The crew’s survival depends on complete trust in one another – but is one of the four a saboteur?

In the year 2012 Valkerie Jansen, a young microbial ecologist, is presented with an amazing opportunity to continue her research as a member of the NASA corps of astronauts. When a sudden resignation opens the door for her to be a part of a mission to mars, her life dream becomes a reality.

Since fiction can be entertaining and taps the emotional center of a reader here are some other helpful things to include in your proposal :

In a single sentence, state your purpose for writing this novel. Why did you write (are you writing) this story? What are you trying to prove about life with this story?

Describe your protagonist’s quest. What does he want or need? What is his goal? For what does he yearn?

What is at stake in this story? If your protagonist doesn’t attain his goal, so what? Why does it matter and why should the reader care? What are the consequences?

What is the “takeaway value” of the story. How will the reader be changed for having read it?

International authors frequently ask how best to contact us because of the challenges of sending hard copy through the postal system from overseas. Email is fine. We have a number of Canadian clients, three in Australia and one in England, but all the rest are based in the United States. If you are from another country you can send a proposal via e-mail to any of our agents but let us know that you are living in another country. Do not include the text of the proposal in the body of the e-mail. If we are interested we will contact you within twelve weeks. Otherwise, you can assume that yours was not something we were looking for.

How to write a covering letter

When you send your poems for submission to a magazine, you will generally have to include a covering letter..

Some magazines will tell you what they want from your covering letter, others won’t. If they do tell you, stick to their suggested content – editors want to know that you will be easy to work with, and following their advice is a good start!

Some magazines accept postal submissions, others accept email submissions. However you are submitting your work, keep the covering letter short and polite. If you are writing a letter, make sure you format it correctly. If you are writing an email, you don’t need to worry so much about the layout, but don’t become too chatty!

As well as checking what the editors want from a covering letter, check all the submissions guidelines very carefully. How many poems do they want? Do they specify formatting? Do they want the poems in the body of an email or as an attachment?

Below are some guidelines if you are starting to send out your work.

– DO see if you can find the editor’s name. If you can, address the letter to them. And make sure it’s the current editor!

– If you can’t find the editor’s name, DO say ‘Dear editor’ or ‘Dear editors’.

– DO keep it short – editors are often very pushed for time.

– If it’s an email, DO include your name in the subject line so the editor can easily find your message in their inbox if they are looking for it again.

– If it’s an email, they will have your email address. There’s no need for any other contact details. If it’s a letter, DO give a postal address and email address in the top right hand corner.

– If you are submitting by post, DO include your name and postal or email address on each poem. That way, if the poems get separated from the covering letter, the editor will still know who to contact.

– DO give your full name and the names of your poems. Pay attention to whether they have asked for your poems in the body of an email, or as an attachment. If your poem has unusual formatting which gets lost in the email, paste it in the body of the email and include an attachment as well, and explain why you have done this.

– You could include a very brief biography, e.g. ‘I am a poet from Newcastle currently studying at university.’

– You could also give a brief publication history – don’t include everything, just 2-4 places you have been pleased to see your work published. Don’t worry if you haven’t been published anywhere yet – if the editor likes you work, they will be pleased to discover a new talent!

– If you have read and enjoyed the magazine before DO say so – and you could list a couple of poems or a feature you particularly liked. (It’s a good idea to read any magazines you’re submitting to, as it will give you a sense of whether your work will fit).

– DO thank the editor for their time.

– If you are accepted, DO send a short email thanking the editor/s for their decision. You can be excited and enthusiastic – it’s nice for editors to feel like they have made someone’s day!

– DON’T say ‘Dear Sirs’! There’s no reason why an editor should be a man.

– DON’T meander off the point – the editor just wants to know who you are and what your poems are called.

– DON’T act like you expect your poems to be accepted – and don’t act like you expect your poems to be rejected!

– If you are rejected, you DON’T need to respond. If you feel like you should, keep it to a short email thanking the editor/s for their time. You could also say you are looking forward to reading the magazine/ book/ website etc. Careful not to sound reproachful – sending rejections is a horrible job and that will just make the editor feel uncomfortable.

– DON’T be disheartened if your poem is rejected – editors are just people with subjective tastes, and if they have rejected your poem it doesn’t mean it isn’t a good piece of work! It just means it wasn’t to their taste. Send it out somewhere else instead.

If submitting by letter is it also acceptable to use a letterhead (with name, adress and contact details in bottom centre)? Instead of a plain sheet with the adress at the top right-hand corner.

Hi Em, as long as your contact details are clear then that would be fine.

An outline of the entire work and an estimate of the length of the prospective manuscript. Please be sure that your name, address, telephone number, and e-mail address are on the submission “

This is what the guidelines say but I am really disturbed with the thought with how to write it. What about potential audience what am I supposed to write? I am doing this for first time and if only I get an example of how this thing as a whole is to be written that would be great. For now rest all points are clear except for the above mentioned 3. I want to know how to write about potential audience and why the publisher is best to publish me. Also there is nothing stated in the guidelines if it has to be attachment or e mail text what way do I do it? The who thing with attachment? Publisher Guidelines from Andrews Mcmeel

Thanks for your comment. If you have questions about a specific job, it’s always best to ask the employer directly – we don’t want to give you bad advice!

Our best guess? By ‘potential audience’ they might mean is your work aimed at young children, young adults, adults etc.; men, women etc.; LGBTQ audiences; audiences who like dogs; audiences who are also fans of X Y Z other writers… any indication of who you have in mind when reading your work!

We would guess they would prefer a cover letter as an attachment but hopefully it won’t matter too much. Do get in touch with them and ask.

I just read one of your commenters Ajay sounds great i wanted to know about the same by meaning of attaching the cover letter do you mean only the manuscript or entire like our details and all requirements if so what should be the mail content? That cant be kept empty right? Andrews is real confusing

Thanks for your comment! It depends on the submission guidelines from the particular magazine you’re submitting to. Normally, though, you would attach a cover letter and, separately, your poems. In your email, you could write something short such as:

‘Dear [name of editor(s)], Please find attached 3 poems for your consideration and a covering letter. Thank you for your time. Best wishes, [your name]’.

Should you sign a cover letter with attached poems?

It depends! If you’re printing out your cover letter and sending it in the post, it might be nice to sign the cover letter, though most poetry magazines won’t mind whether you do or don’t. If you are submitting over email or Submittable then you shouldn’t need to sign anything. Do always check the submissions guidelines though.

Hi, I want to submit my poems for publication in a magazine but their submission guidelines do not include a bio. should I send one anyway? plus, they did not indicate whether the cover letter should be sent as an attachment or in the body of the email. what’s the most professional way to do so?

Our top tip is to follow the submissions guidelines to a T. So, if they don’t mention a bio, then you don’t need to send one.

As for the cover letter: normally, if you are emailing your poems over, it’s most common to include your cover letter in the body of the email – unless they’ve specifically said to attach it. However, if they haven’t said either way, then it shouldn’t hurt your chances whatever you do!

Cover Letters

A cover letter is a document you send to an employer alongside your application. It helps to introduce you and outlines your interest in the role.

Your CV should always be accompanied by a cover letter. This is unless the employer tells you otherwise.

It is a key part of your application. Your letter should:

  • explain your motivation for applying
  • show your suitability for the vacancy
  • highlight the most important parts of your CV

Your letter should only be one side of A4 and you should use the same font style and size used in your CV.

What to write in your cover letter

We'd suggest the following structure for your cover letter.

The order for the second (why you) and third paragraph (why them) is flexible. You can swap these around if you prefer.

  • Write to the correct person. It's important to get their name and job title right. If a name is not given, try to find out who you should address your letter to. You can do this by contacting the organisation or checking the website.
  • If you are making a speculative application you should contact the organisation to ask for a key contact who can help with recruitment .
  • Address your letter correctly. Use their title and last name only. If you're unsure about their gender, marital status, or preferred pronoun, you can use their full name. If you can't find out the name of the person, use a generic term such as ‘Dear Hiring Manager’ or ‘Dear Recruitment Team’.

First paragraph: Introduction

  • Briefly explain what you are doing now and why you are writing. If the job or placement was advertised, include where you saw the advert.
  • A strong, confident and positive opening statement makes a good first impression. For example: 'I believe I have the relevant skills, knowledge and experience to make a difference in this role and in your organisation.'
  • If you are applying speculatively, be as specific as you can about what you are looking for. Consider giving the employer a range of options. If there are no vacancies available, you could get involved another way. This could be work experience, shadowing or even the chance to meet and ask questions.

Second paragraph: Why you? Summarise what you have to offer

  • Summarise the most relevant skills from your CV. What can you bring that makes you attractive to the employer?
  • Keep your summary concise, with specific examples from your experiences. Try to avoid highlighting generic skills and qualities in isolation. Instead, focus on how you developed your skills. For example, 'I am a reliable and trustworthy person with good communication skills' doesn't show how you developed your skills.
  • If you’re not applying for a specific advertised post, you may not have a job description to help you. You’ll need to work out which skills are required. To help with this, look at the job profiles on the Prospects website.
  • Convey your enthusiasm for the job and what you can bring to the company, rather than talking about yourself in a general way.
  • Give reasons why the organisation should consider you. What have you got to offer them? Talk about any relevant experience, knowledge and skills and how you could contribute. Your examples could come from a variety of places. Your degree, internships, part-time jobs, volunteering or extra-curricular experience are all valuable.
  • Try not to repeat phrases from your CV. Make sure that your CV clearly provides evidence for statements that you make in your letter.

You can split this paragraph into two, depending on how much you have written.

Third paragraph: Why them and why this role? Target the employer

  • Each letter should be tailored to the organisation and role. Recruiters will not be impressed with a generic covering letter. This is especially important if you are applying speculatively. Find out as much as possible about the field of work, the company and the type of role you are interested in.
  • Explain why you want to work for this organisation. This could be their ethos, training or product/services. Mention any contact you have had with the company.
  • Show that you have researched the company and know what they do but don't just repeat what is on their website.

Optional paragraphs: Other relevant information

It may be relevant to include other information in your covering letter. This could be explaining the circumstances of disappointing academic grades. Come and talk to us if you have concerns about explaining these or other issues in your letter. To do this, b ook a CV appointmen t via MyCareer.

  • Finish your letter in a polite and friendly way, saying when you would be available for interview. End on a positive note. 'Thank you for taking the time to consider my application. I look forward to hearing from you' is a good example.
  • To end your letter, write ' Yours sincerely ' if you know the name of the person you're writing to. It is ' Yours faithfully ' if you don't know the name, followed by your signature.

Speculative applications

Not all jobs are advertised. You can reach out to companies directly to ask about opportunities. This is called a speculative application. A good starting point is to contact small to medium sized companies. Larger organisations tend to have more established routes for work experience.  

When writing speculative applications,  be as specific as you can about what you are looking for. Consider giving the employer a range of options. If there are no vacancies available in the company, you could get involved another way. This could be work experience, shadowing or even the chance to meet and ask questions.

Feedback from a CV adviser

Before you book a CV appointment or send us your cover letter for feedback, you need to complete the CV and Covering Letter Pathway on MyCareer first. This includes uploading your CV/cover letter to CareerSet.

How to write a cover letter.

A cover letter introduces you to an employer and asks them to think about your application. 

It’s a short letter, usually 3 to 5 paragraphs long.

When to include a cover letter

You should always include a cover letter when you apply for a job using a CV. 

You can write it as an email if you’re applying online or print a copy to go with a paper application.

When writing a cover letter, let the employer know you’re keen by showing that you’ve researched the company. Learn more about what they do through:

  • their website
  • recent news articles
  • talking to people you know who work there

Send it to the right person

It's important to try to address your cover letter to someone by name. Check you have the details of the person you need to send it to. 

You'll need their name and preferred title. For example, ‘Dr’, ‘Mr’, ‘Mrs’, ‘Ms’, and their job title. You should also make sure you have the right company name and address, including postcode.

If you do not know their name

If the job advert does not include a name you can check the company website. Try to find details of the head of the department, head of human resources or a recruitment manager.

If you still cannot find a name, you can start your letter with ‘Dear Sir or Madam’.

Introduction

Introduce yourself and explain how you found the advertised job. You can mention the job title, and reference number if there is one. 

If you’re asking about any job openings and not applying to a vacancy, tell them what sort of job you’re looking for. Let the employer see how keen you are to work for them.

Show you're right for the job

Highlight the skills and experience you have that match what the employer is looking for. 

Convince them that you're enthusiastic about working for them. Let them know you share their work values, culture and style.

Give extra information

If you have gaps in your employment history, you could talk about the skills you gained while you were out of work.

If you’ve mentioned on your CV that you have a disability, you might want to talk more about this in your cover letter. Organisations like Disability UK can give you advice on how to do this. You do not have to mention your disability at this stage if you prefer not to.

Ending your cover letter

Thank the employer for considering your application. Let them know that they can get more details from your CV, and tell them you're looking forward to hearing from them.

Let them know how they can best contact you. Make sure your contact details are correct on both your cover letter and CV.

Yours sincerely or yours faithfully

If you know the name of the person you’re writing to, you should end the letter with ‘Yours sincerely’.

If you’ve addressed the letter ‘Dear Sir or Madam’, you should end the letter with ‘Yours faithfully’.

Tips for writing a cover letter

When writing your cover letter, remember to:

  • write a new one for every job you apply for and make sure it’s tailored to the company and the specific role
  • use the same font and size as you do for your CV, so it looks consistent
  • make sure the company name and recruiter’s details are correct
  • use the right language and tone: keep it professional and match the keywords used by the employer in their job advert
  • show you’ve done your research into the job and the company
  • highlight your most relevant skills and experience to stand out from other applicants
  • back up any statements you make with facts and use the STAR method
  • double check spelling and grammar before you send it
  • keep a copy of your cover letter as they may ask you about it in an interview

Submitting your manuscript: Write the right cover letter

It may seem obvious, but a journal editor's first serious impression of a submitted manuscript lies not only with the article title but also, rather simply, with the cover letter . The cover letter is your first "formal" interaction with a journal, and it embodies a request, so to speak, to consider your article for publication. But it also provides you with an excellent opportunity to present the significance of your scientific contribution.

I've worked as an editor for primary research and review manuscripts alike, and despite their many similarities, there are distinctions to writing the cover letter for each. Here are some helpful tips for writing a suitable cover letter for Cell Press scientific journals. 

Cover letter basics: What do we look for?

1. Let's start with content. We look for letters that start by succinctly explaining what was previously known in a given field and then state the authors' motivation for wishing to publish. Following that, the conceptual advance , timeliness, and novelty should be immediately conveyed. What sets apart this scientific contribution? What is the significance of the work, and where does the article lead us? Will this research be of interest to a broad readership?

2. Get to the point.  We want a concise letter that quickly gets to the main point and the take-home message; this sets the stage for your manuscript. Succinctly explain the topic of discussion, and quickly convey the key conclusions. Do not submit a long dissertation. Generally, one page suffices and is preferred.

3. Do not rehash the abstract of the paper. Copying and pasting the abstract into your cover letter verbatim is a big no-no. Instead, we seek a synthesis of the key points—possibly, and depending on style, the summary might resemble a brief story pitch in an elevator! But importantly, you need to venture beyond the summary: write a sentence that takes you further than the obvious conclusions. How does the content move the field forward? Are the implications far-reaching?

4. Get excited!  Authors' excitement about their scientific contributions can undoubtedly inspire the editor who's reading the cover letter. Overall, the sentiment of "you're gonna love reading this paper!" should seep through—make that happen!

5. Include a wish list of reviewers. Relevant information on potential reviewers (including their field of expertise) can be included and is definitely a plus, as it can be quite helpful to the editor. By contrast, please don't provide a long list of excluded reviewers (three maximum), and most certainly do not suggest excluding authors from entire continents on the map! Also, save the editor some time by specifying which author should be the  lead contact , and indicate their affiliation.

6. Keep it simple ... and humble. In terms of style, consider sincerity and simplicity . The letter should be humble and forthcoming; don't be ostentatious or florid. Claims of priority, if not fully supported, tend to be a turnoff. In addition, statements indicating that the article or related findings have been presented at X number of conferences and are "tremendously" well received by the scientific community—or otherwise—do not add much to the cover letter. They might instead suggest right off the bat that a lot of cooing and convincing of the journal editor will be required. So let the "science" speak for itself. Also, a statement declaring that the article is original and isn't being considered elsewhere can only add to your cause!

7. Proofread your letter by checking the spelling, grammar, and syntax. A well-written letter indicates that you take your submission seriously and that you are an author who pays attention to detail.

8. Check every detail. Avoid mistakes such as directing the cover letter to the editor(s) of a different journal, or to a different journal altogether. This might suggest that you've submitted your article elsewhere, that it might have been poorly received, and perhaps that the Cell Press journal you're submitting to isn't your first choice. It could also suggest that you don't pay sufficient attention to detail. Sadly, these sorts of errors continue to surprise me and happen more often than I would like.

The cover letter:  Primary research or Trends  reviews?

There are subtle differences in writing a cover letter for a primary research journal versus a  reviews journal, such as the Trends journals at Cell Press.

Many different article formats exist within both the primary research journals and the Trends journals. Make sure it's very clear which type of format you're submitting. As the Editor of Trends in Molecular Medicine , I find that this detail is not always specified by the author(s) in the cover letter. Knowing what type of manuscript you are submitting can help you fully nail down the cover letter in terms of the intent, scope, and take-home message of the article. It also recapitulates your prior agreement with the editor regarding article format: is it a review or an opinion piece?

Along these lines, the content of your cover letter will differ for a review or opinion piece as opposed to an original research contribution. For both, the timeliness and novelty need to strongly come across. However, for a research article, the specific advance relative to previous experimental findings needs to be clearly indicated. For a Trends article, the synthesis and conceptual advance should be particularly stated in terms of what is new and has been trending in the field for the last one to five years. For an opinion piece, take a strong and novel stance on a hypothesis or idea. Projecting into the future, beyond the main take-home message of the paper, is also a strong consideration for Trends articles.

I recommend that you familiarize yourself with the journal that you are submitting to—browse through the journal website and do your homework on author guidelines and the scope of the journal prior to submission! In the case of Trends journals, know who the editor is. Each Trends journal is run by a single editor, so beginning your cover letter with "Dear Madam" when the editor is male, or "Dear Sir" when the editor is female, may not create a favorable impression. While such mistakes are usually overruled by the content and quality of the science, it certainly helps to have your cover letter completely in order!

If you’re applying for a job you’ll need to write a cover letter to accompany your CV.

A cover letter highlights your relevant skills and experience and explains why you're a good fit for the job. As with your CV it should be tailored to each job you apply for.

  • Use the same language and tone as the job advert and company website.
  • Focus on what you will bring to the role and the company.
  • Read the job application carefully and make sure you mention any skills and experience you have that they are looking for.
  • Provide examples by describing situations when you have used the skills they are looking for effectively.
  • Always highlight the positive outcomes of your efforts for example ‘…this led to an uplift in sales’.
  • Address your cover letter to a named contact if a person in mentioned in the job advert.
  • Use the first paragraph to explain the role you are applying for and why you want to work for the company.
  • Use the second and third paragraphs to demonstrate that you have the skills and experience listed in the job description. Illustrate this by providing examples.
  • Your final paragraph should summarise your suitability for the role and reiterate why you would like to work for the company.
  • Finish by directing them to any additional information, such as an online portfolio, and give them the option of contacting you for further information.
  • If you have addressed the letter to a specific person, end the letter with 'Yours sincerely'. If you have not addressed it to a named individual, sign off the letter with 'Yours faithfully'.
  • Include your name, email and contact number.
  • Consider using the same design features as your CV or portfolio to create a suite of documents that work well together.
  • Include details of the role you're applying for in the email subject line.
  • Keep your cover letter to approximately one page or 400 words long.

Speculative cover letters

A speculative cover letter is one that you send to a company that you’d like to work for, rather than in response to a job advert. The same guidelines apply but you'll need to explain why you're getting in touch in more detail, as the employer won’t be expecting your letter.

Speculative applications work best when you have a specific reason for thinking the company will benefit from hiring you. For example, perhaps you heard through your network that they're recently awarded a big commission. This suggests they may soon be looking to take on new staff with the skills you possess. This would be the perfect opportunity to send a speculative cover letter, accompanied by a tailored CV.

How to write a cover letter

Here are five steps on how to write a cover letter to ensure you get hiring managers in the UK and beyond to look at your CV .

Include your cover letter within the email or message

When submitting your job application, always include your cover letter within the body of your email or message. Never attached it as a separate document.

“But why?”, you ask.

Well, you should instantly grab the recruiter’s attention the moment they look at your application. If they have to endure the hassle of opening a document, it slows everything down, and they may not even bother.

Here’s how to include your cover letter in the body of your application message:

Tailor your greeting by directly addressing the recruiter

To get your cover letter off to a great start, make a brilliant first impression by using the hiring manager or recruiter’s name.

Avoid sounding overly formal or informal, though.

For instance, you could address the recruiter using:

  • Hi [insert recruiter’s name]
  • Hi [insert department/team name]

Skip the conventional “Dear Sir or Madam” unless you’re targeting highly formal companies.

Here are a few tips on how to locate the recruiter’s name:

  • Check the job ad – Sometimes, you can find their name and email address within the job advert itself.
  • Visit the company website – Look at the “About Us” section to unearth the contact info for the recruitment team or head of department.
  • Use LinkedIn – If you’re having a hard time pinning down the specific team and company related to the job opening, a quick search can reveal the person in charge of hiring for that specific job.

If you have no success in finding their name, don’t stress. Just say “Hi” – that’ll more than do the trick. Aim for a greeting that is both professional and welcoming.

Coming across as too casual can make you sound a little unprofessional while appearing excessively formal can make you look stiff.

Pinpoint your applicable skills

Your cover letter’s purpose? To entice hiring managers to read your CV . To do this, quickly allude to your relevant skills tailored to the job you’re interested in.

Review the job description and note the essential qualifications and skills the recruiter wants.

Suitable skills in cover letter

Concentrate on these skills in your cover letter and tell them why you’re perfect for the role.

This gives recruiters the confidence they need to consider you for the job.

For instance, you could say:

  • Finance – “My strategic planning skills allowed me to identify key growth opportunities and revenue drivers, ultimately leading to the impressive revenue increase of over £100 million.”
  • Marine engineer – “I excel in the development and implementation of predictive maintenance programs, ensuring equipment reliability and longevity. Conclude and add a professional signature

Your sign-off must be warm. So, say something like “Best regards” or “Kind regards.” Just be yourself while staying polite.

To add a nice finishing touch to your cover letter , add a professional signature at the very bottom.

Doing so helps the person on the other end know how to reach you and gives your cover letter a professional touch.

Here’s what you need to include in your professional sign-off:

  • Your full name – Add your first and last name, like “Jessica Smith”. It’s just there so recruiters know who you are.
  • Your phone number – Preferably, put your mobile number in here so recruiters can quickly get hold of you.
  • Your email address – This must be a professional email address, like [email protected]. Don’t include an overly casual email – remember, this is a job application.

If you like, you could also include a couple of extra details:

  • Your job title – For example, “Administrator” or “Delivery Driver.”
  • A link to your LinkedIn – If you use LinkedIn, insert a link to your profile – this is like your professional social media.

A cover letter demonstrates to recruiters how well you express yourself, so you need to make sure that you don't just repeat your CV or give rambling explanations. Instead, use this opportunity to focus on your skills and experience, saving your qualifications for your CV.

The basic cover letter structure covers:

  • why you think you're suitable for the job (with examples)

Cover Letters

The cover letter is a formal way to communicate with journal editors and editorial staff during the manuscript submission process. Most often, a cover letter is needed when authors initially submit their manuscript to a journal and when responding to reviewers during an invitation to revise and resubmit the manuscript. For more information on the peer review process and possible manuscript decisions, see Section 12.7 of the Publication Manual .

Because cover letters are separate documents from the manuscript file, all correspondence during the publication process must include the complete manuscript title, the authors’ names, and the manuscript number (assigned by the journal when the manuscript is first received). Although any author may correspond with the journal editor or editorial staff, most correspondence is handled by the corresponding author , who serves as the main point of contact and responds to questions about the published article. All authors should decide prior to submission who will serve as the corresponding author.

Cover letter for manuscript submission to a journal

Authors usually must include a cover letter when they first submit their manuscript to a journal for publication . The cover letter is typically uploaded as a separate file into the online submission portal for the journal (for more information on using an online submission portal, see Section 12.10 of the Publication Manual ).

The cover letter should be addressed to the journal editor; any interim correspondence is addressed to the editor or associate editor with whom you have been in communication.

In your submission cover letter, include the following information:

  • manuscript title
  • manuscript authors
  • assurances that all authors agree with the content of the manuscript and with the order of authorship (for more information, see Sections 1.21–1.22 of the Publication Manual )
  • assurances that the corresponding author will take responsibility for informing coauthors of editorial decisions, reviews received, and any changes or revisions made
  • information about the existence of any closely related manuscripts that have been submitted for simultaneous consideration to the same or to another journal
  • notice of any conflicts of interest or activities that might be seen as influencing the research (for more information, see Section 1.20 of the Publication Manual )
  • a request for masked review, if that is an option for the journal and desired (for more information, see Section 12.7 of the Publication Manual )
  • verification that the treatment of human participants or nonhuman animal subjects was in accordance with established ethical standards (for more information, see Sections 1.18 and 12.13 of the Publication Manual )
  • a copy of any permissions to reproduce copyrighted material or a notice that permissions are pending (for more information, see Sections 12.14–12.18 of the Publication Manual )
  • the telephone number, email address, and mailing address of the corresponding author

Check the journal’s website for the current editor’s name and for any other journal-specific information to include in your cover letter.

Cover letter for a revised and resubmitted manuscript

Also include a cover letter with manuscripts being resubmitted to a journal after receiving an invitation to revise and resubmit. Ensure the cover letter contains the complete manuscript title, the authors’ names, and the manuscript number (assigned by the journal when the manuscript was first received). In the cover letter for the resubmission, thank the editors and reviewers for their feedback and outline the changes you made (or did not make) to the manuscript to address the feedback.

The cover letter for a revised and resubmitted manuscript summarizes the changes to the manuscript. Along with the cover letter and revised manuscript, authors should also provide a response to reviewers , which is a detailed document explaining how they responded to each comment.
