What is a Linking Sentence?

Put simply, a linking sentence is a sentence that relates to the main idea of your essay, namely your topic sentence.

Linking sentences are important for the structure of your essay, ensuring that your paragraphs are cohesive and linking together one idea to another to create a fully formed argument. As such, linking sentences help to keep your essay clear and cohesive by explicitly highlighting the relationship between paragraphs.

Let’s get into how to use linking sentences in your essays!

Step 1: Choose your linking word and phrases

Linking words and phrases comes in all shapes and forms to communicate different types of relationships between ideas. Here are a few useful linking words and phrases to keep handy when it comes time to write your essays:

Addition and emphasis If you want to show that the sentence builds on the previous one: Moreover Furthermore In addition In particular Undoubtedly
Cause and effect If you want to communicate consequences and the reasons behind them: As a result Therefore Thus Consequently Due to
Contrast If you want to express differences in ideas: However Nevertheless On the contrary In contrast Yet
Comparison If you want to highlight the similarities or differences between something:   Similarly   Likewise   Compared to   Just as   Also

Step 2: Linking within paragraphs

Now that we’ve categorised common types of linking words and phrases, it’s time to look at how this would come together to create a cohesive paragraph. Linking words in a paragraph help you to connect different points without confusing your reader.

Let’s look at an excerpt from a King Lear essay:

Within the very first interactions of King Lear , it is revealed to the audience that Gloucester has two sons, one of which is illegitimate. The line, ‘I thought the king had more affected the Duke of Albany than Cornwall’, is a subtle foreshadowing of the play’s central idea: the dynamics shared between parent and child. However, Shakespeare throws the audience askew with the discovery that Gloucester does not favour his legitimate son, evident through the line, ‘some year elder than this, who yet is no dearer in my account’. As a result, the conflict between Gloucester and Edgar reinforces the recurring idea of love as a measurement; a test that needs to be passed.

In this line, the use of ‘however’ is a linking word that signals to the readers a contrast from the previous line and highlights a juxtaposition.

The next sentence beginning with ‘as a result’ describes the effect of the previous line and what result it creates.

Step 3: Linking to a new section 

Using linking words within a paragraph is easy to get the hang of once you know your intent but linking to a new section can be a little tricker.

Linking to a new section of your essay means that you will need to summarise your previous paragraph and either build or depart from that idea to fit with the main argument of your essay.

As we mentioned before, your linking sentence will tie in with your topic sentence, as this is the sentence that begins your paragraph and will lead your argument. 

Here is an example of a leading sentence:  

Building upon her analysis of poverty’s influence on individual and collective notions of identity, Walker explores the complexity of classism by considering its potential for personal growth.

Although we cannot see the previous paragraph, this linking sentence makes it clear that this paragraph will discuss classism and personal growth and relates to the previous paragraph’s analysis of poverty .

This linking sentence shows that the new paragraph complements the previous paragraph by providing information that supports the idea of social status influencing individual and collective identity.

Making links between paragraphs

It is important to provide  links  in your writing. When writing your sentences, try to link up one sentence with another. In the same way, when writing your paragraphs, try to link up one paragraph with another. This can take two forms: ending a paragraph with a sentence that leads  forward  to the next paragraph or starting the new paragraph in a way that links  back  to the previous paragraph.

Look at the passages above (Beauty, A basic truth, Marangu) and find the sentences that provide links with any subsequent paragraphs. When you’ve done that, look at the notes below.

In these paragraphs, the last line of each paragraph leads into the following paragraph.

However, for me, beauty does not reside in music alone.  (And my next paragraph will develop this idea and explain what else exemplifies beauty for me.)

However, despite the prevalence of these attitudes, change is on the way.  (And in my next paragraph I will outline about these changes.)

It brings back some striking memories.  (And in my next paragraph, I will describe some of about these memories.)

One further way of making links between paragraphs is to repeat certain key words and phrases, or near equivalents, in closely related paragraphs. This ensures a strong feeling of continuity from one idea to the next. In the example below, the key words and phrases have been circled and then linked with lines to show the connections that exist between one paragraph and the preceding and following paragraphs. Notice how the writer provides the reader with links, making it easier to follow the train of the argument.

The doctors of the law, those who developed and preserved the consensus of the community, were the nearest equivalent to a teaching authority in Sunni Islam,  and  it was essential for them to make sure that the understanding of  fiqh  and of its bases was fully transmitted from one generation to another.

From an early time there seems to have been a formal procedure for the transmission of religious learning. In mosques, and especially in the large congregational ones, circles of students would group themselves around a teacher sitting against a pillar and expounding a subject through reading and commentating upon a book. From at least the eleventh century,  however , there grew up a kind of institution devoted largely to legal learning, the  madrasa : its origin is often ascribed to Nizam al-Mulk, the wazir of the first Saljuq ruler of Baghdad,  but  in fact goes back to an earlier time. The madrasa was a school, often  although  not always attached to a mosque; it included a place of residence for students. It was established as a waqf by an individual donor; this gave it an endowment and ensured its permanence,  since  property of which the income was devoted to a pious or charitable purpose could not be alienated.

Some institutions were established for the teaching of the Koran or Hadith,  but  the main purpose of most of them was the study and teaching of fiqh.  To take an example : the Tankiziyya madrasa in Jerusalem, endowed during the Mamluk period, had four halls, opening off a central courtyard, one each for the teaching of Hadith, Hanafi law and Sufism,  while  the fourth was a mosque.

Signposting

‘Signposts’ are found in good academic essays and they will also help the reader to understand the writing more easily. They help to link what has already been said with what is about to be discussed.

Some of the words that we have already considered can be used as signposts. For example  consequently, however, similarly, moreover, in contrast  and so on. Look at the example above; the signpost words are shown in bold. In addition to these words, we can also use expressions like these:

  • This programme …
  • Despite these difficulties …
  • These suggestions …
  • However, in the modern world …
  • In the next section, …

In each case we are making reference to a point already mentioned, or we are indicating that we about to consider something new. For example, our signposts can look backwards at a point already raised:

  • This suggestion …
  • These ideas …
  • This brief outline suggests …
  • Such proposals …

Similarly, our signposts can look forwards towards issues that will be raised in the next section or in the near future:

  • In this section, I will …
  • My next chapter will consider why …
  • A recent study suggests …
  • One important recent finding indicates that …
  • Some signposts look in both directions at the same time!
  • Despite these reports, other writers have proposed …
  • In spite of these findings, teachers believe …
  • This view has been rejected by some authors who claim that …
  • In contrast, a recent article …

Look at these passages and underline any ‘signposts’. Do they look forwards, backwards or in both directions?

How to connect ideas at the sentence and paragraph level in academic writing.

What is cohesion?

Cohesion refers to the way we use vocabulary and grammatical structures to make connections between the ideas within a text. It provides flow and sequence to your work and helps make your paragraphs clear for the reader.

Cohesive devices are words and expressions that show relationships between parts of text and ideas, such as cause and effect, time, addition, or comparison and contrast.

How can I create cohesion?

Let’s look at types of cohesive devices.

Linking words

Academic writing usually deals with complex ideas. To enable the reader to follow your thoughts, they need to be clearly and smoothly linked. To join ideas and sentences, we use a number of connecting words and phrases. For example:

Additionally, and, also, apart from this, as well (as), in addition, moreover, further, furthermore.

If, in that case, provided that, unless.

Correspondingly, equally, for the same reason, in a similar manner, in comparison, in the same way, on the one hand, similarly.

Alternatively, although, but, conversely, despite, even so, even though, however, in contrast, in spite of, instead, on the contrary, contrary to, nevertheless, nonetheless, notwithstanding, on the other hand, rather, still, though, yet, whereas, while.

Again, in fact, interestingly, indeed, it should be noted (that), more important(ly), most importantly, to repeat, (un)fortunately, unquestionably.

A further instance of this is..., an example of this is…, for example, for instance, such as, thus, as follows.

In other words, more simply, namely, simply put, to put it differently / another way, such as, that is.

A / the consequence of, because, due to, for, the effect of …, since, the result of …

Accordingly, as a result/consequence, consequently, for this reason, hence, so, therefore, thus.

Admittedly, although, clearly though, even though, however, indeed, obviously.

As a rule, for the most part, generally, in general, in most cases, normally, on the whole, usually.

First, second, third (etc), next, before, earlier, finally, following, given the above, later, meanwhile, subsequently, then, to conclude, while.

A note about presentation and style

Check a usage guide for exact rules for punctuation. Many introductory phrases have a comma after them. For example, 'therefore,' and 'in addition,'.

Referring backwards

To avoid repeating words and phrases many times, we use cohesive devices to make references to other parts of a text, such as:

  • Pronouns: it, he, she, his, her, they, their
  • Demonstratives: this, that, these, those
  • Articles: a, the
  • Adverbs: previously, subsequently

The Australian prime minister has called an early election. The date was selected to coincide with the start of the Olympic Games. This decision was based on the views of his ministerial advisors, who predicted that voter confidence in the government’s policies would be strong at this time . As previously mentioned , decisions on the timing of elections are based on predictions of voter confidence in the existing government.

In the example above:

  • The date - refers back to the election date
  • This decision - refers to the prime minister calling an early election
  • His - refers to the Australian prime minister
  • this time - refers to the start of the Olympic Games
  • As previously mentioned - refers to all of the earlier information about the selection of election dates

Looking forward

We often use words and phrases to highlight new information for the reader. This helps make a smooth transition from one point to another. Such phrases include: the following, as follows, below, next, subsequently .

The following dates have been proposed for the forthcoming election: September 8, September 15 and 3 October.

The next issue to be discussed is the influence of the media on voter confidence in the government.

Connecting paragraphs

Apart from using the linking words / phrases above, showing the link between paragraphs could involve writing ‘hand-holding’ sentences. These are sentences that link back to the ideas of the previous paragraph. For instance, when outlining the positive and negative issues about a topic you could use the following:

Example (from beginning of previous paragraph):

  • One of the main advantages of X is…

When you are ready to move your discussion to the negative issues, you could write one of the following as a paragraph opener:

  • Having considered the positive effects of X, negative issues may now need to be taken into account…
  • Despite the positive effects outlined above, negative issues also need to be considered...

It is always important to make paragraphs part of a coherent whole text; they must not remain isolated units.

Checking for paragraph links in your own work

When you are editing your next written assignment, ask yourself the following questions as you read through your work (Gillett, Hammond, & Martala, 2009):

  • Does the start of my paragraph give my reader enough information about what the paragraph will be about?
  • Does my paragraph add to or elaborate on a point made previously and, if so, have I made this explicit with an appropriate linking word / phrase?
  • Does my paragraph introduce a completely new point or a different viewpoint to before and, if so, have I explicitly shown this with a suitable connective?
  • Have I used similar connectives repeatedly? If yes, try to vary them using the above list.

Strategies to improve cohesion

  • Select a piece of writing, preferably from a textbook or journal article, from your area of study.
  • Choose a paragraph and underline or highlight all the different forms of cohesion used, such as using linking words, referring backwards, looking forwards or adding synonyms.
  • Which forms are the most common?
  • Choose a couple that you think are effective and practice using them in your own writing.
  • Try to use a variety of ways to show the relationship between your ideas.

Paragraphs – what should they look like?

In the section on sentences, I suggested that you can also learn a lot about the length of sentences simply by being aware of what you are doing when you are writing. You can do the same with paragraphs. Have a look at your most recent essay. Do your paragraphs have wildly differing lengths – sometimes a few lines, sometimes nearly a whole page? Or are they all about the same length? If you answered ‘yes’ to the second question then you are well on your way to writing good, clear essays.

A good average length for a paragraph is somewhere between 150 – 250 or between a third and two thirds of a double-spaced A4 page. Have a look at paragraphs in books and journals to get a better sense of good paragraph length. A paragraph that is longer than this suggested length gets harder and harder to follow. A paragraph that is shorter looks scrappy, more like a note than part of a coherent, developing argument.

This does not mean that all paragraphs should be exactly the same length but it’s a good rule to follow when you first start writing essays.

Paragraphs – what should be in them?

Each paragraph should represent a new stage in the argument and structure of your essay. A good way to think about the content of paragraphs is the ‘Rubin method’ which says that paragraphs should contain a subject or topic and a series of statements that make clear what the writer thinks is important or pertinent about the subject or topic.

Some people find it useful to think about each paragraph of the essay as a separate component which gets linked with all the others later. Other people find it easy to move from one paragraph to the next.

Some things paragraphs can do

  • Divide writing into easily manageable sections.
  • Signal a change of direction in an argument: “However, when we apply Professor X’s model to the recent performance of Marks & Spencer we can see…”
  • Signal the introduction of a new idea.
  • Be containers for separate points in your argument.
  • Summarise what’s been said so far before moving on to the next stage of an argument.

Paragraph links

Now you’ve written clear sentences and arranged them into clear paragraphs you need to make your essay flow smoothly. You make this happen by linking everything together. Here’s an example from a book about Chinese business practices:

…By using family titles to name their colleagues, Chinese employees shape their business relations in terms of the well-known conventions and roles of the family and social structure. Interaction between employers and employees also finds a basis in family-centered codes of behaviour.

Our example shows the end of one paragraph and the beginning of another. The author’s main point is the way that family relations are the basis for all Chinese social relations, including those in the workplace. The end of the first paragraph sums up the way that Chinese workers interact. The beginning of the second paragraph starts by talking about the way that Chinese employers and their workers interact.

Read the example carefully and you will see that the beginning of the second paragraph mirrors and repeats words from the end of the first one. The words ‘employees’ and ‘family’ appear in both paragraphs. The word ‘interaction’ mirrors the word ‘relations’. The phrases ‘shape their business relations in terms of’ and ‘finds a basis in’ say similar things. The author keeps his main point – all relations are modelled on family relations – in front of the reader and then works through different examples of it.

When you read, see if you can spot when an author is linking things together in this way – it will help your own writing.

Link words and phrases

Here are some link words and phrases that often appear at the beginning of a paragraph:

Look at these phrases carefully: they all introduce a new beginning while referring to what has gone before. Remember: link words and phrases work in both directions, backwards and forwards.

Of course, you can also use link words and phrases in the middle of a paragraph to start a new sentence. However, make sure you don’t over-use words such as ‘furthermore’, ‘moreover’, ‘additionally’, ‘nonetheless’ and ‘similarly’ to start either new paragraphs or new sentences.

Another way to understand how link words and phrases work is to take a passage from a book and remove all words that seem to be superfluous to the argument.

Here is an example from Linda Hutcheon’s book A Poetics of Postmodernism: History, Theory, Fiction . Hutcheon is criticising an article by another critic Terry Eagleton. Here is the passage as it appears in the book:

In fact, much of what is offered here is repeated in other theorizing on postmodernism. Like many before him (both defenders and detractors), Eagleton separates theory and practice, choosing to argue primarily in abstract theoretical terms and almost seeming to avoid mention of exactly what kind of aesthetic practice is actually being talked about. This strategy, however clever and certainly convenient, leads only to endless confusion.

Now here’s the same passage with everything superfluous removed:

Much offered here is repeated in other theorizing on postmodernism. Like many, both defenders and detractors, Eagleton separates theory and practice, choosing to argue in abstract theoretical terms and almost seeming to avoid mention of what aesthetic practice is being talked about. This strategy, clever and convenient, leads to endless confusion.

Read the two passages aloud and listen to how different they sound. In Linda Hutcheon’s original paragraph, we get a sense of a real person talking to us and trying to persuade us of her point of view. In my edited version, over a third of the passage has disappeared and the passage now reads like a collection of notes. It sounds like a robot talking. The sense of a real person talking to us has disappeared. Crucially, it’s now unclear what Hutcheon is saying about Terry Eagleton’s article. Does she agree or disagree? Does she find it helpful or unhelpful. In the edited version, the conclusion is still that Eagleton’s methodology “leads to endless confusion” but it is unclear whether Hutcheon approves, disapproves or is just giving an objective description.

Take a section from a book or journal article and try the experiment for yourself. It will help you in two ways. First, it will help you to recognise link words and phrases. Second, it will help you to understand how writers ensure that their writing has a particular effect on the reader. Understanding that will, in turn, help you achieve the effects you want in your own writing.

Because your first sentence (or sentences) of the opener should be very general, and the thesis at the end of the paragraph will be very specific, you will need several sentences to link to each other, getting more specific as the sentences get closer to the thesis. These are just some ways of thinking about linking sentences:

Introduction - Type One

  • Use a surprising or startling statement to start the paragraph
  • Explain how that startling idea relates to the general topic of your paper
  • Introduce background or any necessary information about the issue or subject

Introduction - Type Two

  • Use a short story (2-3 sentences) to exemplify the notion you are looking at
  • Explain this story in the context of the issue or subject
  • Introduce background or any necessary information of the issue or subject

Introduction - Type Three

  • Use a relevant quote to start the paragraph
  • Explain what the quote means
  • Explain the quote toward the issue or subject

Introduction - Type Four

  • Use a question to start the paragraph
  • Answer that question somehow
  • Explain that answer into the topic of your issue or subject

Linking Sentences [Example]

Jane’s hair is thinning; her eyes have dark circles beneath them; she rarely eats; she even hardly talks to any of her friends or family members:  Jane is an “addict.” (opening sentence – an anecdote starter)

Her addiction started when she was twenty years old; at first no one noticed, but her problem grew. ( link – continued anecdote)

It grew so much that today, even after many of her friends have confronted her with it, she still cannot get over it. ( link )

She is not having to “ get over ” an addiction to drugs, alcohol, or even gambling; her problem is almost worse. ( link )

Essays, short prose compositions on a particular theme or topic, are the bread and butter of academic life. You write them in class, for homework, and on standardized tests to show what you know. Unlike other kinds of academic writing (like the research paper) and creative writing (like short stories and poems), essays allow you to develop your original thoughts on a prompt or question. Essays come in many varieties: they can be expository (fleshing out an idea or claim), descriptive, (explaining a person, place, or thing), narrative (relating a personal experience), or persuasive (attempting to win over a reader). The Matador Review

What is an essay?

Generally speaking, an essay designates a literary work in which the author defends a point of view or a personal conviction, using logical arguments and literary devices in order to inform and convince the reader.

So – although essays can be broadly split into four categories: argumentative, expository, narrative, and descriptive – an essay can simply be described as a focused piece of writing designed to inform or persuade. 🤔

The purpose of an essay is to present a coherent argument in response to a stimulus or question and to persuade the reader that your position is credible, believable and reasonable. 👌

So, a ‘good’ essay relies on a confident writing style – it’s clear, well-substantiated, focussed, explanatory and descriptive . The structure follows a logical progression and above all, the body of the essay clearly correlates to the tile – answering the question where one has been posed. 

But, how do you go about making sure that you tick all these boxes and keep within a specified word count? Read on for the answer as well as an example essay structure to follow and a handy step-by-step guide to writing the perfect essay – hooray. 🙌

Sometimes, it is helpful to think about your essay like it is a well-balanced argument or a speech – it needs to have a logical structure, with all your points coming together to answer the question in a coherent manner. ⚖️

Of course, essays can vary significantly in length but besides that, they all follow a fairly strict pattern or structure made up of three sections. Lean into this predictability because it will keep you on track and help you make your point clearly. Let’s take a look at the typical essay structure:  

#1 Introduction

Start your introduction with the central claim of your essay. Let the reader know exactly what you intend to say with this essay. Communicate what you’re going to argue, and in what order. The final part of your introduction should also say what conclusions you’re going to draw – it sounds counter-intuitive but it’s not – more on that below. 1️⃣

Make your point, evidence it and explain it. This part of the essay – generally made up of three or more paragraphs depending on the length of your essay – is where you present your argument. The first sentence of each paragraph – much like an introduction to an essay – should summarise what your paragraph intends to explain in more detail. 2️⃣

#3 Conclusion

This is where you affirm your argument – remind the reader what you just proved in your essay and how you did it. This section will sound quite similar to your introduction but – having written the essay – you’ll be summarising rather than setting out your stall. 3️⃣

This is the most crucial stage in essay writing – r ead the essay prompt carefully and understand the question. Highlight the keywords – like ‘compare,’ ‘contrast’ ‘discuss,’ ‘explain’ or ‘evaluate’ – and let it sink in before your mind starts racing . There is nothing worse than writing 500 words before realising you have entirely missed the brief . 🧐

Unless you are writing under exam conditions , you will most likely have been working towards this essay for some time, by doing thorough background reading. Re-read relevant chapters and sections, highlight pertinent material and maybe even stray outside the designated reading list, this shows genuine interest and extended knowledge. 📚

#3 Make a detailed plan

Following the handy structure we shared with you above, now is the time to create the ‘skeleton structure’ or essay plan. Working from your essay title, plot out what you want your paragraphs to cover and how that information is going to flow. You don’t need to start writing any full sentences yet but it might be useful to think about the various quotes you plan to use to substantiate each section. 📝

Having mapped out the overall trajectory of your essay, you can start to drill down into the detail. First, write the opening sentence for each of the paragraphs in the body section of your essay. Remember – each paragraph is like a mini-essay – the opening sentence should summarise what the paragraph will then go on to explain in more detail. 🖊️

Next, it's time to write the bulk of your words and flesh out your arguments. Follow the ‘point, evidence, explain’ method. The opening sentences – already written – should introduce your ‘points’, so now you need to ‘evidence’ them with corroborating research and ‘explain’ how the evidence you’ve presented proves the point you’re trying to make. ✍️

With a rough draft in front of you, you can take a moment to read what you have written so far. Are there any sections that require further substantiation? Have you managed to include the most relevant material you originally highlighted in your background reading? Now is the time to make sure you have evidenced all your opinions and claims with the strongest quotes, citations and material. 📗

This is your final chance to re-read your essay and go over it with a fine-toothed comb before pressing ‘submit’. APA In-Text Citations and Sample Essay 7th Edition

This handout focuses on how to format in-text citations in APA.

Proper citation of sources is a two-part process . You must first cite each source in the body of your essay; these citations within the essay are called in-text citations . You MUST cite all quoted, paraphrased, or summarized words, ideas, and facts from sources. Without in-text citations, you are technically in danger of plagiarism, even if you have listed your sources at the end of the essay.

In-text citations point the reader to the sources’ information on the references page. The in-text citation typically includes the author's last name and the year of publication. If you use a direct quote, the page number is also provided.

More information can be found on p. 253 of the 7th edition of the Publication Manual of the American Psychological Association.

Citation Rules

Direct quotation with the author named in the text.

Heinze and Lu (2017) stated, “The NFL shifted its responses to institutional change around concussions significantly as the field itself evolved” (p. 509).

Note: The year of publication is listed in parenthesis after the names of the authors, and the page number is listed in parenthesis at the end of the quote.

Direct Quotation without the Author Named in the Text

As the NFL developed as an organization, it “shifted its responses to institutional change around concussions significantly” (Heinze & Lu, 2017, p. 509).

Note: At the end of the quote, the names of the authors, year of publication, and page number are listed in parenthesis.

Paraphrase with 1-2 Authors

As the NFL developed as an organization, its reactions toward concussions also transformed (Heinze & Lu, 2017).

Note: For paraphrases, page numbers are encouraged but not required.

Paraphrase with 3 or More Authors

To work toward solving the issue of violence in prisons begins with determining aspects that might connect with prisoners' violent conduct (Thomson et al., 2019).

Direct Quotation without an Author

The findings were astonishing "in a recent study of parent and adult child relationships" ("Parents and Their Children," 2007, p. 2).

Note: Since the author of the text is not stated, a shortened version of the title is used instead.

Secondary Sources

When using secondary sources, use the phrase "as cited in" and cite the secondary source on the References page.

In 1936, Keynes said, “governments should run deficits when the economy is slow to avoid unemployment” (as cited in Richardson, 2008, p. 257).

Long (Block) Quotations

When using direct quotations of 40 or more words, indent five spaces from the left margin without using quotation marks. The final period should come before the parenthetical citation.

At Meramec, an English department policy states:

To honor and protect their own work and that of others, all students must give credit to proprietary sources that are used for course work. It is assumed that any information that is not documented is either common knowledge in that field or the original work of that student. (St. Louis Community College, 2001, p. 1)

Website Citations

If citing a specific web document without a page number, include the name of the author, date, title of the section, and paragraph number in parentheses:

In America, “Two out of five deaths among U.S. teens are the result of a motor vehicle crash” (National Center for Injury Prevention and Control, 2004, Overview section, para. 1).

Have you sat down to write your essay and just hit a wall of writer’s block? Do you have too many ideas running around your head, or maybe no ideas at all?

Starting a college essay is potentially the hardest part of the application process. Once you start, it’s easy to keep writing, but that initial hurdle is just so difficult to overcome. We’ve put together a list of tips to help you jump that wall and make your essay the best it can be.

The introduction to a college essay should immediately hook the reader. You want to give admissions officers a reason to stay interested in your story and encourage them to continue reading your essay with an open mind. Remember that admissions officers are only able to spend a couple minutes per essay, so if you bore them or turn them off from the start, they may clock out for the rest of the essay.

As a whole, the college essay should aim to portray a part of your personality that hasn’t been covered by your GPA, extracurriculars, and test scores. This makes the introduction a crucial part of the essay. Think of it as the first glimpse, an intriguing lead on, into the read rest of your essay which also showcases your voice and personality. 

Brainstorm Topics

Take the time to sit down and brainstorm some good topic ideas for your essay. You want your topic to be meaningful to you, while also displaying a part of you that isn’t apparent in other aspects of your application. The essay is an opportunity to show admissions officers the “real you.” If you have a topic in mind, do not feel pressured to start with the introduction. Sometimes the best essay openings are developed last, once you fully grasp the flow of your story.

Do a Freewrite

Give yourself permission to write without judgment for an allotted period of time. For each topic you generated in your brainstorm session, do a free-write session. Set a time for one minute and write down whatever comes to mind for that specific topic. This will help get the juices flowing and push you over that initial bit of writer’s block that’s so common when it comes time to write a college essay. Repeat this exercise if you’re feeling stuck at any point during the essay writing process. Freewriting is a great way to warm up your creative writing brain whilst seeing which topics are flowing more naturally onto the page.

Create an Outline

Once you’ve chosen your topic, write an outline for your whole essay. It’s easier to organize all your thoughts, write the body, and then go back to write the introduction. That way, you already know the direction you want your essay to go because you’ve actually written it out, and you can ensure that your introduction leads directly into the rest of the essay. Admissions officers are looking for the quality of your writing alongside the content of your essay. To be prepared for college-level writing, students should understand how to logically structure an essay. By creating an outline, you are setting yourself up to be judged favorably on the quality of your writing skills.

1. The Scriptwriter

“No! Make it stop! Get me out!” My 5-year-old self waved my arms frantically in front of my face in the darkened movie theater.

Starting your essay with dialogue instantly transports the reader into the story, while also introducing your personal voice. In the rest of the essay, the author proposes a class that introduces people to insects as a type of food. Typically, one would begin directly with the course proposal. However, the author’s inclusion of this flashback weaves in a personal narrative, further displaying her true self.

2. The Shocker

A chaotic sense of sickness and filth unfolds in an overcrowded border station in McAllen, Texas. Through soundproof windows, migrants motion that they have not showered in weeks, and children wear clothes caked in mucus and tears. The humanitarian crisis at the southern border exists not only in photographs published by mainstream media, but miles from my home in South Texas.

This essay opener is also a good example of “The Vivid Imaginer.” In this case, the detailed imagery only serves to heighten the shock factor. While people may be aware of the “humanitarian crisis at the southern border,” reading about it in such stark terms is bound to capture the reader’s attention. Through this hook, the reader learns a bit about the author’s home life; an aspect of the student that may not be detailed elsewhere in their application. The rest of the essay goes on to talk about the author’s passion for aiding refugees, and this initial paragraph immediately establishes the author’s personal connection to the refugee crisis.

3. The Vivid Imaginer

The air is crisp and cool, nipping at my ears as I walk under a curtain of darkness that drapes over the sky, starless. It is a Friday night in downtown Corpus Christi, a rare moment of peace in my home city filled with the laughter of strangers and colorful lights of street vendors. But I cannot focus. 

Starting off with a bit of well-written imagery transports the reader to wherever you want to take them. By putting them in this context with you, you allow the reader to closely understand your thoughts and emotions in this situation. Additionally, this method showcases the author’s individual way of looking at the world, a personal touch that is the baseline of all college essays.

4. The Instant Plunger

The flickering LED lights began to form into a face of a man when I focused my eyes. The man spoke of a ruthless serial killer of the decade who had been arrested in 2004, and my parents shivered at his reaccounting of the case. I curiously tuned in, wondering who he was to speak of such crimes with concrete composure and knowledge. Later, he introduced himself as a profiler named Pyo Chang Won, and I watched the rest of the program by myself without realizing that my parents had left the couch.

Plunging readers into the middle of a story (also known as in medias res ) is an effective hook because it captures attention by placing the reader directly into the action. The descriptive imagery in the first sentence also helps to immerse the reader, creating a satisfying hook while also showing (instead of telling) how the author became interested in criminology. With this technique, it is important to “zoom out,” so to speak, in such a way that the essay remains personal to you.

5. The Philosopher 

Saved in the Notes app on my phone are three questions: What can I know? What must I do? What may I hope for? First asked by Immanuel Kant, these questions guide my pursuit of knowledge and organization of critical thought, both skills that are necessary to move our country and society forward in the right direction.

Posing philosophical questions helps present you as someone with deep ideas while also guiding the focus of your essay. In a way, it presents the reader with a roadmap; they know that these questions provide the theme for the rest of the essay. The more controversial the questions, the more gripping a hook you can create. 

Providing an answer to these questions is not necessarily as important as making sure that the discussions they provoke really showcase you and your own values and beliefs.

6. The Storyteller

One Christmas morning, when I was nine, I opened a snap circuit set from my grandmother. Although I had always loved math and science, I didn’t realize my passion for engineering until I spent the rest of winter break creating different circuits to power various lights, alarms, and sensors. Even after I outgrew the toy, I kept the set in my bedroom at home and knew I wanted to study engineering.

Beginning with an anecdote is a strong way to establish a meaningful connection with the content itself. It also shows that the topic you write about has been a part of your life for a significant amount of time, and something that college admissions officers look for in activities is follow-through; they want to make sure that you are truly interested in something. A personal story such as the one above shows off just that.

Cliche College Essay Introductions to Avoid

Ambiguous introduction.

It’s best to avoid introductory sentences that don’t seem to really say anything at all, such as “Science plays a large role in today’s society,” or “X has existed since the beginning of time.” Statements like these, in addition to being extremely common, don’t demonstrate anything about you, the author. Without a personal connection to you right away, it’s easy for the admissions officer to write off the essay before getting past the first sentence.

Quoting Someone Famous

While having a quotation by a famous author, celebrity, or someone else you admire may seem like a good way to allow the reader to get to know you, these kinds of introductions are actually incredibly overused. You also risk making your essay all about the quotation and the famous person who said it; admissions officers want to get to know you, your beliefs, and your values, not someone who isn’t applying to their school. There are some cases where you may actually be asked to write about a quotation, and that’s fine, but you should avoid starting your essay with someone else’s words outside of this case. It is fine, however, to start with dialogue to plunge your readers into a specific moment.

Talking About Writing an Essay

This method is also very commonplace and is thus best avoided. It’s better to show, not tell, and all this method allows you to do is tell the reader how you were feeling at the time of writing the essay. If you do feel compelled to go this way, make sure to include vivid imagery and focus on grounding the essay in the five senses, which can help elevate your introduction and separate it from the many other meta essays.

Childhood Memories

Phrases like “Ever since I was young…” or “I’ve always wanted…” also lend more to telling rather than showing. If you want to talk about your childhood or past feelings in your essay, try using one of the techniques listed earlier (such as the Instant Plunger or the Vivid Imaginer) to elevate your writing.

What is a salary increase letter?

A salary increase letter is a formal document that employees use to request a raise from their employer. Unlike a salary review letter—which is typically initiated by the employer to communicate pay adjustments—a salary increase letter is written by the employee seeking a boost in compensation.

Writing a salary increase letter can be necessary for several reasons:

  • Performance improvements : You've consistently exceeded your performance goals or achieved a significant milestone and believe your contributions are worth a higher salary.
  • Increased responsibilities : Your role has expanded significantly, and your current salary no longer reflects the scope of your responsibilities.
  • Market adjustments : Industry standards and market rates for your position have increased, and your current salary needs to catch up to these benchmarks.

When writing a letter to request a salary increase, it's generally more effective to address it to your direct manager or your department’s director rather than HR. Your manager is more familiar with your work, contributions, and the value you bring to the team. They are also likely involved in budget decisions and have the authority to advocate for your raise.

Is it OK to ask for a raise through a salary increase letter?

Yes, writing a salary increase letter can be a formal and respectful way to request a raise. It allows you to clearly articulate your reasons, provide evidence of your achievements , and give your employer time to consider your request. Plus, a letter is a documented record of your request and can be reviewed by decision-makers at different levels of the organization.

On the other hand, having an in-person conversation can be generally more effective. “This allows you to present your case dynamically, outlining your accomplishments, contributions, and the value you bring, and respond to questions or concerns in real-time,” Smith says, adding that a direct conversation also allows for immediate feedback. “Your manager can provide insights into decision-making, share any constraints or considerations, and offer guidance.”

She also believes it’s a good idea to supplement your conversation with a follow-up email to ensure clarity and provide a reference for future discussions.

How to write a salary increase letter

These tips will prepare you for writing an effective pay raise letter:

1. Research salary benchmarks

Conducting extensive research will strengthen your case and help you present a compelling argument.

“Research industry salary benchmarks for your role, experience level, and geographic location,” Smiths says. “Use reliable sources like industry salary surveys, compensation reports, and online salary databases.”

Additionally, be sure to understand your company's salary ranges, performance evaluation criteria, and typical raise percentages.

2. Choose the right time

Timing is crucial when it comes to writing a letter requesting pay increase. Making your request at the wrong time can significantly reduce your chances of success.

“Typically, organizations have annual or semiannual performance review cycles,” Smiths says. “Discuss this with your manager before the performance review process starts so they can consider it as they begin budget conversations.”

One common mistake she sees is “asking for a raise at an inappropriate time, such as during a company's financial downturn or immediately after a major organizational change or layoffs.” Avoid doing that at all costs.

3. Keep it clear and straightforward

Begin your letter by setting the context for your request and remind your employer of your role within the company. Clearly state your position, tenure with the company, and the purpose of the letter.

4. Detail your contributions and impact

In the main section of your letter, outline your accomplishments and contributions to the company. Highlight specific achievements, projects, or responsibilities that demonstrate your value.

Provide evidence of your impact, such as performance metrics, positive feedback from clients or colleagues, and examples of how your work has benefited the company, explaining how your contributions justify the proposed raise.

5. Conclude with gratitude and reaffirmation

Summarize your key points and reiterate your appreciation for the opportunity to discuss your compensation. Express gratitude for the support and experiences you have gained and reiterate your commitment to the company. This positive tone reinforces your professionalism and leaves a lasting impression.

XY Athletes in Women’s Olympic Boxing: The Paris 2024 Controversy Explained

The historical, political, and medical context of the Imane Khelif and Lin Yu-ting cases.

With the return of the Olympics, it’s time for another predictable global uproar about XY athletes competing in the female category. This is now a century-old problem in elite sport that we’ve somehow not yet managed to solve in a uniform way. The Paris 2024 iteration of this debate is arguably the most explosive ever due to a confluence of at least three factors:

  • This time around, the athletes are boxers not runners, which means they’re going to be punching their competitors. Physical safety and gender norms, not just competitive fairness, are front-and-centre in people’s minds. 
  • After the debates about Lia Thomas and Caster Semenya (which I discussed  in an essay for  Quillette  in 2019), the public knows a lot more—though still not enough—about the two categories of XY athletes who might be included in female competition: transwomen like Thomas and people like Semenya with disorders or differences of sex development (DSD). DSD are also sometimes called intersex conditions or sex variations by those who prefer non-medical terms.
  • The domestic culture wars around sex and gender have since heated up significantly to become a global battle, with LGBTQI-rights organisations and their allies in the international human-rights community arguing that sex isn’t real or doesn’t matter—either at all or as much as gender identity. Authoritarian regimes led by the Kremlin, meanwhile, describe gender diversity as a harbinger of the end of Western civilisation.

Social media has amplified all of this to the point that the story of the moment, about a boxer from Algeria and another from Taiwan, is top of the news worldwide. Provocative visuals—ubiquitous in boxing—elicit highly emotional responses from some, while others sell their misleading or uninformed political wares (“There’s no evidence these fighters are not cis women!”).

In what follows, I offer a primer on the underlying facts so that readers can follow the story as it unfolds and understand its historical, medical, and political context.

Who are the boxers at the heart of the current storm?

Imane Khelif is a 25-year-old welterweight from Algeria. Lin Yu-ting is a 28-year-old featherweight from Taiwan. Both have medalled at previous world championships in the female category, and both are participating in their second Olympic Games having already competed in Tokyo.

Why is their eligibility for the female category in question?

The International Boxing Association (IBA)  issued a statement  on 31 July explaining that a “recognized” test had established that Khelif and Lin do not meet the eligibility standards for female competition. The IBA says this was not a testosterone test, which means it’s referring to a genetic test. 

Here’s the relevant detail:

On 24 March 2023, IBA disqualified athletes Lin Yu-ting and Imane Khelif from the IBA Women’s World Boxing Championships New Delhi 2023. This disqualification was a result of their failure to meet the eligibility criteria for participating in the women’s competition, as set and laid out in the IBA Regulations. This decision, made after a meticulous review, was extremely important and necessary to uphold the level of fairness and utmost integrity of the competition. Point to note, the athletes did not undergo a testosterone examination but were subject to a separate and recognized test, whereby the specifics remain confidential. This test conclusively indicated that both athletes did not meet the required necessary eligibility criteria and were found to have competitive advantages over other female competitors. The decision made by IBA on 24 March 2023 was subsequently ratified by the IBA Board of Directors on 25 March 2023. The official record of this decision can be accessed on the IBA website here . The disqualification was based on two tests conducted on both athletes as follows: • Test performed during the IBA Women’s World Boxing Championships in Istanbul 2022. • Test performed during the IBA Women’s World Boxing Championships in New Delhi 2023. For clarification Lin Yu-ting did not appeal the IBA’s decision to the Court of Arbitration for Sport (CAS), thus rendering the decision legally binding. Imane Khelif initially appealed the decision to CAS but withdrew the appeal during the process, also making the IBA decision legally binding.

Officials from the IBA have separately added that both fighters have XY chromosomes and high testosterone (“high T”) levels.

“High T” is one of the ways that testosterone levels outside of the female range tend to be described when one is speaking about an athlete in the female category. As you can see from Figure 1, immediately below, male and female T levels diverge at about the age of thirteen. Both Figure 1 and Figure 2 below make clear there’s no overlap in male and female T levels after early adolescence. Doping and being male are two ways that an adult athlete might have “high T.”

It’s important to note that the IBA’s statements about Khelif and Lin are doubted by the IOC and others because the IBA has a reputation for being less than reliable, and because the IOC says it hasn’t seen the results of the tests that were the basis for the IBA’s decision to declare them ineligible. Alan Abrahamson reports , however, that the IBA sent them Khelif’s results back in June 2023.

Are Khelif and Lin transgender?

Like Caster Semenya, there’s no indication that either Khelif or Lin identifies as transgender. This makes sense given that they were apparently assigned female at birth—meaning that this is what was written on their birth certificates—and because being transgender is generally a matter of self-identification.

It is understandable that people are confused, however, because the word transgender is also sometimes used to mean a male who identifies as female. Khelif and Lin both identify as female based on their identity documents and their sex of rearing.

In any event, in sport at least, it seems their cases are being treated by everyone concerned as DSD cases.

What are DSD and why does elite sport care about them?

There are many different disorders or differences of sex development (DSD).

Depending on which you’re talking about, they can affect only males, only females, or both. As shown in Figure 2, immediately below, the only DSD of concern to sport affect genetic males who are also androgen sensitive—either fully, e.g. in the case of athletes with 5 alpha reductase deficiency (5-ARD), or substantially, e.g. in the case of athletes with partial androgen insensitivity (PAIS).

This makes policy sense. The point of the female category is to ensure that females only compete against each other and not against those with male biological advantage, and androgens are the primary driver of sex differences in athletic performance. As rough and insensitive as sex testing has been historically, the basic goal has remained constant.

Athletes with 5-ARD and PAIS have an XY chromosomal complement; they have testes; their testes produce testosterone well outside of the normal female range; their androgen receptors read and process their “high T”; and as a result, their bodies masculinise through childhood and puberty in the ways that matter for sport. Thereafter, their circulating T levels continue to have their usual performance-enhancing effects.

In other words—as shown in Figure 3 below, which compares athletes with 5-ARD to transwomen and sex-typical males and females—their variations from the male norm (such as underdeveloped external genitalia) are irrelevant to athletic performance. When they enter female competition, they carry male advantage.

Do Khelif and Lin have DSD that should make them ineligible for the female category?

As I write, there are currently three running versions of the answer to this question.

The first is the one from the—reputedly unreliable IBA—that Khelif and Lin do have DSD that should make them ineligible. That is, the IBA or its representatives have said they’re genetic males with male advantage. The latter generally means their T is bioavailable—they’re not androgen insensitive—and they’ve otherwise masculinised in the ways that matter in the arena. 

The second is the one that’s trending on social media and in some press commentary saying—without evidence—that Khelif and Lin are entirely female, XX chromosomes, ovaries, and all. Some concede the point that the athletes’ phenotypes are masculine, but they say that lots of women—a status they tend to read broadly to include transwomen—have masculine phenotypes and so this is just a matter of accepting that premise.

The third seems to be the IOC’s present position if we carefully parse its highly coded pronouncements—that Khelif and Lin may well have XY DSD with male advantage, but because they were identified at birth as female and continue to identify as such,  they’re women .

The IOC has spent a lot of time over the last few days lamenting the attacks on Khelif and Lin. We should all be lamenting them—they’re truly awful. Still, this volatile situation is almost entirely of the IOC’s own making. It’s sending impossibly mixed messages that were to be expected given its complicated relationship to sex and gender in sport.

CORRECTION In today’s IOC – Paris 2024 press briefing, IOC President Bach said: “But I repeat, here, this is not a DSD case, this is about a woman taking part in a women’s competition, and I think I have explained this many times.” What was intended was: “But I repeat, here,… — IOC MEDIA (@iocmedia) August 3, 2024
  • In June, the IOC issued a language guide that disallows the use of sex-based language to describe athletes at the Games and that requires the treatment of gender diverse XY athletes who identify as women to be unequivocal: they are women.
  • This language guide follows from the positions the IOC took in 2021 that gender diverse XY athletes should not be considered to have male advantage in the arena simply because they’re male, and that male T levels shouldn’t be disqualifying—despite their scientifically well-understood role as the primary driver of the performance gap between the best males and the best females. 

The idea was to make the controversy about XY athletes like Caster Semenya and Lia Thomas in the female category disappear by disappearing the relevant biology and the language we use to talk about it.

The IOC wasn’t going to get away with this, of course, once the IBA called it out on its inclusion of Khelif and Lin in the female category. But it had tied its own hands in advance, and because of this—in my opinion—much of what has come out of its spokesperson’s mouth is a combination of “inside baseball” and sleights of hand.

Still, an excellent piece on 2 August by Alex Oller of Inside the Games tells us that knowledgeable reporters who are going with one of the two XY DSD versions of the answer to the question likely aren’t wrong. I recommend you read Oller’s reporting in full (and Inside the Games in general), but in sum:

Formally, the IOC is going with the gender that’s listed in Khelif and Lin’s passports, which undoubtedly say that their legal gender is female. You can think of this as the IOC’s current sex test—it’s using legal gender as a proxy for sex and/or eligibility for the female category.

The IOC has also said it has not seen anything to indicate that what’s in Khelif and Lin’s passports isn’t consistent with their sex. The IBA’s statements say otherwise, of course, but the IOC says it can’t trust the IBA’s statements on this because of the “arbitrary” procedure that yielded them.

At the same time, on the substance, the IOC has acknowledged that after Khelif’s first win on Thursday, it scrubbed from its own website the notation that at least Khelif—if not also Lin—has high T. To explain this, it said in part that T levels don’t matter, that lots of females also have high T. This is intentionally misleading. 

Female athletes with high T—including those with polycystic ovaries—have T levels towards the top of the female range, not outside of the female range or inside the male range. Their sex is not in doubt. As I explained above, “high T” in an athlete who seeks to compete in the female category is code in international sports for either doping with exogenous androgens or being biologically male with bioavailable endogenous androgens. There’s no indication that either Khelif or Lin is doping.

As an aside, the reason many federations and the IOC itself for years used T as a proxy for sex is that it’s an excellent one: neither ovaries nor adrenal glands produce T in the male range, only testes do. If you’re looking for biological sex rather than legal gender, it’s certainly more accurate than a passport.

The IOC has also said that it has given up sex testing because there’s no way to get it right practically and in a nondiscriminatory fashion and because scientifically there’s consensus Khelif and Lin are women.

It is impossible to reconcile the IOC’s statements here, even if you’re an insider. Either they had experts look at the files on the athletes or they didn’t. If they didn’t, there can’t be scientific consensus about anything.

By contrast, the rest is internally consistent. For political reasons in general, not with respect to Khelif and Lin in particular, the IOC doesn’t want to test athletes for sex because, in its view, it’s “impractical”—meaning expensive in the multiple ways it cares about—and “discriminatory” against XY athletes who identify as women.

Why were Khelif and Lin able to compete for years before being barred last year?

Khelif and Lin have been competing internationally in the sport of boxing for several years. They were only barred from global competition in 2023.

Prior to 2022, the International Boxing Association didn’t evaluate biological sex or male advantage with a chromosome or testosterone test. Instead, as the IOC is doing now, it relied on the athletes’ passports as a proxy for sex and/or eligibility for the female category. If an athlete was entered into international competition by their domestic federation in the female category and their identity document said they were female, the IBA accepted that as proof of their eligibility.

According to the IOC, the IBA “suddenly” and “arbitrarily” changed its approach in 2023. The IBA says it started conducting at least some biological tests after the Tokyo Games—at its world championships in 2022—but that it only began excluding ineligible athletes beginning in 2023.

Why is the IOC not the IBA in charge of whether Khelif and Lin compete in Paris?

The Olympic Charter normally leaves it to the international federations to set the eligibility standard for their sports. But as a result of governance failures and corruption scandals, the IOC hasn’t recognised the IBA’s authority to regulate the sport at the Olympic Games since 2019. Instead, competition in Tokyo and Paris has been run by an  ad hoc  group appointed by the IOC for this purpose. This group rejected the IBA’s biologically-based determination of Khelif and Lin’s sex in favour of the old passport test, which the IOC describes as “the rule in place in 2016.” As noted above, this happens to be consistent with the IOC’s own policy preferences.

How do Olympic Movement politics play into their story?

Olympic Movement politics are a huge factor in this story in at least two ways, both of which I’ve mentioned already.

The first of these is the IOC’s fight with the IBA. The IBA happens to be aligned with the Kremlin, which is separately hostile to the IOC for its stances on doping and the war in Ukraine.

The second is the IOC’s policy choice to align itself with trans-rights advocates and against advocates for a sex-based female category. Here, the IOC is not just at odds with the IBA but also with some of the Olympic Movement’s most important federations like World Athletics and World Aquatics. Unlike the IOC, these federations are determined to prioritise fairness and the preservation of the female category for female athletes.

Where do we go from here?

The Khelif and Lin cases demonstrate that everyone loses out when the eligibility rules are not firmly set in a way that’s consistent with the goals of the competition category. The firestorm this issue regularly and predictably causes, and the consequent damage to the organisations and athletes involved, should catalyse change. Continuing to push the matter away—as the IBA and other federations, including most prominently FIFA, have done over the years—only means that further ugly controversies will arise in the future.

I will close by reiterating the three basic points that I and other experts in girls’ and women’s sport have been making for a long time.

First, the female category in elite sport has no  raison d’être  apart from the biological sex differences that lead to sex differences in performance and the gap between the top male and female athletes. The suggestion that we could choose to rationalise the category differently—for instance, on the basis of self-declared gender identity—or that we could make increasingly numerous exceptions in the interests of inclusion (as the IOC seems to have done to allow Khelif and Lin to compete in Paris) has no legs outside of certain progressive enclaves.

Second, any eligibility standard—like the IOC’s framework—that denies or disregards sex-linked biology is necessarily category-defeating.

Finally, federations that are committed to the female category and to one-for-one equality for their female athletes must step up and do two things. They must craft evidence-based rules and then stick to them consistently. And they must seriously embrace other opportunities to welcome gender diversity within their sports.

Microsoft Copilot can boost your writing in Word, Outlook, and OneNote — here’s how

Copilot integration in microsoft 365 apps makes it a snap to generate first drafts, revise text, and get instant summaries for long docs or email threads. here’s how to use copilot for writing assistance in word, outlook, and onenote..

One of the most enticing uses for generative AI is to help you write. Anyone can get writing help from Microsoft’s Copilot genAI tool via the free Copilot web or mobile app. But Copilot becomes especially useful when it’s integrated with various Microsoft 365 apps.

As you compose, edit, or view a document in Word, for example, you can summon Copilot to assist you in several ways: It can generate rough drafts, polish or change the tone of your writing, and summarize long passages of text. Copilot can also help you compose or summarize emails in Outlook and help you rewrite or summarize notes in OneNote.

This guide will get you started on the basics of using Copilot for your writing in Microsoft 365 apps. But you’ll have to pay for a Copilot subscription in addition to your current Microsoft 365 plan.

Summarize long documents, notes, emails, or threads.

Individuals with a free Microsoft account or a Microsoft 365 Family or Personal subscription can purchase a Copilot Pro subscription for $20 per month. (A one-month free trial is available.) Each person who wants to use Copilot Pro must have their own subscription.

If you have a free Microsoft account, the Copilot Pro subscription lets you use Copilot in certain Microsoft 365 apps on the web only. If you have a paid Microsoft 365 plan, you’ll be able to use Copilot in the desktop and mobile versions of those M365 apps as well. Once you’ve signed up, you may need to refresh your Microsoft 365 license before Copilot becomes available in the apps.

If you’re on a Microsoft 365 business plan (such as through a company you work for), a Copilot for Microsoft 365 subscription costs $30 per user per month. This must be paid annually at $360 up front, and there’s no trial period. (Apparently, Microsoft presumes that your company will foot this hefty tab.) A Copilot Pro subscription cannot be used with a Microsoft 365 business account.

This guide goes over how to use Copilot in Word, Outlook, and OneNote to help you compose and revise text. I’ll demonstrate using Copilot Pro with an individual Microsoft 365 account, but the descriptions also apply to Copilot for Microsoft 365 used with a Microsoft 365 business plan. Most of the steps and user interfaces are alike. I’ll also note additional features that are available under the business versions of Copilot and Microsoft 365.

Note: Microsoft 365 apps aren’t completely consistent on different platforms — for instance, a menu choice in Word for Windows might be named differently from the same option in the web version of Word. In these cases, I’ve tried to include both names. You may still find instances where a button or menu item doesn’t match, but it’s generally obvious what to do.

Copilot can help you compose text drafts in Word and Outlook. In Outlook, you use Copilot through a panel that appears over the main area of the app. In Word, you can use Copilot from a similar panel that overlays the document, or from a sidebar that opens along the right of the page.

Using the “Draft with Copilot” panel in Word and Outlook

Word: Start with a new, blank document or open an existing document that you’d like to add more writing to. (Set the cursor where you want the generated text to be inserted.) Click the Copilot icon that appears in the left margin.

To get started with Copilot in Word, click the Copilot icon in the left margin or press Alt-I on your keyboard.

The “Draft with Copilot” panel appears over the document. In the text entry box, you’ll type in a prompt that describes the text you want Copilot to write. (More on that in a moment.)

In the desktop version of Word for Windows, there’s a Reference a file button at the bottom of the Draft with Copilot panel. Clicking this may let you select a document in your OneDrive or SharePoint for Copilot to base its generated text on, including content, writing style, and formatting. (Business users can select up to three files for Copilot to reference.) You can also type your prompt followed by a / (forward slash) and a document’s file name to trigger Copilot to reference it.

But know that this function may not work for you – it apparently depends on whether Copilot itself thinks you have documents that it can reference for you.

Outlook: With the cursor in the message body of a new email, click the Copilot button on the Home tab of the ribbon toolbar. On the drop-down menu that opens, click Draft with Copilot .

To get started with Copilot in Outlook, click the Copilot button in the ribbon toolbar.

On the “Draft with Copilot” panel that opens, type your prompt inside the text entry box. The panel is similar to what you see in Word, but with an additional option: a button with two sliders on it that may say Adjust or Generate options , depending on your version of Outlook. When you click it, a drop-down menu opens that lists options for tone of voice and word length for the generated email draft.

Crafting your prompts

Prompts are sentences that you enter to instruct Copilot (or other AI assistants) how to compose the text you want created. Your prompt should minimally include the subject and a few specifics about the writing you want it to generate.

To get started, describe the kind of text you want Copilot to generate and add a detail or two about it. These prompts can be simple or a little more complex. For example:

  • “Create a brief business pitch for a new vegan restaurant that will be located in downtown Atlanta, Georgia.”
  • “Write an opening paragraph describing my interest in a technical support job opening at Microsoft.”
  • “Write a few sentences that inquire if there are any job openings in technical support at Microsoft.”
  • “Compose a polite follow-up with the recipient about a video call we had last week.”

The more specifics you include in your prompt, the more likely you are to get good results. For instance, if you have notes that contain specific data points that you want to include in the generated text, copy and paste those notes into your prompt. If you have an outline for the topics you want to cover in the draft, paste that in as well.

But frankly, there are no hard rules about writing prompts — just use your imagination and see how Copilot responds. Expect that the AI may not generate results that you like (if it generates any at all). Keep experimenting with the descriptions in your prompts until you coax Copilot to produce a useful response.

Once you’ve entered your prompt (and optionally selected a tone and length in Outlook), click the Generate button or press Enter on your keyboard and wait for Copilot to work its AI magic.

The results are in – actions you can take

When Copilot has generated a draft, it appears in the document or email with a toolbar below it.

You can use the toolbar to perform the following functions:

  • Click the Keep it button to keep the newly minted words in your document or email. You can then edit the generated text in the doc or email as you see fit.
  • Click the Regenerate button (two circular arrows) if you’re not satisfied with the result and want Copilot to generate a whole new one.
  • Click the Discard button (a trashcan) to discard the result.
  • Refine the result by typing more prompts in the text entry box (e.g., “add more details,” “make this sound more professional,” or “make it shorter”) and clicking the arrow. Copilot will generate an updated writing result using your additional commands and descriptions.
  • Optionally click the thumbs up or down icon in the upper-right corner of the toolbar to rate the quality of the result that Copilot generated. Presumably, this helps train the Copilot to produce better results in the future.

In Outlook, the buttons and text entry box are arranged differently in the toolbar, but they perform the same actions on an email draft that Copilot generates for you. You can also use the Adjust or Generate options button to change the tone or length.

Important: All AI-generated content can contain errors or outright fabrications, known as hallucinations. When you insert text that Copilot has generated into a document or email, be sure to fact-check it carefully.

AI-generated content also tends to be generic and a bit boring, so you’ll likely want to edit it to inject your own personality or writing style.

Using the Copilot sidebar in Word

On the Home tab in Word’s ribbon toolbar, click the Copilot button. This will open the Copilot sidebar to the right. At the bottom of the sidebar, type your prompt inside the text entry box and click the arrow button (or press Enter). Copilot will generate text and display it inside the sidebar.

Click the Copy button to copy the writing to your PC clipboard. You can then paste it into a document, note, email, or elsewhere.

Unlike the Draft with Copilot panel, the Copilot sidebar doesn’t include tools for refining text it generates from scratch. What’s more, Copilot’s behavior in the sidebar feels a little unreliable, producing inconsistent results. The sidebar seems better used for summarizing your document or asking the AI questions about it than for generating text.

Get coaching on an email draft in Outlook

If you’d rather compose emails yourself but would like some suggestions for improvement, there’s a nifty Copilot feature in Outlook called email coaching. After you’ve written your email draft, click the Copilot button on the Home tab in the ribbon toolbar. On the menu that appears, choose Coaching by Copilot .

Copilot will review your draft and offer specific suggestions for improving it in terms of tone, reader engagement, and clarity.

You can rewrite passages of text in a Word document or a OneNote page. This can be useful if you feel that your writing could use a little more detail, or if a paragraph sounds too wordy.

In Word, you can use either the Copilot panel or sidebar (as described earlier in this guide) to command Copilot to rewrite. In OneNote, you can use the sidebar or a right-click menu option.

Note: As of this writing, Copilot is available for OneNote only in the Windows desktop app.

Using the “Rewrite with Copilot” panel in Word

Highlight the passage of text that you want Copilot to rewrite. The Copilot button will appear in the margin to the left of the text that you highlighted. Click it, and on the menu that opens, select Auto rewrite or Rewrite with Copilot . Alternatively, you can right-click on your highlighted text, and on the menu that opens, select Copilot > Rewrite with Copilot .

In Word, select the text you want to rewrite, click the Copilot icon in the left margin, and select Auto rewrite .

Either way, the “Rewrite with Copilot” panel appears below your highlighted text. Copilot will generate and present up to three rewritten versions in the panel. Click the arrows at the top of the panel to cycle through the rewrites.

Below the rewritten text, you can click the following buttons:

  • Replace will replace the original text that you highlighted with the currently visible rewritten version.
  • Insert below will insert the rewritten version below the original text you highlighted (so that you can decide later if you want to keep it).
  • The Regenerate button (two circular arrows) will generate another result.
  • In the Word desktop app for Windows, there’s an Adjust tone button (an icon with two sliders); it opens a menu that lets you select another writing style. Copilot will then adjust its result with the style you select.
  • In the Word web app, there’s a text entry box where you can refine the result by typing more prompts.

Note: Users with Copilot and M365 business subscriptions can also have Copilot rewrite messages in Teams . This feature works similarly to the Rewrite with Copilot panel in Word.

Using the Copilot sidebar in Word or OneNote

On the Home tab in the ribbon toolbar, click the Copilot button to open the Copilot sidebar to the right. To have Copilot rewrite the whole document or note, type rewrite inside the sidebar’s text entry box. To have it rewrite a specific paragraph, supply the paragraph number. You can also describe how you want the text to be rewritten, such as rewrite first paragraph to be shorter or rewrite paragraph 3 to sound more professional .

Copilot’s rewritten text appears in the sidebar. Below this result you’ll see the Copy button to copy the rewritten text to your clipboard.

If you want to adjust Copilot’s rewriting result, you can click one of the suggested prompts that appear in the sidebar below the generated text and above the text entry box. To see different prompt suggestions, click the circular arrow icon.

Although the Copilot sidebar offers more options for refining its rewritten text than it does for text it generates from scratch, it’s still underpowered compared to the Rewrite with Copilot panel. The best way to rewrite text with Copilot in Word is to use the Rewrite with Copilot panel.

Using the right-click menu in OneNote

Alternatively, in OneNote, you can right-click the top bar of a text field on a page. On the menu that opens, select Copilot and on the next menu, Rewrite .

This action will trigger Copilot to rewrite everything inside this text field. The rewrite will then be set inside the top of the text field.

You can have Copilot generate a brief summary of a long document in Word or a page in OneNote. For this to work well, Microsoft says the document or page should contain at least 300 words but no more than 20,000.

In Outlook, Copilot can summarize a long email and, even more useful, the conversation within an entire email thread.

Using the Copilot sidebar in Word and OneNote

With the document opened in Word or page opened in OneNote, highlight the text that you want summarized. (If you want a summary of the entire document or page, skip this step.)

Click the Copilot button on the Home tab of the ribbon toolbar to open the Copilot sidebar. Inside the text entry box, type summarize and click the arrow button.

Copilot will generate a summary and display it inside the sidebar.

Below the summary, there’s the familiar Copy button to copy the summary to your PC clipboard.

Below that, you can click References to see a list of citations within the document that Copilot used to generate this summary. Clicking a snippet of the cited text will show in the main window of the app where in the document or page these words are. Clicking the down arrow to the right of a citation will show the passage that Copilot used as a citation.

Between the results field and the text entry box, you’ll see suggested prompts that you can click to revise the summary. Click the circular arrow icon to refresh these prompts with new suggestions.

Open the email or conversation that you want to summarize. Click Summarize or Summary by Copilot at the top of the email thread. Copilot will generate a summary of the email or thread.

Getting a summary when sharing a Word doc (business plans only)

If you have Copilot with a Microsoft 365 business plan, you can use Copilot to generate a summary of a Word document when you share it with your co-workers. This summary is inserted as a passage of text inside the message that your co-workers receive inviting them to collaborate on the document.

With the document open in Word, click the Share button toward the upper right. On the Share panel that opens, click the Copilot icon inside the lower right of the “Add a message” composition box. The AI will generate and insert the summary. You can edit the summary before you send out the invite.

We, the APA Style team, are not robots. We can all pass a CAPTCHA test , and we know our roles in a Turing test . And, like so many nonrobot human beings this year, we’ve spent a fair amount of time reading, learning, and thinking about issues related to large language models, artificial intelligence (AI), AI-generated text, and specifically ChatGPT . We’ve also been gathering opinions and feedback about the use and citation of ChatGPT. Thank you to everyone who has contributed and shared ideas, opinions, research, and feedback.

In this post, I discuss situations where students and researchers use ChatGPT to create text and to facilitate their research, not to write the full text of their paper or manuscript. We know instructors have differing opinions about how or even whether students should use ChatGPT, and we’ll be continuing to collect feedback about instructor and student questions. As always, defer to instructor guidelines when writing student papers. For more about guidelines and policies about student and author use of ChatGPT, see the last section of this post.

Quoting or reproducing the text created by ChatGPT in your paper

If you’ve used ChatGPT or other AI tools in your research, describe how you used the tool in your Method section or in a comparable section of your paper. For literature reviews or other types of essays or response or reaction papers, you might describe how you used the tool in your introduction. In your text, provide the prompt you used and then any portion of the relevant text that was generated in response.

Unfortunately, the results of a ChatGPT “chat” are not retrievable by other readers, and although nonretrievable data or quotations in APA Style papers are usually cited as personal communications , with ChatGPT-generated text there is no person communicating. Quoting ChatGPT’s text from a chat session is therefore more like sharing an algorithm’s output; thus, credit the author of the algorithm with a reference list entry and the corresponding in-text citation.

When prompted with “Is the left brain right brain divide real or a metaphor?” the ChatGPT-generated text indicated that although the two brain hemispheres are somewhat specialized, “the notation that people can be characterized as ‘left-brained’ or ‘right-brained’ is considered to be an oversimplification and a popular myth” (OpenAI, 2023).

You may also put the full text of long responses from ChatGPT in an appendix of your paper or in online supplemental materials, so readers have access to the exact text that was generated. It is particularly important to document the exact text created because ChatGPT will generate a unique response in each chat session, even if given the same prompt. If you create appendices or supplemental materials, remember that each should be called out at least once in the body of your APA Style paper.

When given a follow-up prompt of “What is a more accurate representation?” the ChatGPT-generated text indicated that “different brain regions work together to support various cognitive processes” and “the functional specialization of different regions can change in response to experience and environmental factors” (OpenAI, 2023; see Appendix A for the full transcript).

Creating a reference to ChatGPT or other AI models and software

The in-text citations and references above are adapted from the reference template for software in Section 10.10 of the Publication Manual (American Psychological Association, 2020, Chapter 10). Although here we focus on ChatGPT, because these guidelines are based on the software template, they can be adapted to note the use of other large language models (e.g., Bard), algorithms, and similar software.

The reference and in-text citations for ChatGPT are formatted as follows:

  • Parenthetical citation: (OpenAI, 2023)
  • Narrative citation: OpenAI (2023)

Let’s break that reference down and look at the four elements (author, date, title, and source):

Author: The author of the model is OpenAI.

Date: The date is the year of the version you used. Following the template in Section 10.10, you need to include only the year, not the exact date. The version number provides the specific date information a reader might need.

Title: The name of the model is “ChatGPT,” so that serves as the title and is italicized in your reference, as shown in the template. Although OpenAI labels unique iterations (i.e., ChatGPT-3, ChatGPT-4), they are using “ChatGPT” as the general name of the model, with updates identified with version numbers.

The version number is included after the title in parentheses. The format for the version number in ChatGPT references includes the date because that is how OpenAI is labeling the versions. Different large language models or software might use different version numbering; use the version number in the format the author or publisher provides, which may be a numbering system (e.g., Version 2.0) or other methods.

Bracketed text is used in references for additional descriptions when they are needed to help a reader understand what’s being cited. References for a number of common sources, such as journal articles and books, do not include bracketed descriptions, but things outside of the typical peer-reviewed system often do. In the case of a reference for ChatGPT, provide the descriptor “Large language model” in square brackets. OpenAI describes ChatGPT-4 as a “large multimodal model,” so that description may be provided instead if you are using ChatGPT-4. Later versions and software or models from other companies may need different descriptions, based on how the publishers describe the model. The goal of the bracketed text is to briefly describe the kind of model to your reader.

Source: When the publisher name and the author name are the same, do not repeat the publisher name in the source element of the reference, and move directly to the URL. This is the case for ChatGPT. The URL for ChatGPT is https://chat.openai.com/chat . For other models or products for which you may create a reference, use the URL that links as directly as possible to the source (i.e., the page where you can access the model, not the publisher’s homepage).

Other questions about citing ChatGPT

You may have noticed the confidence with which ChatGPT described the ideas of brain lateralization and how the brain operates, without citing any sources. I asked for a list of sources to support those claims and ChatGPT provided five references—four of which I was able to find online. The fifth does not seem to be a real article; the digital object identifier given for that reference belongs to a different article, and I was not able to find any article with the authors, date, title, and source details that ChatGPT provided. Authors using ChatGPT or similar AI tools for research should consider making this scrutiny of the primary sources a standard process. If the sources are real, accurate, and relevant, it may be better to read those original sources to learn from that research and paraphrase or quote from those articles, as applicable, than to use the model’s interpretation of them.

We’ve also received a number of other questions about ChatGPT. Should students be allowed to use it? What guidelines should instructors create for students using AI? Does using AI-generated text constitute plagiarism? Should authors who use ChatGPT credit ChatGPT or OpenAI in their byline? What are the copyright implications ?

On these questions, researchers, editors, instructors, and others are actively debating and creating parameters and guidelines. Many of you have sent us feedback, and we encourage you to continue to do so in the comments below. We will also study the policies and procedures being established by instructors, publishers, and academic institutions, with a goal of creating guidelines that reflect the many real-world applications of AI-generated text.
