How to set up and use Zoom on Mac

As many of us now find ourselves working from home, being able to meet online with colleagues and friends to discuss projects, update on current events or just hang out and chat is becoming a necessity. One of the most popular services for doing this is Zoom, as you can have a multitude of people on any one call, and it has a very usable tier that is completely free.

In this article we show you how to get Zoom up and running on your Mac and try some of the features it has on offer.

Install the Zoom app on your Mac

Before you can start using Zoom, you’ll need to sign up for a free account and download the macOS app. It’s not currently available in the App Store, so you’ll need to visit www.zoom.us and click on the Sign Up, It’s Free button in the top-right corner of the screen.

How to set up and use Zoom on Mac: Sign UP

Fill in the details, including your birth date and work email address, then click the Sign Up button. This will send a confirmation message to your email address, so once it arrives click the Sign In button and you’ll be taken back to the Zoom site where you can enter your details once more to complete setting up your account.

Before you can begin making or joining meetings, you’ll need to install the desktop app. You can either do this clicking on the Resources tab in the top-right corner of your account page then selecting Download Zoom Client or going directly to the Zoom client download page .

How to set up and use Zoom on Mac: Download App

When the client has finished downloading, it will leave you with a zoom.pkg file in your Downloads folder. Double-click on this and follow the instructions to install the software.

If your security settings prevent you from installing the Zoom app, this doesn’t mean that anything is wrong, just that Zoom isn’t available in the App Store. Read How to open a Mac app from an unidentified developer to get around this restriction.

Once you’ve installed the app, launch it and you’ll be presented with the main screen. That’s it: you’re ready to start talking.

How to use Zoom on Mac

The main Zoom Home screen is comprised of four large buttons and a calendar where upcoming scheduled meetings are displayed. The buttons are New Meeting , Join , Schedule , and Share Screen . They are pretty self-explanatory, but here’s how to use them.

New Meeting

As the name suggests, this is where you would start a new call. You’ll notice that this button has a down arrow after it, denoting that there is a drop-down menu with additional options. Clicking on the arrow gives you two choices: Start with video and Use my Personal Meeting ID (PMI) with the number displayed below.

Start with video is usually turned on by default, as Zoom is primarily a video-calling platform, but should you prefer to control when and if you share video with others then you can untick the box. Of course, there are easy-to-access controls within Zoom that allow you to toggle the video on and off during a call.

Use my Personal Meeting ID (PMI) is a little different, in that it uses your Personal Meeting Room, something that Zoom says is best reserved for instant meetings with people with whom you converse regularly. It’s perfect for a quick call with colleagues, as they can join the meeting at any point just by inputting your Personal Meeting ID.

Clicking the New Meeting button itself creates a new call. You’ll most likely be asked to grant permission for Zoom to use your camera and computer audio, so agree to this and you’ll be ready to start your first call.

On the screen you’ll see yourself, as viewed by your camera, and moving the mouse reveals a range of options along the bottom of the screen. From the left these are as follows:

Mute – turns off your microphone.

Stop Video – turns off your camera.

Security – allows you to lock the meeting so other people can’t join, use the Waiting Room (so each new attendee has to approved by you), plus various features that attendees are able to use in the meeting.

Participants – Allows you to invite people to the meeting, mute particular attendees or mute everyone.

Share Screen – Switches on the presentation mode so that everyone on the call can see what is currently displayed on your screen.

Record – Make an MP4 video of the call.

Reactions – Emojis that can be used in the call.

How do I invite people to a Zoom meeting?

With your call up and running after clicking on the New Meeting button, you’ll want to add more people so you can actually talk.

To do this, click on the Participants tab and a side window will open on the right. At the bottom you’ll see the Invite button, so click this and you’ll see a new box into which you can type the name of your contacts (if you’ve entered any into the Contacts section of your Zoom account, which can be found by selecting the Contacts tab at the top of the page on the Zoom Home screen) or there’s another tab to send invites via email.

Choose whichever is the one that you deem most suitable then wait for the invitees to respond.

If you’ve turned on the Waiting Room setting (you’ll find this by clicking the More button to the right of the Invite button or the Security tab under the main pane), you’ll be notified as each invitee logs in and be asked to let them join the meeting. Once this is done, you’ll see them appear on your main screen next to your own video feed.

In the top right of the screen you’ll see either Gallery mode or Speaker mode . Clicking on this will allow you to switch between the two. Gallery Mode creates panels so you can see all the people on the call, while Speaker mode will make anyone who is talking the main video seen by everyone.

How do I share my screen in Zoom?

If you want to share a graph, image or any other kind of media with everyone, click the Share Screen tab. This opens up a menu where you can either select from a range of options, including your Mac display, which could be useful if you want to take people through a demo of a website or how to do something on your computer, a virtual whiteboard that you can draw on in real-time, iPad or iPhones that can connect via a cable or AirPlay, or any particular open application you currently have on your Mac.

Simply highlight the one you want to use, then click the Share button in the lower right corner.

How to set up and use Zoom on Mac: Sharing Screens

Now all the participants will view the contents of your screen, just as you see it. When you’ve finished, click the Stop Sharing button at the top of the page and you’ll return to the normal meeting mode.

How do I share documents in Zoom?

If you want to share documents with everyone, you’ll need to use the Share Screen button again, but this time when the menu appears click the Files tab at the top. Now you can use either Google Drive, Box or OneDrive to share your file with the participants.

How do I change my background on Zoom?

You may have seen people on Zoom calls that have either blurred out the background or added more exotic locations via wallpaper images. This is actually quite easy to do.

Go up to the menu bar at the top of the screen and select Zoom.us > Preferences > Virtual Background . Now you can either choose one of the images that Zoom provides for free or click the ‘ + ‘ button and add your own.

The first time you do this, Zoom will prompt you to download the smart virtual background package, so click Download and in a few seconds your new virtual background will appear behind you. If you want to return to normal, go back to the settings and select the None option.

How do I join a Zoom meeting?

Once you’ve received an invitation via email then you just have to click on the link and the Mac app should launch automatically. The other option is to open the app, click Join , then enter the Meeting ID or Personal Link Name that you’ve been provided.

How do I schedule a Zoom meeting?

Scheduling a meeting on Zoom is similar to booking a conference room at the office, in that you’ll still need to invite people afterwards.

Open the Zoom app and click on the Schedule button. This opens a new menu where you can enter the topic of the meeting, date and time it will be held, password for joining, the kind of calendar app it will use to create the appointment, plus a few other basic settings for the type of devices that can connect and whether you use your personal ID or have Zoom generate a disposable one.

When you’ve set things up how you want them, click the Schedule button.

You’ll see the meeting now displayed in the calendar on the Zoom app front page, along with the Meeting ID number. Next to the meeting heading you’ll see three dots in a box. Click this then choose the Copy Invitation option.

The last step is to create a group email that includes all of the people you want to attend the meeting, then paste the copied invitation into the text box. Send the email and everything should be in place for your future meeting.

Annoyed by the 40-minute time limit?

Most people use Zoom’s free tier, but this doesn’t let you have chats of more than 40 minutes. Occasionally you’ll get lucky and the app will announce that it’s going to let you carry on anyway, but more often it will dump you out.

There’s a workaround you can use here: the trick is to schedule a meeting with a link, which lets everyone jump straight back in after the time limit expires, with almost no disruption. As the majority of the global workforce now works remotely, the need for video conferencing has risen---and so has the popularity of Zoom. In a Zoom call, you may eventually need to share your screen with participants. Here’s how.

As the host of the Zoom call , you can share your screen at any time. During the call, select the “Share Screen” button at the bottom of the window.

Alternatively, use the Alt+S (Command+Shift+S for Mac) shortcut key on Windows 10.

You’ll now be in the “Basic” tab of the share screen options window. Here, you can select which screen you’d like to share (if you’re connected to multiple monitors), a specific application that’s currently open (like Word, Chrome, Slack, etc.), or a Whiteboard.

Once you’ve selected the screen that you’d like to share, click the “Share” button in the bottom-right corner of the window.

To stop screen sharing, click the red “Stop Share” button at the top of the screen you are currently sharing. Alternatively, use the Alt+S (Command+Shift+S for Mac) shortcut key.

Due to a rise in the new Zoombombing trend, we recommend you keep your Zoom calls as secure as possible . However, in some cases, it may be necessary to allow participants to share their screen.

During the meeting, select the arrow next to “Screen Share” at the bottom of the window. From the menu that appears, select “Advanced Sharing Options.”

The “Advanced Sharing Options” window will appear. Here, you can select who can share their screen, when they can share their screen, and how many participants can share their screen at the same time.

How to share your screen on Zoom in 2 different ways on a computer or mobile device

  • You can easily share your screen on Zoom during a group meeting using the desktop or mobile app.
  • You can share a screen before you have joined a call from the app homepage, or choose to begin sharing at any time during a live call.
  • The process looks slightly different on each app, and the desktop version offers more options for screen sharing — including options to annotate and use a whiteboard.

As more and more meetings become remote, it might be helpful to share your phone or computer screen with coworkers or students when you're on a Zoom video call.

Whether it's a marketing presentation or lecture slides, sharing a screen can be an easy way to show others your work. Additionally, you may wish to share your iPhone or Android phone screen if you don't have access to a full computer screen at the time of the call.

On either device's app, you can share your screen from the homepage — to join an ongoing call — or once you're already on the call screen yourself. The process looks slightly different on desktop and mobile devices, and the desktop version definitely offers more — including options to annotate and use a whiteboard.

Here's how to do both. 

How to share screen on Zoom from its homepage

1. If you haven't started a call yet, you can begin sharing your screen from the Zoom app home screen. On your desktop, this option is found in the "Home" tab. On your phone or tablet, this is found at the top of the "Meet & Chat" tab. Click or tap to begin the process.

2. On either device, a pop-up will open prompting you to enter the Sharing Key or Meeting ID. You will have to enter this information to join an ongoing video call. Click "Share Screen" on your desktop or "OK" on your phone or tablet when you're ready.

3. Enter the meeting password. Click "Join" on your desktop or tap "OK" again on your mobile app.

4 . From here, the process to share screens is a bit different for the desktop and the mobile device version.

  • If you're using a computer, simply choose what you'd like to share on the video call. On your desktop, you'll have lots of options, such as your multiple screens, a whiteboard, your iPhone if you plug it in, and any apps you may have open on your computer. Select what you'd like to share and click the blue "Share" button in the bottom right hand corner. You have now joined the call and are sharing the screen you've selected.
  • On your mobile app, the process looks a bit different. After you enter the Meeting ID and password, you'll be greeted with a screen that says "Not Sharing Screen Yet."
  • After the next page loads, you'll be prompted to start the broadcast. You can opt to turn the microphone off or on as well. Tap "Start Broadcast" once you're ready.
  • A countdown will begin. Once the broadcast begins, a red band will appear at the top of your screen and a timer will start.
  • You are now free to move about your phone. Whatever you do is now being live broadcasted to others on the call.

How to share screen once on Zoom if you're already on a call

1. If you are already on a call, the process looks a bit different — and may even be easier. From your call screen, click the "Share Screen" button. Whether you do so on your phone or computer, this button is found at the bottom center. Tap on your screen or move your cursor if this menu has disappeared. You can also use the Shift + Command + S shortcut on your Mac or Alt + Shift +S on a PC. 

2. On your desktop, this will open a pop-up with options. Select what you'd like to share and click the blue "Share" button to proceed.

3. This will automatically broadcast the app or desktop view you chose to share. A small Zoom pop-up will be visible at the top of the screen reminding you that you are broadcasting. If you hover over this pop-up you can find more options.

4. If you'd like to share a different screen, click the green "New Share" option in the middle. This will reopen the menu, where you can switch apps or choose to use the whiteboard. In addition to the "New Share" option, you'll find other helpful buttons.

  • Click the appropriate buttons to mute or unmute and start or stop your video.
  • Click "Participants" to view your participants. Find your meeting information below.
  • Click "Stop Share" or "Pause Share" to stop the broadcast.
  • Click "Annotate" to open a separate pop-up. Click the "X" to close this window, where you'll find many tools. For example, you may find it helpful to draw arrows or circles to highlight important information on the screen.
  • Click "More" to open a drop-down menu where you can find a condensed version of Zoom call features, such as chatting with callers or invite more. 
  • On the mobile version, you'll have to complete a few extra steps. After you tap "Share Content," a pop-up will appear. Tap "Screen."
  • You'll then be prompted to choose how you'd like to screen-record. Instead of selecting "Photos," choose to "Zoom Broadcast" instead.
  • After you tap "Start Broadcast" a countdown will begin to let you know you are now recording. A red band will appear at the top of the screen with a timer. Tap "Stop Broadcast" to end the live stream.

Anything you do on your iPhone, iPad, or Android device will be displayed to other call participants. Tap the red banner or return to the Zoom app at any time to stop or make audio changes.

Personally, when it comes to meetings and video conferences, I often rely on Zoom as my preferred app. However, it is important to acknowledge that virtual meetings can sometimes feel distant and a bit robotic, even when using Zoom.

But now, there is a solution. Apple has introduced a new feature called Presenter Overlay with its latest macOS 14 Sonoma. With this feature, you have the ability to appear on the screen during your presentations. Yes, by using Presenter Overlay, you can enhance the overall quality of your presentations and bring them to a whole new level.

Using Presenter Overlay, you have the ability to choose from two different overlays to choose how you appear on screen while sharing your content.

With the large overlay, you take centre stage. You are shown in the foreground, while your shared content serves as the background. This means you can freely move around or walk while keeping both yourself and the content in focus. It’s like having your own personal stage to present from. On the other hand, the small overlay presents your face in a bubble that you can move across the screen during your presentation.

Now, before you get too excited about this amazing feature, it is important to note that in order to use Presenter Overlay in Zoom on Mac, you need to have macOS 14 Sonoma or a later version installed on your Mac.

1. On your Mac, open the Zoom app from App Library. Alternatively, you can launch the FaceTime app from the Spotlight Search. Simply press the  Command + Space  keys simultaneously to open Spotlight Search and launch Zoom from here.

3. Wait until the meeting is started and then click on the Screen Share option from the bottom menu bar of the Zoom app.

Hey, Tarun! This was a great start. I couldn’t figure out why the Screen Sharing menu item didn’t show up; you explained that Zoom actually needs to be sharing the screen. (Doh!) But I’m just not seeing the Presenter Overlay options in that menu, only the camera and mic options. It also shows that Zoom is capturing my screen.

M2 Mac with Sonoma and the Zoom v5.16.2 — seems I should be up on all the requirements. Any further ideas?

I can not figure out how to set the Keynote presentation so that only one slide at a time shows up when I "share the screen" in a ZOOM meeting. This must be as simple as it it when I use Powerpoint, but I just can not figure it out. I'd rather use the Mac product than Powerpoint, as Msoft apps seem to be unhappy with Mac OS 10.15.5.

I've found two solutions for Keynote presentations in Zoom - sounds like several folks have posted here about wanting to combine Keynote with Zoom. In the first, you can show your slides. In the second solution below, you can run your Keynote presentation inside Zoom.

1) If you have Keynote versions up through 10.0, you can't run Keynote in Zoom but you can show slides . If you want one slide to appear at a time, just export as a PDF without selecting the builds option. If you'd like to show each bullet separately, the easiest solution I've found is to export my Keynote to PDF and, when doing so, selecting the "builds" option. Now I can show my entire presentation within Zoom by doing a share screen with the PDF. While this does lose the transitions and animations, you can show your full presentation, bullet by bullet in the sequence you've set up.

2) With version 10.1 of Keynote, Apple has now made it possible to run Keynote presentations within Zoom ! Hooray! This runs the presentation in all its glory, with every beautiful slide transition, animation, and video - you're showing the full Keynote experience within Zoom.

  • Launch Keynote.
  • I resize the window to remove all the black areas around my presentation.
  • Now open up Zoom.
  • Make sure to click the "Optimize Screen Share for Video Clip" if you have videos and animations in your Keynote 10.1 file, and then
  • Click the blue "Share" button.

Voila! You're in business.

  • Screensharing a Powerpoint on Zoom Hi there, I need to do Zoom Presentation very soon. Keynote doesn't work so bought Office 365 to do Powerpoint but it doesn't work properly either. I want to share only to Powerpoint without my audience seeing my whole screen but can't. I have tried doing it with Presentation Mode and cropping to share only that part of the screen but none of my transitions work when i do it that way and I can't easily go back to me. Is buying a PC the only way round this? I have been told it is but thought I'd ask just in case. Already know a Tec person switch to PC because of this. Mac will lose a fair bit of business if this doesn't get sorted. The PC works like a dream on Zoom. I love my Mac and don't want to switch so hoping there is a way. Any suggestions? 1822 1

Yes, v10.1 adds a Play Slideshow in Window command which makes it super-easy to share slides in a Zoom session... but what about the slide navigator? What about my presenter notes? What about the Presenter View?

Can we somehow enable these features to show in a window as well?

Not yet - there is no setting to show those within Keynote 10.1 for you separately while you’re also showing a Keynote presentation in Zoom. But the iPhone tip I just posted will give you a simple and effective workaround that achieves that!

Unpairs too quickly

During the meeting we have to keep touching the screen on the cell phone to stay paired. We use it to help with audio and camera control during meetings. Problem is that if it’s not active long enough it unpairs automatically!!!

Fantastic! It looks like App Version 5.12.0 fixed the issue. Released 3 days ago. It looks like the App version 5.11.3 has broken the reliably of the 5.11.3 app to start meetings. If I start a meeting and close the 5.11.3 app I can’t start the next meeting without rebooting the iMac. This has been going on for approximately 1 month since the 5.11.3 app release. Fantastic! It looks like App Version 5.12.0 fixed the issue. Released 3 days ago.

Easy zoom room controller

This app makes it easy to remotely control a zoom room. Please add functionality to switch between zoom rooms without having to unpair & repair and completely sign out & back into the app. We have several zoom rooms and several people with iPads using this app; we would like to be able to have different admins be able to connect with the controller controller app to the zoom room they are using.

Down Between 12% and 24% From Their 52-Week Highs, 3 Magnificent Dow Dividend Stocks to Buy Now

  • Salesforce is surprisingly inexpensive for a rock-solid growth stock.

Buying excellent companies when they are out of favor can be a winning strategy over the long term.

The Dow Jones Industrial Average is known for containing 30 industry-leading components from a variety of stock market sectors. But even Dow stocks can endure steep sell-offs.

Dow components Salesforce ( CRM 0.05% ) , Chevron ( CVX 0.32% ) , and Home Depot ( HD 0.55% ) are down between 12% and 24% from their 52-week highs and are all down year-to-date despite gains in the broader indexes like the Dow, S&P 500 , and Nasdaq Composite .

Here's why all three dividend stocks stand out as solid buys for patient investors.

Salesforce is a balanced buy

It may have surprised investors when Salesforce -- a growth stock -- was added to Dow in August 2020. At the time, Salesforce was inconsistently profitable and didn't pay a dividend. But Salesforce has matured a lot as a company in recent years. Today, it is no longer focused purely on revenue and reinvesting everything back into the business. The company is highly profitable, announced its first-ever quarterly dividend earlier this year, and is buying back a ton of its stock.

Companies like Salesforce reward employees with stock-based compensation, which can dilute existing shareholders. Over the last decade, Salesforce's outstanding share count has increased by 54%. However, it has bought back stock in recent years to help offset stock-based compensation and has reduced its share count by 1% over the last three years.

Salesforce has taken a page from Microsoft 's  playbook. Microsoft paid a record $10.7 billion in stock-based compensation over the last 12 months -- up 123% in five years, but has managed to reduce its outstanding share count by 2.6% over that time thanks to buybacks. It takes a highly profitable business to execute this kind of strategy. But if done right, it can help companies recruit and retain top talent without diluting shareholders.

Salesforce stands out as one of the most balanced tech stocks out there. The dividend yield is just 0.7% -- but again the company just began paying dividends. The forward price-to-earnings (P/E) ratio is just 24.5 -- suggesting Salesforce is fairly inexpensive compared to its historical valuation. The biggest red flag with Salesforce is that growth has slowed, and the company hasn't done a great job monetizing artificial intelligence. However, it would be a mistake to overlook Salesforce's industry-leading position and runway for long-term growth in enterprise software .

There are plenty of other tech stocks that are in favor -- but many of them command expensive price tags. Salesforce stands out as a good buy if you are looking for a more reasonable valuation and a company that isn't going full throttle on growth, but rather is focused more on profitably and returning capital to shareholders through buybacks and dividends.

Chevron is still a top pick in the oil patch

Despite strong results, Chevron is hovering around a 52-week low. Oil prices are partially to blame.

West Texas Intermediate (WTI) crude oil prices -- the U.S. benchmark -- have spent most of the year above $75 per barrel. However, oil prices have been falling recently, and WTI prices are now under that mark.

Chevron's closest peer -- ExxonMobil -- is up nicely on the year and is within just 5% or so from an all-time high. Although they are similar businesses, ExxonMobil and Chevron do have some distinct differences, especially regarding their merger and acquisition activity.

While Exxon completed its acquisition of Pioneer Natural Resources in May, Chevron has yet to make progress on its acquisition of Hess . It's been 10 months since Chevron first made the announcement to buy the exploration and production company for $53 billion, but a variety of roadblocks stand in its way .

Although Chevron isn't as spotless as Exxon right now, it stands out as a particularly compelling buy. Consistent dividend raises paired with a sell-off in the stock have pushed Chevron's yield up to 4.6%. Over the last two years, Chevron returned $50 billion to shareholders through dividends and buybacks -- illustrating the extent of its outsize earnings.

Chevron can fund its operations and dividend even when oil is $50 per barrel , giving it a nice margin of error relative to current oil prices. Add it all up, and Chevron is a quality dividend stock to buy now.

Home Depot can emerge from an industrywide slowdown even stronger

Home Depot is roughly flat on the year for a variety of arguably valid reasons. For starters, Home Depot's growth has ground to a halt . The company is sensitive to ebbs and flows in the broader economy. So far this earnings season, a variety of companies have indicated that consumers remain selective on spending , especially on discretionary goods.

Home Depot benefits from a strong economy and a hot housing market. Lower interest rates are excellent news for Home Depot because they mean cheaper borrowing costs, lower mortgage rates, and less expensive financing on home improvement projects. Unfortunately, that is not the environment we are in today.

However, there are degrees to cyclical companies. For example, some companies are truly boom or bust based on economic factors or commodity prices. But Home Depot is more so boom or stagnate.

Over the last decade, Home Depot's sales have nearly doubled, and diluted earnings per share have more than tripled. But over the last couple of years, you can see that Home Depot's earnings and sales are slightly down.

While Home Depot's performance could continue to disappoint in the near term, there's no reason to believe anything has changed about the underlying investment thesis. Earlier this year, Home Depot made a massive $18 billion acquisition because it had the dry powder needed to invest no matter the market cycle. It's also worth understanding that Home Depot's dividend is affordable, seeing as the company's payout ratio is a healthy 57%.

With a P/E ratio of 23.2 and a yield of 2.5%, Home Depot is a balanced, industry-leading business worth buying now.

Zoom out and think long-term

Salesforce, Chevron, and Home Depot may operate in entirely different industries. But all three companies are similar in that they are undergoing slower growth or even negative growth (in the case of Home Depot).

Short-term-minded investors may quickly pass on all three companies, but long-term investors focus on where a company will be several years from now rather than where it is today. Salesforce, Chevron, and Home Depot show no signs of losing their industry-leading positions -- making all three stocks worth considering now.

Present content in Microsoft Teams meetings

When working remotely in Microsoft Teams, you can present content by sharing your screen, your entire desktop, a PowerPoint file, and more.

Start presenting content

Share screen button

Note:  If you're using Teams on the web, you'll be able to share your screen only if you're using Google Chrome or the latest version of Microsoft Edge. Screen sharing isn't available for Linux users.

Desktop

Show your entire screen, including notifications and other desktop activity.

You need to seamlessly share multiple windows.

Window

Show just one window, and no notifications or other desktop activity.

You only need to show one thing and want to keep the rest of your screen to yourself.

PowerPoint Live

Present a PowerPoint file others can interact with.

You need to share a presentation and want others to be able to move through it at their own pace. For info on PowerPoint sharing, see .

Whiteboard

Collaborate with others in real time.

You want to sketch with others and have your notes attached to the meeting.

When you're done sharing, select Stop sharing in your meeting controls. 

To turn off screensharing if your screen locks:

Turn the  Turn off my camera and mic when my screen locks toggle on.

Restart Teams to activate this setting.

Presenter controls

While you're sharing content, use the controls in the presenter toolbar to keep your presentation engaging and running smoothly. The presenter toolbar is only visible to the person presenting.

To bring the presenter toolbar onscreen:

The toolbar will stay in place for a few seconds until you're done adjusting the controls. Then, it'll disappear from view.

Move the presenter toolbar 

To keep the presenter toolbar from blocking important content on your screen, move it to any area on the screen you're sharing.

To move the presenter toolbar:

Drag handle glyph

Drag it anywhere on your screen.

Release the drag handle when you've placed it in the right area.

Tip:  You can also move the toolbar by clicking and holding any area on the toolbar that isn't interactive (e.g., in between presenter controls) and dragging it.

Give control.

If you want another meeting participant to change a file, help you present, or demonstrate something, you can give control to that person. While someone has control, they can make selections, edits, and other modifications to the shared screen.

You'll both be in control of the sharing, and you can take back control anytime.

Caution:  When you’re sharing an app, only give control to people you trust . People you give control can send commands that could affect your system or other apps. We've taken steps to prevent this but haven't tested every possible system customization.

Start sharing your screen.

Select the person you want to give control to. Teams will notify them that you’re sharing control.

Select Take back  to take back control.

Take control 

To take control while another person is sharing:

Select Request control . The person sharing can approve or deny your request.

Make selections, edits, and other modifications to the shared screen while you have control.

Select Release control to stop sharing control.

Sharing computer sound lets you stream audio from your computer to meeting participants through Teams. You can use it to play a video or audio clip as part of a presentation.

All sound from your computer, including notifications, will be audible in the meeting.

Optimize for video

Prevent choppiness or lag when you're sharing high-motion content by optimizing video.

To optimize video, select Optimize  in your presenter toolbar.

Change your layout

When you're sharing content, you can choose from several different layouts to help make your presentation more engaging. 

To change your layout while you're sharing your screen:

Turn your camera on.

Select the layout you want to use:

Content only : Participants will see the content you're sharing in the main Teams window. They'll still be able to see your video feed next to the content.

Standout : This produces an effect on your background that blocks it and helps you stand out in your video feed.

Side-by-side : This view will place you and another participant side-by-side in the meeting window. This helps draw focus to you and other participants who are speaking during the meeting.

Reporter : This layout isolates you from your video feed and places you in front of the content you're sharing, just like a reporter in front of a scene.

View participants

After you start presenting, a minimized view of the meeting window will appear next to your shared content. 

People or Show Participants button

Stop sharing

Select Stop sharing in the presenter toolbar to stop sharing your screen and return to the main Teams meeting window.

Share content on a Mac

If you're using a Mac, you'll need to grant permission to Teams to record your computer's screen before you can share. 

You'll be prompted to grant permission the first time you try to share your screen. Select Open System Preferences from the prompt. If you miss the prompt, you can do this anytime by going to Apple Menu > System Settings > Privacy & Security .

Under Screen & System Audio Recording , make sure the toggle next to  Microsoft Teams is turned on.

Go back to your meeting and try sharing your screen again.

Note:  If you're using Teams on the web, make sure you've also granted screen recording permission to your browser.

Zoom in to shared content

To get a better look at shared content, click and drag it to see different areas. To zoom into or out of content someone's sharing during a meeting or call, use the buttons at the lower left of your meeting window: [+] to zoom in and [-] to zoom out. You can also try the following:

Pinch in or out on your trackpad.

Use Teams keyboard shortcuts .

Hold the Ctrl  key and scroll with your mouse.

Note:  Mac trackpads don't support zoom in meetings. If you're on a Mac, use one of the other options. If you're using Linux, giving and taking control of shared content isn't available at this time.

Expand your view by opening shared content in a separate window during your Teams meetings.

To open shared content:

Join your meeting from Teams for desktop .

Help Pop out button

To minimize content, select X  to close the window.

Share content

To share content from your mobile device:

If you want to...

Present a PowerPoint file others can interact with. Choose the PowerPoint you want to share; when you select one, sharing will start automatically.

Take a photo to share or choose one from your gallery. Choose the photo you want to share and select when you're ready to share.

Share live video from your camera. Tap when you're ready to share.

Show your entire screen, including notifications and other activity. You'll be prompted to tap when you're ready to share.

Turn on the toggle to share audio from the content on your screen.

. Whiteboard content will share automatically.

Tap Stop presenting  or Stop sharing when you're done. 

Tip:  To go forward and back in a PowerPoint presentation, swipe in the direction you'd like to go, or tap the forward and back buttons on the bottom of your screen.

Note:  If your role changes from presenter to attendee during a meeting and you're presenting, screensharing will stop.

Pinch in or out to zoom, and tap and drag to see different areas.

Note:  Zoom isn't currently supported when you're sharing photos and videos.

Minimize shared content

You may want to minimize the content someone is sharing in order to better see the people in the meeting on your mobile device. Here's how:

Tap  Minimize content from the menu

This will give you a better look at more of the people in the meeting. You'll still see the shared content on the lower portion of your screen.

Use your phone as a companion device in a meeting

Join a meeting on more than one device for more collaboration and content-sharing options.

If you're already in a meeting on your laptop, for example, you can add your phone as a companion device to present files, share live video, and much more. Any device with the Teams mobile app can be added as a companion device—just make sure the devices you're using are signed in to the same Teams account.

There's a lot you can do when you add a companion device to your meeting experience:

Use mobile video to show things that are out of view for remote participants.

Take a photo to share with everyone or pick one from your camera roll.

Use your phone to control a presentation.

Share your mobile screen.

If you can see it on your phone, you can share it in the meeting!

Add a companion device to a meeting

Open Teams on your mobile phone when you're already in a meeting on another device.

You'll see a message near the top of your screen informing you that you're currently in a meeting on another device, and asking if you want to join it on this one, too. Tap  Join .

You'll then see two options: Add this device , and Transfer to this device . Tap  Add this device .

If you join this way, we'll mute your companion device's mic and speaker to avoid causing an echo effect.

When you're ready to share something from the companion device, tap Start presenting at the bottom of the screen. On your other device, you'll be able to see what you're sharing, just like everyone else in the meeting.

When you're finished, tap  Stop presenting , or simply hang up. Your other device will still be connected to the meeting.
