Helping Students Overcome Presentation Anxiety

We’ve all watched the scene in teen movies: a terrified student has to present in front of the class. The student freezes or panics. The class erupts into jeers and laughter.

Fortunately, students in my introductory politics class at Adelphi University don’t go that far. But they still don’t like presentation days, often turning into uncomfortable, flustered bundles of nerves before their classmates. Many times, they talk too fast or blunder through their hard work, losing their classmates’ attention along the way.

Sound familiar? Recasting the presentation format into a more manageable setup may ease student stress and foster more effective presentations. That’s what I found from classroom experimentation over several semesters.

As my students have said, their presentation anxiety arises largely from fear. So I imagined how I might reorganize to mitigate that worry, weighing different ways people give presentations: standing, sitting, arranging themselves behind a table, walking and talking, and so forth.

The antidote I’ve developed—the Presentation Cafe—positions student presenters around tables, one in each corner of the room. At every table, a group of three makes a presentation while three to six other students listen and ask questions. That lets students gather and engage in smaller clusters.

I chose the experience precisely because it evokes a cafe, where friends sit around tables and talk with ease. In my rendering, the research shared by presenters takes the place of croissants and coffee as the food for thought.

Upsides and Downsides

How does it work? On Presentation Cafe days, I divide the class into presentation slots, scheduling three or four groups, depending on class size, to present simultaneously. Each presenting group makes its presentation a few times. Students who are listening circulate among the tables, eventually hearing all of that day’s presentations.

The advantages I’ve discovered have a few dimensions. First, students enthusiastically and almost unanimously seem to prefer sitting around a table and presenting to smaller groups rather than 15 to 22 other students. Out of 40 students between the two sections of this class that I have taught, 38 preferred this approach, one wasn’t sure and one sheepishly admitted he liked standing in front of a class. He’s perhaps a natural politician in the making—but truly the exception to the rule.

Second, by giving their presentation three times in one day, students can practice and improve their oral presentation skills. I’ve circulated to catch at least part of every group’s presentation each time. Most students have made improvements in pacing, length and even content in subsequent presentations. They’ve also seemed more relaxed and confident with each presentation.

Third, students have scored higher on our class assessment question that was related to the presentation material. I’ve tested students on part of the information several weeks later in an essay on an exam. My department collects data on this question for assessment purposes. Correlation isn’t necessarily causation, and multiple factors could be at play with the higher scores. Still, I’ve been happy to see that a smaller percentage of students have scored “unsatisfactory,” while more have scored in the “satisfactory” and “superior” assessment ranges. That’s compared to previous semesters, when I used a traditional presentation method.

This presentation setup has worked well even with students presenting and listening wearing masks due to COVID safety rules. In fact, it’s probably worked better since presenters haven’t had to project their voice across the room.

Does this approach work in online synchronous classes? It’s easy to group students in breakout rooms on virtual platforms like Zoom. In fact, now that some Zoom settings even allow students to choose and switch between breakout rooms, this strategy is more practical than ever in online classes. From my experience, however, it’s harder to circulate as efficiently between online breakout groups. I can’t visually scan the room to see when students are starting or ending their presentations.

Admittedly, this approach has some potential downsides, even for in-person classes. Although every group can see most other presentations, they can’t see them all. I could remedy this issue by assigning more presentation days. However, time is precious, and the number of days I’ve assigned has worked well for my students.

It may also be harder for a professor to notice points that might need to be clarified or corrected. Even though I circulate throughout the room, hearing parts of all presentations, students can sometimes make mistakes. In the future, I plan to grade the papers and return feedback before students deliver their presentations to minimize the likelihood that they present any incorrect or confusing information.

All in all, however, with students less anxious, presentations improved and attendance and assessment scores up, the Presentation Cafe will be a regular feature of some of my classes. Maybe next time, I’ll even bring croissants.

Improve Student Presentations: Teach Them How to be Effective

Help students to give better presentations

In our experience, teachers are more likely to assign oral presentations than they are to teach students how to do presentations. We give students the task, and sometimes a rubric, and expected to give polished presentations. We tell them to use expression, but rarely teach them how to read with expression.

Unfortunately, the assign and present method rarely results in excellent presentations.

We say enough already!

We know students should learn to give effective presentations. Oral presentation skills are included in local, state and national standards. Almost all careers, and most jobs require some form of public speaking. Students can effectively demonstrate their learning through speaking, and if it is done well, they can help others learn.

Many teachers struggle to help students with presentations because they fear public speaking themselves. In some studies, fear of public speaking is the number one fear of the American public. In one study, 41 % of people listed public speaking as their number one fear and 19 percent listed death. We should take note when people are more afraid of public speaking than death!

We can eliminate the fear of public speaking if we teach students the skills for good speaking, give them opportunities to practice in low stress situations, and start by frequently practicing they are young. A high school or college speech class is extremely intimidating if students have had no formal instruction in speaking up until that time. To make matters worse, speech classes are seldom required, so many students don’t even get that training.

Where do students get an opportunity for frequent, low stakes practice in speaking? In the classroom.

Every teacher, not just language arts teachers, have an opportunity to help students become confident speakers. Students can improve their presentations skills in history, science, social studies or math in addition to language arts classes. Subjects such as the arts and languages come alive when students learn and use good presentation skills.

  before you begin, establish rules and expectations..

Emphasize that the goal of speaking assignments is practice to help students become effective speakers.

Help students to understand how having good oral presentations skills will be an asset in the future.

Encourage a growth mindset- if students are nervous, explain that they haven’t perfected the skill yet.

Teach students how to be a good audience and set the expectation that they will be polite. Teach them how to ask good questions of the presenter.

Teach students that their role is not just to create the content, but to practice the skills of effective speaking.

Determine an attention getting signal to use to call students back to you for further instruction.

Teach, model and practice the basics of effective speaking.

Project your voice.

Have student practice projecting their voice across the room without shouting. Try it with a whisper. Students will be amazed that they can whisper so loud that others can hear them at a distance. Practice reading a line or two with different volumes. Have students partner up and try speaking at different volumes from different distances. They want to be sure that everyone can hear them.

Practice standing with a confident stance.

Students should be comfortable, but not slouching. They should stand still and can move occasionally, but not sway back and forth. They can take a few steps or move across “the stage” occasionally, which adds interest.

Practice good eye contact.

Good eye contact helps speakers connect with the audience, which means they will be more engaged in your presentation. Students often miss this one. If they are nervous, they will often fail to make eye contact with others.

Teach students to look up and smile at the audience before they begin. This often puts all parties at ease.

Lack of eye contact also occurs when students read their papers or power points word-for-word. Good speakers often share the content with notes rather than reading from a script. Good speaking is more like talking than reading. If students must read, have them write “look up” at various points in the script. Alternatively, have students write highlights from their papers on note cards, choosing the most important or interesting parts.

Pay attention to speaking rate.

Rate is effectively taught by modeling. Try reading something very fast. It is difficult to keep up. Then read something slowly. It becomes boring. Have students practice reading a paragraph with a partner, alternating fast and slow until they come to a happy medium. Advanced students can learn to modulate rate for effect, for example slowing down to build suspense. This will avoid the dreaded monotone.

Teach students to articulate. 

In general, Americans can be sloppy speakers. Teach students to pronounce things carefully. Voice all of the letters, for example say running, rather than runnin.”  Look for other culprits of sloppy speech, “Ta” for “to” and “gonna” instead of going to. Watch out for mumbling.

Use a more formal tone than you might use in every day speech.

Teach students that there is a time and place for slang and sloppy speech, for example when you are with your friends or in informal situations. Public speaking is a time to use more formal pronunciations.We once heard a student presenting to the board of education and he opened by calling them “Dudes.” It was not well received. You don’t want to put off your audience by appearing unprofessional.

Teach students to use facial expressions to add interest. 

If students have a good command of vocal parts of speaking, teach them to add facial expressions, which will increase audience attention. Give students an opportunity to practice facial expressions. Ask students to show disgust, happiness, sadness, nervousness in their faces. Show accusing looks, hopeful looks and embarrassed looks. Students can make a note in their scripts to remind them to use a facial expression.

Teach students to use gestures. 

Using gestures appropriately will also help your audience maintain interest. Students may use their hands or some part of their body to add emphasis to something they say. If they choose to use a gesture, make sure it is a full gesture, done slowly and purposefully. Students often rush a gesture, throwing it away and eliminating effectiveness because it is done too quickly and not completely. Practice gestures by having students say “goodbye” and waving. Too little or gesturing too quickly, and it isn’t effective. Too long and it looks ridiculous.

Students often like to use gestures. If students want to add gestures, they should plan for them and practice them.

Have students write an attention getting opening.

Students want to get the audience’s attention right from the start. “This report is about the role of farmers in 15 th Century China ” does not inspire interest.  “Did you know that each and every one of you has something in common with 15 th Century farmers in China?”   Now we are listening.

Have students start with an intriguing question, an interesting fact or a surprising statement. Have them hint at something valuable they are going to share. Tell them to find a way to connect their topic to their audience.  A little time spent here can have a big pay off in terms of audience interest.

With time and practice, students will improve and gain valuable public speaking skills.

Many students have something to say and want to be heard. Others crave attention and relish being in the limelight. Teaching students the basics of speaking will help them to feel comfortable and confident with public speaking.

Developing good public speaking skills will serve them well in many situations in life, from communicating well in relationships to giving a wedding toast to making a presentation in their future careers.

Practice a Lot

You will only feel prepared and confident by practicing well before the presentation .

Doing it in the presentation room multiple times beforehand would be a plus as you'll get used to the setting there. If not the same space, look for something similar.

Furthermore, since you will not be presenting to empty chairs, involve a few people in your practice. You can ask your friends or family members to become your mock audience.    

Apologize When You Need To

No man is perfect. Even the most successful speakers may make mistakes on stage sometimes. What makes you any better?

However, that does not mean you should not prepare. In fact, you should prepare very well so that if you make a mistake, you can own it confidently and do not have to cover it up with excuses.

Honestly, mistakes are not something to be ashamed of after working so hard on perfecting your presentation.    

Simply apologize if you are at fault, and if possible, appreciate the person who pointed it out. Humility always looks great with confidence, and everyone loves a humble person.

Wear Your Best Smile

Always wear your best smile. That way, you seem approachable and friendly. The audience will interact with you and might also engage in a discussion.

Hence, the presentation will seem much more lively and interesting.

Observe Other Speakers

If you are extremely nervous about the presentation, you can observe other famous speakers. Watch their videos on YouTube to see how they present in front of their audience.

Notice their body language and gestures. Look at the themes and colors they have incorporated in their presentation.

8 Tips to Power-Up Your Classroom Presentations

Last month, I attended a Back to School Night for parents, sitting through presentation after presentation by teachers, some with slides that helped make their presentation a delight to listen to, and others . . . well, that's why I'm writing this blog post.

The goal of a classroom presentation is to aid you in effectively conveying information in a way that allows students (or their parents) to remember what you said. Unfortunately, for some, the presentation becomes a crutch, and they begin to rely on the slides to tell their story, rather than to help them tell the story.

I've been creating presentations using software like PowerPoint and KeyNote for 20 years, and I've learned a lot about how to most effectively communicate. Here's what I've found.

1. Use as Many Slides as You Need

It's a common myth that better presentations use fewer slides. This is simply not the case. I once sent an education conference presentation to the organizers so they could preview it in advance of my speaking. They wrote back, concerned that my 45-minute presentation had 116 slides. I looked it over and realized they were right! I revised it and sent a presentation with 135 slides back to them. I finished my talk with 5 minutes to spare -- just enough time to take questions -- and the presentation was a huge success.

The number of slides in your presentation is irrelevant. What matters is how well your slides communicate and how much time you spend talking about each slide. Spending five minutes on five slides will almost always be more engaging to your students than spending five minutes on a single slide, even when the information is exactly the same.

In the movie Amadeus , the Emperor of Austria complains to Mozart that his music has "too many notes." Mozart responds, "There are just as many notes as are required. Neither more nor less." Use as many slides as you need to make your point. No more. No less.

2. Minimize Verbosity

Your slides are there to support what you are saying, not to say it for you. Keep your word count low, and only place one main point on a slide, plus three to five sub-points if absolutely needed. Remember tip #1 above -- don't be afraid to use more slides. They're free! Also, the language in your slides doesn't need to be in complete sentences. Pare the text to as few words as possible, using what's there only to emphasize and reinforce -- not replace -- the words coming out of your mouth.

3. Maximize Visuals

Photos, figures and icons work as visual memory triggers. They help your students remember what it is you're saying. Any time you can add a visual that helps illustrate or reinforce the points you're making in your slides, you should use it. One great way to do this on the cheap is to use public domain or creative commons photos you can find on Flickr or Google .

4. Reduce Noise

Many teachers like to add banners, headers, footers, page numbers and more noise to their slides. Unless the information needs to be on every slide for a vital reason (which is rare), you should remove it. All these redundant elements do is create distractions from the content of your slides. I find this to be especially true of page numbers. Imagine if a movie included a time code at the bottom, constantly reminding you how long you had been watching. All this does is serve to take the viewer out of the moment. Page numbers in slides really don't provide any useful information -- they just remind your students how long they've been watching.

Pursuant to tips #1 and #2, you're not going to win awards by cramming the most content on the fewest slides. Make text and visuals as large as you can. Not only does this make them easier to see and read, but larger images and text make a greater impact to aid memory. There's nothing wrong with filling an entire slide with a photo, and then placing text right on top. You may have to use a transparent background immediately behind the text so that it's clearly readable, but the overall effect is almost always more memorable than just some text beside an image.

6. Highlight What You Are Talking About

While you are presenting, your students may be momentarily distracted taking notes, thinking about what you are saying, glancing out the window, possibly even daydreaming. When they refocus on your slides, though, they need to quickly pick back up where you are, or you risk losing them again.

  • Use contrast or call-outs to clearly show the area of the slide you are talking about.
  • Reveal bullet points or table rows one at a time so that the last one visible is the one you are talking about.
  • Use arrows, circles or other pointers to show what you are referencing in specific parts of an illustration, photo or graph.
  • Animate and reveal parts of illustrations and graphs (where possible) to build your story rather than showing everything at once.
  • Use bold type or different colors to highlight the keywords in any lengthy text.

7. Transition Changes

Humans suffer from an affliction called change blindness -- we have a hard time seeing changes unless there is a clear transition between the states. This is especially a problem in presentations where slides may look very much alike. Most programs include transitions that can be used between slides or on elements in the slides themselves.

My favorite transition is the cross-dissolve -- where the first slide fades down while the next slide fades up -- but different transitions can help illustrate points in your presentation. Are you talking about combustion or the fire of London? Use a flame transition. Talking about photography or Hollywood movies? Use the flashbulb transition. Even "cheesy" transitions help overcome change blindness and aid student memory at the same time.

8. Repeat Yourself Redundantly

It’s OK to repeat the same slide more than once -- especially when using images -- if you are reminding students of an earlier point. Obviously, this is not a license to be monotonous. However, if you want to tie separate ideas together, emphasize a point or splash in a little comic relief, it's perfectly fine to repeat a slide.

Bonus Tip: Make it Funny!

There's little doubt that emotional responses can aid memory. While it can be difficult to apply this power in a classroom slide presentation, humor is easy enough, and adding a bit of levity to your presentations at the right points can work to give students vital memory hooks.

Remember, the point of presentation slides is not to replace you as the teacher, but to help your students understand and remember what you are teaching. Overwhelming them with too much information can be just as harmful as underwhelming them with too little.

Presentation Timing: 5 Tips to Stay On Time and Avoid Audience Wrath

Were you happy about it? Or were you mad that they now put you behind for your next appointment? Or did you leave before they wrapped up?

In this article, we examine the importance of finishing on time and give 5 tips for staying within your time constraints.

Is finishing your presentation on time important?

In most situations, yes!

Always assume that your audience is busy (because they are).

Always assume that could have chosen other places to be (because they could have).

Always assume that they have something planned immediately after you finish (because they usually do).

Audiences get uneasy if you are approaching your time limit and you aren’t wrapping up.

  • They start to consider walking out .
  • They start to get nervous thinking about their next appointment , and how they may be late.
  • They start wishing you’d wrap it up already.
  • Most importantly, they stop listening to you!

Not only do you lose credibility with your audience and risk offending them, but you also lose the opportunity to make a strong conclusion because they either aren’t listening or they aren’t in the room!

Is it better to end early, or right on time?

If it’s really bad to finish over time, then one might assume that you should always try to end well under your allowed time. However, that’s not always good either.

If you finish your presentation considerably under time (e.g. 20 minutes early in a presentation scheduled for one hour), your audience may feel cheated, particularly if they paid to listen to you speak. They may feel that you promised 60 minutes of value, but only delivered 40.

For this reason, one safe rule of thumb is to speak for between 90-100% of your allowed time . So, if your presentation is planned for 60 minutes, you should speak at least 54 (or 55 for a nice round number). This ensures that your audience doesn’t “feel cheated”, but also ensures that you don’t go over time.

There are all sorts of exceptions to the above rule of thumb, so use your judgement and do what makes sense in your situation.

5 Steps To Keep Your Presentation Within Time

It’s really not that hard to finish your presentation on time. Just follow these five simple steps:

#1 — Know Your Allowed Time

Have you ever heard a speaker walking away from a venue muttering: “I thought I had longer”?

This is the result of poor communication between the speaker and the event organizer. Both the speaker and the event organizer end up looking bad in this scenario.

Make sure you are always aware of how long you have to speak. Verify with the event organizer before the event.

#2 — Plan Your Content and Edit as Necessary

For many speakers, the problem is not knowing how much time the audience is giving them. The problem is being unreasonable with how much they can say within that allotted time.

Most people overestimate how much material they can adequately cover within a given time. They want to “share everything” and “leave nothing back”. On the other hand, the wise presenter develops strong self-awareness about how long it takes to effectively deliver their message.

When you are planning, also consider:

  • Q&A : Allow time for audience questions, either within your presentation or at the end.
  • Activities : Allow adequate time for any planning audience activities or exercises. One of my challenges is that I tend to underestimate how long it takes to explain an activity and “break into groups” before the exercise even starts.
  • Breaks : For longer presentations, budget time for breaks for stretching, bathroom visits, coffee, or meals. This all comes out of your allotted time. In a typical full-day (8-hour) training course, for example, you might only have 6 hours of instruction once you subtract out all of the breaks.

Cut mercilessly to make sure the material you intend to deliver can be delivered within your time constraints. It’s better to present the appropriate amount at a pace which the audience can absorb rather than whizzing through too much material so the audience grasps nothing.

#3 — Rehearse Effectively

Until you gain experience as a speaker, you may not be able to accurately gauge how much content fits within a given time. For example, how many pages would you write if delivering a 30 minute commencement address? How many case studies can you cover in a lunch-time seminar?

The best way to measure how long it will take is to time yourself while you rehearse effectively:

  • Rehearse standing up and speaking out loud . Don’t fall into the trap of thinking that you can just “whisper” your way through your slides while sitting in front of your computer. Your pace will be different while standing.
  • Speak to a test audience , even if all you can arrange is one person. This eliminates the tendency to “practice within yourself” as some speakers do while rehearsing. Just one audience member forces you to make eye contact and look for audience feedback. It also simulates a bit of the pressure you may feel with a real audience. You can also get valuable feedback by asking “How was my pace? Did I go too fast?”
  • Make it as close to the real thing as possible . If you’ll be using a presentation remote to advance your slides, then rehearse with one. If you’ll be moving around in the “real presentation”, then do so as you rehearse. If you can rehearse in the room where you’ll be presenting, do so. The more closely you can mimic the real thing, the better your time estimate will be.
  • Make it a dress rehearsal . If I’m planning to wear a suit when presenting, I like to rehearse in one. For me, the act of dressing up creates the same nervous energy and tends to give me more accurate timing.

Rehearsing in this way allows you to accurately time your presentation under close-to-real circumstances. If you go over time while rehearsing, you’ve got to cut material.

#4 — Start on Time

How many times have you seen a presenter ask for “just 5 more minutes” at the end of a one-hour presentation, despite having started ten minutes late?

Do everything in your power to start on time. Arrive early, sort out your technology, and make sure everything is set to go when your time starts. Don’t waste a moment.

Your exact start time isn’t always within your control. For example, I know of one company where “lunch-time seminars” always start at 12:15. If you are invited to speak in this forum, you’ve got to know that. A thorough discussion with the event organizer should reveal this.

#5 — Measure Your Progress and Adjust

For short speeches (say, under 15 minutes), you can probably just launch into it and hit your end time target within reason (assuming you have rehearsed it).

For longer presentations, however, you can use a more strategic approach:

  • As you rehearse your content, note how long it takes for each “block” of your presentation. (Get someone to time you if necessary.)
  • 12:05 – Start presentation
  • 12:15 – Introduction and case study introduced
  • 12:30 – Case study and lessons learned complete
  • 12:50 – Live demonstration complete
  • 12:58 – Q&A complete. Applause.
  • Write down these targets and have them with you as you present, perhaps on a small notepad by your water. (I do it with red pen and big letters.)
  • As you reach the end of each “block”, check the clock . If you are running behind, you can adjust your pace. For example, if you are starting the live demonstration at 12:35, then you know you are 5 minutes behind, and you’ll have to cut planned material to “catch up.”
  • If necessary, recruit an assistant with a watch to help you monitor your intermediate targets.

Speaking over your allowed time is disrespectful and will annoy at least some people in your audience. It’s a privilege to have their attention, whether it’s for 5 minutes or 5 hours. Don’t abuse it! End on time — every time.

We’ve all been there. The speaker speaks for far longer than anyone expects and as an audience member you just sit there thinking “when will this end?” I’ve seen it time after time at public speaking clubs in particular.

It’s worth reinforcing that when you are speaking in front of an audience, it will always take longer to cover the same material adequately. That extra time is necessary to let the message sink in with a real, live audience. Rehearsal time can be misleading, so don’t get caught out!

Preparing Students for Successful Presentations

We’ve all seen it.  Leaning back on the board, rocking from side to side, or avoiding eye contact with the audience are all common occurrences when students give oral presentations.  Like any other skill, successfully presenting in front of the class is something that can be taught and learned.  If students are repeatedly exposed to public speaking opportunities , it is likely that they will become more comfortable with the process, which will ultimately lead to an overall improvement in presentation skills.  Speaking in front of the class isn’t easy, but there are definitely measures we can take to prepare our students for continued success.

Stage Fright

If you’re human, you’ve experienced stage fright at one time or another.  Stage fright is a type of anxiety associated with performing in front of a large audience.   For most people, stage fright occurs prior to a performance or speaking event, and it dies down as the performance or event concludes.  Ease the feelings of nervousness your students may feel before giving a presentation by discussing the causes and effects of stage fright.  Let students know that it is normal to feel anxious before an oral presentation.  Common symptoms of stage fright include a racing heart, sweaty palms, dry throat, or queasy stomach.   Student nervousness may dissipate as they begin to understand how their body reacts to an increased level of anxiety.  Along with explaining the causes and symptoms of stage fright, it is also critical to review with students effective ways of mitigating performance anxiety.  Deep breathing, thorough preparation, and a positive mindset all serve as an excellent starting point for calming the nerves of students before a big presentation in front of the class.

Voice, Gestures, and Posture

Another aspect of a successful presentation involves the appropriate use of voice, gestures, and posture.  First, speaking in a clear and audible voice is critical.  Many students tend to deliver a presentation in their normal speaking voice, making it hard for classmates in the back of the room to hear what is being said.  It is important that students practice their presentation in a realistic setting.  They should be using their public speaking voice in every practice session.  Next, gestures are also important. Actively participating in the presentation will help students keep nervous fidgeting under control.  Additionally, speaking with the hands and gesturing during the presentation keeps the audience focused and attentive.   In order to practice the effective use of gestures, students can engage in the role playing of different situations.  Common gestures during a speech or oral presentation include listing numbered points with the fingers, using a solid fist to show intensity, or showing an open palm to build trust.  While most gestures reinforce the verbal message, pointing is one that should be avoided.  Pointing can come across as aggressive.  With practice and over time, students will get used to speaking more with their hands during their presentations.  Along the same lines, correct posture is also important when delivering an oral presentation.  Students need to understand that standing up straight while speaking expresses a silent confidence in the topic or subject matter.  Put simply, a strong posture goes a long way for the speaker’s creditability.  Voice, gestures, and posture are all great examples of little things that go a long way in preparing students for successful presentations.

Grading Rubric

While it might seem quite simple, reviewing the oral presentation rubric with students ahead of time is extremely powerful.  Clear grading expectations can actually set the mind at ease.  If students are able to practice with the intention of meeting the standards on the grading rubric, they will be more likely to set themselves up for success.  In addition to grading the content of an oral presentation, most rubrics also include space for assessing speaking criteria.  Speaking in a clear and audible voice, the effective use of gestures, correct posture, and the incorporation of a visual aid are all common items on an oral presentation grading rubric.  Reviewing the rubric together will give students a head start when it comes to delivering a successful presentation. It also gives students clear expectations for the task at hand, and allows them ample opportunity to ask questions if something about the rubric isn’t clear.  As with any assignment in the classroom, using a rubric makes it easier on the students and the teacher.

As students become more accustomed to delivering presentations, their sense of confidence in speaking in front of others will increase.  Reviewing the causes and effects of stage fright; explaining the appropriate use of voice, gestures, and posture; and reviewing the grading rubric ahead of time are three ways you can prepare your students for a successful speech or oral presentation.  Learning something new takes time, especially when that something involves delivering information to an audience.   With practice and incorporation of the three criteria listed above, your students will be prepared for presentation success!

How to Effectively Manage Time During a Presentation? Short and Long Ones!

Slides are one of the best ways to engage an audience and nail a presentation. Nowadays, people use the most efficient and practical skills to make the slides clear, easy to understand. However, most people struggle to plan and manage time in their presentations.

How Many Slides are Suitable for Finishing a Presentation on Time?

The general rule says 1 to 2 slides per minute. However, it is critical to note that the presentation’s number of slides will vary according to the topic complexity, audience, available time, presentation structure and format, and goal. Good planning, rehearsal, and delivery skills are essential!

From 25 minutes to 60 minutes, you can make a considerable number of slides. Some experts recommend 1 to 2 slides per minute, but as I said before, it will depend on the topic. Imagine that one of your slides contains graphs about some work you have been doing that can take more than 2 minutes, and it is important to explain it in detail to the audience.

It all starts with planning, researching, organizing all the collected data, prioritizing your key points, and making a structure. After this exercise, it will be easier to know how many slides you will have according to your given time.

To sum this up, there is no exact rule to set a number of slides for a given time frame, and it will vary according to the topic, your research, and your presentation skills. All you have to do is to balance the slides with your speech and time.

How many Slides for a 3-minute Presentation?

A good practice for a 3 minutes presentation is to keep it clean and straightforward. Keep in mind that slides are more engaging with visuals rather than texts. And on your speech, be as brief as possible, make a 15 to 20 seconds introduction, and do the same on the conclusion.

How many Slides for a 5-minute Presentation?

Another good practice to keep your audience engaged during the whole presentation is eye contact. Using this technique, and of course, making a powerful introduction, the audience won’t take their eyes off you.

How many Slides for a 10-minute Presentation? 

The Rule of Thumb for a 10-minute presentation is having 10-12 slides. Presenters with good skills use up to 30 seconds per slide to keep it nice and engaging. This time frame is suitable for elaborately introducing the subject or topic, diving deep into it, and highlighting the key points.

How many Slides for a 20-minute Presentation?

According to  Guy Kawasaki , a 20-minute presentation should have ten slides where each slide utilizes a 30 point font. Using this rule of 10/20/30, the speaker would spend up to 1 minute per slide, which gives time for even allowing 1 or 2 questions from the audience.

In some cases, each slide has a different theme, and you will need to approach them differently. Having different themes per slide will require you to summarize each slide’s content in under a minute.

Although the Rule of Guy Kawasaki is suitable for a 20-minute presentation, you can set your own number of slides according to your subject and how much time you spend on a single slide as long as you deliver the message properly and engage your audience.

How many Slides for a 25-minute Presentation?

In this given time frame, you now have the opportunity to interact more with the audience, start with a quote, let them raise some clarification questions, and get more involved with them. 

How many Slides for a 30-minute Presentation?

But you can make more than 40 slides and still have a memorable presentation in just 30 minutes, and I will explain to you how. Well, if you want your audience to understand clearly each content of your slide, make it one paragraph or one sentence, and use more visuals.

Using this method, you will spend 1-2 seconds per slide, and the audience will understand way better seeing the visual (which counts more than text). The explanation is gradual from the beginning to the end.

How many Slides for a 45-minute presentation?

A 45-minutes presentation is in the range of long times ones, and in these cases, you have to use the slides very carefully, making them proportional to your presentation time. Consider having a wristwatch to control your time.

How many Slides for an hour Presentation?

Experts recommend 30 to 60 slides for a 60-minutes presentation. This period of time gives the speaker two main options: summarize the content in 30 slides or make a structure that allows one theme per slide. These two options also give more time to interact with the audience make a great introduction and conclusion.

Both of them are OK. But there are aspects that you have to consider; if you are preparing few slides, you will need to train how to summarize content to make sure you don’t spend too much time explaining all the points or having your audience stuck on reading your slide. 

How many Slides for a 90-minute Presentation?

As a speaker, you will also need skills to engage your audience during a presentation and set time for questions and answers. And most importantly, after 10-15 slides, make a break and double-check if the audience completely understands your presentation.

If you fail to make these pauses to double-check if the audience is on the same page with you, you will be running a risk of going back from almost the end of the slides to the first ones to explain something that the audience did not get very well.

How many Slides for a two-hour presentation?

Generally, a presentation with more than one hour of duration is for professional speakers who can deal with time management. The best way to not have your audience boring is to use the method of one idea per slide; it will make them easily understand each part of your content.

First of all, to have complete control of your time on stage, you have to write the schedule of time you will spend on each part of your presentation, something like setting time for your opening, how long time you will spend on the introduction, how long time you reserve for questions and answers, etc.

Planning is also crucial to keep time on your presentation. The main thing in the plan to deliver your message is the structure of your content. A good structure will allow you to know how much time you will spend on each point.

Why do people usually fail to finish a presentation within the stipulated time?

Another session that makes speakers fail to finish the presentation in time is the question and answers. This mistake happens when the speaker does not practice enough or predict questions that may come and end up thinking about the answer when the question is raised.

Not setting time for each session of your presentation also makes you not finish on time. This mistake will cause you to take longer at one point or another, especially if you don’t have a clock to keep track of the time.

How to keep to time during your presentation

Do you regularly go over time when you’re delivering a presentation? If a time limit has been set for your presentation, then it’s your responsibility to finish it within that time. Consider it as part of the contract between you and your audience.

Here are some tips to help you keep to time:

1. Decide on your “talking time”

You can’t keep to time unless you know beforehand how long you should be talking. Your “talking time” is different than the total time you’ve been given for your presentation for two reasons:

  • You need to allow time for questions. This may be decided by the meeting organizer. If not, as a rule of thumb I would allow 20-25% of your presentation time for questions.
  • Generally, live  presentations take longer than the rehearsal.  This is because of a combination of factors. You might start a couple of minutes late, you might take longer to make a point, and there may be other interruptions that delay you.

So if your presentation time is one hour, your talking time will be 40 minutes (15 minutes for questions and 5 minutes for interruptions and delays).

2. Find out how long it takes to deliver your material

This is a prerequisite to being able to keep to time. If you don’t know long your talk takes how can you hope to meet the time limit. Many presenters are very bad at judging how long it will take to deliver something. Seriously bad. On our courses, we ask participants to prepare a five minute talk. One time, a participant talked for 23 minutes! When we asked how long it was she thought that she had been talking for about seven minutes.

Time yourself early on in your planning process. This will save you time and agony. If you leave timing your presentation till the end of your planning process you’re likely to find that you’ve prepared too much material which will mean you have to edit your presentation . And editing is can be agonizing when you’ve grown attached to your material.

3. Write a timed schedule for your presentation

When you do a final rehearsal , note down the time that each segment takes and then take that information to prepare a timed schedule. So say your presentation started at 3pm your schedule would look like this:

3 pm Opening 3.05 Part 1 3.15 Part 2 3.25 Part 3 3.35 Closing 3.40 Stop talking

That means that during the live presentation, you’ll be able to easily tell whether you’re keeping to time. Note that it’s not enough to know that each part takes 10 minutes. In the presentation itself you won’t have the head space available to calculate whether you’re ahead or behind.

4. Write assertions so that you don’t waffle

Waffling is one of the things that can make a live presentation go longer than the rehearsal. Here’s what can happen: you make your point but the audience looks blank. So you elaborate on it some more, and then some more… and before you know it you’re waffling. The antidote to this is proper planning. During you’re planning, write each point as a full sentence (not a bullet-point) which expresses what you want to get across. You may later reduce this to a keyword or phrase in your notes but you’ll have done the hard thinking required.  It’s much better to do your thinking before, rather than during, the presentation. 5. Have a clock or timekeeper

You can’t manage your time unless you can see the time. And you can’t rely on every meeting or conference room having a clock. Have a small, but easily readable, travel clock that you can put on the lectern or even in front of you on the stage. Make sure you can read it at  a distance without your glasses on. There are remotes that also have a countdown timer and that will buzz you at 5 minutes and 2 minutes before the end of your presentation.

6. Start on time

Many presentations go over time simply because they started late. Lisa Braithwaite recently wrote about this issue in her post: You never have as much time as you want . Often that’s because the presenter or meeting organizer has decided to wait for late-comers. Like Lisa, if I’m in control then I’ll start on time. I don’t see why people who have made the effort to be on time should be penalized by having to wait for people who are late.

You may be concerned that people who are late will miss out on crucial information. So don’t start with crucial material. Instead open with a relevant and engaging story which leads into your first main point. The stragglers will come in while you’re telling your story.

7. Be ready to adapt

Despite all your advance preparations you may still run out of time. The solution is not simply to talk faster! Work out ahead of time what segment you will drop if this should happen. Make a note of the first slide number after the dropped segment. By keying in the number of that slide and then pressing ‘Enter’ you will jump straight to that slide. This is much more professional than clicking through your slides. Your audience need never know that you had to edit on the fly.

Excellent post as always. I am going to read further what you’ve written about assertions and waffling (I love these descriptive words, by the way). I’m curious: do you always speak with notes, and do you recommend this? When I do a presentation supported with Keynote or PPT slides, I don’t use notes. I figure if I know my material well, I don’t need them. So far, this method has served me well. (However, I do print out 6 slides per page with the slide numbers, in case I need to flip back to a particular slide, using the method you’ve described.)

I just made your post this week’s compulsory reading for my students 🙂

What I like to do to keep a check on myself is printing out my slide thumbnails all on one page. I make a screenshot from the lightbox view in Keynote or slider sorter view in PPT (which keeps the slide numbers) and then I mark certain slides with the anticipated time in large and friendly red numbers: 10:45 hs. 11:15 hs

As you go along, check real time vs. planned time.

This works really well with longer talks or workshops.

After the talk I can immediately make any corrections necessary and see where I planned poorly or where I can tighten things a bit. It is also a great help for »next time.«

With shorter talks keep a large *analog* antique pocket watch nearby. It is like a large checkered handkerchief: it is so obvious is does not bother anyone. I find I still understand analog watch faces faster than the timer in presenter’s view.

I can relate to your preference for the analog watch. Delivering a presentation is such a full-on activity that everything else should be super-easy for you.

Thanks for your appreciation. I do always have notes within reach. I don’t normally look at them, but every so often I’ll have a mind blank where I go to myself “was there another point I wanted to make here.”. I’ll stop talking, look at my notes, find the point I wanted to make, look up again, find someone to talk to and start talking. I also do what you do with the printout of my slides. I find this useful because it means I can also see what slide is coming next and introduce it, rather than simply clicking and then talking. More about this here . Olivia

I can see how it would be useful to add the notes, in case of brain freeze!

Also, I usually do put time stamps on the slide printouts, so I know how I’m doing for time at major junctures of the presentation (example: when I’m playing an audio clip — so I can check the time while the audience watches). I usually just take off my watch and put it somewhere where I can see it, when there’s no clock in the room.

Great post. Going over the allotted time is annoying to the audience, the organisers and other speakers. I have found for me, if I plan to leave some time slack in my presentation it helps in keeping to time , i.e. if I have 30 minute slot I plan to deliver a 25 minute speech etc. It helps to keep me on time. If I finish early the time can always be utilised – a longer break, questions etc.

Good advice, as always – and knowing what to cut in advance is absolutely critical!

You mention a way of skipping slides – for people using Keynote there’s a better way, don’t forget. The menu option allows you to see different slides on your laptop without them showing on your screen and deciding where to go next – if you want to. That way you can edit on the fly with even more dignity and (importantly) the transitions are protected in a way that they’re sometimes not if you do ‘jumping’ in PowerPoint.

I get that Keynote is better in every respect!

I keep using Powerpoint to be the same as 99.98% of my clients.

Thanks for this thorough discussion of staying on time, Olivia! And thanks for the link to my recent post.

My suggestion for keeping track of the time is to use a regular kitchen countdown timer. Because of this: “…you won’t have the head space available to calculate whether you’re ahead or behind…” I find it harder to keep track of my time when looking at a clock, especially if we’ve started late. If I have a countdown timer, I know exactly how much time is left without having to do “clock subtraction” on the fly.

But I do also like to use approximate clock times on my notes, as you mentioned in #3. It does give a general idea of where I should be at a given time.

That’s a great idea if you want to stand in front of your computer the whole time. My timer is usually on a table where I’m also keeping my props, handouts, water, etc., because who knows where the laptop is going to end up!

Good point about the laptop not always being in front of you. I make sure mine is. I take a 50M VGA cable with me in case the event organisers want the laptop to be somewhere near their projector – that way I can pretty much ensure having enough cable to keep everyone happy! 🙂

Mind you, 50M VGA cable isn’t a light thing to carry!

great post! Two comments: 1) 25% for interaction in my opinion is no longer sufficiant. Attendants nowadays want to be involved and strive for a shared outcome, so interaction is key. I would suggest to take at least 50%. The real great speakers shorten their story to the lenght of a teaser and are willing to rely on the fact, that they will be able to deliver the rest of their content in response to questions and discussion. 2) take into account that when you try your speech at home, you might talk faster than on stage. That is because nobody is really listening and you allready know the stuff. I often write text for voice-overs and have to add at least 10% to be on the safe side.

It’s interesting that you suggest devoting 50% of the presentation time to audience interaction. I tend to agree with you for my own presentations, but I know that not everyone is ready for that, so for this particular post I stuck to the more conventional 25%. In other posts, I have encouraged people to consider taking questions throughout their presentation rather than making the audience wait till the end.

Good point to about talking faster and your experience with voice-overs. Of course, some people talk even faster during their live presentation because they just want to get it over and done with! So it can be quite individual.

Among the technics I am using to respect my time, their is “hierarchical structure” and their is a printout plan of my presentation (most of the time, a mind map.)

On my plan, their is the timing of my presentation, and I am using A big iPod as a timer (their is a stopwatch built in).

This way, it is easy to know where I should be at any given moment and to adjust myself.

For the questions: it depends of the situation. You have to be strategic. My preference is to have good interaction with the audience by accepting question anytime. I usually don’t have a dedicated question period at the end.

I arrive a little belatedly, but still wanted to thank you for the useful points and comments.

My ideal route is to have a time-keeper; at larger international events I find that the event organisers tend to have someone dedicated to this task; provided that you have timed your presentation reasonably well it shouldn’t be a shock when you get the 15 minute board (or whatever).

One very useful tip that’s related to time-keeping that I learned ten minutes before speaking at an event in Brazil; if you’re being ‘live translated’ you need to know how the translated language compares in terms of word density to your own; Latin languages are about a third longer to say the same thing. Fortunately I was able to adapt my presentation as I went, but it’s not an oversight I’ll ever make again!

On the back of reading your post I went to the App Store and downloaded ‘pClock’ for 59p (I have no affiliation to the product): it gives you a large countdown timer that changes colour at pre-specified timing points (it can also give a vibration or sound reminder too).

As for Keynote, I’ve heard it’s very good but I too use PowerPoint and provided that you don’t let it dictate your presentation format or style it’s a capable tool. It’s undoubtedly tarnished by association with the masses of people who, were they to have had access to it, would have made dreary presentations in Keynote too!

Prezi (www.prezi.com) looks really interesting; if I ever have the time to investigate it I could be tempted to switch to that because I think it could deliver an entirely different experience.

I agree that latin languages use more words, but I wonder whether that actually makes the time longer. My mother is a simultaneous interpreter (English-French) – I’ll ask her. But it doesn’t make sense to me because otherwise the interpreter would constantly be falling behind. And a competent simultaneous interpreter is just that – simultaneous. Olivia

Hi Olivia – a couple of people who’ve had the duty of simultaneously translating me complain that I’m particularly hard to translate live because there is almost no redundancy in my speech and no filler words… they told me they typically use these times to catch up.

(That was into Japanese though, so many things are very different to French or (other?) Latin languages.)

Hello! If you are being interpreted try and talk to the interpreters beforehand. Have a script ready for them (this can be sent days beforehand through the event organiser). Even just a few notes give us a chance to adapt to your vocabulary and mode of thinking. We typically try and follow your trail of thoughts so it helps a great deal.

I would also recommend using less metaphors than usual. But more importantly as already suggested by Simon make a short pause between your sentences and this will give time for interpreters to catch up with you.

Just had a skype call with my mother (Florence above). She added some more useful thoughts.

Don’t slow down your rate of talking, just wait a beat between sentences. Different languages have different ways of ordering words within a sentence, so if you slow down or pause within a sentence, the interpreter may not have enough words to be able to carry on interpreting.

You don’t have to wait for the interpreter to finish interpreting before starting your next sentence. They’re trained to listen and to speak at the same time.

My experience is that unless you have extremely good simultaneous translation (like you get at big international meetings like the UN) you do need to insert a significantly longer pause between sentences – particularly sentences with technical content – than you would normally to let the translation catch up a bit. This is particularly the case if you are speaking English as our bigger vocabulary often makes things easier to say with fewer words. Agree with your translator before hand a signal for “slow down” to make sure she or he isn’t getting swamped by your speed of delivery (it is particualrly important to keep looking for this signal if the translators’ booth isn’t in your normal line of sight) and give them a copy of your slides and any notes so they can check for unfamiliar words or technical vocabulary ahead of time. Provided your audience are using earphones you don’t however need to wait until the translator has finished a sentence before starting the next. If your slides are in the wrong language for some of your audience don’t forget to talk through the slide – “this graphic shows average weekly family spending on xxxx in US dollars on the vertical axis against age of children on the horizontal axis, blue dots mean zzzzzz” and so on.

8 Time Management Tips for Students

Don't let a hectic schedule get the better of you with these time management tips.

College can be a stressful time for many students and time management can be one of the most crucial — but tricky — skills to master.

Attending classes, studying for exams, making friends, and taking time to relax and decompress can quickly fill up your schedule. If you often find yourself wishing there were more hours in the day, this guide will offer time management tips for students so you can accomplish what you need to get done, have fun with your friends, and gain back some valuable time for yourself. 

1. Create a Calendar

Don’t be caught by surprise by an important paper due two days from now or a dinner with your family the same night you planned for a group study session. Create a calendar for yourself with all your upcoming deadlines, exams, social events, and other time commitments well in advance so you can see what’s coming up. 

Keep your calendar in a place where you can see it every day, such as in your planner or on your wall above your desk. If you prefer a digital calendar, check it first thing every day to keep those important events fresh and top-of-mind. For greater efficiency, make sure you can integrate it with your other tools, such as your email.

2. Set Reminders

After you’ve created your calendar, give yourself periodic reminders to stay on track such as to complete a study guide in advance or schedule a meeting for a group project. Knowing deadlines is important; however, staying on top of the micro tasks involved in meeting those deadlines is just as important. You can set an alarm on your phone, write it down in a physical planner, or add an alert to your digital calendar. The reminders will help to prevent things from slipping through the cracks during particularly hectic days.

Make sure you’ve allotted enough time to study for that big test or write that final paper. Time management is all about setting yourself up for success in advance and giving yourself the tools to accomplish tasks with confidence.

3. Build a Personalized Schedule

Each person’s day-to-day is different and unique to them, so make sure your schedule works for you. Once you’ve accounted for consistent commitments such as classes or your shifts at work, add in study sessions, extracurriculars, chores and errands, and social engagements.

Consider your personal rhythm. If you typically start your day energized, plan to study or accomplish chores then. If you fall into an afternoon slump, give yourself that time to take a guilt-free TV break or see friends.

Having a schedule that works for you will help maximize your time. Plus, knowing exactly when your laundry day is or when your intramural volleyball practice is every week will help you avoid trying to cram everything in one day (or running out of clean socks!)

4. Use Tools That Work For You

Just like your calendar and schedule, the tools you use to keep you organized should be the right fit for you. Some students prefer physical planners and paper, while some prefer going totally digital. Your calendar can help you with long-term planning, but most of these tools are best for prioritizing from day to day.

Explore what best suits your needs with some of the following suggestions:

Planners can help you keep track of long-term deadlines, such as important essay deadlines, upcoming exams, and appointments and meetings. They often provide a monthly overview each month, as well as day-to-day planning sections, so you can stay ahead.

5. Prioritize

Sometimes there really is too much to do with too little time. In these instances, take just a few minutes to evaluate your priorities. Consider which deadlines are most urgent, as well as how much energy you have. 

If you are able to complete simple tasks first, try getting them out of the way before moving on to tasks that require a lot of focus. This can help to alleviate some of the pressure by checking a couple things off your to-do list without getting bogged down too early.

If you are struggling to fit everything in your schedule, consider what you can postpone or what you can simply say no to. Your friends will likely understand if you have to meet them for coffee another time in order to get in a final library session before a challenging exam. 

6. Make Time to Have Fun — And For Yourself

Time management isn’t just about getting work done. It’s also about ensuring that you can put yourself and your mental wellbeing first. Consistently including time for yourself in your schedule helps to keep your mental health and your life in balance. It can also be helpful to have things to look forward to when going through stressful periods.  

Whether it’s going for a bike ride along the river, spending time with your friends and family, or simply sleeping in on a Sunday, knowing you have space to relax and do things you enjoy can provide better peace of mind. 

7. Find Support 

Preparation and organization can sometimes only get you so far. Luckily, you have plenty of people rooting for your success. Keep yourself and your classmates on task by finding an accountability partner or study buddies. Remind your roommates when you need extra space to work on a paper. 

Your school’s academic resource center is also there to support you and point you in the right direction if you need additional help. Getting—and staying—organized is a collaborative effort and no one can do it on their own. 

8. Be Realistic and Flexible 

Sometimes unforeseen circumstances will come up or you simply may not be able to get to everything you set out to do in a given day. Be patient with yourself when things don’t go exactly to plan. When building your calendar, schedule, and priorities list, be realistic about what you can accomplish and include buffer time if you’re unsure. This can help to reduce obstacles and potential friction.

Seven work–life balance tips from a part-time PhD student

When I enrolled for a part-time PhD in 2016, it was for flexibility and financial reasons. I was working as a music tutor across Cardiff and South Gloucestershire, UK , teaching violin, flute and fife. These experiences, coupled with an undergraduate degree in music, led me to apply for a PhD exploring workplace stress and well-being in classical musicians and people studying at US conservatoires.

In the second year of my PhD, I accepted a part-time job at Cardiff University as a systematic reviewer, alongside my studies. Given the topic of my thesis, I wanted to to maintain a healthy work–life balance. Since graduation, I’ve stayed in that role, assessing medical devices and conducting evidence-synthesis projects in health and social care. I’ve also co-authored 13 papers examining mental health and well-being across a variety of sectors and settings. Using my experiences as inspiration, here are seven tips that helped me to balance my work, study and well-being during my PhD.

1. Treat your PhD like a job

I set boundaries for splitting my 9-to-5 week between work and study. This meant a 50/50 split of my working hours. Before I started my job as a reviewer, I spent 20 hours a week teaching music and 20 hours on my PhD.

Aside from a few late nights and weekends, I treated my PhD exactly like a part-time job. I blocked out time in my diary for both work and study, which helped me to plan and keep focused. Sticking to these boundaries allowed me to decompress and make time for friends, family and hobbies. I’d leave the office to attend a dance class and then catch up with my husband over dinner. Studying part-time meant that the PhD was not an all-consuming process and provided perspective — life outside the PhD continued.

2. Leave tasks incomplete

When switching between work and study, I often needed to pick up a train of thought from a few days before. A technique that worked well was writing a list of any uncompleted tasks at the end of my day, either scribbled on a sticky note on top of my keyboard, or as a comment on a document. These helped me to pick up ideas again later without needing to mentally retrace my steps. For example, if I was in the middle of writing a paragraph in the discussion section of my thesis, I’d leave a note to say, “Describing x finding, relate to y theory”, before heading off.

At first, leaving paragraphs with half-finished sentences or suggestions on where to take my writing felt counter-intuitive, but making these notes allowed me to write without losing momentum and gave me time for reflection.

3. Be realistic about what you can achieve in the time available

Early on, I was overambitious when planning my studies, which led to frustration. For example, I planned to complete background reading and write my literature review in the first three months. In fact, this took much longer and was something I returned to in the final stages of putting together my thesis.

Over time, I developed a better sense of how long tasks would take, especially writing, and learnt to plan accordingly. I found a system that allowed me to write fluidly. First, I mapped out an overarching structure for my thesis, using headings and bullet points in a document. Second, I identified references and noted where they would go in the structure. Only then did I turn to writing each section in detail. In the final stages of writing my thesis, I was able to accurately map out monthly, weekly and daily writing tasks.

4. Be selective when saying ‘yes’

I also learnt to value my time and consider what opportunities to take on. It is tempting to say ‘yes’ to every opportunity that comes along, but I developed skills in being selective and saying ‘no’ when needed.

I made my decisions by reflecting on the following: have I already done something similar? Is this opportunity something I want to do or something someone else wants me to do? Do I realistically have the time? Is this a one-time-only opportunity or will there be similar chances in the future? What are the potential benefits and harms of saying ‘yes’ or ‘no’?

In my second year, I chaired the doctoral-researcher committee, which organized events and represented PhD students on academic committees. I remember being asked whether I would be on the committee for another year, and my instinct was to say ‘yes’. But after a moment of reflection on those key questions, I realized that it was better to focus on my research. I ensured that the committee was in a good position and had recruited new members before I left.

5. Connect with peers

Sharing the journey with other PhD students was invaluable for receiving advice, celebrating the highs of publication and sharing the challenges and setbacks of data collection gone awry.

I was initially registered on an master’s leading to a PhD, so had to formally transfer onto a PhD programme in my second year. I needed to submit a written report as well as pass an interview. I remember speaking to Helen, one of my peers, about the process and she advised me on how to structure my application and we discussed the questions asked in her interview. This helped me to prepare for the interview and understand the strengths and weaknesses of my work.

I also worked in a shared office alongside 15 other PhD students. This space allowed me to connect with students at different points in their studies and be part of a community of doctoral researchers. More widely, talking to friends in other professions helped to keep the PhD in perspective and understand that there are many ways to be successful.

6. Communicate regularly with supervisors

Early on in my PhD, my director of studies suggested that I send an agenda ahead of meetings with my supervisors. This gave each meeting purpose and clarity in the topics to discuss. This was especially helpful in the write-up phase, when I needed to discuss different chapters and consider the thread throughout my thesis. To keep momentum, before each meeting ended, I scheduled the next meeting.

After each meeting, I sent a brief summary over e-mail, which allowed me to revisit important decisions later in the project. It was important to discuss issues before they escalated into bigger problems — my supervisors were a source of support and encouragement throughout my PhD.

7. Write as you go

When I first started, I had no concept of what 80,000–100,000 words looked like — only that it sounded like a lot. I was advised early on to write throughout the PhD process and not leave everything to the end. This appealed to me because I like having a plan and was concerned that I’d forget why I had made particular decisions if I left the writing until the end. Initially, however, I felt like I was getting nowhere, constantly redrafting and not knowing what direction to take with each individual chapter. Because my music degree was performance-based, I hadn’t had much practice writing in an academic style and it took me a while to develop my academic voice.

One thing that really helped was writing the manuscript for the first study from my thesis . This helped me to improve the structure of my work and to communicate an argument. Writing also helped me to clarify my understanding of the research area.

Although inspired by my experiences and those I interviewed working in music, I hope that these tips are transferrable to graduate students in a variety of disciplines.

Introducing Northwestern’s Class of 2028

With undergraduate classes beginning today, Northwestern welcomes more than 2,100 new first-year students as members of the Class of 2028, as well as more than 250 transfer students.

The first-year students in this class are from around the world — all 50 states and Puerto Rico, 90 different countries (Togo among them for the first time) and six continents. Approximately 13% of the class are international citizens — a University record. Across the cohort, students speak more than 90 different languages.

The Class of 2028 includes students from more than 1,400 high schools around the world, according to preliminary numbers from the first day of class. Their socioeconomic diversity is in part reflected in a Pell-eligible population comprising nearly 22% of the class — a record number of lower-income students at Northwestern. This year’s incoming cohort also brings strong representation across other historically underrepresented populations: Black or African American at 15.4%, Hispanic or Latinx/e at 17.5%, Native or Indigenous at 2.4%, and first-generation college student at 16%.

Late last night, U.S. News & World Report released its 2025 Best Colleges rankings, ranking Northwestern #6 in the National Universities category, its highest ranking ever. President Michael Schill said part of what makes Northwestern such a great place to learn is having a diverse student body, through which students are exposed to different viewpoints.

“Our commitments to expansive outreach, innovative and student-centered recruitment practices, holistic admissions review and widening college access reflect Northwestern’s values,” Schill said. “Now we get to see those values bear out in this remarkable new class, and in the new rankings.

“Thanks to the leadership of the enrollment team and collaboration across campus, we have an exceptional group of students joining our community this year, and we’re so excited to welcome them as they begin this step in their educational journeys.”

Continuing the commitment to diversity, inclusion and belonging

Before the U.S. Supreme Court decision in June 2023 that ended race-conscious admissions at colleges and universities, a working group convened by Provost Kathleen Hagerty had already begun to assess existing practices, and to consider new strategies to ensure the University adheres to federal law while continuing to support diversity, inclusion and belonging on its three campuses.

In alignment with federal guidance, the working group continued to meet as schools and units carried out revised admissions practices.

“Although the Supreme Court decision impacts the use of race in admissions, it does not affect the University’s ability to define our mission and values, including the importance of diversity and inclusion,” said Stacey Kostell, vice president and dean of enrollment. “Our holistic admissions process is built to account for the diversity of experiences, circumstances and backgrounds reflected across our applicant pool.”

“The decision also left open avenues for pursuing outreach and recruitment to advance these values,” she continued, “and as President Schill stressed last spring , we are intensifying strategic efforts that have helped us enroll historically diverse classes in recent years. That includes financial aid packages that meet 100% of every student’s demonstrated need without loans, as well as initiatives to ensure families understand our full range of affordability measures and student-support resources.”

Reaching new audiences

The first-year applicant pool numbered approximately 50,000, with an admit rate of 7.5% for a class of just over 2,100 — a class size that has grown by roughly 5% since before the COVID-19 pandemic. The pool itself has grown by over 25% in this same period.

In recent years, the number of secondary schools represented in this pool has climbed to more than 10,000 — “a meaningful testament to how we’re connecting with new audiences around the world, not just growing application numbers where we’re already well known,” according to Liz Kinsley, associate dean and director of undergraduate admission.

Indeed, this is a record number of first-gen trailblazers for Northwestern, as the University continues to grow the population of students whose parents did not graduate from a four-year college, up by over 60% in the past decade.

Northwestern’s strong partnership with QuestBridge, a national organization that supports high-achieving students from lower-income households, is another sign of increased diversity, with a record-size cohort of Quest Scholars on their way. The first-year class also includes students affiliated with a growing number of access-focused partner organizations:  Chicago Scholars ,  College Horizons ,  HALI Access Network ,  Morton Schapiro Northwestern Academy for Chicago Public Schools ,  Posse ,  Seeds of Fortune ,  Thrive Scholars , and others.

Northwestern also has intensified commitments to ensuring students from rural and small-town America have the information and support needed to enroll in and graduate from the college or university of their choice. Due to the University’s standing as a founding member of the STARS College Network , this year’s class brings noteworthy growth in the number of students from rural and small-town high schools.

Taking advantage of Northwestern’s interdisciplinary culture

Incoming students will study across six undergraduate schools with more than 75 prospective majors, from classics to chemistry, Black studies to biology, dance to data science, and the list of disciplines goes on. Many will pursue one of Northwestern’s dual-degree programs, combining areas like music theory and environmental engineering or theater and biomedical engineering. Around 6% indicated an “undecided” major, taking full advantage of the University’s interdisciplinary culture and the quarter system’s breadth and flexibility to explore and then dig in.

Beyond the classroom, students engage in a range of extracurricular activities. They are EMTs, affinity-group leaders, marching band drum majors, family restaurant managers, community activists, published journalists, accomplished scientists and Olympians. They have worked with the likes of Spike Lee, Jordan Peele, Katie Couric, Mayo Clinic mentors and members of the U.S. Congress. Many already carry Northwestern’s innovative spirit, having started organizations, nonprofits or YouTube channels, reaching tens of thousands of viewers.

While students from the Class of 2028 have only just arrived on campus, earlier in the year they also enjoyed Wildcat Days for admitted students, regional admitted-student receptions, digital programming and “Purple Priority conversations” to connect with University leaders, advisers, faculty, staff, alumni and current students. As such, they’ve already begun to forge a strong sense of community and Purple Pride.

Note: Percentages reported in this story reflect class makeup as of Sept. 24, 2024. The numbers will not be finalized for another 10 days. Northwestern’s reporting method tracks domestic students who identify as multiple races/ethnicities in each category they select, so the numbers will exceed 100%. For the Class of 2028, 22% of students indicated two or more races/ethnicities in their application.
