Step 1:  Open Google Sheets . Near the top, you should see a Template gallery  button. Clicking it should expand it, allowing you to see a variety of templates.

Step 2 – Customization: The blank schedule template can now be customized according to your liking. It has a very handy and easy-to-edit layout. Every day has a date and its own column. The days are also split into 30-minute time slots that you can change according to your liking, and you can add notes below the schedule for every week.

Step 3: Set the schedule’s start date in cell C2. As soon as you set the date, you will see rows 3 and 4 change according to the date you set, fetching the correct days and dates of the week.

Step 4: Now that the condition is set, we need to choose the color to apply to automatically highlight the cells that contain the keyword. In the same box, you can also change the format of the text, you can make the text bold, change its color or underline it.

Step 2:   Now, click on View in the top bar and then click on Freeze .

Step 3: A drop-down menu will show you the number of rows you can freeze up to. Select the option that suits you.

How to Add a Popup Calendar to Your Schedule

You can also add a pop-up calendar to a cell or column in your weekly schedule template Google Sheets. This is a useful way to keep track of dates in your schedule without cramming in too much data into your spreadsheet.

Here’s how you do it:

  • Select the column or cell where the calendar will appear.
  • In the toolbar, go to Data then data validation

On the downside, depending on how many assignments you’re juggling, too many notifications might be overwhelming and there won’t be as much space to log the details of the assignment (e.g., related textbook pages, length requirements) as you would have in a dedicated assignment tracking system.

  • Planners/apps

There are a multitude of physical planners and organization apps for students to help manage assignments and deadlines. Although some vow that physical planners reign superior and even increase focus and concentration , there is almost always a financial cost involved and the added necessity to carry around a sometimes weighty object (as well as remembering to bring it along with you).

Mobile organization apps come with a variety of features, including notifications sent to your phone, but may also require a financial investment (at least for the premium features) and generally will not provide substantial space to add details about your assignments.

  • Spreadsheets

With spreadsheets, what you lose in bells and whistles, you gain in straightforwardness and customizability – and they’re often free! Spreadsheets are easy to access from your laptop or phone and can provide you with enough space to include whatever information you need to complete your assignments.

2. The first tab in the spreadsheet will display several premade assignment trackers for individual subjects with the name of the subject in the header (e.g., Subject 1, Subject 2). In each header, fill in the title of the subjects you would like to track assignments for. Copy and paste additional assignment tracker boxes for any other subjects you’d like to track, and color code the labels.

3. Under each subject header, there are columns labeled for each assignment (e.g., Assignment A, Assignment B). Fill in the title of each of your assignments in one of these columns, and add additional columns if need be. Directly under the assignment title is a cell for you to fill in the due date for the assignment. Below the due date, fill in each task that needs to be accomplished to complete the assignment. In the final row of the tracker, you should select whether the status of your assignment is Not Started , In Progress , or Complete . Please see the example of a template that has been filled in (which is also available for viewing in the Example tab of the spreadsheet):

4. Finally, for an overview of all the assignments you have for each subject throughout the semester, fill out the assignment tracker in the Study Schedule tab. In this tracker, list the title of the assignment for each subject under the Assignment column, and then color code the weeks you plan to be working on each one. Add any additional columns or rows that you need. This overview is particularly helpful for time management throughout the semester.

In this article, we’ll show you the simple steps to build a daily schedule , save it as a template, and create rules to automatically highlight certain tasks and events.

How to make a daily schedule in Google Sheets

1. open a weekly schedule template from the google sheets template gallery by selecting new > google sheets > from a template.

2. Choose the Schedule template

3. Double click cell C2 and change to your intended start date. Although the Google sheets schedule template has a Monday start date, you can choose any day of the week!

4. this next step is optional. highlight the top and bottom cells to change the template’s background color. then, perform the same treatment to the text ( notes , to do ) cells, 5. add your schedule items.

6. Create conditional formatting rules to color–code appointments, events, meetings, and reminders by clicking the Select All button below the formula bar

7. Right-click anywhere on the sheet > View more cell actions > Conditional formatting

If you’re struggling to create color categories, take a quick pause here! Don’t stress too much about making your schedule look Pinterest-worthy. The key is to make it practical. 

In the example below, I’ve created five rules with three color categories (meetings, personal, and focus sessions): 

  • If the text contains “mtg”, highlight the cell green
  • If the text contains “deep work”, highlight the cell blue
  • If the text contains “lunch”, highlight the cell purple
  • If the text contains “appt”, highlight the cell purple
  • If the text contains “walk the doggo”, highlight the cell purple

Now it’s your turn!

8. Open the drop-down menu under Format Rules to apply any rule. Then, adjust the style you want under Formatting style

9. Save as a new template by adding Template to the Sheet’s title

Rows 3 and 4 are connected and will automatically adjust the dates and days based on what date you put in cell 2.

1. Access your daily schedule offline

You have the option to edit and use your schedule offline without downloading it. To do so, you just need to enable the functionality on your Google Chrome Browser. Here’s the step-by-step process for the same.

Step 2: Visit docs.google.com and click on the menu in the top left corner. Then click on “Settings”.

Step 3: Turn ‘Offline” to on.

This will allow you to access your daily schedule offline, for example, when you’re on a plane or on the road with limited internet access.

Customize your schedule using conditional formatting

Here are the steps on how to use conditional formatting on your daily schedule.

Step 1: To use this feature, select the entire spreadsheet. Then go to “Format” and click on “Conditional Formatting”.

Step 2: In the “Format cells if” drop-down menu, click on “Text Contains”.

Step 3: Here, type in the specific keyword that you’d like to be highlighted every time you enter it.

For example, “confirmed”, “follow-up”, etc. This is one of the ways to color-code your schedule.

Step 4: Next, select the color to automatically highlight the cells that contain your specified keyword.

Conditional formatting is great to add a method to the madness. You can color-code your tasks, meetings, important follow-ups, and more. For example, the keyword in step 3 is “confirmed” which will give you a clear view of how many confirmed meetings you have and how many hours you’ll be spending in meetings in a given week. There’s no limit to how many formatting rules you can add. The feature gives you complete control of your schedule and helps you organize your tasks effectively and improve productivity.

Add more efficiency to your schedule by freezing rows and columns

Freezing certain rows/columns allows you to see which day and time something is scheduled for when you start scrolling. As the term suggests, Freezing freezes certain rows and columns so you can scroll without going back and forth. Here’s the step-by-step process on how you can do that:

Step 1: Select a row or a column you want to freeze. Once it’s highlighted (like row 4 in the screenshot below) click on View > Freeze > Up to current row (4).

Here’s a simple three-step process to create a weekly planner in Google Sheets.

  • Click to open the Weekly Schedule Planner template .
  • Go to File → Make a copy to save the template to your Google Drive.

  • Space to organize your schedule for an entire week
  • Undated planner with a customizable week start date
  • 30-minute slots to plan your day in detail
  • Space to add notes and to-do items at the end

You’ll notice that you can customize the week start date in cell “C4” of the Google Sheet. Changing this date automatically adjusts the dates and days in rows 7 and 8.

To customize the week start date:

  • Double-click on the “C4” cell.
  • On the calendar popup, select the date from which you want the week to start. 

Alternatively, you can type in the date in cell “C4” in your local format.

With this feature, you can choose if you want your week to start on a Sunday, Monday, or any other day of the week. 

How to make a monthly schedule in Google Sheets?

The steps to create a monthly schedule are very similar to those above. However, you need a different template for a monthly planner.

Step 1: Make a copy of the Google Sheets Monthly Schedule Template

  • Click to open the Monthly Schedule Planner template .

  • On the calendar popup, select any date from the month for which you want to create a planner.

Alternatively, you can type in the first date of a month in cell “C4” in your local format.

Tips to improve your Google Sheets scheduling experience

Google Sheets comes with powerful features. Here are three tips to improve your scheduling and planning experience.

Tip 1: Create schedules for more than a week or month

You can easily create schedules for multiple weeks (or months) by duplicating the sheet “Sheet 1” in your Google Sheets spreadsheet.

To duplicate a sheet:

  • Click on the dropdown arrow next to the sheet’s name. 
  • Then click “Duplicate”

To make more sense of your weeks, you can also rename the sheet to a suitable name.

Tip 2: Freeze rows to improve efficiency

Freezing a row lets you see it continuously on the screen even when you scroll to the bottom of the sheet. 

In the week or month planner, freezing the Day rows will save you the mental energy to figure out which day of the week or month you’re looking at. Plus, you don’t have to scroll up and down constantly to look up a specific date or day.

To freeze date and day rows:

  • Select rows 7 and 8 in the weekly planner or row 7 in the monthly schedule planner.
  • Then click on “View → Freeze → Up to row 4” in the spreadsheet menu to freeze the rows.

Tip 3: Make your schedule available offline

There are times when you may have to access your schedule spreadsheet without an internet connection. 

All you need is the Google Docs Offline extension (along with the Chrome browser).

Once you’ve installed the extension, here’s how you can enable offline mode for all your Google documents:

  • Go to docs.google.com
  • Click on the hamburger menu icon before the logo, then click on “Settings”
  • Finally, enable the offline mode

  • Input Tasks: In the cell corresponding to the day and time, input the tasks or activities you plan to undertake. For example, "9 AM - 10 AM" in the "Monday" column could be "Team Meeting".
  • Use Colors for Categorization: Utilize the fill color option (paint bucket icon) to color-code different types of activities (e.g., work, personal, urgent).

  • Summarize Hours: You can use formulas to calculate the total hours allocated to certain activities. For instance, =SUM(B2) will sum up the hours in the Monday column if they’re numerically stated.

Daily, Weekly, & Monthly Schedule templates for Google Sheets

A spreadsheet is the perfect place to keep track of your schedule, whether you want to record appointments, or upcoming events, or any type of plans. I have created a variety of templates that will allow you to easily manage your schedule in Google Sheets.

You can track your schedule daily, weekly, or even on a monthly basis. The templates on this page allow you to set the exact days and times that you want in the schedule template, and so they will make the perfect planner for any schedule. The templates are very easy to use, and I’ll go over the instructions for using them, further below.

I will also show you the calendar templates , which are perfect for keeping track of your schedule over a longer period of time. There are a wide variety of them, and so you will have access to any template that you need to manage your schedule.

Custom settings for the Google Sheets schedule templates

First let’s go over the custom settings for the schedule templates. Note that the yellow cells in the templates are the cells that control the settings.

Setting the start date / custom timeline

Enter a start date into cell B2 and the template will automatically fill in the days / dates for the entire week on the template. Pick a Sunday date if you want the template to display an entire calendar week that starts on Sunday and ends on Saturday. The year will appear on the top of the sheet after you set the date.

Customized timeline and shaded weekends

If the checkbox in cell I6 is checked, the template will automatically shade the columns for Saturday and Sunday with grey color. Uncheck the checkbox if you do not want the template to shade weekends.

In cell I9 you can set how much each row will increment for the times listed for each day. If you enter “1:00:00” the times will increment by 1 hour. If you enter “0:30:00” the times will increment by half an hour. If you enter “0:15:00” the times will increment by 15 minutes. Everyone has different kinds of schedules so this will help you customize to fit your specific needs.

In cell I11, set the start time, and the template will start the list of times for each day to that custom time.

IN cell I13, set the end time and the template will end the list of times for each day on that custom time. This way the list of times will not extend beyond the custom end time, no matter what increment you set.

Daily schedule template

The daily schedule template allows you to track your schedule for an entire week, in a very detailed way. Each row gives you a place to write your detailed schedule / appointments etc. for times throughout each day.

Instructions for the daily schedule template:

  • Set a custom start date in cell B2
  • Record your scheduled events / appointments in the columns for each day, in the desired time slots
  • Set a custom time increment in cell I9
  • Set a custom start time in cell I11
  • Set a custom end time in cell I13

Weekly schedule template

If you want to track your schedule for multiple weeks, you can use the weekly schedule template. This is very similar to the daily template, but the weekly template lets you track your schedule for up to 4 weeks. Each week is on its own tab, and the dates + timeline will fill in automatically for all tabs by choosing the settings on the first tab.

Instructions for the weekly schedule template:

  • Set a custom start date in cell B2 on the “Week 1” tab
  • Click on the additional tabs (Week 2, Week 3, etc.) to record your schedule for each week
  • Set a custom time increment in cell I9 on the “Week 1” tab
  • Set a custom start time in cell I11 on the “Week 1” tab
  • Set a custom end time in cell I13 on the “Week 1” tab

Above is an example of the first tab in the weekly schedule template.

Below you can see how there are 4 tabs in the weekly schedule template… one for each week.

Below you can see what the additional tabs look like (Week 2, Week 3, Week 4). Notice that there are no yellow cells in these tabs. This is because the settings for the entire template are controlled by the “Week 1” tab. On the additional tabs all you need to do is fill in your schedule.

Calendars are also a great way to keep track of your schedule. The templates above will help you keep track of your schedule on a more detailed basis with each day broken down into a series of times / appointments…

  • Open the basic Google Sheets weekly schedule template, and save ( File > Make a copy ) to your Google Drive. 
  • Rename the sheet, select a folder to save it, and click the Make a copy button.

2. Enter Basic Schedule Details 

  • Click the Schedule Start Time drop-down list, and select a start time for your schedule.   
  • Click the Time Interval drop-down list, and select time intervals for your schedule.

How to schedule assignments or assign material

Environment.

  • Google Classroom

Add materials

  • Go to  Google Classsroom .
  • Click the class >  Classwork .
  • At the top, click  Create  >  Material .
  • Enter a title and a description.

Schedule materials

  • To schedule the same material across multiple classes, make sure to select all classes you want to include.
  • Next to  Post , click the Down arrow  Schedule .
  • When you enter a time, Classroom defaults to PM unless you specify AM.
  • (Optional) Select a topic for each class.
  • (Optional) To replicate your selected time and date for the first class into all subsequent classes, click  Copy settings to all . 
  • Click  Schedule . The material will automatically post at the scheduled date and time.
