Providing references from former managers, co-workers, and clients can go a long way in emphasizing your expertise and passion for the job. Add one or two testimonials to your letter, but do not go overboard with it as it might lead to overcrowding.

Submitting your cover letter to an architecture firm

Now that you have successfully written a cover letter, it is time to send it out to a prospective employer with your resume, and in some cases, a portfolio .

In general, most job applications are sent via email. Submissions via the company’s website, or a job recruitment website, are quite common as well. There are some employers that would rather have the old-fashioned hard copy submission method.

Email Submission

There are three email submission methods, namely:

Option 1: Cover letter in body of email, resume and portfolio attached separately

• It is more likely that the cover letter will be read if it is in the body of the email, as opposed to it being in a separate attachment.
• This is a great option to use if the formatting of the resume and portfolio are different from that of the cover letter.
• The package is more interesting, as opposed to opening an attachment and seeing just a letter in it.
• The benefit of the resume and portfolio attachments being separate, could also be a disadvantage, as they could both remain unopened after the cover letter has been viewed.

Option 2: Cover letter, resume and portfolio attached separately

• This allows for different formatting to be used in each document
• The hiring manager can simply skip to the exact document they are looking for
• Documents can easily be lost or skipped. Also, more files to open for the hiring manager.

Option 3: Cover letter, resume and portfolio joined into one attachment

• Keeping track of just one document is a lot easier.
• It makes it easier for the hiring manager to print all, if need be.
• If the body of the email is not compelling enough, the attached documents may not be opened at all.
• In the case where the cover letter is included in the body of the email and also in the attachment, it becomes redundant.
• It is a bit trickier if you have different formatting in the documents, e.g. portrait and landscape modes.

Website Submissions

A lot of large architectural organizations allow job applicants submit the application on their websites. Usually, there is a form on the website for the applicant to fill in their details, and attach resumes and portfolios.

PDF documents can also be attached and a text box is incorporated in case candidates want to write their cover letters.

Simply follow the directions on the website, as they vary based on the company.

Mailed Hard Copies

Yes, there are still companies out there that expect you to mail hard copies of your cover letters, resumes and portfolios to them. You might also want to drop in on the architectural firm, and hand in your documents in person.

In that case, ensure that your documents are printed out on high-quality, white-colored bond paper. Place documents in a waterproof envelope to reduce chances of them getting wet. Do not forget to sign the cover letter by hand before submission.

Again, make sure you preserve a theme of alignment with the job description . Each body paragraph should have one core point (concision is key!), but all should align with the company.

Use Metrics, too: How much did you save your current company during that big project? What kinds of company feedback ratings and percentages did you improve by surprising customers with your modern redesign?

You can either work a thank-you into your closing paragraph while you describe how excited you are at the idea of working there, or you can make it your formal signoff.

As an architect, you don’t need anyone to explain to you the importance of structure, though you may be unfamiliar with the basic components of a good cover letter. Here they are:

The purpose of the header at the top of the page is to quickly and attractively present your name, address, phone number and email. Your name should generally be the largest element on the page, displaying your confidence and making it more likely that your correspondent will remember you.

A return mailing address, while historically considered essential, is sometimes omitted in the current digital age. But you should generally include it unless there’s a reason not to, or at least mention the city, state and perhaps country where you live. The header is also a singular opportunity for some creativity of design on a page that will otherwise consist of paragraphs of black text. You may want to include a photo and a light splash of color, though the header should never be garish or over-decorated. 

You do want to use the header to factor in some white space, giving the eye a break and creating a visually pleasant balance to the page.

You know all about the importance of coherent and visually consistent building design. The same applies to your resume and cover letter — you don’t want a clashing riot of fonts, font styles and colors.

They should be a visual match, making it obvious that they came from the same person. This shows your attention to detail and your understanding of the principles of cohesive design — the very things that make you a good architect.

The time-honored format for a cover letter greeting is a simple “Dear Mr. (or Ms.) Xxxxxxx.” You can’t go wrong with this approach, so don’t overthink it. It is true that the era of email has loosened some of the rules of letter salutations, with more informal options like “Greetings” or “Hello” gaining popularity. Take some time to study the tone and style used by your prospective employer, and try to match its level of formality or familiarity. But when in doubt, lean toward the more conservative approach.

It’s almost always best to address a cover letter by name to the person in charge of hiring. If this information isn’t readily available, it’s often worth calling the company to inquire. A letter addressed to an individual is actually more likely to get a reply than a letter addressed to an entire firm. If you’re told that no name is necessary, you may be dealing with a hiring manager who for whatever reason prefers to remain anonymous. If that’s the case, don’t push it, and find a creative way to address your letter to the entire company or to the appropriate department within the company.

Addressing the recipient by name is one of the best strategies for catching a hiring manager’s attention right from the start of your letter. Many job postings even list the name of the hiring manager or contact person giving you every reason to include it in your letter. 

However, in some large companies or organizations hiring is done by a large team and it may be impossible to figure out who will be reading your letter. In this case you might have to opt for a general greeting like “Dear XYZ Company Hiring Manager.” “Team” can also be a great non-specific word to use when a name is not an option.

After a few minutes poking around the internet searching for the hiring manager’s name, you might be tempted to throw your hands up in the air and go with “ To Whom it May Concern:” However, this greeting is not just impersonal, it feels outdated and even cold. Using the company name, even in a general greeting, conveys that you are a human being speaking to other real people.

The aim of letter greeting/salutation: Your salutation sets the tone for the rest of your letter, so staying on the formal side is a good idea. 

It’s time to start writing. The introduction is a single paragraph consisting of one or two provocative, attention-grabbing sentences that both state your job objective and provide a brief preview of your experience and qualifications for the job. It’s important to find the right tone — bold and confident, yet professional and appropriate.

Formatting your cover letter

Remember that the visual design of your cover letter should match your resume, using the same fonts and styles. The best way to make sure of this is to use professionally designed templates like those we offer at resume.io.

• Times New Roman (this one is debatable, as it’s often considered old-fashioned, but some more conservative companies/HRs may appreciate it).

Open Sans, Roboto, Verdana and PT Sans are good options as well. 

Never underestimate the psychological effect of fonts on the reader. A clean, light font may be the difference between someone’s eyes getting “tired” on the 2nd or 15th line of text.

Align your paragraphs left, and leave a space between them. Margins should be one inch on top, bottom and both sides. If this doesn’t allow you to fit your content onto one page, you can consider shortening your top and bottom margins to ¾ inch. 

The psychology of persuasive writing

A cover letter is written to persuade, and to be successful at that you want to get inside the hiring manager’s head. Here are some tips that can help:

• Learn everything you can about the firm you’re targeting. What is it known for, what does it do well, and what are its greatest needs? Make it clear in your letter that you’ve done your homework on this company, and that this isn’t the same generic cover letter you send to everyone else.
• Focus on the company’s needs, not your own. It’s important to remember that you’re not writing a cover letter to convince anyone that you deserve a job. You’re writing to convince employers that you can help solve their problems, not that they can help solve yours.
• Use emotional language to speak to the heart as well as the head. Although the word “passionate” may be a bit overused in cover letters, it’s effective because it conveys emotion and enthusiasm. Don’t be afraid to talk about things you “love” to do, the “satisfaction” you derive from a successful outcome, or how you would be “delighted” to meet for an interview. Strive to come across like a warm human being, not a cold potato.
• Remember that people love a good story. In every cover letter, try to find one anecdote from your work experience in which you faced and surmounted a special challenge.
• Put yourself in the shoes of the person you’re writing: Would s/he perceive your tone as appropriately enthusiastic or overconfident? If you were the hiring manager and you received this letter, would you want to meet the person who wrote it?

• Avoid any mistakes in English usage. Typos, misspelling and errors in grammar and punctuation are among the biggest deal-breakers in resume and cover letter writing.
• Avoid clichés, PR-speak and fluff. Write in lively, original language that your recipient hasn’t seen a thousand times before. Write like a real person, not a corporate robot, and avoid “fluffy,” bloated language that doesn’t say anything.
• Don’t send out the same copy-pasted, one-size-fits-all letter to everyone. Every cover letter should be uniquely targeted to an individual employer.
• Don’t mention irrelevant hobbies or skills that have nothing to do with your profession.

I-131F, Application for Parole in Place for Certain Noncitizen Spouses and Stepchildren of U.S. Citizens

ALERT: On Aug. 26, 2024, the United States District Court for the Eastern District of Texas, in Texas v. Department of Homeland Security,  Case Number 24-cv-306 administratively stayed DHS from granting parole in place under Keeping Families Together for 14 days.

To comply with the district court’s administrative stay, USCIS will:

• Not grant any pending parole in place requests under Keeping Families Together.
• Continue to accept filings of Form I-131F, Application for Parole in Place for Certain Noncitizen Spouses and Stepchildren of U.S. Citizens.
• Continue to schedule biometric appointments and capture biometrics at Application Support Centers (ASCs).

The district court’s administrative stay order does not affect any applications that were approved before the administrative stay order was issued at 6:46 p.m. Eastern Time on Aug. 26, 2024.

Starting Aug. 19, 2024, you may file Form I-131F, Application for Parole in Place for Certain Noncitizen Spouses and Stepchildren of U.S. Citizens, online with the applicable filing fee. There is no fee waiver available for Form I-131F.

• Readers suggest moving Hong Kong’s City Gallery to Kai Tak, and urge the government to take action on cold calls

Next to Hong Kong City Hall stands City Gallery with five floors and gross floor area of 3,200 sq m. It is Hong Kong’s first exhibition hall focusing on urban planning and infrastructure development.

Across the globe, cities have exhibitions halls for urban planning and development. The Pavillon de l’Arsenal in Paris boasts a collection about the making of the city’s architecture and its cultural development. In China, various cities house their own galleries, for instance, the Shanghai Urban Planning Exhibition Hall in Huangpu and the Museum of Contemporary Art and Planning Exhibition (MOCAPE) in Futian, Shenzhen. These spaces serve as tourism, educational and public resources showcasing planning history and future development directions. They can also serve as a platform for national and civic education.

Compared to other Asian cities, Hong Kong has excelled in infrastructure projects such as those involving civil engineering, transport systems and renewable energy. Having evolved from a port city into a global financial centre, Hong Kong boasts inspiring stories. However, the current City Gallery does not seem to adequately represent the city’s achievements. The coming policy address should consider including plans to enhance the gallery.

To “tell the world the good stories of Hong Kong”, the expanded City Gallery should have a well-thought-out design. Repurposing the Kai Tak Cruise Terminal into a cultural and tourism hub would not only enrich visitors’ experiences, but also synergise culture, tourism and commerce to optimise overall development.

Update to Inheritance Tax IHT100 Forms

HMRC have been working to update and streamline the IHT100 suite of forms, consistent with the recommendation made by the former Office of Tax Simplification. We would like to thank representative bodies for their contribution in reviewing the forms.

Previously, customers were required to complete form IHT100, an additional event form, and supplementary schedules D31 to D40 to notify HMRC about each chargeable event when Inheritance Tax is payable on a trust or gift.

Customers are now only required to complete and submit a specific IHT100 form depending on the chargeable event, along with the relevant supplementary schedules D31 to D39.

Where the chargeable event involves notifying HMRC about the ending of a qualifying interest in possession in settled property and there were assets outside the United Kingdom, revised form IHT100b as well as schedule D39 would need to be completed.

The new forms to be used are: 

• IHT100a Gifts and other transfers of value 
• IHT100b Termination of a qualifying interest in possession
• IHT100b(death) Assets held in trust 
• IHT100c Relevant property trusts proportional (exit) charge
• IHT100d Relevant property trusts principal (10 year) charge 
• IHT100e Charges on specialist trusts 
• IHT100f Heritage exempt property 
• IHT100h Assets ceasing to be held in an age 18 to 25 trust 
• IHT418 Assets held in trust 
• D31 Domicile outside the United Kingdom 
• D32 Stocks and shares
• D33 Debts due to settlement or trust 
• D34 Life insurance and annuities 
• D35 Household and personal goods 
• D36 Land, building and interests in land 
• D37 Agricultural Relief 
• D38 Business relief, business or partnership interests 
• D39 Foreign assets

The new form IHT100b(death) allows the trustees to notify HMRC about a person’s interest in a qualifying interest in possession trust that has come to an end on their death.

The IHT418 remains a dual-purpose form to be used by the executors, or the executors who are also trustees, to notify HMRC about the coming to an end on death of a person’s interest in a qualifying interest in possession trust. 

HMRC will continue to accept the previous versions of the IH1T00 forms and schedules until 31 December 2024.

Guidance pages on Inheritance Tax and Trusts have been updated on GOV.UK to reflect these changes.

Changes to the way we share information needed for probate and confirmation applications

HMRC and the Court Services continue to work together to improve the customer experience for probate, confirmation and Inheritance Tax customers. 

We confirmed a change to our processes in the March 2024 Trusts and Estates Newsletter which meant customers applying for probate in England and Wales no longer needed to complete the IHT421 probate summary. Instead, we explained that we would send a unique code and details of estate values by post once the form IHT400 was processed, allowing customers to make their application for probate.

Where an estate is not an excepted estate, applications for probate are no longer possible without the unique code and confirmation of the estate values.

This change meant that customers have one less form to complete and they can also begin their probate application at the right time, avoiding it being paused and causing unnecessary delays.

We’re committed to continuously improve our processes, so in response to customer feedback, we’re updating the form IHT400. Customers will be asked to provide their email address and sign a disclaimer when completing the form if they wish to receive their unique code by email instead of through the post. This will speed up the process and allow the probate or confirmation to be submitted earlier.

The customer’s email address will be used for the specific purpose of notifying the unique code, no other correspondence can be entered into by email and no other documentation submitted. All forms and documentation should still be submitted to HMRC by post.

If HMRC are unable to issue a unique code, the customer will receive a letter in the post to state what action is required.

This change applies to probate applications in England and Wales.

For Scottish estates we will email the letter required for confirmation (SL189).

Northern Ireland estates are not affected by these changes.

These improvements form part of our commitment to make things easier for our customers, which is one of our  HMRC Charter standards.

Administrative change to ease the payment of Inheritance Tax before probate or confirmation

The March 2024 Trusts and Estates Newsletter set out that from 1 April 2024, changes had been made where personal representatives of estates are applying to obtain a ‘grant on credit’ from HMRC.

Revised guidance explaining this change has been published on GOV.UK.

Tell HMRC about who is dealing with the estate when someone dies

As a result of improvement suggestions from our agent liaison groups, HMRC has now published form P1000 on GOV.UK.

This form allows personal representatives of a deceased person’s estate to pro-actively engage with HMRC to tell us their details and details of any agents. HMRC’s Bereavement team will contact the persons noted on the P1000 form in dealing with the tax affairs of an individual up to the date of death, and for Income Tax and capital gains of ‘informal’ administration periods.

This process change is intended to speed-up dealing with an estate. 

The form P1000 does not replace other means of notifying HMRC, in particular for Inheritance Tax or any ‘agent handshakes’ required by online services. 

If the personal representative cannot use the form P1000, they should usually receive a letter within 40 days if they have used the Tell Us Once service to report that someone has died to a number of government departments. Otherwise, they should call the Bereavement and deceased estate helpline and clearly say they want the Bereavement Helpline to get through to the right queue quickly.

Agents should also use the Bereavement and deceased estate helpline when dealing with deceased estates rather than the Agent Dedicated Line, to ensure they speak to the right adviser immediately.

Tax returns for low income trusts that cease in the 2024 to 2025 tax year

The March 2024 Trusts and Estates Newsletter described the introduction of a tax-free (de minimis) amount for income of trusts and estates.

The changes were included in Finance (No.2) Act 2023 and came into effect for tax year 2024 to 2025 onwards.

Broadly, from 6 April 2024, trusts and estates with income of all types up to £500 will not pay Income Tax on that income as it arises. Where income exceeds that amount, tax will be payable on the full amount.

For accumulation and discretionary trusts with income that exceeds £500, the default basic rate (20%) and dividend ordinary rate (8.75%) will no longer apply to the first £1,000 slice of trust rate income (commonly referred to as the standard rate band).

HMRC accept in-year paper returns on cessation of a trust. For customers who cease in 2024 to 2025, the 2023 to 2024 paper return should be used. Please ignore box 9A.1 (the amount of standard rate band) as this will not apply.

The Trust and Estate tax return for 2024 to 2025 will be updated to reflect the changes.

Updates to the Trust Registration Service ( TRS ) guidance

We have published new guidance in the HMRC Trust Registration Service Manual at TRSM90000 , which provides detailed instructions on how to use the TRS to register a trust and common errors that might be encountered during the registration process.

This guidance replaces the ‘How to register’ help card issued by the Trusts Helpline.

We will make further updates to TRSM90000 to replace all TRS -related help cards later this year.

Changes to the taxation of non-UK domiciled individuals 

From 6 April 2025, the government will remove the outdated concept of domicile status and implement a new residence-based regime which is internationally competitive and focused on attracting the best talent and investment to the UK.

A residence-based system for Inheritance Tax will also be introduced.

A policy paper has been published which sets out the government’s commitment to reform this area of the tax system.
