Understanding how to write your resume for government job applications including APS and state and local government is key to securing that government role. Along with your selection criteria, pitch or detailed cover letter , your resume is key to you being selected by the panel to move forward in the application process. Below, review an Australian government resume template and our tips for nailing this part of your application.

Government resumes are different from regular resumes, and they require a specific format and style.

APS Vs State and Local Government Resumes

The Australian Public Service (APS) has specific guidelines for resumes that are different from those of state and local governments.

State and local governments may have different requirements and preferences for resumes, such as a shorter length or a different format.

It is important to research the specific requirements of the agency or department you are applying to and tailor your resume accordingly.

Working with a government resume writer who is familiar with the requirements of different levels of government can be helpful in creating a resume that meets the specific needs of the agency or department.

Adhering to APS Resume Guidelines

It is important to follow these guidelines when developing your APS resume. Remember, your selection criteria or claims need to align with your resume. This means you need to ensure that details about your employment are clearly articulated.

For example, in your selection criteria, you might write: “In my role as an Executive Assistant, I led a…” You must therefore clearly document the details of your Executive Assistant employment in your resume.

Ensure job titles are consistent and include the dates you worked there. There is no need to repeat information in your resume that you have already explained in your resume, so consider carefully what you include in each.

How Are Government Resumes Different?

Government resumes should usually be between two and six pages. Check the application guide, though – as sometimes a panel may request a specific length.

It is vital that you follow the instructions provided when writing your resume for government job applications!

Generally, government resumes are plainer and ‘less showy’ than resumes in other industries.

Government panels tend to prefer resumes using plain, consistent font (e.g., Arial size 10-11), in black and white. Do not include any photos or graphics.

How Do I Write a Resume for Australian Government Jobs?

Your Australian government resume should include sections including Personal Details, Education, Employment Experience, Volunteer Experience and Referees. You should use a plain font and template.

Personal Details

Include your name, phone number, email address and LinkedIn profile (if you have one). Include a summary job title e.g., Administration Professional or Customer Service Professional (make sure these fits with both your career history and the role you are applying for).

Detail all relevant qualifications and education. Consider leaving off anything irrelevant to the role, or very outdated.

Employment Experience and Achievements

Include details of your employment history in chronological order. Make sure you explain any gaps in employment.

Mention your achievements or accomplishments especially when they are relevant to the role you are applying for. For example, if you are going for an administrative role that requires payroll processing, make sure you tailor your resume experience to highlight that relevant experience.

You should go through each job and make sure it reflects (as much as possible) the skills needed for the job you are applying for.

If you have experience working in government roles, make sure you put your employment levels in each role. For example, if you were an APS3, write that in your resume. If you have acted in higher roles, you should definitely include the details.

Volunteer or Other Experience

Include any relevant volunteer or other experience. For example, if you are applying for an administrative role and you are the treasurer of a local sports club, this is relevant information that the panel will want to know.

Include two referees. Include their names, positions, organisations, and contact details. Remember to ask your referees if they are willing to talk to your performance before you list them.

What Should You Leave Off Your Government Resume?

  • Your date of birth, marital status, or gender.
  • Irrelevant details about why you left previous roles
  • Irrelevant hobbies and interests
  • A photo of yourself

How to write a resume and cover letter

A resume is a written record of your education, skills and experience. It provides a summary of your work history, training and knowledge.

A CV (curriculum vitae) is similar but tends to be longer and more detailed. Although both terms are often used in Australia, we will refer to resumes here.

As well as your resume, you will need a cover letter to accompany your job application. It should be short and specific, highlighting your skills and experience in relation to the position you are applying for.

Your resume and cover letter is your first chance to convince an employer that you are the right person for the job.

Before you begin writing your resume, think about your work history and note your achievements and skills.

The layout of your resume should be neat, simple and easy to read. Aim for 1–3 pages, depending on how long you have been in the workforce. Employers often have to read multiple job applications so use headings and dot points to make your resume easy to read.

Employers will be looking for your:

  • contact details
  • career strengths
  • employment history
  • education and training achievements

Cover letters

Your cover letter is an important component of your application and should:

  • introduce you to the employer
  • identify the position you are applying for
  • convey your enthusiasm for the position
  • highlight the stand-out qualities that make you a great candidate
  • inspire the reader to continue reading your application (cover letters are not a summary of your resume).

You only need to write a 1 page cover letter and address it directly to the employer or contact person for the job.

All cover letters should be tailored to suit that particular job.

Selection criteria

Some jobs (especially government jobs) will ask you to meet particular requirements or selection criteria. Selection criteria may also be known as core or key capabilities.

Your responses should demonstrate, with relevant examples, that you have the required experience, skills and abilities to do the job. Be succinct and use dot points where appropriate.

Government Resume Formats

Resumes can be chronological, functional or combined. Let's look at these one at a time.

Chronological Resume

This type of resume is the most popular. It lists experiences in a time sequence with the most recent experience first. It works best for people who have had no gaps in employment and are well on their way up their career ladder.

Employers and recruiters tend to prefer this format as it is the easiest to read and follow, and doesn’t take as much time to interpret as the other formats. It also demonstrates an applicant’s steady and upward career growth, and accounts for all time periods. The focus of the chronological resume is on time, job continuity, growth, and achievements.

A chronological resume will be less successful if you are seeking a career change and your most recent position is unrelated to the type of job you're applying for. It is also less successful if you have had a string of unrelated positions or gaps in your employment history. Job hunters who have such a background often use a functional resume format to present their credentials.

In general, chronological resumes are the best ones to use when applying for government jobs.

Functional Resume

This type of resume is the least popular. It lists your experience by skill areas, and the emphasis is on what you have done, not when or where you’ve done it.

Accomplishments, qualifications and experience are grouped together, to emphasise your talents in specialty areas. For example, your skill areas might include marketing, public relations and management. Then, under each of these categories, you can describe the skills you have gained from all your work, volunteer experiences and professional development.

This format can be very effective for those who have held several of the same kinds of positions, those who wish to focus on skills to change to another position, or for those who are returning to the workforce after a prolonged absence.

The negative aspect of using this format is that many employers and recruiters will have difficulty reading and understanding this format. This format makes it more difficult to find out when and where an applicant's accomplishments occurred, and employers and recruiters are aware that applicants who are trying to conceal serious liabilities in their backgrounds sometimes use functional resumes. As such, if you do use a functional resume, be prepared to answer detailed questions about your work history during the interview.

It's best to use this kind of resume when:

  • You're returning to the workforce, for example, after maternity leave
  • You've been unemployment for more than 2 years
  • You're changing industry
  • You've been employed by the one organisation for more than 10 years

Combination or Hybrid Resume

A combination resume is exactly as it sounds, a combination of a chronological and a functional resume. It uses a career profile similar to that of the functional resume, and then proceeds to describe employment and education histories in reverse chronological order.

A combination resume is a good way to highlight key successes, while also showing when and where they occurred. Combination resumes are preferable for highly experienced applicants applying for high level (e.g. executive) positions, with impressive achievements to highlight.

Unfortunately, as most resumes get only an initial glance and aren't read in their entirety, most employers and recruiters will not read all the way through. If you are applying for a position that you expect will get a number of applications, it is best to stick to a simple and straightforward chronological resume.

Understanding the position description

Download and carefully read the position description along with any other documents attached to the job posting. The main areas to focus on are:

  • values — describes the values and behaviours that guide the organisation and which are expected of employees
  • accountabilities —  lists the day-to-day responsibilities and tasks of the job
  • key selection criteria — lists the qualities, knowledge and skills needed to do the job and which you need to respond to in your application
  • qualifications — specifies any formal or mandatory qualifications needed for the job 

If you have any questions about the job, contact the person mentioned in the job posting. And remember to save the position description for future reference, because when the job closes, the listing and attachments will be removed from this website.

Preparing your key documents

Your resume and a cover letter are the two key documents you usually need to apply for a job. During the online application process you may need to upload these documents or copy and paste from them.

A resume is the document that presents your personal information, education and work background in a clear and concise format. 

A well-presented resume highlights your qualities and can make you stand out as a good candidate for a selection panel. No single resume template is better — as long as it provides an easy-to-read structure. If you don't already have one, search the internet for a resume template.

Be sure to include any previous experience as well as volunteer work — even if you think it’s not relevant to the job. If you’re a student, include jobs or projects you did while studying. And include at least two referees with phone contacts.

All of this information shows the type of person you are, your skill set and work ethic.

Key selection criteria

Some roles require a response to key selection criteria. The key selection criteria lists the most important qualities you need to do the job. The criteria will specify things like personal values, knowledge, skills and experience. Here’s how to prepare a response to the selection criteria:

  • Create a separate document with a main heading 'Key selection criteria'.
  • Copy all of the selection criteria from the position description and paste under the heading.
  • Format each criteria item in bold.
  • Write a short statement (60 to 120 words) under each criteria item with examples of how you meet the criteria.

  • When you are starting to update your resume, the first place to start is by looking at your most recent roles and responsibilities and building on these. You can also look back at any old resumes or job applications to jog your memory on what you have done in the past. If you have been out of the workforce for a while, think about any unpaid work, volunteering or parenting roles as these can also be relevant.
  • Once you have a good idea of what to include, it is time to start writing or updating your resume. Start with your personal details including your name, address and contact details. Then move on to a brief summary or overview of your skills and experience. This is your chance to really sell yourself so make sure you include key points that are relevant to the role or roles you are applying for.
  • Next, list your employment history in chronological order starting with your most recent role. Include the company name, your job title, dates of employment and a brief description of your duties and responsibilities. If you have gaps in your employment history, don’t worry! Just provide a brief explanation of what you were doing during that time.
  • Now it’s time to list your education and qualifications. Start with your highest level of education or training and work backwards. Include the name of the institution, the dates you attended and any relevant qualifications or courses you completed.

What to Put on a Resume?

Here is a list of what to include on your resume:

– Personal details and contact information

– A resume summary or objective statement

– Work history and relevant experience

– Skills and qualifications

– Awards and achievements (optional)

– Referees (optional)

Contact details

Start with the basics such as your name, phone number, email address (make sure it’s a professional email address) and your LinkedIn profile link/ URL. Tip: Update your LinkedIn URL also How to update your LinkedIn URL.

Include a Heading

Under your name you can list key areas or expertise to make your experience “POP” just 3 key points is fine.

Professional Summary

The summary section should be around 70 to 150 words and prove your value and help to differentiate you. Avoid describing what you’d like from your next job (career objective) and instead focus on what you can bring to the role. Add keywords from the job advertisement so that an ATS can find a matches.

Skills summary

List the systems, skills and competencies that are most relevant to the job you are applying for. Use keywords from the job advertisement in this section also.Bullet points is fine.

Achievements

These can be listed under relevant roles or separate section. list your key career achievements, supported by facts, statistics or links. Keep in mind, this is a summary to grab interest by demonstrating you can successfully add value to an organisation.mention what role they relate to.

Work experience

List in reverse order, start with the most recent. Include employer names, position titles and primary responsibilities/ duties. If your job title is unconventional, it is ok to replace it with a recognisable equivalent. Quantify your accomplishments and remember to use verbs such as “managed” or “oversaw” to demonstrate your experience. Include examples of your work to demonstrate your key strengths – proof is in your results. We advise not to leave gaps in your work experience. If you took a year off for example personal reasons / family commitments, or did some travel, list this.

Education & qualifications

Keep it relevant by listing the qualification obtained, year of completion, the institution’s name and a one-sentence summary. If you have a long list of qualifications, consider using most recent and relevant. You may consider listing past qualifications on LinkedIn.

These days this is optional, a resume is prime real estate for other important content. if the application calls for references include the details of two references, ideally former employers. If you are a graduate with no work history, details of a former lecturer will also be fine. It is OK to leave references off. If you do not list references don’t panic, as long as you have details to provider a potential employer or recruiter is fine.

Document formats

Most recruiters and larger organisations will upload your Resume and Cover Letters into a database, so make sure it is in a acceptable format. We recommend a Microsoft Word Document with no images no fancy formatting or fonts or tables. While a creative / graphic resume may look good, graphics and special fonts can be difficult for an ATS to process. PDF files work well also.

How Long Should a Resume Be?

– For most job seekers, a one-page resume is sufficient

– If you have more than ten years of relevant work experience or are changing careers, a two-page resume may be more appropriate

– Use white space to ensure your resume is easy to read and doesn’t look cluttered

What Should You Include in Your Resume?

– Personal details: Include your name, email address and phone number

– Career objective: A brief statement outlining your professional goals

– Employment history: List your past positions, starting with the most recent

– Education and qualifications: Detail your tertiary education, training and professional development courses

What is the Best Resume Template?

– The best resume template is one that is clean and simple, easy to read, and tailored to the job you are applying for

– Avoid using fancy fonts, graphics or images, as these can make your resume look unprofessional

– Stick to a professional looking font such as Arial or Times New Roman in size 11

Final To Do’s

Spell check your Resume, it is the first impression your potential employer or recruiter will have of you, so take the time to get it right. If possible, ask someone to look over this also, Do a double / Triple check. When you are ready to upload your Resume and cover letter. Unless otherwise stated, you don’t need to attach copies of certificates, qualifications or references. You should instead bring these to a job interview if asked to do so.

Creating a good résumé

A résumé is a document you need only create once, but you must make sure it is always kept up to date. The template below can help you create a good résumé.

Résumé template – standard : This is a standard template that you can download to your computer. You can use this as a starting point and make edits as you add in your personal details. 

Remember that it’s best to be honest and upfront with an employer about your condition. You can explain this through your résumé. You may have gaps in your résumé if you have been unable to work for certain periods because your disability has been worse than at other times. Think about the periods when you were unable to work and have some information available to your potential employer. Mention any study, volunteer work or other activities you did during these periods.

Your résumé should almost always be sent with a cover letter. Sometimes, you may also need to provide a separate document answering specific requirements or ‘selection criteria’ to be considered for the job.
