Structure of a Dissertation

A dissertation is a long-form piece of academic writing based on original research conducted by you. It is usually submitted as the final step in order to finish a PhD program.

Your dissertation is probably the longest piece of writing you’ve ever completed. It requires solid research, writing, and analysis skills, and it can be intimidating to know where to begin.

Your department likely has guidelines related to how your dissertation should be structured. When in doubt, consult with your supervisor.

  • In the US, a dissertation generally refers to the collection of research you conducted to obtain a PhD.
  • In other countries (such as the UK), a dissertation often refers to the research you conduct to obtain your bachelor’s or master’s degree.

When you’ve finished your coursework, as well as any comprehensive exams or other requirements, you advance to “ABD” (All But Dissertation) status. This means you’ve completed everything except your dissertation.

Prior to starting to write, you must form your committee and write your prospectus or proposal . Your committee comprises your adviser and a few other faculty members. They can be from your own department, or, if your work is more interdisciplinary, from other departments. Your committee will guide you through the dissertation process, and ultimately decide whether you pass your dissertation defense and receive your PhD.

Your prospectus is a formal document presented to your committee, usually orally in a defense, outlining your research aims and objectives and showing why your topic is relevant . After passing your prospectus defense, you’re ready to start your research and writing.

The structure of your dissertation depends on a variety of factors, such as your discipline, topic, and approach. Dissertations in the humanities are often structured more like a long essay , building an overall argument to support a central thesis , with chapters organized around different themes or case studies.

However, hard science and social science dissertations typically include a review of existing works, a methodology section, an analysis of your original research, and a presentation of your results , presented in different chapters.

The very first page of your document contains your dissertation title, your name, department, institution, degree program, and submission date. Sometimes it also includes your student number, your supervisor’s name, and the university’s logo.

The acknowledgements section is usually optional and gives space for you to thank everyone who helped you in writing your dissertation. This might include your supervisors, participants in your research, and friends or family who supported you. In some cases, your acknowledgements are part of a preface.

The abstract is a short summary of your dissertation, usually about 150 to 300 words long. Though this may seem very short, it’s one of the most important parts of your dissertation, because it introduces your work to your audience.

Your abstract should:

  • State your main topic and the aims of your research
  • Describe your methods
  • Summarize your main results
  • State your conclusions

The table of contents lists all of your chapters, along with corresponding subheadings and page numbers. This gives your reader an overview of your structure and helps them easily navigate your document.

Remember to include all main parts of your dissertation in your table of contents, even the appendices. It’s easy to generate a table automatically in Word if you used heading styles. Generally speaking, you only include level 2 and level 3 headings, not every subheading you included in your finished work.

While not usually mandatory, it’s nice to include a list of figures and tables to help guide your reader if you have used a lot of these in your dissertation. It’s easy to generate one of these in Word using the Insert Caption feature.

Similarly, if you have used a lot of abbreviations (especially industry-specific ones) in your dissertation, you can include them in an alphabetized list of abbreviations so that the reader can easily look up their meanings.

In addition to the list of abbreviations, if you find yourself using a lot of highly specialized terms that you worry will not be familiar to your reader, consider including a glossary. Here, alphabetize the terms and include a brief description or definition.

The introduction serves to set up your dissertation’s topic, purpose, and relevance. It tells the reader what to expect in the rest of your dissertation. The introduction should:

  • Establish your research topic , giving the background information needed to contextualize your work
  • Narrow down the focus and define the scope of your research
  • Discuss the state of existing research on the topic, showing your work’s relevance to a broader problem or debate
  • Clearly state your research questions and objectives
  • Outline the flow of the rest of your work

Everything in the introduction should be clear, engaging, and relevant. By the end, the reader should understand the what, why, and how of your research.

A formative part of your research is your literature review . This helps you gain a thorough understanding of the academic work that already exists on your topic.

Literature reviews encompass:

  • Finding relevant sources (e.g., books and journal articles)
  • Assessing the credibility of your sources
  • Critically analyzing and evaluating each source
  • Drawing connections between them (e.g., themes, patterns, conflicts, or gaps) to strengthen your overall point

A literature review is not merely a summary of existing sources. Your literature review should have a coherent structure and argument that leads to a clear justification for your own research. It may aim to:

  • Address a gap in the literature or build on existing knowledge
  • Take a new theoretical or methodological approach to your topic
  • Propose a solution to an unresolved problem or advance one side of a theoretical debate

Theoretical framework

Your literature review can often form the basis for your theoretical framework. Here, you define and analyze the key theories, concepts, and models that frame your research.

Your methodology chapter describes how you conducted your research, allowing your reader to critically assess its credibility. Your methodology section should accurately report what you did, as well as convince your reader that this was the best way to answer your research question.

A methodology section should generally include:

  • The overall research approach ( quantitative vs. qualitative ) and research methods (e.g., a longitudinal study )
  • Your data collection methods (e.g., interviews or a controlled experiment )
  • Details of where, when, and with whom the research took place
  • Any tools and materials you used (e.g., computer programs, lab equipment)
  • Your data analysis methods (e.g., statistical analysis , discourse analysis )
  • An evaluation or justification of your methods

Your results section should highlight what your methodology discovered. You can structure this section around sub-questions, hypotheses , or themes, but avoid including any subjective or speculative interpretation here.

Your results section should:

  • Concisely state each relevant result together with relevant descriptive statistics (e.g., mean , standard deviation ) and inferential statistics (e.g., test statistics , p values )
  • Briefly state how the result relates to the question or whether the hypothesis was supported
  • Report all results that are relevant to your research questions , including any that did not meet your expectations.

Additional data (including raw numbers, full questionnaires, or interview transcripts) can be included as an appendix. You can include tables and figures, but only if they help the reader better understand your results. Read more about results sections

Your discussion section is your opportunity to explore the meaning and implications of your results in relation to your research question. Here, interpret your results in detail, discussing whether they met your expectations and how well they fit with the framework that you built in earlier chapters. Refer back to relevant source material to show how your results fit within existing research in your field.

Some guiding questions include:

  • What do your results mean?
  • Why do your results matter?
  • What limitations do the results have?

If any of the results were unexpected, offer explanations for why this might be. It’s a good idea to consider alternative interpretations of your data.

Your dissertation’s conclusion should concisely answer your main research question, leaving your reader with a clear understanding of your central argument and emphasizing what your research has contributed to the field.

In some disciplines, the conclusion is just a short section preceding the discussion section, but in other contexts, it is the final chapter of your work. Here, you wrap up your dissertation with a final reflection on what you found, with recommendations for future research and concluding remarks.

It’s important to leave the reader with a clear impression of why your research matters. What have you added to what was already known? Why is your research necessary for the future of your field?

It is crucial to include a reference list or list of works cited with the full details of all the sources that you used, in order to avoid plagiarism. Be sure to choose one citation style and follow it consistently throughout your dissertation. Each style has strict and specific formatting requirements.

Common styles include MLA , Chicago , and APA , but which style you use is often set by your department or your field.

Your dissertation should contain only essential information that directly contributes to answering your research question. Documents such as interview transcripts or survey questions can be added as appendices, rather than adding them to the main body.

Making sure that all of your sections are in the right place is only the first step to a well-written dissertation. Don’t forget to leave plenty of time for editing and proofreading, as grammar mistakes and sloppy spelling errors can really negatively impact your work.

Dissertations can take up to five years to write, so you will definitely want to make sure that everything is perfect before submitting. After your written dissertation is approved, your committee will schedule a defense. Similarly to defending your prospectus, dissertation defenses are oral presentations of your work. You’ll present your dissertation, and your committee will ask you questions. Many departments allow family members, friends, and other people who are interested to join as well.

After your defense, your committee will meet, and then inform you whether you have passed. Keep in mind that defenses are usually just a formality; most committees will have resolved any serious issues with your work with you far prior to your defense, giving you ample time to fix any problems.

Dissertation Strategies

What this handout is about.

This handout suggests strategies for developing healthy writing habits during your dissertation journey. These habits can help you maintain your writing momentum, overcome anxiety and procrastination, and foster wellbeing during one of the most challenging times in graduate school.

Tackling a giant project

Because dissertations are, of course, big projects, it’s no surprise that planning, writing, and revising one can pose some challenges! It can help to think of your dissertation as an expanded version of a long essay: at the end of the day, it is simply another piece of writing. You’ve written your way this far into your degree, so you’ve got the skills! You’ll develop a great deal of expertise on your topic, but you may still be a novice with this genre and writing at this length. Remember to give yourself some grace throughout the project. As you begin, it’s helpful to consider two overarching strategies throughout the process.

First, take stock of how you learn and your own writing processes. What strategies have worked and have not worked for you? Why? What kind of learner and writer are you? Capitalize on what’s working and experiment with new strategies when something’s not working. Keep in mind that trying out new strategies can take some trial-and-error, and it’s okay if a new strategy that you try doesn’t work for you. Consider why it may not have been the best for you, and use that reflection to consider other strategies that might be helpful to you.

Second, break the project into manageable chunks. At every stage of the process, try to identify specific tasks, set small, feasible goals, and have clear, concrete strategies for achieving each goal. Small victories can help you establish and maintain the momentum you need to keep yourself going.

Below, we discuss some possible strategies to keep you moving forward in the dissertation process.

Pre-dissertation planning strategies

Get familiar with the Graduate School’s Thesis and Dissertation Resources .

Create a template that’s properly formatted. The Grad School offers workshops on formatting in Word for PC and formatting in Word for Mac . There are online templates for LaTeX users, but if you use a template, save your work where you can recover it if the template has corrruption issues.

Learn how to use a citation-manager and a synthesis matrix to keep track of all of your source information.

Skim other dissertations from your department, program, and advisor. Enlist the help of a librarian or ask your advisor for a list of recent graduates whose work you can look up. Seeing what other people have done to earn their PhD can make the project much less abstract and daunting. A concrete sense of expectations will help you envision and plan. When you know what you’ll be doing, try to find a dissertation from your department that is similar enough that you can use it as a reference model when you run into concerns about formatting, structure, level of detail, etc.

Think carefully about your committee . Ideally, you’ll be able to select a group of people who work well with you and with each other. Consult with your advisor about who might be good collaborators for your project and who might not be the best fit. Consider what classes you’ve taken and how you “vibe” with those professors or those you’ve met outside of class. Try to learn what you can about how they’ve worked with other students. Ask about feedback style, turnaround time, level of involvement, etc., and imagine how that would work for you.

Sketch out a sensible drafting order for your project. Be open to writing chapters in “the wrong order” if it makes sense to start somewhere other than the beginning. You could begin with the section that seems easiest for you to write to gain momentum.

Design a productivity alliance with your advisor . Talk with them about potential projects and a reasonable timeline. Discuss how you’ll work together to keep your work moving forward. You might discuss having a standing meeting to discuss ideas or drafts or issues (bi-weekly? monthly?), your advisor’s preferences for drafts (rough? polished?), your preferences for what you’d like feedback on (early or late drafts?), reasonable turnaround time for feedback (a week? two?), and anything else you can think of to enter the collaboration mindfully.

Design a productivity alliance with your colleagues . Dissertation writing can be lonely, but writing with friends, meeting for updates over your beverage of choice, and scheduling non-working social times can help you maintain healthy energy. Productivity strategies

Write when you’re most productive. When do you have the most energy? Focus? Creativity? When are you most able to concentrate, either because of your body rhythms or because there are fewer demands on your time? Once you determine the hours that are most productive for you (you may need to experiment at first), try to schedule those hours for dissertation work. If at all possible, plan your work schedule, errands and chores so that you reserve your productive hours for the dissertation.

Put your writing time firmly on your calendar . Guard your writing time diligently. You’ll probably be invited to do other things during your productive writing times, but do your absolute best to say no and to offer alternatives. No one would hold it against you if you said no because you’re teaching a class at that time—and you wouldn’t feel guilty about saying no. Cultivating the same hard, guilt-free boundaries around your writing time will allow you preserve the time you need to get this thing done!

Develop habits that foster balance . You’ll have to work very hard to get this dissertation finished, but you can do that without sacrificing your physical, mental, and emotional wellbeing. Think about how you can structure your work hours most efficiently so that you have time for a healthy non-work life. It can be something as small as limiting the time you spend chatting with fellow students to a few minutes instead of treating the office or lab as a space for extensive socializing. Write in spaces where you can be productive. Figure out where you work well and plan to be there during your dissertation work hours. Do you get more done on campus or at home? Do you prefer quiet and solitude, like in a library carrel? Do you prefer the buzz of background noise, like in a coffee shop? Are you aware of the UNC Libraries’ list of places to study ? If you get “stuck,” don’t be afraid to try a change of scenery. The variety may be just enough to get your brain going again.

Work where you feel comfortable . Wherever you work, make sure you have whatever lighting, furniture, and accessories you need to keep your posture and health in good order. The University Health and Safety office offers guidelines for healthy computer work . You’re more likely to spend time working in a space that doesn’t physically hurt you. Also consider how you could make your work space as inviting as possible. Some people find that it helps to have pictures of family and friends on their desk—sort of a silent “cheering section.” Some people work well with neutral colors around them, and others prefer bright colors that perk up the space. Some people like to put inspirational quotations in their workspace or encouraging notes from friends and family. You might try reconfiguring your work space to find a décor that helps you be productive.

Elicit helpful feedback from various people at various stages . You might be tempted to keep your writing to yourself until you think it’s brilliant, but you can lower the stakes tremendously if you make eliciting feedback a regular part of your writing process. Your friends can feel like a safer audience for ideas or drafts in their early stages. Someone outside your department may provide interesting perspectives from their discipline that spark your own thinking. Make this a recurring part of your writing process. Schedule it to help you hit deadlines.

Change the writing task . When you don’t feel like writing, you can do something different or you can do something differently. Make a list of all the little things you need to do for a given section of the dissertation, no matter how small. Choose a task based on your energy level. Work on Grad School requirements: reformat margins, work on bibliography, and all that. Work on your acknowledgements. Remember all the people who have helped you and the great ideas they’ve helped you develop. You may feel more like working afterward. Write a part of your dissertation as a letter or email to a good friend who would care. Sometimes setting aside the academic prose and just writing it to a buddy can be liberating and help you get the ideas out there. You can make it sound smart later. Free-write about why you’re stuck, and perhaps even about how sick and tired you are of your dissertation/advisor/committee/etc. Venting can sometimes get you past the emotions of writer’s block and move you toward creative solutions. Open a separate document and write your thoughts on various things you’ve read. These may or may note be coherent, connected ideas, and they may or may not make it into your dissertation. They’re just notes that allow you to think things through and/or note what you want to revisit later, so it’s perfectly fine to have mistakes, weird organization, etc. Just let your mind wander on paper.

Develop habits that foster productivity and may help you develop a productive writing model for post-dissertation writing . Since dissertations are very long projects, cultivating habits that will help support your work is important. You might check out Helen Sword’s work on behavioral, artisanal, social, and emotional habits to help you get a sense of where you are in your current habits. You might try developing “rituals” of work that could help you get more done. Lighting incense, brewing a pot of a particular kind of tea, pulling out a favorite pen, and other ritualistic behaviors can signal your brain that “it is time to get down to business.” You can critically think about your work methods—not only about what you like to do, but also what actually helps you be productive. You may LOVE to listen to your favorite band while you write, for example, but if you wind up playing air guitar half the time instead of writing, it isn’t a habit worth keeping.

The point is, figure out what works for you and try to do it consistently. Your productive habits will reinforce themselves over time. If you find yourself in a situation, however, that doesn’t match your preferences, don’t let it stop you from working on your dissertation. Try to be flexible and open to experimenting. You might find some new favorites!

Motivational strategies

Schedule a regular activity with other people that involves your dissertation. Set up a coworking date with your accountability buddies so you can sit and write together. Organize a chapter swap. Make regular appointments with your advisor. Whatever you do, make sure it’s something that you’ll feel good about showing up for–and will make you feel good about showing up for others.

Try writing in sprints . Many writers have discovered that the “Pomodoro technique” (writing for 25 minutes and taking a 5 minute break) boosts their productivity by helping them set small writing goals, focus intently for short periods, and give their brains frequent rests. Quit while you’re ahead . Sometimes it helps to stop for the day when you’re on a roll. If you’ve got a great idea that you’re developing and you know where you want to go next, write “Next, I want to introduce x, y, and z and explain how they’re related—they all have the same characteristics of 1 and 2, and that clinches my theory of Q.” Then save the file and turn off the computer, or put down the notepad. When you come back tomorrow, you will already know what to say next–and all that will be left is to say it. Hopefully, the momentum will carry you forward.

Write your dissertation in single-space . When you need a boost, double space it and be impressed with how many pages you’ve written.

Set feasible goals–and celebrate the achievements! Setting and achieving smaller, more reasonable goals ( SMART goals ) gives you success, and that success can motivate you to focus on the next small step…and the next one.

Give yourself rewards along the way . When you meet a writing goal, reward yourself with something you normally wouldn’t have or do–this can be anything that will make you feel good about your accomplishment.

Make the act of writing be its own reward . For example, if you love a particular coffee drink from your favorite shop, save it as a special drink to enjoy during your writing time.

Try giving yourself “pre-wards” —positive experiences that help you feel refreshed and recharged for the next time you write. You don’t have to “earn” these with prior work, but you do have to commit to doing the work afterward.

Commit to doing something you don’t want to do if you don’t achieve your goal. Some people find themselves motivated to work harder when there’s a negative incentive. What would you most like to avoid? Watching a movie you hate? Donating to a cause you don’t support? Whatever it is, how can you ensure enforcement? Who can help you stay accountable?

Affective strategies

Build your confidence . It is not uncommon to feel “imposter phenomenon” during the course of writing your dissertation. If you start to feel this way, it can help to take a few minutes to remember every success you’ve had along the way. You’ve earned your place, and people have confidence in you for good reasons. It’s also helpful to remember that every one of the brilliant people around you is experiencing the same lack of confidence because you’re all in a new context with new tasks and new expectations. You’re not supposed to have it all figured out. You’re supposed to have uncertainties and questions and things to learn. Remember that they wouldn’t have accepted you to the program if they weren’t confident that you’d succeed. Appreciate your successes . Not meeting a goal isn’t a failure–and it certainly doesn’t make you a failure. It’s an opportunity to figure out why you didn’t meet the goal. It might simply be that the goal wasn’t achievable in the first place. See the SMART goal handout and think through what you can adjust. Even if you meant to write 1500 words, focus on the success of writing 250 or 500 words that you didn’t have before.

Remember your “why.” There are a whole host of reasons why someone might decide to pursue a PhD, both personally and professionally. Reflecting on what is motivating to you can rekindle your sense of purpose and direction.

Get outside support . Sometimes it can be really helpful to get an outside perspective on your work and anxieties as a way of grounding yourself. Participating in groups like the Dissertation Support group through CAPS and the Dissertation Boot Camp can help you see that you’re not alone in the challenges. You might also choose to form your own writing support group with colleagues inside or outside your department.

Understand and manage your procrastination . When you’re writing a long dissertation, it can be easy to procrastinate! For instance, you might put off writing because the house “isn’t clean enough” or because you’re not in the right “space” (mentally or physically) to write, so you put off writing until the house is cleaned and everything is in its right place. You may have other ways of procrastinating. It can be helpful to be self-aware of when you’re procrastinating and to consider why you are procrastinating. It may be that you’re anxious about writing the perfect draft, for example, in which case you might consider: how can I focus on writing something that just makes progress as opposed to being “perfect”? There are lots of different ways of managing procrastination; one way is to make a schedule of all the things you already have to do (when you absolutely can’t write) to help you visualize those chunks of time when you can. Your topic, your advisor, and your committee: Making them work for you

By the time you’ve reached this stage, you have probably already defended a dissertation proposal, chosen an advisor, and begun working with a committee. Sometimes, however, those three elements can prove to be major external sources of frustration. So how can you manage them to help yourself be as productive as possible?

Managing your topic

Remember that your topic is not carved in stone . The research and writing plan suggested in your dissertation proposal was your best vision of the project at that time, but topics evolve as the research and writing progress. You might need to tweak your research question a bit to reduce or adjust the scope, you might pare down certain parts of the project or add others. You can discuss your thoughts on these adjustments with your advisor at your check ins.

Think about variables that could be cut down and how changes would affect the length, depth, breadth, and scholarly value of your study. Could you cut one or two experiments, case studies, regions, years, theorists, or chapters and still make a valuable contribution or, even more simply, just finish?

Talk to your advisor about any changes you might make . They may be quite sympathetic to your desire to shorten an unwieldy project and may offer suggestions.

Look at other dissertations from your department to get a sense of what the chapters should look like. Reverse-outline a few chapters so you can see if there’s a pattern of typical components and how information is sequenced. These can serve as models for your own dissertation. Managing your advisor

Embrace your evolving status . At this stage in your graduate career, you should expect to assume some independence. By the time you finish your project, you will know more about your subject than your committee does. The student/teacher relationship you have with your advisor will necessarily change as you take this big step toward becoming their colleague.

Revisit the alliance . If the interaction with your advisor isn’t matching the original agreement or the original plan isn’t working as well as it could, schedule a conversation to revisit and redesign your working relationship in a way that could work for both of you.

Be specific in your feedback requests . Tell your advisor what kind of feedback would be most helpful to you. Sometimes an advisor can be giving unhelpful or discouraging feedback without realizing it. They might make extensive sentence-level edits when you really need conceptual feedback, or vice-versa, if you only ask generally for feedback. Letting your advisor know, very specifically, what kinds of responses will be helpful to you at different stages of the writing process can help your advisor know how to help you.

Don’t hide . Advisors can be most helpful if they know what you are working on, what problems you are experiencing, and what progress you have made. If you haven’t made the progress you were hoping for, it only makes it worse if you avoid talking to them. You rob yourself of their expertise and support, and you might start a spiral of guilt, shame, and avoidance. Even if it’s difficult, it may be better to be candid about your struggles.

Talk to other students who have the same advisor . You may find that they have developed strategies for working with your advisor that could help you communicate more effectively with them.

If you have recurring problems communicating with your advisor , you can make a change. You could change advisors completely, but a less dramatic option might be to find another committee member who might be willing to serve as a “secondary advisor” and give you the kinds of feedback and support that you may need.

Managing your committee

Design the alliance . Talk with your committee members about how much they’d like to be involved in your writing process, whether they’d like to see chapter drafts or the complete draft, how frequently they’d like to meet (or not), etc. Your advisor can guide you on how committees usually work, but think carefully about how you’d like the relationship to function too.

Keep in regular contact with your committee , even if they don’t want to see your work until it has been approved by your advisor. Let them know about fellowships you receive, fruitful research excursions, the directions your thinking is taking, and the plans you have for completion. In short, keep them aware that you are working hard and making progress. Also, look for other ways to get facetime with your committee even if it’s not a one-on-one meeting. Things like speaking with them at department events, going to colloquiums or other events they organize and/or attend regularly can help you develop a relationship that could lead to other introductions and collaborations as your career progresses.

Share your struggles . Too often, we only talk to our professors when we’re making progress and hide from them the rest of the time. If you share your frustrations or setbacks with a knowledgeable committee member, they might offer some very helpful suggestions for overcoming the obstacles you face—after all, your committee members have all written major research projects before, and they have probably solved similar problems in their own work.

Stay true to yourself . Sometimes, you just don’t entirely gel with your committee, but that’s okay. It’s important not to get too hung up on how your committee does (or doesn’t) relate to you. Keep your eye on the finish line and keep moving forward.

7 Tips to Help You Successfully Complete Your Dissertation

Let’s face it - writing is hard! Writing your thesis/dissertation is a lot like long-distance running; it requires isolation, endurance, time, and motivation.  Most doctoral students are running a long-distance marathon for about three years.  Here are seven quick tips to help you organize things well before your final deadline.

1. Keep your thesis/dissertation committee up-to-date on your progress.

You want to communicate with all members of your committee regularly.  Schedule meetings, at least once a year in the beginning, and much more frequently as you approach your final draft.  You do not want any surprises about your committee member’s expectations, and you need some structure to keep going. You need regular feedback. Establish timelines your entire committee agrees upon. If there is an issue with a committee member, consider making some changes to your committee so you have the support and engagement you need to succeed.

2. Don’t wait to ask for help.

So many students who feel the most anxiety and stress about the thesis/dissertation never wanted to admit they needed help earlier in the process.  Remember imposter syndrome. It’s not limited to early-career graduate students. The thesis/dissertation is the ultimate test of resiliency and resourcefulness, and the rigor sometimes leaves students feeling inadequate. Maybe you feel as if your writing isn’t strong enough. Maybe you feel embarrassed to show your committee how little you have researched or written.  If you’re feeling anxious or unsure of yourself, please do not wait to seek help. Many faculty and graduate students do not know about the thesis/dissertation support groups offered on campus. Our resident graduate student counselor, Dr. Bai-Yin Chen, hosts these groups to help students with goal setting, time and stress management, and problem-solving. Bai-Yin also provides discreet counseling services in Walker Hall, allowing you to get the help you need without worrying about running into undergraduates. 3. Face conflict and confusion head-on.  

Does your major professor never email you back?  Are you not getting any feedback from your thesis/dissertation chair?  When you are in the final months of writing your final draft, the last thing you need to be dealing with is long-ignored interpersonal issues. Approaching your thesis/dissertation chair with complaints can be daunting. Seek advice from trusted colleagues, mentors, and advisors on how to have these conversations. You can talk to your program coordinator, advisor at Graduate Studies , the Associate Dean for Graduate Students and Postdoctoral Scholars Ellen Hartigan-O’Connor, or even the  UC Davis Office of the Ombuds . You have a built-in support network – don’t be afraid to use it!

4. Plan the last four weeks.

Faculty have four weeks to review the thesis or dissertation.  However, you cannot necessarily assume the faculty will all be in their UC Davis offices reading thesis/dissertations the last four weeks before the big deadline.  Faculty could be on sabbatical, traveling (always internationally it seems), or reading four other drafts.  Be conscientious of their time and discuss a timeline that is reasonable for them.  Yes, policy requires they return the draft in four weeks, but based on unique circumstances perhaps five weeks would be more appropriate. 

5. Don't forget the signed title page requirement! 

The most important submission for your degree besides the uploaded thesis/dissertation is undoubtedly the signed title page.  Graduate Studies requires a signed title page from all committee members. Though this coordination will add a little time to your final submission, you cannot receive the degree until you have that title page. Graduate Studies accepts digital signatures. You must upload the signed title page as part of the filing process in GradSphere .

6. Make the important decisions.

When you file your thesis or dissertation, you will be asked whether you wish to copyright and/or embargo your thesis or dissertation.  ProQuest, the publisher for all UC Davis thesis or dissertations, will copyright your thesis or dissertation for a fee.   You can also read more about copyright by following the links below.  An embargo delays the public access of your thesis or dissertation for a limited amount of time - typically six months, 12 months, or two years.  You might desire an embargo if you have sensitive data you do not want to be released immediately or if you are trying to get your chapters published elsewhere first.  Your committee will advise you on what is best for your situation. 7. Make a pre-filing appointment with a Graduate Studies Advisor!

I haven’t met many Ph.D. students who don’t like to write. Some may like writing more than others, but most enjoy writing—or, at least, the satisfaction of having written. Wherever you find yourself on the love-for-writing spectrum, a dissertation awaits completion, and you must finish. Here are a few tips to help you.

1. Write sooner.  The dissertation writing process can quickly become paralyzing because of its size and importance. It is a project that will be reviewed rigorously by your advisor and your committee, and your graduation depends on your successful completion and defense. Facing these realities can be daunting and tempt you to wait until you can determine that you’ve researched or thought enough about the topic. Yet, the longer you delay writing, the more difficult it will be to actually start the process. The answer to your paralysis is to start writing .  Are you unsure of your argument or not fully convinced you have done the requisite research? You may be right: your argument may not be airtight, and you may need to do more reading; but you will be able to determine to what degree these problems need attention when you start writing. Productivity begets productivity, and you will be amazed at how arguments take shape and the direction of your research is forged as you write.

2. Write continually.  So, don’t stop writing. Of course, you need to continue to read and study and take notes—I will talk about this more in a moment—but it is best if you keep the gears from grinding to a halt. Keep your mind working and your project moving. Your assignment is not to turn in a hundred pages of notes to your supervisor—you must produce a dissertation with complete sentences and paragraphs and chapters.  Keep writing.

3. Write in order to rewrite.  Writing sooner and writing continually can only happen if you aren’t consumed with perfection. Some of us are discouraged from writing because we think our first draft needs to be our final draft. But this is exactly the problem. Get your thoughts on paper and plan to go back and fix awkward sentences, poor word choices, and illogical or unsubstantiated arguments in your subsequent drafts.  Knowing that rewriting is part of the writing process will free you to write persistently, make progress, and look forward to fixing things later.

4. Spend adequate time determining your thesis and methodology.  This probably could fit in the number one slot, but I wanted to emphasize the importance writing right away. Besides, you might find that you modify your thesis and methodology slightly as you write and make progress in developing your overall argument. Nevertheless, the adage is true: form a solid thesis and methodology statement and your dissertation will “write itself.” Plan to spend some time writing and rewriting and rewriting (again) your thesis and methodology statements so that you will know where you are going and where you need to go.

5. If you get stuck, move to another section.  Developing a clear thesis and methodology will allow you to move around in your dissertation when you get stuck. Granted, we should not make a habit of avoiding difficult tasks, but there are times when it will be a more effective use of time to move to sections that will write easy. As you continue to make progress in your project and get words on paper, you will also help mitigate the panic that so often looms over your project when you get stuck and your writing ceases.

6.  Fight the urge to walk away from writing when it gets difficult.  Having encouraged you to move to another section when you get stuck, it is also important to add a balancing comment to encourage you to fight through the tough spots in your project. I don’t mean that you should force writing when it is clear that you may need to make some structural changes or do a little more research on a given topic. But if you find yourself dreading a particular portion of your dissertation because it will require some mind-numbing, head-on-your-desk, prayer-producing rigor, then my advice is to face these tough sections head on and sit in your chair until you make some progress. You will be amazed at how momentum will grow out of your dogged persistence to hammer out these difficult portions of your project.

7.  Strive for excellence but remember that this is not your magnum opus.  A dissertation needs to be of publishable quality and it will need to past the muster of your supervisor and committee. But it is also a graduation requirement. Do the research. Make a contribution. Finish the project. And plan to write your five-volume theology when you have 30-40 more years of study, reflection, and teaching under your belt.

8.  Take careful notes.  Taking careful notes is essential for two reasons. First, keeping a meticulous record of the knowledge you glean from your research will save you time: there will be no need to later revisit your resources and chase bibliographic information, and you will find yourself less prone to the dreaded, “Where did I read that?” Second, and most importantly, you will avoid plagiarism.  If you fail to take good notes and are not careful to accurately copy direct quotes and make proper citations, you will be liable to reproducing material in your dissertation that is not original with you. Pleading that your plagiarism was inadvertent will not help your cause. It is your responsibility to take careful notes and attribute all credit to whom it is due through proper citation.

9.  Know when to read.  Write sooner, write continually, and write in order to rewrite. But you need to know when you are churning an empty barrel. Reading and research should be a stimulus to write and you need to know when that stimulus is needed. Be willing to stop writing for a short period so that you can refresh your mind with new ideas and research.

10. Establish chunks of time to research and write.  While it is important to keep writing and make the most of the time that you have, it is best for writing projects specifically to set aside large portions of time with which to write. Writing requires momentum, and momentum gathers over time. Personally, I have found that I need at least an hour to get things rolling, and that three to four hours is ideal.

11.  Get exercise, adequate sleep, and eat well.  Because our minds and bodies are meant to function in harmony, you will probably find that your productivity suffers to the degree that you are not giving attention to your exercise, sleep, and eating habits.  Like it or not, our ability to maintain long periods of sustained concentration, think carefully over our subject matter, and find motivation to complete tasks is dependent in a significant sense upon how we are caring for our bodies.  When we neglect exercise, fail to get adequate sleep, or constantly indulge in an unhealthy diet, we will find it increasingly difficult to muster the energy and clarity with which to complete our dissertation.

12.  Stay on task.  Completing a dissertation, in large measure, is not so much a feat of the intellect as it is the result of discipline. If you are able to set aside large chunks of time with which to research and write, make sure that you are not using that time for other tasks. This means that you must strive against multi-tasking. In truth, studies have shown that multi-tasking is a cognitive impossibility.  Our brains can only concentrate on one thing at a time.  When we think we are multitasking we are actually “switch-tasking;” rather than doing several things at once, our brains are constantly toggling from one task to the other (listening to a song on the radio to reading a book, back to the song, etc.). You will be amazed at how much you can accomplish if you give an undistracted 60-90 minutes to something. Stay on task.

13.  Don’t get stuck on introductions.  This is a basic writing principle, but one that bears repeating here: write the body of a given chapter or section and then return to the introductions. It is usually easier to introduce something that you have already written for the simple fact that you now know what you are introducing. You might be tempted to write the introduction first and labor to capture your reader with a gripping illustration or perfect quote while refusing to enter into the body of your paper until your preliminary remarks are flawless. This is a sure recipe for frustration. Wait until you have completed a particular section or chapter’s content until you write introductions. This practice will save you time and loads of trouble.

14.  Use a legal pad.  There’s nothing magic about a legal pad; my only aim here is to encourage you to push back from the keyboard occasionally and stimulate your mind by sketching your argument and writing your ideas by hand. I have found my way out of many dry spells by closing the laptop for a few minutes and writing on a piece of paper. I might bullet point a few key ideas, diagram my chapter outlines, or sketch the entire dissertation with boxes and arrows and notes scribbled over several pages.

15.  Go on walks.  It has been  said recently that walking promotes creativity . I agree. Whether you like to walk among the trees or besides the small coffee shops along quaint side streets, I recommend that you go on walks and think specifically about your dissertation. You might find that the change of scenery, the stimulus of a bustling community, or the refreshing quiet of a park trail is just the help you need.

16.  Make use of a capture journal.  In order to make the most of your walks, you will need a place to “capture” your ideas. You may prefer to use the voice memo or notepad feature on your smartphone, or, if you’re like me,   a small 2.5”x4” lined journal . Whatever your preference, find a method that allows you to store your ideas as they come to you during your walks or as you fall to sleep at night. I wonder how many useful ideas many of us have lost because we failed to write them down? Don’t let this happen to you. Resolve to be a good steward of your thinking time and seize those thoughts.

17.  Talk about your ideas with others.  When you are writing your dissertation, you might be tempted to lock away your ideas and avoid discussing them with others. This is unwise. Talking with others about your ideas helps you to refine and stimulate your thinking; it also creates opportunities for you to learn of important resources and how your contribution will affect other branches of scholarship. Also, as people ask questions about your project, you will begin to see where your argument is unclear or unsubstantiated.

18.  Learn how to read.  Writing a dissertation requires a massive amount of reading. You must become familiar with the arguments of several hundred resources—books, articles, reviews, and other dissertations. What will you do? You must learn how to read. Effective reading does not require that you read every book word-for-word, cover-to-cover. Indeed, sometimes very close reading of a given volume may actually impede your understanding of the author’s argument. In order to save time and cultivate a more effective approach to knowledge acquisition, you must learn how to use your resources. This means knowing when to read a book or article closely, and knowing when to skim. It means knowing how to read large books within a matter of an hour by carefully reviewing the table of contents, reading and rereading key chapters and paragraphs, and using the subject index. If you want to finish your dissertation, learn how to read.

19.  Set deadlines.  Depending on your project, you may have built in deadlines that force you to produce material at a steady clip. If you do not have built in deadlines, you must impose them on yourself.  Deadlines produce results, and results lead to completed writing projects.  Set realistic deadlines and stick to them.  You will find that you are able to accomplish much more than you anticipated if you set and stick to deadlines.

20.  Take productive breaks.  Instead of turning to aimless entertainment to fill your break times, try doing something that will indirectly serve your writing process. We need breaks: they refresh us and help us stay on task. In fact, studies have shown that overall productivity diminishes if employees are not allowed to take regular, brief pauses from their work during the day. What is not often mentioned, however, is that a break does not necessarily have to be unrelated to our work in order to be refreshing; it needs only to be different from what we were just doing. So, for example, if you have been writing for 90 minutes, instead of turning on YouTube to watch another mountain biking video, you could get up, stretch, and pull that book off the shelf you’ve been wanting to read, or that article that has been sitting in  Pocket  for the past six weeks. Maybe reorganizing your desk or taking a walk (see above) around the library with your capture journal would be helpful. Whatever you choose, try to make your breaks productive.

The Dissertation Process Explained in 6 Simple Steps

Completing your doctoral program is no easy feat, yet the payoff makes it all worthwhile. You’ll challenge yourself with academic rigor and defend your thesis as you showcase your knowledge to a panel of experts.

One of the hardest parts of the dissertation process is simply getting started. Here are six steps to guide you to successfully earning your doctoral degree by tackling your dissertation, from start to finish.

Step 1: Brainstorm Topics

Finding a research topic that’s right for you and your doctoral studies requires some serious thought. A doctoral program can take years to complete, so it’s important you choose a topic that you’re passionate about. Whether that’s in the field of education administration or entrepreneurship, find an area of study that suits your academic interests and career goals. 

As a doctoral candidate, you’ll take on the role of an independent researcher, which means you’ll be facilitating your own studies and academic milestones. Choose a topic that gets your wheels turning and stirs up an urgent sense of curiosity. However, take note that not every idea will suit a doctoral dissertation and the manuscript formatting. Many students make the mistake of choosing a topic that is too broad. Doctoral dissertations must be researchable and demonstrative based on qualitative or quantitative data. 

Do some preliminary research to determine if someone has already conducted similar research. Being flexible with your brainstorming will allow you to refine your topic with ease. Take constructive criticism from peers and mentors seriously so that you set yourself up for success from day one. If you find yourself feeling a bit lost, don’t be afraid to turn to experts in your field for their opinion. At this initial stage of the dissertation process, you should be the most open to exploring new ideas and refining your area of research.

Step 2: Find a Faculty Mentor and Committee Assignment

Once your topic is approved by the university, you’ll be tasked with selecting a faculty mentor. Finding a faculty chairperson is one of the most important steps you will take in your dissertation process , apart from crafting and delivering your manuscript. After all, your mentor will guide your academic work over the course of your doctoral studies for the next several years. You two will develop a working relationship, so it’s crucial that you choose a mentor you can collaborate and communicate with effectively.

At most universities, your faculty chair will be dedicated to the dissertation process full time. That means they will have the skills, expertise and time to support all of your needs. However, for the other members of your dissertation committee, you’ll want to consider logistics as well. You may have a dream faculty mentor you’d appreciate working with, but they must have the time and attention to dedicate to make the investment worthwhile for you both. Be upfront about your intended timeline, weekly and monthly time commitment, and expectations around communication. When you approach a faculty member about serving as part of your dissertation committee, leave the door open for them to say “no,” so you’re sure to find the right fit and someone who can commit in the long run. 

Some universities make the selection process easy by assigning a dissertation chair and committee to you. For example, doctoral students at SNU are assigned a committee comprised of four people: a dissertation chair within the program’s department, a second departmental faculty member, a member from outside the department who has scholarly expertise in the student’s research topic, and the Dissertation Director who coordinates all communication among the committee members.

Step 3: Develop and Submit a Proposal

Think of the proposal as an opportunity for you to both suss out your ideas and create a convincing argument to present to the faculty committee. Your proposal is the first look at your thesis statement, where you:

  • Introduce the topic
  • Pose a set of related topics
  • Outline the qualitative and quantitative data you hope to extract through careful research  

Again, be open to critical feedback. During this stage, you have the opportunity to reflect and refine the direction of your research. Faculty members will likely reciprocate your proposal with pointed questions that identify gaps in your proposal development or information-seeking process. 

You’ll go through a set of one or more revisions based on faculty feedback. You’ll then submit your proposal application for final approval. Once you have the entire committee’s approval, you’ll begin to collect data.

Step 4: Conduct Research and Data Analysis

In your proposal, you’ll outline your plan to conduct careful research, collect data and analyze that data. Throughout the research process, refer back to your outline to chart your own progress and to build a collection of measurable results to present to your faculty mentor. 

The next step is to add the data you collect to your proposal in two sections. The first section will summarize the data, and the second will offer an interpretation of that data. This step also lends itself to a series of revisions between you and the dissertation committee. Be prepared to implement those changes as you begin to draft your manuscript .

Step 5: Draft Your Manuscript

First, consult with your university’s policies and procedures regarding the doctoral manuscript academic requirements and scholarly style. Check with your department to inquire about additional departmental procedures. 

Consider Your Format 

Develop a consistent format in the early stages, so that submitting your thesis to the Advisory Committee and Examining Committee will run smoothly and you can receive swift feedback. You want to create both a professional and intuitive system for the academic committee and your general audience to be able to easily peruse your thesis. 

Pay close attention to proper sourcing of previously published content and provide a numbering system (page numbers and charts) that reflects the formatting of your thesis, not the numbering system of a previous publication. Devise chapter layout with the same level of scrutiny. Number chapters sequentially, and create a uniform system to label all charts, tables and equations. And last but not least, be sure to follow standard grammatical conventions, including spelling and punctuation. 

Cite Your Sources

As you gather research and develop your manuscript, you must cite your sources accurately and consistently. Check with your department ahead of time in case you should be formatting your resources according to specific departmental standards. In the absence of departmental standards, create a format of your own that you can adhere to with consistency. Most doctoral candidates will choose to include sources at the end of each chapter or in one single list at the end of their dissertation. 

Craft Your Content

You’ll spend the bulk of your time crafting the content of the manuscript itself . You’ll  begin by summarizing relevant sourcing and reviewing related literature. The purpose of this first section is to establish your expertise in the field, establish clear objectives for your research, identify the broader context within which the research resides, and provide more acute context for the data itself. You’ll then discuss the methods of analyzing the research before transitioning into data analysis in a chapter-by-chapter breakdown. Finally, in your conclusion, you’ll link your direct research to the larger picture and the implications of its impact in your field.

Step 6: Defend Your Thesis

The pinnacle of your research will be defending your thesis in front of a panel of experts — the dissertation committee. Sometimes this takes place in person, or, as has proved increasingly common during the past year, by video/voice conferencing. 

This is your opportunity to demonstrate all that you have learned over multiple years of careful research and analysis. The committee will pose questions to both clarify and challenge your level of knowledge in an impromptu fashion. In some cases, based on the committee’s perception, you may need to submit a secondary oral defense. Ultimately, the committee will determine a successful delivery of your dissertation and the chance to proudly assert your doctoral status after completing all degree requirements.

Advice for Writing -- and Finishing -- Your Dissertation

When I came back from the field as a graduate student, I was confident that I could write up my dissertation in no time. But when it came to actually working on the dissertation, I had difficulty getting started. I remember reading an article related to my research right before I sat down to write and how I suddenly froze up. What scared me was that I felt that I needed to write my dissertation in a manner like the article that I read. The process of writing a dissertation then became very intimidating to me.

I eventually figured out what worked for me when I was dissertating, and I offer you here the following tips. They may or may not work for you or apply to you, but at least you can think about them as you continue along the journey of writing your dissertation -- and finally walk across the stage as you are granted your doctorate.

Think “Bird by Bird” or “small bites.” When I was stuck trying to figure out what to do with all the data I amassed while I was in the field in 2005 conducting dissertation research , one of my dear friends who was part of my anthropology cohort gave me a wonderful book about writing by Anne Lamont called Bird by Bird . It offered funny stories about the writing process and strategies for writing that I still use today -- one of which is to break work into smaller pieces in order to not feel defeated by the enormity of it. I remember reading chapters from this book in public places and laughing out loud. It is important to do reading outside the dissertation, as that will help generate ideas and strategies that will help achieve the ultimate tasking of getting it done.

I also remember the advice my father would give me when I felt overwhelmed with a task laid before me. He would just say, “Small bites,” as a reminder of how to approach a large task. “Small bites” toward completing your dissertation could include writing your acknowledgments, adding to your bibliography or writing and revising a section of your chapter.

An important point that gets obfuscated when a person is intimidated by writing is that the well-written articles, book chapters and books we admire take numerous drafts and revisions to get to a finished stage. Your work will, too. Don’t let someone else’s finished product or the enormity of the project deter you from creating and finishing your own.

Find a motivation for writing. Going into the second year of dissertation writing, I had a job talk in an Africana studies department at a highly ranked liberal arts college in the Northeast. Even though it was apparent that the department had a preferred candidate in mind, I soldiered through the campus visit, controlling what I could (my answers to their questions, my job talk, my pitch for proposed courses). I received a rejection letter not too long after my return home.

At the time, I convinced myself that the interviewers did not hire me because my dissertation was not finished. I only had about the equivalent of two chapters at that point. Between November 2007 and April 2008, I proceeded to write seven more chapters, and I defended my dissertation in May 2008. I worked on revisions that June, and the following month, I was offered a full-time lecturer position in the Africana studies program at the University of Tennessee at Knoxville. In August 2008, I submitted my revisions and began teaching four classes per semester.

The point of this story is that sometimes you simply need motivation to get the dissertation written. Getting a full-time job and making myself more marketable for the following year on the job market helped me eventually land a tenure-track position, as well as build valuable social capital at my first institution.

Write a story. For those of you who do ethnographic fieldwork, a good way to start (or restart) the writing process is to write about a story from the field. I cite this example because I found it to be one of the least intimidating aspects of writing my dissertation, and it allows you to loosen up. Since the stories are embedded in a larger socio-cultural context, writing a story will also allow you to raise larger issues, which you can then connect to pertinent literature and topics such as race, gender, class and other forms of social inequality.

Recognize that writing is writing. To paraphrase the sagacious Erykah Badu, “Keep in mind that you are an academic, and you are sensitive about your [stuff].” Be nice and gentle with yourself instead of beating yourself up about your work so that you can get in front of a computer and write.

Do not put any restrictions on yourself. Don’t worry about grammar. Don’t worry about misspelled words or inappropriate punctuation. Don’t worry about the quality of your writing at this stage. All that can be refined at a later time. Just write.

And don’t diminish what you’ve written. If all you’ve written are acknowledgments or bibliographic entries, that’s fine. It counts as writing! It has to go in the dissertation anyway.

When you’ve written all the stories you can and you have trouble thinking of anything else to write, it may be time to go back to reading. Reading the pertinent literature, reading fiction and reading poetry informs your own thinking about your work. The thinking will help you generate more writing.

Take breaks. The stress of writing and sitting in front of a computer for long stretches of time can have adverse effects on your health . One of the breaks I like to take when writing involves exercise. As I wrote my dissertation, I took walks and rode my mountain bike. You can’t write all the time. Plus, the act of exercise -- either during it or afterward -- has helped me work through ideas for my dissertation, my book and various articles I have written between 2008 and now.

Since we have chosen self-flagellating vocations, it is perfectly fine to remind yourself that you do not need to be chained to your desk in order to produce solid written work. Repeat after me: “It is OK to take a break.” “It is OK to take a break.”

4 strategies for completing your dissertation.

Almost half of all doctoral students complete their course work but not their dissertation. Sarah Schwintz gives some concrete advice for increasing your odds of finishing yours.

"Students take about eight years to complete a doctoral degree -- twice the time of a bachelor’s degree. Also, the average age of a doctoral student is 33. Many doctoral students work full-time and have families and outside responsibilities than can make completing a dissertation an impossible task. In fact, almost half of all doctoral students complete their course work but not their dissertation.

This article explains how to avoid the dreaded doctoral degree attrition -- by being your own manager, surrounding yourself with wise people, developing a professional relationship with your chair and creating good habits. You can increase your odds of finishing your dissertation by following these four steps."

How it Works

DCP is a structured pathway that recognizes your past academic coursework while providing the guidance you need to complete your dissertation. This approach provides ABD students the individual support and attention they deserve, including uniquely designed bridge courses and a faculty-led approach that features weekly objectives and deliverables.

What is Dissertation Completion Pathway?

  • Dissertation Completion Pathway (DCP) is a pathway to completing a doctoral degree.
  • DCP serves students who come to NU as “All But Dissertation” (ABD).
  • DCP-8001: 12-weeks (online)
  • DCP-8002: 12 weeks (online)
  • DCP-8003 is typically taken along with DCP-8001 or DCP-8002.

Successful completion of these 3 DCP courses leads to entry into one of the following traditional or applied doctoral programs:

If you’re an All But Dissertation student that has completed your coursework, achieved doctoral candidacy and left your program in good academic standing, we can help you finish what you started.

DCP Eligibility Criteria

  • Dissertation Completion Pathway application.
  • Minimum GPA of 3.0 in previous doctoral program.
  • Must have completed all required doctoral program coursework and/or achieved candidacy at another institution.
  • Cannot be academically dismissed from previous doctoral program.
  • Previous doctoral program must academically align with a doctoral degree program and specialization offered by National University.
  • 7-year maximum for transfer credit from a regionally accredited institution. An exception by the dean may be granted for credits aged between 8-15 years.

Program availability varies by state. Meeting Graduate College Requirements

  • Check your  Academic Progress  tab in Workday Student to ensure you've met Graduate College requirements for degree completion.
  • Ensure that your  Program of Study Committee and Academic Plan  are accurate at the time you apply for program completion in Workday Student. 
  • Check your Approved Academic Plan  in Workday Student; make sure the list of courses is accurate and make modifications as needed.
  • Submit an  Application for Program Completion  by the deadlines of the semester you plan to graduate. If you have a change of mind, withdraw by the cancellation date. Summer graduates attending Spring/Fall ceremony need to follow special deadlines.

Planning Your Thesis/Dissertation Journey

  • Attend a  Thesis/Dissertation Seminar  presented by the Graduate College soon after you have formed your Committee and Academic Plan.
  • Download the  Thesis/Dissertation Deadlines  and the  Thesis Planning Tool  or the  Dissertation Planning Tool  to map the Graduate College deadlines.
  • Plan meetings with your Major Professor and Committee about your thesis/dissertation content and timeline for completion.
  • Chart your personal deadlines using the tools.
  • Add any additional program deadlines that are not included in the Graduate College deadlines.
  • Review resources for Authorship Expectations .

Writing Your Thesis/Dissertation

  • Work closely with your Major Professor and Committee as you develop ideas and content for your thesis/dissertation. They are there to guide you.
  • Contact the  Center for Communication Excellence  to receive  Thesis/Dissertation Consultations . Trained consultants can meet one-on-one to give helpful suggestions in the planning, composing, or revising stages of writing or assist with thesis/dissertation formatting.  Make an appointment !
  • Attend  Boot Camps and Writing Retreats .
  • Use the  Templates  to maintain formatting requirements.
  • Review  Thesis/Dissertation Format Requirements  and watch the  Video Tutorials for Formatting .

Planning Your Pre- and Post-Final Oral Exam Steps

Pre-final oral exam.

  • Plan final oral exam date with your Major Professor and Committee.
  • Submit a  Request for Final Oral Exam   at least three weeks prior  to the final oral exam.
  • Reserve a room and inform your Major Professor and Committee.
  • Make an appointment with the  Center for Communication Excellence  for a  Thesis/Dissertation Format Check .
  • Submit copies of the manuscript to your Major Professor and Committee.

Post-Final Oral Exam

  • Complete required edits to your thesis/dissertation as requested by your Major Professor and Committee.
  • Review your thesis/dissertation formatting again since formatting may change after any edits are made.
  • Submit the edited manuscript to your Major Professor and Committee for approval.
  • Open your thesis/dissertation account with  ProQuest  and input the title of your thesis/dissertation; this information will appear in the Commencement Program. Use the same format as your title page.
  • Thesis/Dissertation students - Review the online  Thesis/Dissertation Format Requirements  and upload your thesis/dissertation to  ProQuest/UMI
  • Creative component students – Review the instructions  Creative Component submission instructions .
  • Get your Major Professor and DOGE signatures for Graduate Student Approval Form and submit the completed form to the Graduate College. (NOTE: The Graduate College cannot review your uploaded thesis/dissertation without this completed form.)

Finishing Up for Graduation

  • Monitor email from Graduate College staff about required edits or acceptance of thesis/dissertation.
  • Complete required edits as requested by the Graduate College staff if applicable and resubmit; this process can be repeated if required edits are not completed.
  • Once accepted, the Graduate College staff will lock the ProQuest submission. No further changes can be made after this.
  • Get ready to graduate! Receiving an acceptance e-mail is typically the last communication before you graduate!

ISU Thesis/Dissertation Fee

$145 (Workday U-Bill): The Thesis/Dissertation Fee (a one-time fee on your Workday U-Bill) pays for the ISU thesis/dissertationreview, processing, and thesis/dissertationsupport.

Optional U.S. Copyright Fee

$75: O ptionally, ProQuest will register a U.S. Copyright for you for the additional $75

Princeton University Library

Phd dissertation and master's thesis submission guidelines.

The Princeton University Archives at the Mudd Manuscript Library is the repository for Ph.D. dissertations and Master’s theses. The Princeton University Archives partners with ProQuest to publish and distribute Princeton University dissertations beyond the campus community.

Below you will find instructions on the submission process and the formatting requirements for your Ph.D. dissertation or Master's thesis. If you have questions about this process, please use our Ask Us form  or visit the Mudd Manuscript Library during our open hours.

Ph.D Dissertation Submission Process

The first step is for the student to prepare their dissertation according to the Dissertation Formatting Requirements . Near the time of the final public oral examination (FPO) (shortly before or immediately after) the student must complete the online submission of their dissertation via the ProQuest UMI ETD Administrator website . Students are required to upload a PDF of their dissertation, choose publishing options, enter subject categories and keywords, and make payment to ProQuest (if fees apply). This step will take roughly 20-25 minutes.

 After the FPO the student should log on to TigerHub  and complete the checkout process. When this step is complete, Mudd Library will be notified for processing. This step will occur M-F during business hours. The Mudd Library staff member will review, apply the embargo (when applicable), and approve the dissertation submission in ProQuest. You will receive an email notification of the approval from ProQuest when it has been approved or needs revisions. 

The vast majority of students will not be required to submit a bound copy of their dissertation to the library. Only students who have removed content from the PDF to avoid copyright infringement are required to submit a bound copy to the library. This unredacted, bound version of the dissertation must be formatted according to the Dissertation Formatting Requirements , and delivered by hand, mail, or delivery service to the Mudd Manuscript Library by the degree date deadline in order to be placed on the degree list. Address the bound copy to: Attn: Dissertations, Mudd Manuscript Library, 65 Olden Street, Princeton, NJ 08540.

ProQuest Publishing Options

When you submit your dissertation to the ProQuest ETD Administrator site, you will be given two options: Traditional Publishing or Open Access Publishing Plus. ProQuest compares the two options in their  Open Access Overview document . Full details will be presented in the ProQuest ETD Administrator site.

Traditional Publishing

No fee  is paid to ProQuest; your dissertation will be available in full text to subscribing institutions only through the ProQuest Dissertations & Theses Global ; If you have an embargo, your dissertation will be unavailable for viewing or purchase through the subscription database during the embargo period.

Open Access Publishing Plus

$95 fee to ProQuest; your dissertation will be available in full text through the Internet to anyone via the ProQuest Database ; if you have an embargo, your dissertation will be unavailable for viewing through the open access database during the embargo period.

Optional Service: Copyright Registration

$75 fee to ProQuest; ProQuest offers the optional service of registering your copyright on your behalf. The dissertation author owns the copyright to their dissertation regardless of copyright registration. Registering your copyright makes a public record of your copyright claim and may entitle you to additional compensation should your copyright be infringed upon. Princeton’s Institutional Repository, DataSpace

Each Princeton University dissertation is deposited in Princeton’s Institutional Repository, DataSpace . Dissertations will be freely available on the Internet except during an embargo period. If your dissertation is embargoed, the PDF will be completely restricted during the embargo period. The bound copy, however, will be available for viewing in the Mudd Manuscript Library reading room during the embargo. 

According to the Graduate School’s embargo policy , students can request up to a two-year embargo on their dissertation, with the potential for renewal by petition. If approved, the embargo would apply to the dissertation in ProQuest, as well as in Princeton’s digital repository, DataSpace . Students in the sciences and engineering seeking patents or pursuing journal articles may be approved for a shorter embargo period. Students must apply for the embargo during the Advanced Degree Application process . More information can be found on the Graduate School's Ph.D. Publication, Access and Embargoing webpage .

Those who have been approved for the embargo can choose "Traditional Publishing" or "Open Access Plus" publishing when they complete their online submission to ProQuest. Mudd Manuscript Library staff will apply the embargo in the ProQuest ETD system at the time of submission of materials to the Library. In the case of Open Access Plus, the dissertation would become freely available on the ProQuest open access site when the embargo expires. The embargo in ProQuest will also apply to the embargo in Princeton’s digital repository, DataSpace

Those who wish to request a renewal of an existing embargo must email Assistant Dean Geoffrey Hill and provide the reason for the extension. An embargo renewal must be requested in writing at least one month before the original embargo has expired, but may not be requested more than three months prior to the embargo expiration date. Embargoes cannot be reinstituted after having expired. Embargoes are set to expire two years from the date on which the Ph.D. was awarded (degrees are awarded five times per year at Board of Trustee meetings); this date will coincide with the degree date (month and year) on the title page of your dissertation. Please note: You, the student, are responsible for keeping track of the embargo period--notifications will not be sent.

  • To find the exact date of an embargo expiration, individuals can find their dissertation in DataSpace , and view the box at the bottom of the record, which will indicate the embargo expiration date.
  • The Graduate School will inform the Mudd Library of all renewals and Mudd Library staff will institute the extensions in ProQuest and DataSpace .   
  • Princeton University Archives'  Dissertation Formatting Requirements  (PDF download) document provides detailed information on how to prepare the dissertation PDF and bound volume (if you are required to submit a bound volume). Please take special note of how to format the title page (a title page example is downloadable from the upper-right-hand side of this webpage). The title page must list your adviser’s name.  
  • ProQuest's Preparing Your Manuscript guide offers additional information on formatting the PDF. Where there are discrepancies with the Princeton University Archives Dissertation Formatting Requirements document, the Princeton University Archives requirements should be followed. Special consideration should be paid to embedding fonts in the PDF.
  • ProQuest ETD Administrator Resources and Guidelines  web page offers several guides to assist you in preparing your PDF, choosing publishing options, learning about copyright considerations, and more. 
  • ProQuest's Support and Training Department can assist with issues related to creating and uploading PDFs and any questions regarding technical issues with the online submission site.

Whether a student pays fees to ProQuest in the ETD Administrator Site depends on the publishing option they choose, and if they opt to register their copyright (if a student selects Traditional Publishing, and does not register their copyright, no charges are incurred). Fees are to be submitted via the UMI ETD Administrator Site. Publishing and copyright registration fees are payable by Visa, MasterCard, or American Express and a small service tax may be added to the total. The options listed below will be fully explained in the ETD Administrator site. 

  • Traditional without copyright registration: $0 to ProQuest (online)
  • Traditional with copyright registration: $75 to ProQuest (online) 
  • Open Access without copyright registration: $95 to ProQuest (online)
  • Open Access ($95) with copyright registration ($55): $150 to ProQuest (online)

Degrees are granted five times per year at Board of Trustee meetings. Deadlines for materials to be submitted to the Mudd Manuscript Library are set by the Office of the Graduate School . The title page of your dissertation must state the month and year of the board meeting at which you will be granted your degree, for example “April 2023.”

Academic Year 2024-2025

  • Friday, August 30, 2024, degree date "September 2024"
  • Thursday, October 31, 2024, degree date "November 2024"
  • Tuesday, December 31, 2024, degree date "January 2025"
  • Friday, February 28, 2025, degree date "March 2025"
  • Thursday, May 8, 2025, degree date "May 2025"

Please note: If a student is granted an extension for submission of their materials after a deadline has passed, the Mudd Manuscript Library must have written confirmation of the extension from the Office of the Graduate School in the form of an email to [email protected] .  

One non-circulating , bound copy of each dissertation produced until and including the January 2022 degree list is held in the collection of the University Archives. For dissertations submitted prior to September 2011, a circulating , bound copy of each dissertation may also be available. Information about these dissertations can be found in Princeton University Library's catalog .

Electronic Copy (PDF) in ProQuest 

ProQuest Dissertation Publishing distributes Princeton University dissertations. Members of the Princeton University community can access most dissertations through the ProQuest Dissertations and Theses subscription database, which is made available through the Princeton University Library. For students that choose "Open Access Plus publishing," their dissertations are available freely on the internet via  ProQuest Dissertations and Theses . Dissertations are available for purchase through ProQuest Dissertation Express . Once the dissertation has been accepted by the Mudd Library it will be released to ProQuest following the Board of Trustee meeting on which your degree is conferred. Bound copies ordered from ProQuest will be printed following release.  Please note, dissertations under embargo are not available in full text through the ProQuest Dissertations and Theses subscription database or for sale via ProQuest Dissertation Express during the embargo period.

Electronic Copy (PDF) in Princeton's Institutional Repository, DataSpace  

Beginning in the fall of 2011, dissertations will be available through the internet in full-text via Princeton's digital repository, DataSpace . (Embargoed dissertations become available to the world once the embargo expires.)

Interlibrary Loan 

Dissertations that have bound copies and are not under embargo are available through Interlibrary Loan (ILL) to libraries in the United States and Canada, either through hard copy or PDF. If PDFs are available, they can be sent internationally. 

Master's Thesis Submission Process

Students who are enrolled in a thesis-based Master’s degree program must upload a PDF of their thesis to Princeton's ETD Administrator site (ProQuest) just prior to completing the final paperwork for the Graduate School. These programs currently include:

  • The Department of Chemical and Biological Engineering (M.S.E.)
  • The Department of Civil and Environmental Engineering (M.S.E.)
  • The Department of Computer Science (M.S.E.)
  • The Department of Electrical and Computer Engineering (M.S.E.)

The PDF should be formatted according to our  Dissertation Formatting Requirements  (PDF download). The Mudd Library will review and approve the submission upon notification from the Graduate School that your final paperwork is ready for this step. Bound copies are no longer required or accepted for Master's theses.

Instructions for 2023–2024

A dissertation completion fellowship (DCF) is assured to all eligible candidates in the Harvard Kenneth C. Griffin Graduate School of Arts and Sciences (GSAS) in fields in the humanities and social sciences. Before following these instructions, students must review information on the dissertation completion fellowships  page and dissertation completion fellowships  policy.

Purpose and Eligibility

Please see the dissertation completion fellowship requirements on the Policies website for complete eligibility requirements. 

Students are not eligible for a Harvard Griffin GSAS dissertation completion fellowship if they have already received a dissertation completion fellowship, whether from Harvard Griffin GSAS or an alternative late-stage writing fellowship from any other source, internal or external to Harvard.

Application Instructions for Students

Please note that the instructions for Harvard Griffin GSAS completion fellowships are also required for Graduate Prize Fellows, Presidential Scholars, and Ashford Fellows. The research centers and Harvard Griffin GSAS share a single application deadline of February 10, 2023, and a standard CARAT application form; application materials for individual centers and Harvard Griffin GSAS will vary. For instructions for the participating research centers, be sure to consult the entries for the individual centers to which you are applying on the DCF webpage . All instructions and accompanying forms are available on the  dissertation completion fellowships  page.

The following application materials must be submitted in CARAT by the Harvard Griffin GSAS deadline:

  • Application form (automatically generated by CARAT).
  • Two faculty confirmation forms noting receipt of two dissertation chapter drafts or the equivalent; one form to be completed by the principal dissertation advisor and the second by an additional advisor. The form is also to be signed by the student applicant who will upload the two signed evaluation forms into CARAT. Note that this form replaces the formerly required letters of recommendation. 
  • Dissertation abstract (one-page double-spaced) along with a Table of Contents indicating progress status for each chapter or article.

Conditions and Terms of the Award

  • All registered students in Harvard Griffin GSAS, in fields in the humanities and social sciences, who meet the eligibility requirements will receive dissertation completion funding, with specific funding sources to be named as a final step.
  • Awards are intended to be held for the entire academic year and to be confined within a single academic year. Students are expected to complete the dissertation during the completion fellowship year; this will be the final year of Harvard Griffin GSAS funding even for students who do not finish during the fellowship year. In addition, after holding a dissertation completion fellowship, students will be limited to no more than one additional academic year of registration in Harvard Griffin GSAS.
  • Since this guaranteed fellowship is intended for students who are truly at the completion stage, students who apply for a research fellowship are expected to withdraw from the completion pool at the time of applying for the research fellowship; otherwise, receipt of a research fellowship may be counted as supporting the completion year, regardless of the stated purpose of the fellowship, and students will be ineligible to re-enter the completion pool the following year.
  • The dissertation completion fellowships ordinarily may not be combined with grants from other sources, although exceptions are made for smaller grants. Also as noted, they are intended to be held for the entire academic year and must be confined within a single academic year.
  • During the dissertation year, no concurrent teaching is permitted; other forms of employment are also excluded.

Please Note: Students who enter the Harvard Griffin GSAS dissertation completion fellowship pool must apply for all other internal and external completion fellowships for which they are eligible, either from a Harvard source such as a research center or departmental fellowship, or an external funding source. Students must accept the alternative non-Harvard Griffin GSAS award. In the event that the alternative award is less than the standard Harvard Griffin GSAS stipend and tuition and health fees, Harvard Griffin GSAS will supplement to make up the difference. Over and above a possible top-up, a possible bonus may be offered for receiving an alternative award. Presidential Scholars, Graduate Prize Fellows, and Ashford Fellows need not take the step of applying for alternative funding.

Instructions for Departments

We ask department administrators to submit to Harvard Griffin GSAS a list of department applicants in alphabetical order. This is to be compiled within five days after the standard deadline of February 10, 2023,  and emailed to [email protected] .   The department administrator can log in to CARAT to access their department’s list of applicants and completed applications. The list should also be circulated to the department chair and DGS. This will ensure that Harvard Griffin GSAS and the departments are all on the same page as to who is applying for the dissertation completion fellowship.

Additional Considerations

Students at times have difficulty deciding on readiness for a completion fellowship. They let the DCF deadline go by, putting off producing the required chapter or article drafts, only to discover at a later date that they would in fact be ready to complete the dissertation during the upcoming academic year. Making an assessment of readiness is something that should entail close consultation between the student and the dissertation advisor. We, therefore, urge advanced students and their departments to make sure that this consultation takes place, doing so well in advance of the Harvard Griffin GSAS February deadline, perhaps in December or January. At that time, students and advisors should also plan a strategy for having the required two chapter or article drafts ready by the deadline.

In essence, it’s a form of academic purgatory – so close to the finish line, yet so far.

Over the years, we’ve had many ABD students approach us for help in the form of private coaching . While everyone’s situation is unique, we’ve seen some patterns in terms of the underlying factors that contribute towards students getting stuck in the all but dissertation holding pattern.

Let’s unpack some of the most common contributing factors, after which we’ll discuss some practical measures you can take to mitigate them.

ABD Factor 1: Procrastination & Poor Time Management

Writing a dissertation requires a huge commitment of time and energy . Naturally, many students struggle with procrastination and/or poor time management, making it hard for them to maintain the consistent progress needed to conquer the dissertation mountain.

This is often exacerbated by a general lack of structure in terms of their approach. Without the routine of regular classes and clearly defined deadlines, students often derail and find themselves burning a lot of time on relatively low-value activities. In other words, they find themselves very “busy”, but not very productive.

ABD Factor 2: Supervision Issues & Social Isolation

As we’ve discussed before , maintaining high-quality engagement with your research supervisor is critically important throughout the dissertation process. It’s no surprise then that conflicts or a general lack of support from an advisor can significantly delay or even stall students’ progress . As the relationship erodes further and further, students lose more and more momentum, eventually grinding to a dead halt.

Related to this dynamic, a feeling of isolation and loneliness can often creep in over the months or years. This puts a major drag on students’ general feelings of well-being, further contributing to a l oss of momentum . In a nutshell, a lack of high-quality, productive relationships is a major contributing factor to getting stuck in all but dissertation status.

The ABD procrastination problem is often exacerbated by poor time management skills and a general lack of structure and daily routine.

ABD Factor 3: Academic Burnout & Research Roadblocks

After years of intense study and research, some students will experience burnout. This feeling of mental and physical exhaustion then impedes their ability to complete their dissertation or thesis, and dampens their motivation to push on with the project. In other words, they burn out and lose the passion and enthusiasm they had at the start of their PhD journey.

At the same time, it’s not uncommon for students to encounter unexpected problems in their research . Quite often, we see students facing difficulties with data collection, changes in research direction, or challenges in interpreting results. These are par for the course in the research process, but dealing with them in an already burnt-out state is often just too large a rock to push up the mountain.

ABD Factor 4: Funding Issues

In many cases, doctoral programmes offer funding for a specific period of time (often 3-5 years). However, completing all the requirements for a PhD can sometimes take longer. When the funding runs out before the dissertation is completed, students face the challenge of supporting themselves financially while they finish their research work. Of course, these are just a handful of common contributors to students landing up in all but dissertation land – there are many other potential factors that can come into play. However, if you want to move past ABD status (or avoid it altogether), you’ll want to take a proactive stance to combat these issues.

How To Break Through The ABD Barrier

Whether you’re currently stuck in ABD or you’re just starting the dissertation stage and want to make sure you don’t hit a scholarly standstill, there are several simple but effective actions you can take to conquer the proverbial Mount Thesis.

Action 1: Establish A Well-Defined Routine

Creating a clearly defined daily routine is crucial for making steady progress on your dissertation. By setting aside specific times each day for writing and research, you can mimic the structured setting of coursework, which will help you maintain focus and productivity.

In practical terms, you’ll want to articulate a clear daily schedule of well-defined activities. Put these into your calendar and perhaps even consider using a time-tracking app such as Toggl Track . A final thought on goals and goal setting. It’s important to celebrate your victories as you achieve them, no matter how small they might be. Recognise each task you complete and allow yourself to bask in a moment of pride. Ticking items off your to-do list is a simple practice, but this positive reinforcement can be incredibly motivating and will help you maintain a positive outlook throughout the dissertation process.

While you must (by design) travel down a narrow, lonely path in terms of the intellectual focus, it doesn’t need to be a lonely path psychologically and socially.

To build a network, a good starting point is to engage with fellow PhD candidates in your department – or if need be, in other departments. You can also consider attending academic conferences and participating in online forums related to your research area. These interactions not only provide social support but can also lead to new insights and ideas for your own dissertation. Again, while everyone’s research focus will be unique, the experience (and its associated challenges) will be very similar across the board.

If you are fortunate enough to connect with candidates within your specific research area, you might also consider forming a study group where members can share their progress and provide feedback on each other’s work. Naturally, this collective approach can help you maintain motivation and reduce the sense of isolation.

If you spot these red flags, you’ll need to take proactive steps to reduce your risk of hurtling over the edge and completely flattening yourself. In practical terms, this could include setting more reasonable work hours, ensuring you take time off for relaxation, and engaging in hobbies and exercise. Don’t underestimate the power of a little exercise – oftentimes, a little time away from the screen can do wonders for your writing.

The aim here is to encourage yourself to move forward with the writing process, even when you feel that certain parts could be improved. Remember, done beats perfect – every day.
